2. General description of the system
Data processors key data from the questionnaires by stint. The PCK
(Processor Controlled Key~ng) equipment carr~es out certain checks before the
Data Preparat~on su~rvisors transfer st~nts fran the disc to a Magnetic tape
In ascending numerical or&r. These PCK tapes of ‘Wne’ data are input to
the XK merge/reformat program. The purpose of ttis program is to prepare
prime and correction &ta for input to the min edit progrm. This includes: -
a. merging the prime data frcrna n-r of FCK systms with the correction
data.
b. reformatt~ng the prme data In order to s~mpl~fy the rnaln ed~t
processing.
c. spl~ttlng the merged reformatted data onto one of seven capany files.
The output fran th~s program is e~ther put through the Cmpany merge program
to accumulate stints by company or goes straight to the main LFS sequence
check and edit program. The latter has the followlng fUnCtlOnS :-

Preparation may be necessary to determme the contents of the particular XK

The error report WI1l also net the number of ignored person records per

Company Merge
This program creates a cumulative canpany merge taps from the output of the
PCK merge/reformst progrsm for Input to the main -t progrsm, avo~dlng a
buld-up of tapes. The l~stlng that IS produced shows the updated ~sitlon
for each canpany fIle and will be held by the supsrvlmr for reference.
Sequence check and etit
5.1 This IS the main LFS e&t progrsm. Inltlally It receives input frm the
PCK merge reformat or canpany merge. When a stint IS f~rst Input It IS
called prne data. Sequence errors and othsr .gPsciflc errore can cause
5.2
the data to be re]ected entirely and not be ur~tten to the output
(the LFS data master file (WF) ).
The ed~tlng process also detects other errors and every record IS
file
examined for lnval~d or Inconsistent data. Certain errors are corrected
autat~cally (see appendm D ) but others WI1l cause the stint b fail
and WI1l be llsted out (see Appendix C) . The status of each st~nt WI1l
be reported on the run reprt that accn’unpanleseach error report. A
stint which has been regected must be Input again as prme data and one
wh~ch has fa~led must be corrected unt~l it becomes error free.

in certain technical errors and wh~ch contains Invalldities and/or

Therefore some ~rsons may have two correction Identity llnes, one when

Use the second llne and cross through the former. The same relationship

been cleared. % the next pass may raise another meesage in that
household. (M not att6mpt to forestall subsequent messages by altering
data in advance of an expected error) .
An error message is raised when the number of psrsons processed IS
&f ferent fran that given in household size. This WI1l always arise for
households w~th wre than n~ne persons as the extra quest ionna~res were
removed, prior to keying, by receipt and arrang~ng staff. Each one of
these persons WI1l have to be input at Edit.
5.3 The run report (see append~x JII )
This shows the status of each st~nt and subsequent correct~ons. A stint
status llne WI1l be pr~nted for all stints on the input file. This w1ll
show the state of the et~nt at the beg~nning and end of the run. Prime
data can be re]ected, passed or failed and correction data can k
ignored, passed or fa~led. Where certain technical errors occur the
batch of pr~me or correct~on data WI1l not be transferred to the output
file but a techn>cal message WI1l be printed. Stints already on the
Input file that have no correct~ons appl~ed WI1l bs transferred to the
output unchanged and reported as such on the run report.
Each corrected st~nt and prime st~nt not re]ected WI1l have three llnes
pr~nted to show the number of households, persons and non-responding
households as control totals, actual totals and error free records.
Where the control (taken fra the box label) and actual totals &f fer,
a message WI1l be printed. At the end of the run two total llnes are
pr~nted. The first WI1l show the number of stints on the output file
and totals passed and fa~led. The second WI1l show total prime stints
added to the output f~le during the run, the number of stints w~th
corrections and the number of Ignored correct~on records.

5.4.1 Types of ed~t
a. Technical
conditions
messages are prmarily concerned with processing
etatus, valld~ty of zdent~ty and ssquence.
b. Invalidates occur when the record contains a code that is
not wlth~n the allowable range. Upward facing arrows
~ndlcate the Posltlon of Invalid codes.
c. Consistency checks. Where d~fferent parts of the record are
.found to be inconsistent the program WI1l raise a message.
These are numbered as shown In appendix C.
5.4.2 The e~tir canpares the eht record nth the qustlonnalres
(bear~ng In mind any auto-edited values see, appendix D) .
Having &termlnsd the cause of the error and the correction
needed to resolve the edit cond~tlon the record has to be
amended. The questionnaires must also show amendments made by
the ed~tors. For these amendments and those corrections written
on the etit print-out use a ~een ballw~nt pen but use black
ballp~nt pn when canplet~ng the key>ng sheetg.
5.4.3 There are three methods of correction, delet~on, insertion and
amendment. Cne cmplete record can have the followlng
canb~natlon of corrections:
a. delet~on only
b. insertion only
c. amendment only
d. deletion followed by InsertIon.
me ndments. Each ainentient WL1l consist of an amendment code
folloved by the new data, w~th one exception . The m-mum
number of amen~ents Perm>tted on an amendment record IS 12, but
some amendment codes allow for blocks of data to be corrected
and only ttiee of this ty~ are allowsd on one amentient record.
140
7
(-
L
See appendix B for details of the correction codes. New data
followlng each amendment code (excluding those for blocks of
data ) WI1l be three characters long and where necessary space
filled to the right le if the field to be corrected has only one
character insert 2 s~ce S-l S after the one character.
Except Ions m th~s 3 character men~ent are those correction
codes containing X or L In place of the first dlglt. X
indicates a block of data and those contain~ng an L indicates
that the block of data IS to be set to spaces. For correct~on
codes relatlng to one field of data only the correct number of
characters must be used eg AO 101V means alter household s~ze to
the new value O1. This IS correct as household size is a 2
character field but If the correction had been wr~tten AO1001
the record would not be amended to 01 and would st 111 be In
error. The amendments w~th X in place of the first d~g~t of the
correct~on code ~ndlcate a specific number of characters to be
replaced In the record. Amendment codes can be presented In any
order. Amentient codes contaln~ng L In place of the first d~g~t
are not follcued by any data th~s lndlcates a block of data to
& set to blanks.
Write 1 inuned~ately after the correction identity llne to delete
a cmplete record. M ~nsert~on for a non-responding household
can be made on the print-out but for long Insertion records it
WI1l be eas~er and clearer to use the keying sheets. See
examples on keying sheets at append~x K and record
speclflcat~ons at appendix ii. The layout of the person
Insertion record is the same as the ~rson record on the error
report from relat~onsh~p onwards excludlng the space before
person number. The start poslt~on of each f~eld IS shown on the
errol as an ald to cmplet~ng the keying sheet.
5.5 Error sources
Reasons for errors WI1l become apparent wh~lst edit~ng. An error
category IS to be Inserted immediately to the left of the consistency
check number or relevant Invalldlty arrows. The categories are as
f01lows .

But Data Processor had keyed a fifth person.
Last person’s record was printed. It cannot be detected whether
the first or second son has been duplicated (If an older person
or man or wife had been dupl~cated other errors would probably have
occurred) .
E~ther lust delete record for 5th person, or amend records for
persons 3 and 4 to make sure these are correct, then delete 5th person
NB Deletlons (w~thout corresponding ~nsertlons) of persons other
