The 2009 Road Map for Winter and Spring will be arriving in December, 2008. Here is a sampling of some of the programs that will be available:

January• Girl Scout Cookie Kick-offs: Watch for a cookie kick-off in your area.• Girl Scout Cadette through Ambassador: Midnight Ramble will take place in Colby. This event deals with issues affecting young women today.

February• Girl Scout Daisy through Ambassador: Come celebrate a Girl Guide and Girl Scout tradition; World Thinking Day at Starwoods Outdoor Center on February 14, 2009.• Girl Scout Junior through Ambassador: Dream Dinners in Wichita is providing an opportunity for you to learn how to prepare a gourmet meal. • Girl Scout Daisy through Cadette: Spend a special evening with your dad at the Father-Daughter Sweetheart Dance taking place in Salina and Great Bend.

March• Girl Scout Junior: Stay the night at Exploration Place in Wichita. • Girl Scout Daisy through Ambassador: Groovy Girls, 60’s Day in Garden City

April• Girl Scout Daisy through Ambassador: You and your dad will not want to miss this outdoor experience at Camp Hazen near Sylvia. • Girl Scout Cadette through Ambassador: Spend an elegant evening in your best attire as you watch a musical at Crown Uptown Professional Dinner Theatre in Wichita.

May• Girl Scout Daisy through Ambassador: Come stay the night at the Hutchinson Mall and shop ‘til you drop.• Girl Scout Cadette through Ambassador: Celebrate your accomplishments as a Girl Scout who has earned the Girl Scout Silver or Gold Award, completed ten years or graduated as a Girl Scout Senior at the Young Women of Distinction event.

June• Girl Scout Junior: Part Two of the Three Part Campout will take place June 5-7, 2009; you will not want to miss this. You must attend the first two campouts to be eligible to attend the third campout in August at Rocky Mountain National Park.

Girl Scouts of Kansas Heartland 2008 Fall and Winter Road Map is the place to plan a journey for yourself or your troop. Inside you will find opportunities for every Girl Scout age level from across our council. Programs are designed specifically with you in mind. You will be able to Discover yourself, Connect with others and Take Action in the community by participating in Girl Led, Learn by Doing and Cooperative Learning experiences.

As you browse through this guide, please remember:• You may register for any event online. A reservation form is also available; reservation forms must be sent to the Girl Scout Center where the event is taking place.

• You do not need to fill out a Troop Trip Application form when registering for a council-sponsored event within Girl Scouts of Kansas Heartland.

• The Council Event Reservation Form is in the back of the guide. Please make copies so there is always a blank form available.

• This guide and the Council Event Reservation Form are available at www.kansasgirlscouts.org.

How to Make a ReservationCarefully read the instructions on how to make a reservation for a program. Then register online or use a Council Event Reservation Form and follow the instructions at the top of the form according to whether you are registering as a troop/group or individual. Please be sure make your reservation before the reservation deadline. There will be a $5 late fee on all programs unless otherwise noted.

Reservations are on a first-come, first-served basis unless otherwise stated. If a session is full, you have the option of being placed on a waiting list.

Note: Due to limited space and the nature of these activities, tagalongs cannot be accommodated, unless noted otherwise.

There are three ways to make a reservation for a program:Online at www.kansasgirlscouts.org• This is the fastest and easiest way to make a reservation for an event. • Each family and the troop/group have a reservation account. This account can be used for training or event reservations. New accounts will be created as members of the troop/group register for Girl Scouts. Passwords will be e-mailed to the e-mail address on file (parents of individual girls or leader for troop accounts) or can be requested by calling one of the Girl Scout Centers (Girl Scout Center information listed in the front of the Road Map). • Full payment for the reservation is required and can be made by e-check, Visa or MasterCard.

By Mail• Complete the Council Event Reservation Form in the back of the Road Map and mail or bring it to the Girl Scout Center where the event is taking place (noted next to the program contact).• Payment may be made by check. Please do not mail cash. By Phone• Call one of the Girl Scout Center locations to make a reservation. E-check, Visa or MasterCard required for phone reservations.

Payment OptionsChecks or e-checks• You can mail a troop or individual check with your reservation form or go online to log on to your family or troop/group reservation account and pay by e-check. All checks will be processed as e-check transactions that withdraw directly from your checking account. Make checks payable to Girl Scouts of Kansas Heartland (GSKH). By entering this information online or providing a check as payment, you authorize Girl Scout of Kansas Heartland to process a one-time electronic funds transfer (EFT) or draft drawn on your account. If your check does not clear your bank, it will be charged back against your family or troop/group account along with a $30 service charge along with any additional bank charges. Your reservation(s) will not be complete until this total amount is paid. Call (316) 684-6531 with any questions regarding electronic funds transfers.

Credit Card or Debit Card • Go online to log on to your family or troop/group reservation account and use a credit card (for family accounts only) or debit card to make a payment. Credit cards are not approved for troop use.• You may also pay by credit card or debit card in person or by phone.

Cash• You may pay by cash if bringing your form directly to a Girl Scout Center.• Do not mail cash.

Cookie Credits• Cookie Credits may be used for council events taking place before November 15, 2008. Cookie credits expire November 15, 2008.

General Information about Program ReservationsParticipantsTroop reservations require that troop adults be in attendance. Individual girls who register for events are not required to be accompanied by an adult, they will be placed with another troop or other individual Girl Scouts accompanied by a staff member.

Most programs can not accommodate walk-ins; therefore walk-ins will be allowed only at select events which are noted.

Girls who are not currently members can register as Girl Scouts and attend all events listed in the Girl Scouts of Kansas Heartland Road Map.

A girl is registered when her GSUSA registration form and $10 have been received at the Girl Scout Center. Troop/group leaders must also be registered members of GSUSA and have on file a volunteer application, references and criminal background check.

Event Reservation DatesAll program event reservations begin August 22, 2008. Check each event for reservation deadline. Some events fill quickly therefore they may be closed before the reservation deadline and the participant will be placed on a waiting list. Go online to check for event openings or call the Girl Scout Center. When events are filled to capacity, registration automatically closes.

Late FeeThere is a $5 late fee on all programs unless noted otherwise.

Capacity of EventsCapacity may be determined by any or all of the following: age level of participants, space, facilities, consultants or program resources. If an event is full, or it there is a problem with your reservation, you will be contacted.

Event CancellationsEvent cancellations may happen due to lack of reservations or weather. In the case of lack of reservations, participants will be notified. The weather that affects your area may not affect the location where the event is taking place. If an event is cancelled because of weather or some other unforeseen circumstance, the council will notify radio and television stations of the cancellations.

TagalongsDue to limited space and the nature of these activities, tagalongs cannot be accommodated, unless noted otherwise. Tagalongs are defined as individuals of any age who are not registered Girl Scouts or a registered Girl Scout attending an event specified for an age level that is different from her age level.

Confirmation NoticesEvent confirmation notices are not sent unless noted otherwise. Check availability by going online or calling the Girl Scout Center. Those who register by mail will be notified only if girls/troops did not get placed.

Participants with Special NeedsWhen registering, please indicate if there will be girls or adults attending who have special needs. Advance notice will help staff and volunteers who are planning the event to make any necessary arrangements to accommodate those special needs.

Financial AssistanceAssistance is available for girls who may not otherwise be able to participate in Girl Scout events. Assistance may be requested for troop/group dues, uniforms, books and council programs. Application forms for financial assistance are available online at www.kansasgirlscouts.org or in the Girl Scout Centers. Financial Aid requests must be submitted four weeks prior to the event and approved before making a reservation.

“Safety-Wise”“Safety-Wise” is a Girl Scouts of the USA publication containing health and safety guidelines for Girl Scout programs. Girl Scouts of Kansas Heartland abides by these guidelines to help ensure a safe program experience that will protect and maintain the well-being of every Girl Scout.

Lost and Found ItemsEvery effort will be made to return any items lost and found at council events to the original owner. Lost and found items from an event will be held for pickup for three weeks in the Girl Scout Center. After that time unclaimed items will be donated to a worthy cause.

RefundsRefunds less a $10 non-refundable fee are provided when (not applicable for event fee under $10 and may not applicable for event deposits that have been paid):• A girl moves out of council.• A girl is certified ill by a physician.• A death in the family.

Full refunds are issued when:• A girl is not placed in the program because it is full.• Cancelled due to lack of reservations.• A written notification 10 business days prior to the event date (unless deposits have been paid).

Refunds will not be issued when:• Deposit for event facilities, transportation, accommodations, or event fees have been paid.• Program cost is less than $10.• A girl is a no-show.• A girl leaves early due to homesickness, parent’s request or cancels for non-medical reason.• Written notification has not been received by the Girl Scout Center where the program is taking place 10 business days prior to the event date.

To receive a refund:• Notify the Girl Scout Center where the program is taking place.• Send a written notification 10 business days prior to the event date. Please state the reason for the cancellation.• Acknowledgement of refund will be sent. Cookie credits will be applied to the family reservation account.

Product SalesProduct Sales are money-earning activities that teach life skills and provide funds for yourself, your troop, and the council. You earn recognitions from both sales and “Cookie Credits” from the cookie sale that can be used topay for council programs and in the Girl Scout Center Shops. Troops earn a portion of girls’ sales. Service unitsalso earn a portion of their troops’ sales.

Haunted StrollCome to Starwoods for this super spooky adventure. Add to the spook factor by wearing your favorite friendly costume. Daisy and Brownie Girl Scouts will enjoy lots of fun activities along the not-so-scary New Pumpkin Hollow Trail. Once it gets dark, Junior Girl Scouts will test their courage as they brave the Boo Bash Trail and all of its’ scary surprises. All trails end at the lodge where participants will enjoy hotdogs, chips and a drink. Girl Scout Cadettes, Seniors and Ambassadors are needed to help with this event; for more information see the Leadership Opportunities for Girl Scout Cadette, Senior and Ambassador on page 46.

Leadership Opportunities forGirl Scout Cadette, Senior and AmbassadorHaunted Stroll Spook MastersA favorite event among teen Girl Scouts, the Haunted Stroll provides an excellent opportunity for putting creativity and leadership into action. Whether it be leading an activity along the not-so-scary Pumpkin Hollow Trail or spooking Junior Girl Scouts along the Boo Bash Trail, teen Girl Scouts are sure to have a great time. Teens are also needed to assist with concessions and parking. Once they have done all the scaring they can do, we will do our best to scare them on a Haunted Stroll designed with them in mind. Spook Masters and their leaders will also have the option of staying the night at Starwoods free of charge. All groups planning to participate in this event will need to plan on at least one teen representative and adult leader from their group attending an event orientation scheduled for Thursday, October 2, 6 p.m. at the Starwoods Lodge.
