Where do we have a copy of …?

Many small volunteer organizations that exist to support a cause or common interest do nothave the monetary resources to maintain an office. These organizations may only meet on amonthly basis, and therefore have no place to store their current or historical documents, filesor other tangible assets. Therefore they are stored in the homes of individual volunteerswhere they might be in the personal computers or file cabinets, or even boxes in the attics.

It is important that such organizational assets and history are kept available to the organizationas long as it exists. With the turnover of volunteers, those assets must be passed along to thesuccessor or other officers that will continue to manage and run the organization.

As a former Region One Vice President, Dave Davis, stated in an email:“Information that is held by a single individual can prove costly, if something were tohappen to them. I think that this is something that all groups need to address, includingRegion 1. Data is the backbone of all organizations and needs to be secured andbacked up. Each organization most likely (hopefully) has some type of plan in place,but I am now aware of at least three instances (two where data was lost and onepotentially) that could have been prevented. … Rebuilding an organization from theground up is a daunting task especially when it comes to banking and IRSdocumentation.”

There are many methods to minimizing the possible loss, such as making copies of paperdocuments and reports or scanning paper files into electronic files, then storing them inmultiple locations and in the “cloud” where access is granted to more than one person.

Get a group or committee together to make a plan. OK, you already have a plan?Where is it??
