Access to the PartnerCare system is determined by the Security Administrators at the financial institution. Security Admins have the ability to create specific roles with certain permissions and then assign reps to these roles. Security Admins maintain all PartnerCare reps.

By the end of this section, you will understand how Security Admins:

create, modify, and delete rolesassign reps to a rolereset a rep's PartnerCare password

During Implementations, the financial institution will decide on the following:

•which two employees will be the two Security Administrators for PartnerCare (Security Admins are responsible for creating PartnerCare roles (by assigning security permissions to each role) as well as determining which employees get assigned to a specific role)•how many employees will need access to PartnerCare (if additional IDs are needed in the future, call Intuit Financial Services' Service & Support)

The Admin area of PartnerCare allows the two Security Administrators to create, modify, and assign employees to these roles.

Security Administrators are the only reps that can access the Admin screen. However, reps in the Manager role can be given the “View Security Admin Data” and “PartnerCare ID Updates” security access settings which allows for modifying a rep's assigned name and/or role as well as resetting a rep’s password. You will learn more about roles and security access settings later in this training.

TIP: Because Security Administrators only have access to the Admin screen, they will need to set themselves up as reps in one of the other PartnerCare roles if they need to have access to other areas within PartnerCare.

Admin

After clicking the Admin button, the Security Admin is presented with the main Security Administration screen.

This screen provides detailed information on all rep IDs at the financial institution and their access capabilities in PartnerCare. The main Security Administration screen is made up of four sections:

Status Summary

The Status Summary section of the Admin screen provides the Security Admin with a count of how many rep IDs are in a particular status. Possible statuses are:

•Assigned - Rep IDs that have been assigned to  financial institution employees. •Unassigned - Rep IDs that have not been assigned to financial institution employees. •Locked Out - Rep IDs that have been locked out of PartnerCare entering their password incorrectly.

Clicking on a particular status allows the Security Admin to filter the Rep List. While, clicking the Clear Filter link will allow the Security Admin to remove any filter that is currently in place and view all reps in the Rep List. (The Rep List is not shown on this screen).

NOTE: Managers cannot view rep IDs in “Unassigned “status. They can only see “Assigned “and “Locked Out” rep IDs.

Security Access AssignmentsThe Security Access Assignment section of the Admin screen displays:

•the roles that have been created (either by Fiserv or a Security Admin at the financial institution) •how many PartnerCare reps are assigned to each role

The Security Admin will use this section to create new roles (if the pre-defined Fiserv roles do not fit their needs), modify roles, or delete a role. Roles can only be deleted if the role does not have any reps assigned to it and is not a pre-defined role.

The four defined PartnerCare roles designed by Fiserv are:

View Only Role:• can view information in PartnerCare• cannot edit any information in PartnerCare

Inbound Rep Role:• can view and edit information in PartnerCare • cannot assign cases to themselves to research • will not have access to the Work List screen

Researcher Role:• can view and edit information in PartnerCare• can assign cases to themselves to research

Manager Role:• can view and edit information in PartnerCare • can assign cases to themselves to research• can reassign cases to other reps in order to distribute case workload • has limited access to the Admin screen (i.e. for modifying a rep's

assigned name and/or role as well as reset a rep’s password)

Add Role

To create a New Role:

Step 1: Click the Create New Role button (on previous screen). Step 2: Enter the Role Name.Step 3: Select the Role Type.Step 4: Click the Next button.

Add Role (cont’d)

Step 5: The Basic and Optional Access Settings will display. Select the desired settings.

Step 6: Click the Save button.

Basic Security Settings include:• View Data – view and/or print data • Locate Data – search for consumers, cases, and/or payments• Researcher Work (Researcher only) – access the Research Work List,

accept/remove case ownership• Manager Work (Manager only) – access the Manager Work List,

assign/reassign cases, access additional case search options• Security Admin Only (Security Admin Only) – assign/unassign rep ID,

reset security administrator ID password, assign sponsor access to rep ID, modify sponsor access to rep ID, create/manage roles

TIP: The system will display recommended access settings based on the role type.

Optional Security Access Settings

Depending on the role type, the system has recommended optional access settings. However, these settings can be turned on/off by the Security Admin when creating/editing roles. Optional security access settings include:

•Bank Account Add - add bank accounts•Bank Account Updates - modify bank account information and/or cancel bank accounts•Case Updates - add new cases, modify/close cases, route cases•Enrollment - do not enable•PartnerCare ID Updates - modify a rep's assigned name and/or role as well as reset a rep password•Payee Add - add payees and/or e-bill service•Payee Updates - modify/cancel payees and/or e-bill service•Payment Add - add single and recurring payments•Payment Updates - modify/cancel single and recurring payments•Proof of Payment - access check copies and/or access proof of electronic payment button•Reset Passwords - do not enable•Stop and EC/Stop & Reissue - perform stop and electronically credit function and/or stop and reissue function•Subscriber Updates - modify/cancel subscribers, add/modify/cancel co-subscribers, and/or modify billing information•View Bank Account Number - view payee/bank account numbers that are not masked on screen-based lists and drop-down lists.•View Security Admin Data - view/access Admin screen•View SSN – view Social Security/Tax ID numbers that are not masked on screen-based lists and drop-down lists.

Modify Role

To modify a Role:Step 1: Click the role name.

Step 2: Make the appropriate modifications.

Sponsor Assignments

The Sponsor Assignments section of the Admin screen displays: •the sponsors that are manageable by the Security Admins•how many rep IDs are assigned to each sponsor •when the sponsor was added to the system

The Security Admin can assign reps to certain sponsors by clicking on the sponsor name.

Rep List

The Rep List section of the Admin screen allows the Security Admin to:

•view Representatives versus Administrators •reset a rep's password•assign/unassign employees to a rep ID •change the role or name of a rep ID•change the sponsor assigned to the rep (for financial institutions that are holding companies only)

Add/Edit Rep

To add a new rep or edit an existing rep:

Step 1: Find an Unassiged rep ID (to add a new rep) or find the rep ID (to be edited) in the Rep List .

Step 2: Check the box to the left of the rep ID.Step 3: Click the Edit Selected Reps button.

Step 4: Enter or edit the rep’s name and/or role and make sure that “Assigned” is chosen for the Status.

Step 5: Click the Save button.Step 6: Once the screen refreshes, enter the initial/temporary password for the new rep. Upon first login, the rep is forced to change the password. NOTE: When a Security Admin changes the name for an “Assigned” or “Locked Out” rep, the system requires that the password be reset as well.

Reset Rep

To reset a rep:Step 1: Click the Reset link located in the Rep List.

Step 2: Enter in a temporary password. Upon first login, the rep is forced to change the password.

Step 3: Click the Reset button.

NOTE: Managers with the PartnerCare ID Updates permission will be able to reset reps’ passwords. However, they will not be able to reset a Security Admin’s password as they do not have access to the Administrators tab. If a Security Admin is locked out, the other Security Admin can reset them or the Security Admin can call IFS’s Service & Support department.
