VISITORSAll visitors, including parents, must sign in at the front office and wear a visitor’s badge at all times while on school grounds. This policy helps our staff monitor all adults, which is necessary for the safety of our students. Parents who want to meet with teachers must make appointments at least 24 hours in advance.

LOST AND FOUNDThe school is not responsible for stolen property. All stolen items should be reported to the front office. During the school year, the lost and found is located in the cafeteria. Items that have not been claimed are donated to a charitable organization periodically throughout the year. Valuable items that have been found are stored in the front office until the owner claims them. Please ask your student to check the lost and found immediately if an item is lost. Labeling items with your student’s name is highly suggested.

POSTERS AND FLIERSStudents wishing to display posters or pass out fliers on campus must obtain prior permission from the Head of School. Approved posters and fliers may only be displayed on the cafeteria bulletin board and not on painted surfaces, glass, brick, or restrooms.

BASIS Flagstaff students may access the building as early as 7:15 a.m. by using the front entrance. Students are NOT allowed on campus prior to 7:15 a.m. BASIS Flagstaff is not responsible for supervising students prior to 7:15 a.m., nor is BASIS Flagstaff responsible for any consequence resulting from early arrival.

STUDENT DROP OFF• Students with an AM Elective will enter the school through the front lobby in the

morning.

• Students in grades 3 and 4 will enter the school through the front lobby in the morning.

• Students who do not have an AM elective and who arrive to school prior to 8:15 a.m. will enter though the courtyard.

EARLY BIRD PROGRAMAll students who arrive at school between 7:15 a.m. and 8:20 a.m. will be placed in the Early Bird Program. The students attending Early Bird are supervised in the school cafeteria. Students are required to follow all school disciplinary rules during this time. The school reserves the right to exclude students from the Early Bird Program for disruptive behavior or other misconduct. Students are not allowed to leave the designated area without permission from the Early Bird monitor. At 8:15 a.m. the students in Early Bird will be dismissed to their lockers and/or their first class that begins at 8:25 a.m. Upper school students with an AM Elective (0-hour) are permitted to go to their lockers and then immediately to class. All 0-hour classes begin at 7:30 a.m. Students who are attending a teacher's posted AM tutoring session may go directly to the classroom. Students in grades 5–12 will work on homework or study with their peers quietly in the cafeteria. Students may also have a morning recess if weather permits. During a snow delay, Early Bird starts at 9:15 a.m. There is NO FEE for the Early Bird Program. Wandering or loitering in the halls is NOT permitted at any time. There is NO LOCKER ACCESS between 7:30 and 8:15 a.m.

LATE ARRIVALSStudents are recommended to arrive no fewer than 10 minutes before the start of school to allow for time to visit their lockers before class begins. Students who arrive late must be signed in by a parent/guardian on the Late Arrival/Early Pick-Up Log to be considered an excused tardy. Students who arrive late without a parent/guardian are considered unexcused and are sent to the Dean. Unexcused tardiness may be considered a Disciplinary Violation. Parents/guardians may NOT call the Front Office in place of signing in their student to be considered excused. To minimize disruptions, students who arrive late to school may not be allowed to go to class until the next passing period following their arrival.

Absences must be verified by a parent by phone, email, or in person within 24 hours or that absence will be counted as unexcused.

Parents/guardians are expected to arrive no fewer than five minutes AFTER the dismissal time. Parents who arrive early are required to park in a parking space or will be asked to drive around until dismissal. Students who are not picked up by 4:00 p.m. will be directed to wait in a supervised area in the school and enrolled in the Late Bird Program (fee applies). Students who will be walking or riding their bicycles after dismissal must have a Permission to Walk Off Campus Form on file in the Front Office. Students in grades 3 through 7 are required to sign out at the Front Office each day, logging the time of departure and destination. To minimize confusion, please determine a student pick-up time, place, and driver prior to the beginning of each school day, taking into account possible student/teacher hours and extracurricular activities.

Students in 3rd and 4th grade will be dismissed at 3:20 p.m. Please refer to the map in the next section for pick-up locations. Late Bird will be available starting at 3:20 p.m. (fees will not apply until after 4:00 p.m.). An older sibling with a later dismissal time will need to sign out their younger sibling from 3rd/4th grade Late Bird. Please make sure to include his/her name as an “Authorized Pick-Up” on the Late Bird Registration Form. All students must be picked up by 5:30 p.m.

EARLY PICK-UPIf a student needs to be released during the school day, the presence of a parent/guardian listed on the Emergency Contact Form is required. To minimize/eliminate disruptions for fellow students and the teacher, students will not be called out of class. Parents/guardians must make arrangements to pick up their students during a passing period in between classes. Please refer to the school’s bell schedule and your student’s class schedule before making arrangements. If you cannot arrive during the passing period, your student may wait in the front lobby up to 15 minutes before being sent back to class to resume the class until the following passing period. Messages for students regarding before and after school arrangements can be delivered during their Academic Expansion (A.E.) class that occurs either before or after your student’s lunch. Please notify your student before the school day begins of any plans regarding schedule changes.

For everyone’s safety, please remember the following rules while in the BASIS Flagstaff parking lot:

• Avoid using cell phones in the parking lot.

• Do not move any parking lot markers or cones to alter the path in any way.

• Continue all the way forward in the loading zone PAST the front office when dropping off or picking up your student. Advance your car forward so long as it is safe and space is available.

• Delay arriving for afternoon pick up until AT LEAST FIVE MINUTES AFTER your child’s dismissal time. Arriving early causes congestion in the parking lot and minimizes efficiency.

• Parents picking up students in grades 8–12 who arrive early may be asked to move in order to accommodate the completion of grade 4 pick-up procedures.

• Please remain in your vehicle at all times. Avoid loading backpacks in the rear of the vehicle, as it takes longer to load and may lead to a safety hazard with your child between vehicles.

• The school retains the right to revoke a parent or student’s driving/parking privileges due to negligence or failure to follow any rules set out in this Guidebook.

• Please be courteous to the students exiting the building as well as your fellow drivers.

CARPOOLINGStudents who are carpooling must go to the pick-up location at the front of the school. To avoid confusion, please discuss your pick-up plan in advance with the students in your carpool.

Students are expected to remain on school grounds (including the outdoor area with locking gates) during the day and stay clear of the off-limits areas except with the permission of a staff or faculty member. The following areas are off-limits to students unless under the supervision of a teacher or with permission of a staff or faculty member:

• Gymnasium

• Theater

• Teachers’ Lounge

• Admin Offices

• Any classroom unattended by a faculty or staff member

CARE OF SCHOOL PROPERTYStudents are expected to respect the school property and treat all school property including restrooms, classrooms, furniture/equipment, walls, as well as all outdoor areas, with respect. Cleanliness and safety are our priorities. The multi-purpose room (MPR) must be kept clean, especially during lunch. Students are expected to pick up all trash and dispose of it after eating. Students must also wipe down their area after they finish eating lunch and get permission prior to going outside. Any spills/messes must be cleaned up by the student.

Student lockers and locks are rented on an annual basis for a fee. Students are responsible for keeping their locker combination secure. Sharing of locker combinations leads to lost/stolen disputes and will not be tolerated. The locker appearance and condition is the responsibility of the student. Lockers must be kept clean inside and out. Students are not allowed to store open food containers/wrappers or open drinks in their lockers. Please note that lockers are school property and are subject to inspection and searches at the discretion of school officials.

MOUNTAIN LINEMountain Line has expanded and added an additional bus stop in order to help BASIS students. Route 2 now stops on Gemini Drive in the mornings and afternoon. Please visit mountainline.az.gov for more information regarding schedules and passes.

MORE PARKING INFORMATIONThe Flagstaff Police Department and BASIS Flagstaff work together to create a safe arrival and dismissal environment for everyone on the BASIS Flagstaff campus. Thus, both the Flagstaff Police Department and BASIS Flagstaff STRONGLY discourage parents/guardians and carpools from using Gemini Drive or Pine Cliff Drive for picking up or dropping off students, as doing so compromises safety for all parties involved. We ask that you please use the parking spaces when you are entering the building. Parking, dropping off, or picking up students in front of the lobby doors is prohibited at all times. Rather, you must pull forward to the pick-up/drop-off area designated on the map provided in this Guidebook.

The Late Bird Program will begin the second day of school (August 10, 2017). Late Bird is available to all students Monday through Friday, 2:45 p.m. to 5:30 p.m. during regular school days, and on early release days until 3:30 p.m.

Late Bird is a voluntary, fee-based extension of the school day for all students. This program allows students to be in the school building while waiting for pick-up, waiting to meet with teachers, waiting for the start of an extracurricular activity, working on homework assignments, or studying for exams.

RULESStudents are required to follow all school disciplinary rules during the Late Bird Program and adhere to the Code of Conduct (see the BASIS Charter Schools Parent/Student Handbook). The school reserves the right to exclude students from the Late Bird Program for disruptive behavior or any other misconduct.

All students attending the Late Bird Program between 2:45 p.m. and 5:30 p.m. are required to sign in using the Sign-In/Sign-Out Log. Students are not permitted to leave campus and return to Late Bird for any reason. Students are not allowed to be in the halls during 8th hour or after school without a hall pass from the Late Bird Supervisor.

SNACKSIf your child is enrolled in Late Bird, please send him/her to school with snacks and a drink, keeping in mind that there is no refrigerator or microwave available.

WAITING FOR PICK-UPAll students in grades 3–7 must be signed out by a parent/guardian after 4:00 p.m. Students in grades 8–12 may sign themselves out if they have a signed Walk Off Campus Form on file in the Front Office. When being picked up from Late Bird, the student is released only to a parent/guardian other person designated on the student’s Late Bird Registration form (filled out at the beginning of the year). If the parent/guardian has not submitted a Late Bird Registration Form, the Late Bird Supervisor will only release students to people indicated on the student’s Emergency Contact Form located in the Front Office.

Please note that the police may be notified if you have not picked up your child by 5:45 p.m. Students are not allowed to wait in the building or parking lot area after student hours, extracurricular activities, peer tutoring sessions, or make-up exams for longer than 10 minutes. Students who are waiting longer than the prescribed time will be taken to Late Bird and charged a drop-in fee if not pre-registered.

SIBLINGS IN LATE BIRDFamilies who pay in advance will receive a 50% discount for each sibling enrolled in the Late Bird Program after the first student is paid in full.

FEE COLLECTIONSFollowing commitment to a payment plan, the family is responsible for abiding by that plan. Any outstanding debt at the time of the student’s withdrawal from the school will be recovered, by the school, from the student’s Term Project payment and/or security deposit.

REFUND POLICYLate Bird payments will not be refunded under any circumstance. Yearly or semester payments should be made at the beginning of the school year/semester; these payments will not be prorated.

BASIS Flagstaff offers a wealth of extracurricular activities, including athletics, music, theater, and a multitude of clubs. All extracurricular programs begin after the extracurricular fair on Saturday, August 19. A listing will be provided along with applicable fees after the first week of school.

Advisors arrange and coordinate these activities and post signs around campus. They are also highlighted in the BASIS Newsletter, website calendar and an extracurricular packet provided to students. Students who are interested in participating in the offered extracurricular activity must fill out the appropriate form (obtained from the extracurricular organizer) and pay any fees to Office 1.

THERE WILL BE NO REFUNDS OF EXTRACURRICULAR PARTICIPATION FEESTimely arrival to these activities is required. Late arrival may result in removal from the program. Students will be escorted to the parking lot by the extracurricular organizer where their parent/guardians must pick them up promptly. If a student is not picked up at the stated end time of the activity, he/she will be placed in the Late Bird Program and a fee will be accessed. No club may meet without a faculty member present, and all clubs must be approved by the Head of School. Faculty advisors must attend all club sponsored events.

BASIS Flagstaff will post school cancellations due to snow by 5:30 a.m. on its website and the school Facebook page, send out a Twitter notice, notify media outlets, and post on the school’s outgoing voicemail recording. Because BASIS Flagstaff does not provide bus service for students, and because our campus is smaller than most within FUSD, we will not necessarily follow FUSD snow cancellation policy. Make-up days for snow cancellations are built into the school calendar and will be used accordingly. Text “follow BASISFlagstaff” to 40404 to receive text Twitter alerts, and follow BASIS Flagstaff on Facebook for the most current information.

In the event of a Snow Storm Warning issued by the Coconino County Weather Service, school cancelation may be posted the night prior. Often, the Head of School may decide conditions exist for a delayed start to the school day. Lower and Upper school students must report to school by 10:25 a.m. on days when a delayed start is in effect. Please note that students with a 0 hour will need to report to class at 9:45 a.m. on delayed start days. School will dismiss at the usual time on delayed start days.

In cases of school emergencies or storms that worsen during the day, the Head of School may decide to dismiss school early. Early dismissals will be posted on the website and given to all media outlets. Supervision will be provided for students whose parents cannot immediately pick them up from school.

At BASIS Flagstaff we want to instill in our students an understanding and appreciation for organization. Because of this emphasis, and also because of space limitations in the classroom and hallways, backpacks will be allowed for use to and from school, but prohibited in the classroom. BASIS Flagstaff provides lockers for storage of books, academic materials, and personal items. This policy is to promote in the student organizational techniques and prevent clutter in the classroom, which can often be a distraction or hazard.

CELL PHONES & OTHER DEVICESBASIS Flagstaff provides students with access to a land line at the front office during school hours. Students may contact parents during a passing period if they have forgotten lunch; otherwise, they will be notified to use the land line during their lunch session. Calls for forgotten signatures are strongly discouraged and will be made from a School Director’s office.

All personal electronic devices must be turned off upon arrival and before entering the campus building. Early Bird students must keep personal electronic devices off and inside their backpack or purse until they are released to their lockers at 8:15 a.m. At this time ALL electronic devices must be kept off and stored inside their locker until after school. Personal electronic devices will be confiscated if they are stored outside of the locker during school hours.

Any confiscated device must be signed out by a parent/guardian in person at the front office. Repetitive confiscation occurrences may be followed by disciplinary actions. Any student with a device found using BASIS Flagstaff wireless networks without authorization from the Head of Schools and the IT department are subject to disciplinary actions in addition to the item(s) being confiscated.

Homework Buddy Packets will be provided to students who have an excused absence during the school day. Homework Buddy Packets will be emailed to the email address on file before 5 p.m. on the day of the absence. Any absences exceeding three consecutive school days require a scheduled meeting with the Director of Student Affairs (Alicia Vaughan) or Dean of Students (Evan Martin-Casler) to develop a recovery plan for getting caught up in classes.

Homework Buddies are not expected to make copies of class notes for an absent student. It is the student’s responsibility to obtain all class notes from either the teacher or another classmate. The front office will NOT photocopy class notes.

FOOD ON CAMPUSEach grade level has a designated lunch time which is held in the cafeteria. Lunch vending is organized through the Head of Operations. Celebratory snacks can be brought to your student at the front office for their lunch break only. Eating in classrooms is prohibited unless organized by the teacher and approved by the Head of School.

During Pre-Comprehensive and Comprehensive testing, hard candy and drinks in clear bottles are permitted. Student lunches must be stored in their locker. Students must provide their own silverware. There is no microwave or refrigerator available for students. Lost lunch boxes are brought to the front office and held there for the day until claimed. They are then put in the lost and found if unclaimed.

Lunches that are delivered by families must be arranged with the student prior to student’s arrival for the day. Students will then claim the lunch from the front office during their designated lunch time. We are not responsible for lost or unclaimed lunches or lunch boxes.

Only clubs affiliated with BASIS Flagstaff may fundraise on campus. All fundraising activities require prior approval by the Head of School and Head of Operations. Faculty club advisors must submit an event application form for approval. Packaged and store bought food (e.g., Girl Scout cookies) are allowed to be sold on campus. However, due to health codes, students may NOT sell homemade food.
