Thank you for participating in the OHSU Equity Summer Research Program. This handbook was created to provide Equity Mentors and their

staff members with information about the Equity Program. It also provides guidelines and a list of contacts to ensure both mentors and students understand the program and its expectations. Within this handbook, you will find information about the following topics:

1. A description of the Equity Program 2. Policy and procedures relating to the Equity Program 3. Information about expectations of mentors and students

What is the Equity Research Program? The OHSU Equity Summer Research Program offers an exciting opportunity for college undergraduate students to spend eight weeks during the summer working with faculty and graduate students in a research and clinical setting. The Equity program has four tracks; Medicine, Dentistry, Nursing and Graduate Studies. Students will participate in weekly seminars, and meetings. And present a scientific research poster. Students will also receive career mentoring from OHSU faculty. Program Goal: The goal of this program is to increase the enrollment of talented disadvantaged applicants in OHSU’s academic programs. CDI will also track the student’s progress and provides additional advising and mentoring opportunities. Attendance:

• Schedules – The clinical mentor, research mentor and Equity Intern are responsible for setting a work schedule that works for both mentors and the intern (i.e. time of arrival and departure).

• Student Attendance Policy: Students must call or email their Lab mentor (clinical

mentor) and Ebony Lawrence if they are unable to report to work at their scheduled time. Students are responsible for making up time missed in their labs and clinic. Students are not to exceed a 40-hour work week, including seminar attendance and clinical observations. A typical work week occurs Monday-Friday.

Housing: Interns who do not live in or have housing near Portland will stay in a residence hall at Portland State University. We hope that you and your staff will help your student navigate Portland. Please consider inviting your intern to a barbeque or a home-cooked meal.

Clinical Observation: Interns in the medicine and dental track are required to complete a minimum of 4 hours a week with an assigned physician. Interns are required to coordinate with their lab mentor and clinical mentor on a feasible schedule that will work for both parties. Students will keep a weekly log of their hours. Interns are required to work 30-35 hours a week in the lab. Medicine Track:

Intern Checklist for Faculty (Mentors)

Interns will spend 8 weeks working 30 -35 hours with faculty and graduate students in a lab or research setting. * Interns are not to exceed a 40-hour work week, including seminar attendance and clinical observations.

It is required to have a Graduate Student/Lab Assistant in your lab assigned to orient the intern to your lab and OHSU requirements.

Weekly seminars and meetings are mandatory

Interns are required to attend weekly meetings from 12-1pm and scheduled presentations. *Please allow your intern time to travel to attend weekly seminars and meetings

Develop a mentor/mentee relationship with your mentors.

We encourage mentors (including graduate students) to develop an ongoing relationship with their mentee. Keep in touch and follow your mentee’s progress and support your mentee in applying to a graduate program.

Scientific Research Poster Presentation At the end of the program, each intern will present a scientific research poster. As a mentor, you will help your intern to create a poster and a narrative to present their research. Please save time on your calendar to attend the presentation scheduled for Friday, August 9, 2013

Shadowing Interns in the Medicine Track are required to complete a clinical observation once a week for a minimum 4 hours with an assigned school of medicine faculty member. Interns are required to complete their shadowing experience between the dates of June 17-August 9. *Students are required to work out a feasible schedule with clinical and research mentors.

Background of the Equity Program:

In the spring/summer of 2003, due to growing concerns about the lack of diversity in their graduate student population and applicant pool, a group of training grant directors, with the support the Dean, met to review the SOM Graduate Program and make recommendations about ways to increase diversity. From this emerged a Strategic Planning Committee, which recommended developing a summer undergraduate program that recruited disadvantaged undergraduate students both locally and nationally. Although OHSU laboratories had supported research internships for many minority undergraduates in the past, these opportunities were not well advertised or coordinated with the specific goal of increasing recruitment to the graduate program. Thus, beginning in summer 2005, Graduate Studies implemented a new summer research internship program in collaboration with several existing summer undergraduate research programs at OHSU. Funding for stipends and other expenses was provided by the Dean's Office, Biochemistry/MD-PhD program and the Portland Alcohol Research Center (PARC). The SOM offices for Diversity Affairs and Graduate Studies provided staff support. Upon the restructuring of the SOM Diversity office, the program coordination was transferred from the SOM to the Center for Diversity & Inclusion (CDI) in 2009.

In 2010, the Methamphetamine Abuse Research Center (MARC) joined PARC as a sponsor of summer stipends for Equity interns. That same year, CDI introduced the Medicine track and continued with dentistry in 2011 and Nursing in 2013. Selection Process: The Summer Equity Research Program is targeted to talented students who have experienced significant economic or social disadvantage. Selection is based on grade point average, course work, articulated goals, letters of recommendations and previous lab work. The selection of the applicants is also based on the student’s ability to have a meaningful research experience and likelihood to continue a career in health and sciences. Advising & Presentations: Equity students are provided with educational advising and resources that support the individual’s academic endeavors. In addition, preparatory lectures and advising appointments have been incorporated in the summer program for additional career guidance. The Equity students participate in Murdock Seminars and presentations that highlight the pathways and opportunities in the PhD, DMD, MD, MD/PhD, BSRN and MD/MPH programs. Other presentations related to medicine, health, science, careers and community outreach are incorporated in the program. CDI maintains a file for each participating student, noting his/her progress during the summer and upcoming academic year. Advising sessions are available throughout the year to ensure students are cognizant of the prerequisites required in their selected field. Students are required to contact the Equity Coordinator yearly at the end of winter term/semester to report academic goals and progress.
