Check mobile phone for notification of teachers on medical/urgent leave. 2. Update the whiteboard in the General Office stating the reason of absence/duration. 3. Arrange for relief using the School Cockpit Timetabling System (SCTS) based on the criteria detailed in SECTION 3 and considerations such as students with special needs /behavioural concerns. 4. Print double set of relief plans, one to be filed and the other to be given to external Relief Teacher. 5. The Relief Teacher Kit should also be given to the External Relief Teacher. 6. HR officer to record the number of relief periods done by the teachers for the week onto the SCTS and file the daily relief timetable accordingly and update the REMS file. SECTION 3: CRITERIA FOR RELIEF PLANNING 1 st GROUP: SAPS Staff Avoid giving relief to the following: Teachers who have just returned from medical leave. Teachers who are unwell but have nonetheless reported to work. Teachers with 8 or more teaching periods for the day [including Assembly periods]. Teachers who are in the advanced stage of pregnancy or have other pregnancy-related concerns [Teachers in this category must be APPROVED by Principal] Important Note P3 Swimming Progamme Backup Relief: Mr Kok Boon Siang Parallel trs/ AEDs may be pulled out for relief duties if the need arises

2nd GROUP: NIE STUDENT TEACHERS/COOPERATING TEACHERS Allocate up to a maximum of 2 periods per day Cooperating Teachers with student teachers attached to them can be asked to do relief but only

using their original free periods. [The teaching periods based on the timetable should not be used for relief as the slots may be needed for lesson observation and/or pull-out lessons]

NIE student teachers and cooperating teachers have to draw up a timetable fixing time slots for mentoring/coaching and submit to School Mentoring Coordinator/Relief Planning Team.

School Mentoring Coordinator will inform Relief Planning Team the supervision schedule by NIE supervisors when the information is available.

3rd GROUP: EXTERNAL RELIEF TEACHERS Approval is based on: 3 or more teachers are on leave on the same day Long period of absence – 3 or more days MT teachers

Note: External Relief Teachers are to hand over the assigned work / Relief Teacher Kit to HR officer to

check before they leave the school. External Relief Teachers employed on an ad-hoc basis are not required to do any marking. Long Term Relief Teachers employed more than 1 day to cover teachers on longer period of

absence will be required to complete the marking before they leave.

SECTION 4i: STANDARD OPERATING PROCEDURES [FOR ABSENTEE TEACHERS on Medical Leave] 1. Send SMS according to the notification requirement stated in Section A. 2. Please state the following:

a. Reason for absence b. CCA/Supervision duties (if applicable) that need to be covered c. Remedial/Supplementary (if applicable) to be cancelled.

i. External Relief Teacher/Buddy Teacher must ensure that the students are informed and information written in the school diary.

d. Class assignment (indicate if buddy teacher has been informed of the assignment to be given to the students)

Important Note

All teachers must prepare additional worksheets in class and leave instructions with the class monitor/ buddy teacher

SECTION 4ii: STANDARD OPERATING PROCEDURES [FOR ABSENTEE TEACHERS on Training/Official Matters/Competitions/Time Off] 1. Teachers who are going away for training/official matters/competitions/Time Off must indicate

the date/day/time/reason which officer requires relief on the whiteboard in the General Office 3 days in advance. These details must also be reflected in the school calendar. Teachers have to email details to Admin Staff [Fadhillah/Marilyn cc VP2]

2. Inform buddy teacher on assignment to be given to the class/classes 3. Buddy teachers will assign work to students as per instruction or to give instructions to the

internal/external relief teachers.

SECTION 5: RELIEF SLIPS DISTRIBUTION 1. ALL teachers must report their attendance by tapping on the staff attendance system in the

General Office by the stipulated reporting time. 2. AM Relief Planning Team will issue the relief slips to teachers when AM teachers by 7.30am. 3. PM Relief Planning Team will issue the relief slips to teachers by placing them in the teachers’ in-
