Canadian Encyclopedia Fonds

PREFACE

The University of Alberta Archives was established in 1968 at the recommendation of the Presidents Standing Committee on Archives and Documents. Its primary mandate is to acquire, maintain, and preserve the records of the University, in any medium, which contain continuing administrative, legal, and historical value. The Archives constitutes the official memory of the University and represents the accumulated experience of our educational community. In addition to these official records, the University Archives also contain the private papers of the University staff whose subjects of research and teaching encompass the world.

Canadian Encyclopedia Fonds

INTRODUCTION

The Canadian Encyclopedia fonds housed at the University of Alberta Archives encompasses the records that were created in the planning and production of the first edition of the Canadian Encyclopedia. The records span the period from the initial planning of the Encyclopedia by Mel Hurtig XE "Hurtig, Mel" and Hurtig Publishers in the mid-1970's, to the final publication of the first edition of the Canadian Encyclopedia in 1985. The records are extensive, and readily document the process of producing an encyclopedia from inception to publication.

SOURCE: The records of the Canadian Encyclopedia, first edition, were deposited as a gift to the University of Alberta Archives in 1986 by Hurtig Publishers Ltd. XE "Hurtig Publishers Ltd." Hurtig Publishers were intent that the documents be housed in their entirety in one facility, and that the records be open for research and study. The University of Alberta played a partnership role in the Canadian Encyclopedia project, providing office space for Encyclopedia staff; technical support and staff to oversee the computer production of the Encyclopedia contents; and the shared knowledge resources of its research departments and academic staff. In return for their support, the Encyclopedia publisher agreed to pay an annual fee to the University until 1985, and share a portion of the Encyclopedia profits in perpetuity with the University of Alberta. Because of this connection and history, the University of Alberta Archives was selected as the institution to house the Canadian Encyclopedia, first edition records.

ARRANGEMENT NOTE: The Canadian Encyclopedia fonds is extensive, and the arrangement and description of these records will be completed over a three-part phase.

Phases one and two of the Canadian Encyclopedia project involved the complete overview of the fonds. Original order was disrupted when the encyclopedia files were transferred from filing cabinets, binders, closets, etc. to archival boxes, but order was restored and eight broad series described. The first eight series are described in this inventory, and include:Series 1: President's FilesSeries 2: Managing Director XE "Managing Director" 's FilesSeries 3: Editor-in-Chief's FilesSeries 4: Senior Editors XE "Senior Editors" ' FilesSeries 5: Production Staff FilesSeries 6: Photographs and IllustrationsSeries 7: Production FilesSeries 8: Entries and Galleys XE "Galleys" The remaining records in Series 8, which includes the Encyclopedia articles and computer discs will be described in phase three of the arrangement and description project.

RELATED ACCESSIONS: Records of the second edition of The Canadian Encyclopedia are located in accession #91-35, and Junior Edition records of the Encyclopedia are located in accession #91-36. ADMINISTRATIVE HISTORY

The New Canadian Encyclopedia Publishing Ltd. was incorporated in 1979, as a wholly owned division of Hurtig Publishers. It commenced operations on April 1, 1980 with the objective of researching, developing, and producing a New Canadian Encyclopedia by fall, 1985.

The Encyclopedia was the brainchild of Mel Hurtig XE "Hurtig, Mel" , owner of Hurtig Publishers of Alberta. Mr. Hurtig, a frequent visitor to schools and libraries across the country, was convinced of the need for a contemporary general reference work on Canada to replace "hopelessly out-of-date" reference texts currently in use. In the mid-1970's, Mel Hurtig began to research funding possibilities for such a large publishing undertaking. He approached Canada Council XE "Canada Council" officials and other funding sources, but was eventually successful with his request to the Alberta government's 75th anniversary committee. In 1979, $3.4 million was awarded to the New Canadian Encyclopedia Publishing Ltd. for research and development, and $600,000. to buy free copies for 24,000 libraries and schools in the country and for every diplomatic post abroad. All production costs were absorbed by Hurtig Publishers and defrayed by the sale of the other 80,000 editions in the first printing.

A Managing Director XE "Managing Director" , Frank McGuire XE "McGuire, Frank" and an Editor-in-Chief, James Marsh XE "Marsh, James" were hired in 1980. Together, they hired the editorial, production, and office staff responsible for overseeing the production of the three-volume Canadian Encyclopedia. The offices of the Canadian Encyclopedia were housed on the University of Alberta campus, and technical support from the University made possible the on-line data entry, storage and retrieval of information, and the computer typesetting of entries through the textform software program.

A major subject list in the fields of arts, humanities, social sciences, and sciences was drawn up and editorial teams hired to deal with them. Each team consisted of a senior editor and an editor-researcher. The senior editors assembled a ten person national advisory board chaired by Dr. Harry Gunning XE "Gunning, Harry E." of the University of Alberta. As well, some 200 consultants or subject specialists from universities, the federal and provincial public service, scientific institutions, and quasi-government institutions like art galleries and museums were contracted to assist the editorial staff in determining subject lists and selecting contributors. The writing of encyclopedia entries was assigned to 2500 contributors. While the majority of the contributors came from academe, they also included such authors as Margaret Atwood, Pierre Berton, and Peter C. Newman. Contributors XE "Contributors" were paid a nominal fee, or could accept payment in free copies of the encyclopedia. Consultants XE "Consultants" and expert readers evaluated all articles prepared for the encyclopedia to ensure authenticity of facts, the fair dealing of controversial issues, and balanced viewpoints.

The finished encyclopedia contained some three million words in about 14,000 articles with an additional 1800 illustrations including photographs, maps, diagrams and charts. It was completed and to the public in 1985, while preparations began on preparing a second edition of The Canadian Encyclopedia for publication in 1988. In the words of Harald Bohne XE "Bohne, Harald" , the Director of the University of Toronto Press, The Canadian Encyclopedia is "a major undertaking of national importance not likely to be repeated in this century."

SCOPE AND CONTENT NOTE

The Canadian Encyclopedia fonds provide a comprehensive and detailed record of one of the largest and most important cultural undertakings in Canadian publishing history. The records are extensive, and detail the process involved in producing a large reference publication from the inception stage through to final publication.

The fonds consist of approximately 35 metres of records, excluding illustrative material that is to be returned to the Archives at a later date. The material was donated to the University of Alberta Archives in 1986, and original order was subsequently disrupted in the re-boxing of records from binders, filing cabinets, and closets for transfer to the Archives. As well, some of the records were still active and being consulted in preparation for the second edition publication of The Canadian Encyclopedia. The volume of records has meant that the fonds will be arranged and described in three phases. Phases one and two, which this inventory represents, involved a complete overview of the entire fonds, the restoration, where possible, of original order, and the file level description of eight series.

Eight broad series were identified, and listed as follows:

Within each of these series, sub-series designations were assigned to better organize and describe the records. Each series is further described in an introduction preceding the series listing. Original file titles, if they existed, were retained for the description. A subject and name index is found at the back of the inventory to further assist in locating specific information.

These records have tremendous research value. The administrative and financial records provide a complete business history of the project. Based on correspondence, internal memoranda, meeting minutes, and monthly reports, etc. the researcher is able to better understand how the publication was planned, produced, and delivered to the public. The internal operation of The New Canadian Encyclopedia Publishing Ltd. are revealed through the procedures manuals and internal instructions which outline operating practices, guidelines, and editorial methodology. The files also provide an original and comprehensive picture of the publishing business from a Canadian perspective. The article and entry files contain samples of work by top Canadian academic experts. Because the editors were constrained by space and subject limitations, not everything they received could be printed in the encyclopedia. The files complement the published record, indicating how articles were edited, categorized, and sometimes cut altogether. Material, not published in the Encyclopedia, is retained in the files.

Archival Description: Mel Hurtig XE "Hurtig, Mel" , President and owner of Hurtig Publishers, was the individual responsible for dreaming up the idea of producing a Canadian Encyclopedia, and the mover and shaker behind getting funding and support for the project. As a well-respected member of Canada's publishing industry, he was able to attract attention and draw support from across the country for his encyclopedia project. The files in this series are from Mel Hurtig's personal project binders, and provide a complete over-view of the encyclopedia project. The records, detailed and varied, suggest at the planning and organization required to move such a large project through the planning, implementing, and production stages. The files are in excellent physical condition.

Scope and Content: Mel Hurtig XE "Hurtig, Mel" 's files were originally kept in binders, and organized and numbered by topic. Original order was restored in this series as almost all of the files were originally assigned a letter corresponding to a specific Canadian Encyclopedia subject area. There were 32 different topics assigned the files, ranging from the organization and development of the project to specific production concerns. There is information related to fundraising for the proposed encyclopedia, as well as correspondence files, financial records, publicity clippings, procedures and style manual, reports, and technical areas concerning design and specifications concerns, project insurance, and sales and distribution of the encyclopedia.

Archival Description: Mel Hurtig XE "Hurtig, Mel" hired Frank O. McGuire for this position. As Managing Director XE "Managing Director" of the Canadian Encyclopedia project, Mr. McGuire was responsible for overall administration of the encyclopedia project, as well as computer liaison, budgeting and related matters. The records in this series are primarily textual in format, and in excellent physical shape. Much of the series consists of correspondence, although there are also meeting minutes, reports and administrative forms. Mr. McGuire maintained his files in a primarily alphabetic subject or chronological order and this order is retained.

Scope and Content: These files provide a valuable overview of the encyclopedia project in its entirety. The Managing Director XE "Managing Director" pressed forward with many of the initiatives begun by Mel Hurtig XE "Hurtig, Mel" , and assumed responsibility for taking the encyclopedia project from inception to production. The series has three sub-series: Managing Director's files; Personnel records, and Financial records. The largest sub-series is the Managing Director's files which consists of alphabetical subject files, reading files, administrative forms, reports, memoranda, meetings, miscellany, and overview files.

The series title is based on the content of the records.
