At JOHNS&CO, we believe it is important for a prospective Tenant to be aware of all the facts with regard to the rental process, as well as a clear un-derstanding on the costs that may be incurred thoughout the Tenancy.

Below is a comprehensive guide on what to expect when renting a property through JOHNS&CO.

With an onsite property management team, as well as a dedicated letting team, once you have chosen one of our properties we can arrange for you to move in within a matter of days.

OFFER STAGE - WHAT TO EXPECT

You will be required to provide us with the follo- wing information in order for us to give a detailed offer to our Landlord:

& Proposed Rent & Payment frequency (monthly, quarterly, six monthly or yearly in advance)

& Commencement Date & Length of initial term & The names of all tenants that will be party to the agreement

& Whether you are employed or currently study-ing at an educational establishment

& Special requests that are a condition of an offer

ON ACCEPTANCE OF THE OFFER

We will require you to pay a reservation fee of £500.00 as a sign of your commitment to the pro-posed Tenancy. On receipt of this fee, we shall withdraw the property from the market and all viewings will cease.

This reservation fee will be put towards your ini-tial monies and will only be refunded in the event that the Landlord does not proceed with the ten-ancy. Please note that payment of this reservation fee does not constitute the granting of a contract or tenancy.

REFERENCES

JOHNS&CO will apply for references using an independent credit reference agency. The agen-cy will gather information on your employment, student status, previous tenancies and apply for a credit check. You will also be asked to provide an original copy of the following documents:

Whether you are employed or currently studying at an educational establishment:

& Photo ID: either Passport, Photo Driving Li-cence, ID Card

& Proof of Address: Utility bill or bank statement within 3 months of date

NON EU CITIZENS AS WELL AS THE ABOVE: & Proof of a valid Visa & Confirmation of an offer of employment & Any family members would require confirma-tion of their Right to Remain.

STUDENTS AS WELL AS THE ABOVE: & Confirmation of place & Valid Student Visa or right to remain docu-ments

All students will require us to provide a UK guar-antor (who will be referenced as if they are a tenant). Should a UK guarantor not be provided, our client may waive this condition on the under-standing that the entire rent for the term of the tenancy will be paid in advance . The fee for the referencing process will be £35 plus VAT per per-son.

TENANCY AGREEMENT PROCESSING

Once the references have been returned as satis-factory and approved by the Landlord we will pro-cess the legal documentation.

Please ensure you read the Tenancy Agreement thoroughly, and all conditions are understood & accepted. Each party will be asked to sign a copy of the Tenancy Agreement, and be asked to ensure an independent 3rd party witnesses the signature.

The fee for the administration process will be £150 plus VAT per tenancy. This fee is charged to both parties.

This Administration Fee covers the following: & Production of the tenancy agreement including any individual negotiated clauses.

& Production of the Deed of Guarantee if appli-cable.

& Submitting the completed reference reports for approval by your prospective Landlord.

& Obtaining & Verifying all safety certificates pri-or to the move in date.

& Ensuring all legal paperwork is complete & in place prior to the move in date.

& Arranging for the appropriate deposit docu-mentation to be signed.

& Registering the deposit with the DPS.

INITIAL MONIES

You will be required to pay all initial monies be-fore the commencement of your Tenancy. We will provide a clear breakdown of these monies within the Tenancy Documentation.

We will require the payment of the initial monies in cleared funds by 3pm the day before your move in date e.g. move in date is 2nd of the month, mon-ies need to be in cleared funds by 5pm on the 1st. We are unable to receive any cash payments and ask for payments to be paid by Bank Transfer. Pay-ment details are provided at the end of this docu-ment.

Please find an example of the initial monies, based on a rent of £500 per week, with two tenants. The calendar monthly rental has been calculated as follows:

£500 x 52 weeks / 12 months = 2,166.67 per month

SECURITY DEPOSIT

JOHNS&CO are members of The Deposit Protec-tion Service (DPS), details of which can be found on www.depositprotection.com or by the details below:

The Deposit will be held against any unpaid bills, rent or dilapidations, or any other losses incurred

as a result of a breach of Tenancy Agreement.

The deposit is held until the end of the Tenan-cy and can only be refunded if both parties have agreed in writing to do so. The DPS asks for a nominated Lead Tenant when registering the de-posit. The Lead Tenant responsibilities are out-lined on the DPS website and in the Prescribed Information.

RENTAL PAYMENTS

Prior to the Tenancy Commencing you will be re-quired to complete and set up a Standing Order to ensure all rental payments are received in cleared funds in line with your rent due date.

We must receive confirmation that the Standing Order has been set up in order for you to receive keys.

INVENTORY

The Inventory Report will be prepared by an In-dependent Third Party and makes a detailed re-cord of the contents and condition of the property.

This document is then used at the end of Tenancy to compare & contrast the condition of the prop-erty in relation to the Deposit release.

The Landlord pays the cost of producing this docu- ment. At the commencement of the Tenancy and the Tenant pays the cost of the check- out inven-tory report.

MOVING DAY

For JOHNS&CO to release the keys to your new property we will require the following:

& Approval of the References from your Landlord & All Safety Certificates legally required for a ten-ancy from the Landlord.

& A signed copy of the Tenancy Agreement from both parties

& The full Initial Monies amount in Cleared Funds

& Standing Order completed & set up, and confir-mation received.

JOHNS&CO will arrange for you to meet an In-ventory Clerk or a JOHNS&CO representative to collect your keys, receive your welcome pack and to assess the Inventory and Schedule of Contents & Conditions

JOHNS&CO MANAGED PROPERTY

If we are appointed to manage the property on behalf of the Landlord, JOHNS&CO will be your main contact. You will be provided with your dedicated Property Manager’s details prior to the commencement of your Tenancy.

Please note we will be carrying out a Property In-spection approximately once every quarter.

NON MANAGED PROPERTY

If the property is being managed by the Landlord, you will be given all their details once the Tenancy has commenced.

RENEWAL

Subject to you complying with the terms of the tenancy, JOHNS&CO will enquire if you would like to extend your initial fixed term. We will be in touch approximately 2 months before the end of the fixed term of the Tenancy.

If you do not wish to extend the tenancy beyond the initial term, we will start the re-marketing process and viewings will commence. We will ap-preciate your cooperation during this process.

Should both parties agree to an extended term, then we will prepare a Memorandum of Exten-sion, this will include any adjustments in the rent-al payments. We shall also ask you at this stage to renew your standing order instructions with your bank with the revised rental payment amounts.

The Renewal Charge of £50.00 plus VAT will be charged for the administration & production of this documentation.

ENDING THE TENANCY

If you wish to terminate your tenancy, or not ex-tend further than the fixed term, you will be re-quired to serve two months’ notice in writing. We will arrange an Inventory Check Out Inspec-tion, like the Inventory Check In Report, this is prepared by an Independent Third Party clerk and documents the condition of the property.

This document compares & contrasts the condi-tion pre- tenancy and post tenancy, and forms the main evidence in the case of any deposit deduc-tions. The cost of the Inventory Check Out is paid by you (the tenant). Costs do vary depending on size and contents of the apartment. Please enquire for further information.

We also ask for you to ensure all utilities are paid and closed. Also, please ensure JOHNS&CO are left a forwarding address for each occupier of the property that is being vacated.

If you are in a managed property we will take the utility meter readings and JOHNS&CO will ar-range to have the final bills sent to you at the for-warding address provided by yourselves. If we are not managing the property you will need to organ-ise this between yourself and the Landlord.

Expenses and Actions at the end of your Tenancy: & Arrange to have the apartment professional-ly cleaned (ask for a recommendation from a JOHNS&CO office as we will have preferen-tial rates for professional cleaners which could save you money).

& Pay for the inventory check out cost & Make sure we have your forwarding address & All utilities have been closed & paid.
