3LEAD ZEARN MATH: IMPLEMENTATION PLAYBOOK

Set up the team and materials PHASE 1

The first phase of implementation is about aligning the team on what Zearn Math will look like in your district and procuring the materials all schools will need. Below are the initial setup activities that lay the groundwork for a strong implementation:

Identify the team and align on responsibilities Every district implementing Zearn Math needs team members who are responsible for the following areas:

Leading district-wide implementation

Leading implementation for a specific school

Managing IT implementation

DC DISTRICT CHAMPION

This “District Champion” is responsible for ensuring that all schools in their district implement the curriculum and classroom model. This person is often designated by the Superintendent and is typically a district-wide math lead. District Champions have the following specific responsibilities:

Setup Ensuring all schools have at least 75 minutes of math each day

Ensuring the district has all necessary materials

Supporting schools in identifying School Champions

Setting the district-wide PD calendar

Identifying facilitators for Classroom Implementation PD

Supporting schools in identifying facilitators for Curriculum Study PD

Throughout the yearSupporting schools by visiting classrooms to identify areas of focus

Holding monthly meetings with each School Champion to discuss Zearn Admin Reports and focus areas

Sharing best practices and updates across the district

SC SCHOOL CHAMPION

This “School Champion” is responsible for ensuring all classrooms in their school implement the curriculum and classroom model. This person is often the Principal of the school, but can be a district math coach or a school-based math lead. School Champions have the following specific responsibilities:

SetupIdentifying facilitators for Curriculum Study PD

Ensuring all teachers complete Classroom Implementation PD

Throughout the yearSupporting teachers as they set up strong classroom systems and routines

Supporting teachers as they establish the classroom model

Using data from Zearn Admin Reports and classroom visits to design action plans for classrooms that need support

Sharing weekly progress with their schools

Ensuring all teachers complete ongoing Curriculum Study PD

IT IT LEAD

This “IT Lead” is responsible for the IT aspects of implementation. This person is often responsible for district’s or school’s Student Information System (SIS). IT Leads have the following specific responsibilities:

SetupSetting up district-wide rosters

Coordinating with Zearn School Account Support as needed

4LEAD ZEARN MATH: IMPLEMENTATION PLAYBOOK

PHASE 1: SET UP THE TEAM AND MATERIALS

Hold kick-off meeting with all administrators to orient to Zearn MathDistrict Champions should kick off implementation with a meeting that includes all school Principals, School Champions (if not the Principal), IT Leads, and all other key district and school-level administrators. The meeting has the following goals:

PROVIDE AN OVERVIEW OF ZEARN MATHThis meeting should provide an overview of the Zearn Math curriculum and classroom model, Zearn Professional Development, and Zearn Reports. The Zearn Partnerships Team can join this meeting to provide this orientation.

REINFORCE THE SHIFTS REQUIRED TO IMPLEMENT ZEARN MATH• All classrooms have at least 75 minutes of daily math instruction. To learn each component of the curriculum, G1–G5

classrooms need 15 minutes of Whole Group Word Problems and Fluencies and two 30-minute rotations for Independent Digital Lessons and Small Group Lessons. All classrooms should also have weekly Flex Time. In K, classrooms need at least 60 minutes of math each day.

• All teachers teach core daily lessons in small groups. Core daily lessons are taught both in Small Group Lessons and in Independent Digital Lessons to ensure that each child receives a mix of modalities and the right amount of support and feedback. This requires a shift from whole-group instruction of core lessons to a daily rotational model.

• All students consistently complete 4 Independent Digital Lessons and 4 Small Group Lessons every week. This pacing ensures that students stay on track to complete grade-level content over a 36-week academic year. Achieving this pace within the first Mission of each grade is critical. This requires strong upfront planning, professional development, and clear implementation plans.

• All students learn grade-level content in both Digital Lessons and Small Group Lessons. Independent Digital Lessons and Small Group Lessons are parallel experiences where students learn grade-level content with embedded remediation to fill gaps in prior knowledge. All students should start on Mission 1 Lesson 1 of their grade to ensure alignment between digital and small group learning.

District Champions should complete the following prior to this meeting:

Schedule a live demo with Zearn. Contact the Zearn Partnerships Team to provide an in-depth orientation to Zearn Math during the meeting.

Send prework. Prior to the meeting, all administrators should read the Zearn Math Teaching and Learning Approach.

PHASE 1: SET UP THE TEAM AND MATERIALS

Roster all accounts (including administrators, teachers, and students)All administrators, teachers, and students need Zearn accounts in order to access the Zearn curriculum. District Champions should ensure that all accounts are rostered and all schools know their login credentials. Note that district and school administrators and teachers must be rostered to access Zearn Professional Development. Zearn School Account Support provides two rostering options for setting up your accounts: syncing to an existing Clever integration or rostering via spreadsheet uploads.

District Champions should ensure IT Leads have a copy of the Zearn Technology Implementation Guide, which includes rostering requirements.

Kick off professional developmentPHASE 2

Now that the implementation plans are in place, District Champions and School Champions need to kick off training before students arrive so that all teachers are ready to implement Zearn Math in their classrooms.

Schedule the full-year professional development (PD) calendarImplementing Zearn Math requires up-front Classroom Implementation PD and year-long Curriculum Study PD. Districts may choose to hold these trainings district-wide or at the school level. District Champions should complete the following actions as they schedule the full-year calendar:

• Collaborate with School Champions to create the PD calendar for the district, including 1 three-hour session for Classroom Implementation PD before the school year starts and 40 one-hour sessions of Curriculum Study throughout the year. Missions vary in length, so Curriculum Study will happen at different times throughout the year in each grade.

• Communicate the calendar to all School Champions and key district and school administrators.

Zearn offers a Recommended Professional Development Calendar that District Champions can use to create and communicate the PD calendar. This calendar outlines the recommended timing of Classroom Implementation and Curriculum Study PD over the course of the year.

PHASE 2: KICK OFF PROFESSIONAL DEVELOPMENT

Designate facilitators for Classroom Implementation PD and Curriculum Study PD Depending on the PD calendar, districts and schools may choose to hold Classroom Implementation PD at a district or school level. With the calendar in mind, District Champions and School Champions should designate facilitators for Classroom Implementation PD and Curriculum Study PD. Because Curriculum Study PD often occurs with school-based grade-level teams, Zearn recommends that there be a facilitator at each school, and often, for each grade. The PD Facilitator Guide provide tips on choosing the facilitators for each PD.

Send an email that shares the dates for Classroom Implementation PD and the initial Curriculum Study PD based on the district calendar. In this email, provide instructions to access Zearn PD materials and complete facilitator pre-work.

Many District Champions also choose to send all teachers the Zearn Professional Development Overview Video to provide an orientation to the PD.

After designating facilitators, District Champions should communicate the below with all facilitators:

PHASE 2: KICK OFF PROFESSIONAL DEVELOPMENT

Confirm that all facilitators are prepared to deliver PDAfter communicating the logistics with all facilitators, District Champions should follow-up with facilitators on these points:

• Confirm all facilitators have reviewed the Facilitator Guide for each session

• Confirm all facilitators have access to PD session videos and have printed Participant Notes for each session

• Answer any questions that facilitators have prior to delivering PD

District Champions can contact Zearn School Account Support if facilitators need help accessing PD materials or have questions about PD.

Hold meeting with all facilitators and administrators to reflect on initial rollouts and share focus for next phase of implementationOnce facilitators have delivered Classroom Implementation PD and the first Curriculum Study PD for all grades according to the professional development calendar, District Champions or School Champions should hold a one-hour regroup meeting with all facilitators and all administrators. This meeting could include the following discussion topics:

• Reflect on Classroom Implementation PD and Curriculum Study PD. Ask facilitators to share any questions that came up during PD. Regrouping and reflecting as a team provides another opportunity to align on any questions about the curriculum and classroom model.

• Identify areas that need additional follow-up. Identify any areas that need specific PD follow-ups. Zearn recommends all teachers refresh on Classroom Implementation PD during weeks 2–4 as they set up classroom systems and routines. This is outlined in the Zearn Professional Development Calendar.

• Outline the focus for the first few weeks of school. Reinforce the importance of supporting classrooms in setting up strong systems and routines during the first few weeks.

PHASE 3

Start classrooms on the right footThe first weeks of school are critical for orienting students to Zearn Math and establishing systems and routines. District and School Champions should focus on ensuring that all students and teachers are logging into Zearn Math and using Zearn Math daily in their classrooms.

Confirm that all classrooms have materials and login credentials for Day 1 In the rush of back-to-school, District Champions and School Champions commonly check the following areas are setup for Day 1:

• Account credentials. Make sure all students and teachers have their account information. This is especially important if you are using Clever—your school will use Clever logins to access Zearn, and only Clever can provide these. Sometimes classrooms aren’t familiar with their Clever logins.

• Devices. Make sure devices are charged and headphones are ready for each student.

• Browsers. Ensure the IT team has updated all browsers. It is common to be using old browser versions, and Zearn requires browsers to be updated to the latest version to show all the digital manipulatives.

• Paper Materials. Ensure all classrooms are ready with the paper materials they need for Zearn Math. Make sure all Student Workbooks have been distributed to classrooms.

• Manipulatives. Check that every classroom has concrete manipulatives ready for Small Group Lessons.

If using Clever to access Zearn, District Champions should reinforce that teachers and students must use their Clever login credentials when they login to Zearn.

Any students who have previously used Zearn will have one opportunity (the first time that they sign in to their new Clever account) to merge their progress from an existing Zearn account. It is important that teachers orient students to this initial login process in order for progress to be saved. Zearn’s Help Center has a step-by-step overview of the Zearn and Clever student experience.

If not using Clever to access Zearn, District Champions should reinforce that all teachers need to provide students with their Class Code in order for students to join their class. This information can be found within all teacher accounts and on printable login cards. Zearn’s Help Center offers step-by-step overview of joining a class with Class Codes.

District Champions should send an email to all schools before Day 1 of school to ensure all teachers and students have credentials for Day 1:

Staff Experience: Zearn and Clever  Step 1: Select Zearn in Clever Application Staff should login to their Clever Portal and select the Zearn tile.

Step 2: Confirm your grade and email  On your first login, you’ll be prompted to enter your grade level, and verify your email.

12LEAD ZEARN MATH: IMPLEMENTATION PLAYBOOK

PHASE 3: START CLASSROOMS ON THE RIGHT FOOT

Support classrooms in orienting students to Zearn Math during Week 1During the first week of school, District and School Champions should be in classrooms as much as possible to help teachers orient students to Zearn Math. Look for the following activities in each classroom:

• Classrooms opening daily math time with Whole Group Fluency and Word Problems.

• Classrooms orienting students to the flow of a Digital Lesson by completing 2–3 Digital Lessons as a whole group before transitioning to completing Digital Lessons independently.

• Classrooms modeling completion of paper Student Notes and Exit Tickets.

• Teachers getting things wrong to show what it looks like to make a mistake in a Digital Lesson and to reinforce that mistakes are part of learning!

• Classrooms practicing logging in and logging out of Independent Digital lessons.

• Classrooms practicing the transition between Independent Digital Lessons and Small Group Lessons.

• Getting Started in Your Classroom Checklist

• Sample anchor charts orienting students to the flow of an Independent Digital Lesson

• For districts using the spreadsheet rostering option: Logging in to Zearn tutorial video

• For districts using Clever integration: Logging in to Zearn with Clever tutorial video

District and School Champions should share these resources with all teachers to support classrooms with Week 1:

Getting Started in Your Classroom ChecklistSetup a distinct space for Independent Digital Lessons With Zearn Math, students rotate between two 30-minute stations each day. Students need:

A COMPATIBLE DEVICE. Zearn can be accessed using an up-to-date browser on Chromebooks, computers, and iPads. The Help Center lists the Zearn Technology Requirements.

HEADPHONES. Students need headphones to hear the personalized instruction in each Independent Digital Lesson.

PAPER ZEARN STUDENT NOTES AND EXIT TICKETS. Students will be prompted to complete Student Notes during their Independent Digital Lessons and complete Exit Tickets at the end of their Independent Digital Lessons.

Establish classroom systems and routines Setting up strong systems and routines helps establish the Zearn Math rotational classroom model. The Help Center has anchor charts and ideas to support setting up:

Systems that help students efficiently transition between stations and keep track of materials for each station.

Systems that support completing–and correcting!–Student Notes while working through Independent Digital Lessons.

Systems that encourage students to build a growth mindset and persevere through challenge.

Systems for turning in Exit Tickets for teacher feedback after completing the daily lesson.

Systems for prompting participation and discussion during Teacher-Led Instruction.

Systems for tracking goals and celebrating student effort, both individually and as a class. Download the Brainly Weekly Lesson Tracker for a fun classroom goal tracker!

Share Zearn Math with parents Zearn offers resources to help explain Zearn Math to parents:

Send home the Zearn Parent Letters or host a parent orientation or back to school night with the Zearn Parent Presentation.

Setup a distinct space for Small Group Lessons For the 30-minute Small Group Lesson station, students need:

PAPER OR INDIVIDUAL WHITEBOARD. Students need these materials to represent reasoning during Small Group Lessons. Zearn Student Notes offer additional space for students to solve problems during Small Group Lessons.

CONCRETE MANIPULATIVES. The Help Center has a list of concrete manipulatives needed for Small Group Lessons.

PAPER ZEARN STUDENT NOTES AND EXIT TICKETS. Small Group instruction time can be used to provide feedback.

Plan your weekly math schedule Structure weekly math time so students complete all grade-level content. Download the Zearn Recommended Schedule:

Whole group time for fluency and word problems each day (Minimum 15 minutes daily).

Time for each student to complete 4 Independent Digital Lessons every week (Minimum 30 minutes daily).

Time for each student to complete 4 Small Group Lessons every week (Minimum 30 minutes daily).

Weekly flex time to focus on student needs and address alerts from Zearn Reports.

Create your Week 1 plan The first week with Zearn Math sets up students to be successful independent learners. Zearn recommends that teachers:

Complete 2–3 Independent Digital Lessons as a whole class to orient to the flow of an Independent Digital Lesson.

Model completing paper Student Notes and correcting them when prompted in the Guided Practice section.

Discuss strategies for persevering through challenges, including using Student Notes, Guided Practice, and Boosts.

Practice rotating between the Small Group Lesson station and Independent Digital Lesson station.

Support classrooms in setting up Zearn Math systems and routinesAs classrooms orient students, District and School Champions should support classrooms in setting up strong systems and routines as they begin to implement the curriculum and classroom model. Visit classrooms and support teachers as they establish the following systems and routines:

• Helping students transition between rotations

• Supporting completing—and correcting!—Student Notes

• Encouraging perseverance while working through challenge

• Collecting Exit Tickets for teacher feedback

• Prompting discussion and participation during Teacher-Led Instruction

• Tracking goals and celebrating student effort, both individually and as a class

13LEAD ZEARN MATH: IMPLEMENTATION PLAYBOOK

PHASE 3: START CLASSROOMS ON THE RIGHT FOOT

• Printable goal trackers for classrooms to track student progress

• Sample anchor charts to promote perseverance, prompt discussion, and track goals

• Ideas for celebrating student progress

School Champions should share the following resources with teachers to support them in setting up Zearn Math systems and routines:

Hold meeting with all administrators to reflect on initial rollouts and share focus for next phase of implementationAfter the first weeks of school, District Champions check in with all administrators to regroup on the following topics:

• Reflect on initial rollouts. Share what is going well across each school and where classrooms need extra support. It is also helpful to share successful system ideas across schools.

• Confirm that there are no issues logging in. Make sure that all administrators, teachers, and students can log in to Zearn. If there are any issues, address them in the first few weeks.

• Outline the focus for the next phase of implementation. The focus of the next few weeks is establishing the classroom model in all classrooms. Administrators will be using Admin Reports and visiting classrooms to ensure every student learns with Whole Group Word Problems and Fluencies, Small Group Lessons, and Independent Digital Lessons each day.

• Zearn Recommended Schedule (G1-G5)

• Zearn Recommended Schedule (K)

District Champions should send follow up communications with all administrators to reinforce the importance of establishing the classroom model and share two resources to help prepare for the next phase of implementation:

Core Days MON - THU

Whole Group Fluency & Word Problems

TWO STATIONS On Core Days, students split into two groups and rotate between two stations to learn new content. Instruction focuses on the big ideas of

math, so students can start in either rotation.

Flexible Stations Independent Digital Lessons

Small Group Lessons

Each student completes four Independent Digital Lessons weekly; students work through fluency, concept development, and independent practice at their own pace with precise and supportive digital feedback.

When prompted in each Independent Digital Lesson, students complete and correct their Paper Student Notes.

After each Independent Digital Lesson, students complete Paper Exit Ticket independently.

Teachers teach four Small Group Lessons weekly; students work with concrete manipulatives, represent their math on individual whiteboards, and explain their reasoning to their teacher and peers.

Teachers use the Progress Report to annotate each Small Group Lesson for the specific needs of each student.

Teachers provide feedback on Paper Student Notes and Paper Exit Tickets, found in the Zearn Workbooks.

INDEPENDENT DIGITAL LESSONS Teachers use the Pace Report to identify groups of students that have not met their weekly goals; these students work on Independent Digital Lessons.

MINI LESSONS Teachers use the Tower Alerts Report to pull groups of students that need mini- lessons on specific content.

14LEAD ZEARN MATH: IMPLEMENTATION PLAYBOOK

PHASE 4

Once students are oriented to Zearn Math and classroom systems are in place, District and School Champions should focus on ensuring that every classroom spends at least 120 minutes in Independent Digital Lessons and at least 120 minutes in Small Group Lessons each week. Establishing the classroom model is critical to implementing Zearn Math and making sure all students have the opportunity to deeply learn grade-level content through a mix of modalities. During this phase, District and School Champions should focus on looking for implementation indicators by analyzing Zearn Admin Reports and visiting classrooms, then creating and executing action plans for classrooms that need extra support.

Support administrators in learning to use Admin ReportsZearn Admin Reports provide insight into how the classroom model is being implemented, how students are progressing through grade-level content, and where students are struggling and need extra support. District and School Champions should ensure all administrators are trained on how to access and interpret Admin Reports. Specifically, Admin Reports provide the following insights:

• How classrooms are implementing the classroom model. All students need at least 120 minutes of Small Group Lessons and at least 120 minutes of Digital Lessons every week.

• Which classrooms are on-track to complete grade-level content. To complete all grade-level content, students need to complete 4 Independent Digital Lessons and 4 Small Group Lessons every week.

Establish classroom model in all classrooms

District Champions should share a video tutorial on Zearn Admin Reports with all administrators.

15LEAD ZEARN MATH: IMPLEMENTATION PLAYBOOK

PHASE 4: ESTABLISH CLASSROOM MODEL IN ALL CLASSROOMS

Share classroom walk-through guide with administrators Classroom walk-through visits are an important source of information to provide insight into classroom implementation, and specifically, how classrooms are using their time. District Champions should share a walk-through guide with all administrators that outlines what to look for during these visits. Zearn offers a Classroom Walk-Through Guide to use during these visits with key “look for” items for strong classroom model implementation.

District Champions should share the Classroom Walk-through Guide (Kindergarten) and the Classroom Walk-through Guide ( G1-G5) with all administrators.

Observe Whole Group Fluency and Word Problems Students should spend about 15 minutes problem solving and building number sense as a whole class. Look for:

Teachers leading one fluency activity to practice previously learned content.

Teachers facilitating one word problem and students solving using a variety of approaches.

Students working on whiteboards to show their thinking and share with their teacher and peers.

Teachers ensuring fluency and word problem activities do not exceed 15 minutes so that students have enough time to learn the core lesson in the two rotations.

Classroom Walk-through Guide

Observe Independent Digital Lesson rotation Students should spend at least 30 minutes learning core grade-level content in Independent Digital Lessons each day. Look for:

Students wearing headphones to hear thepersonalized instruction.

Students completing Digital Lessons independently, not as a whole group or in pairs.

Students persevering independently and rarely raising hands (teachers do not float during this time).

Students completing and correcting Zearn Student Notes. Scan a few Zearn Workbooks to check completion.

Students completing paper Exit Tickets afterthe Digital Lesson.

Observe Small Group Lesson rotation Students should spend at least 30 minutes learning core grade-level content in Small Group Lessons each day. Look for:

Students using concrete manipulatives to modeltheir math reasoning.

Students explaining math reasoning aloud totheir teacher and peers.

Students drawing on paper or whiteboards torepresent their math reasoning.

Students receiving direct feedback throughoutthe lesson from their teacher and peers.

Teachers using annotated Small Group Lessons todesign the daily lesson with each group.

Before visiting classrooms Before visiting each classroom, look at the School Goals Admin Report for an overview for classroom implementation. Zearn recommends focusing on the following three implementation indicators until they are consistently strong:

% ACTIVE STUDENTS. This provides insight into whether all students are regularly logging in to complete Independent Digital Lessons. Look for 100% of students actively logging in.

AVG MINUTES PER WEEK. Once routines are in place, classrooms should average at least 120 minutes completing Digital Lessons every week in order to stay on track to complete grade-level content.

LAST TEACHER SIGN IN. This provides a glimpse into how often teachers are viewing Teacher Reports, which should be checked at least twice a week to inform Small Group Instruction and design Flex Day rotations and mini-lessons.

Observe classroom systems and routines These help establish the Zearn Math rotational classroom model. Look for:

Systems that help students efficiently transition between stations and keep track of materials for each station.

Systems that support completing–and correcting!–Student Notes while working through Independent Digital Lessons.

Systems that encourage students to build a growth mindset and persevere through challenge.

Systems for turning in Exit Tickets for teacher feedback after completing the daily lesson.

Systems for prompting participation and discussion during Teacher-Led Instruction.

Systems for tracking goals and celebrating student effort, both individually and as a class.

If the visit is on Flex Day Look for students working on Digital Lessons to meet their weekly goal. If students have met their goal, look for them working on Digital Bonuses, non-digital enrichment opportunities, or math games. Look for teachers pulling groups of students for targeted mini-lessons. This often occurs in small, targeted groups of students for a short mini-lesson focused on a specific area students struggled with, as shown by Tower Alerts Report or Exit Ticket data. Flex Days are also the time for teachers to deliver mid-Mission and end-of-Mission assessments. Look for students completing assessments independently. These assessments can be tailored to ensure they do not take longer than 30 minutes of a class period on Flex Day.

Check Admin Reports to provide insight into classroom implementationBefore classroom walk-through visits, District Champions and School Champions should review with the School Goals Admin Report for each school for an overview of classroom implementation. Zearn highly recommends that administrators focus on the following three implementation indicators until they are consistently strong:

DAILY STUDENT LOGINSThis provides insight into whether the entire class is regularly logging in to complete Digital Lessons. To find this information, log in to your Zearn Admin Account, navigate to the School Goals Admin Report, and check the percentage of active students. If fewer than 90% of students are actively logging in, a few things could be going on, which administrators should look for in classroom visits:

Are classrooms projecting the Digital Lessons to the whole class rather than having students independently complete the Digital Lesson?

Students need to learn content in both Independent Digital Lessons and Small Group Lessons to ensure every student gets a mix of modalities, personalized feedback, and support when they need it.

Are classrooms using Digital Lessons only for intervention or enrichment, so only some students are learning with Digital Lessons?

Zearn Math is designed for core instruction and is built so all students can access grade-level content with embedded remediation and enrichment.

Are students logging into the correct account? Classrooms could be logging in to previously used Individual Accounts, especially if using Clever, instead of their School Accounts.

16LEAD ZEARN MATH: IMPLEMENTATION PLAYBOOK

PHASE 4: ESTABLISH CLASSROOM MODEL IN ALL CLASSROOMS

How are teachers accessing and using their Teacher Reports every week?

Teachers should check their Teacher Reports at least twice a week to check on student progress and productivity in their Digital Lessons.

Are teachers logging in using their School Account? If using Clever, teachers must use their Clever login credentials for their data to be reflected in Admin Reports.

WEEKLY TEACHER LOGINSThis provides a glimpse into how often teachers are viewing Teacher Reports, which should be checked at least twice a week. Log in to your Zearn Admin Account, navigate to the School Goals Admin Report, and check for last teacher sign in. If teachers have more than one week since signing in, a few things could be going on, which administrators should look for in classroom visits:

Are classrooms teaching the core lesson as a whole group rather than in small groups?

Students should learn the core lesson in Small Groups each day and complete the Independent Digital Lesson each day.

Are Whole Group Fluency and Word Problems taking too long so the two rotations don’t have 30 minutes each?

The recommended timing (10-15 minutes) is critical to ensuring students have enough time to learn with each component of the curriculum.

Do classrooms have four Core Days each week where students have 30 minutes for Digital Lessons?

Classrooms may be implementing two rotations on some days, but not all four Core Days. Four Core Days with two 30-minute stations is critical to ensuring students learn with each component of the curriculum.

Are there additional rotations beyond Small Group Lessons and Independent Digital Lessons?

With the whole group time and two rotations, students get a thoughtful balance of modalities and support. Additional rotations on Core Days can cause students to fall behind in the curriculum.

Are log in and transition routines taking too long? Classrooms may be losing critical time rotating between Independent Digital Lessons and Small Group Lessons each day.

AT LEAST 120 MINUTES SPENT ON DIGITAL LESSONS EVERY WEEKOnce routines are in place, classrooms should aim to average at least 120 minutes per week in Digital Lessons in order to stay on track to complete grade-level content. To find this information, log in to your Zearn Admin Account, navigate to the School Goals Admin Report, and check for Avg Minutes Per Week. If the classroom is averaging less than 120 minutes per week, check on these things during classroom visits:

PHASE 4: ESTABLISH CLASSROOM MODEL IN ALL CLASSROOMS

• Video tutorial on accessing Zearn Math Teacher Reports

• Video tutorial on Zearn Math curricular materials

• Video overview on the Zearn Math classroom model

• Recommended Schedule for weekly math instruction

Zearn offers several resources to support the creation of action plans:

Participate in classroom walk-through visits with administrators at each schoolWith the walk-though guide and questions from Admin Reports in hand, District and School Champions should participate in classroom walk-through visits, looking for indicators of strong implementation of the classroom model and identifying areas where classrooms need extra support. While District Champions may only be able to visit a few classes at each school, School Champions should visit every classroom at the school they oversee.

Hold meetings with administrators at each school to design action plans for classrooms that need extra supportAfter walk-throughs are complete for every classroom in a school, District Champions should schedule a one-hour meeting with each School Champion to create action plans for schools that need extra support in establishing the model. Action items could include the following:

• Schedule a refresh of Session 2 of Classroom Implementation PD for all teachers, which focuses on establishing the classroom model. Many teams revisit this content a month into school, once teachers have experienced the classroom model in action, to deepen understanding of the curricular materials and discuss instructional routines and systems.

• Share examples of exemplary classrooms and strategies teachers are using to establish the recommended classroom model. Consider scheduling a visit for teachers to observe exemplary classrooms where the recommended model is established.

• Ensure all teachers know how to access Teacher Reports and what to look for when they check reports each week. Share Zearn’s video tutorial on accessing and using Zearn Teacher Reports. Zearn offers an overview video and specific videos on each Report.

• Ask School Champions to increase the number of walk-through visits for a few weeks until all classrooms have the recommended schedule established.

18LEAD ZEARN MATH: IMPLEMENTATION PLAYBOOK

PHASE 5

Once the classroom model is in place—and all classrooms are consistently logging in and completing at least 120 minutes of Digital Lessons and Small Group Lessons every week—it is time to shift focus to the productivity of that time. This needs to happen as early as possible because the Zearn Math Curriculum Map (the Pacing Map) accounts for 36 weeks of instruction. To stay on track to complete all grade-level content, students need to complete 4 Independent Digital Lessons and 4 Small Group Lessons every week during their 120-minute rotations. District and School Champions should focus on building systems with their teams to help all schools and classrooms reach these goals.

Hold monthly meetings with administrators at each school to discuss Zearn Admin Reports, design action plans, compare progress to pacing calendar, and check in on Zearn Curriculum Study PD District Champions should hold monthly meetings with every School Champion to discuss the implementation at each school and support School Champions in identifying focus areas. This monthly meeting has the following goals:

DESIGN AN ACTION PLAN FOR ALL CLASSROOMS, PRIORITIZED BY THE SCHOOL CHAMPIONBefore this meeting, all School Champions should review their school’s School Goals Report to check-in on the percentage of students completing 4 Independent Digital Lessons for the last four weeks. School Champions should identify a set of classrooms that need support to reach their lesson completion goals, and prioritize these classrooms for discussion. The following discussion topics can help District and School Champions identify action plans to support classrooms with consistently completing 4 Independent Digital Lessons each week:

• Implementation of Classroom Model. Are all students reaching the 120-minute minimum for both Small Group and Digital Lessons? Without meeting this threshold, students will not have enough time to complete grade-level content. Classroom visits can help support implementation of the model.

• Motivation systems. Do all classrooms have motivation systems in place? Students may struggle to stay motivated through challenge or through each component of the Digital Lesson. School Champions should discuss motivation systems at the individual and classroom level when meeting with teachers.

• Strategies to support struggling students. Are there some students who need extra support to complete the Tower of Power? The School Goals Report shows the average number of Tower Alerts per Lesson. Keep in mind that there is no “right” number of Tower Alerts. For example, a high number could mean lots of mistakes are being made, but lots of learning is happening from those mistakes as students independently learn from the remediation. Alternatively, students could be stuck in a Digital Lesson, repeatedly struggling, and need additional differentiation beyond the embedded remediation in the curriculum and classroom model. School Champions should look for outliers to discuss with teachers in monthly meetings.

• Flex Time Routine. What systems are in place for weekly Flex Time or additional time outside of core math time? Because each Digital Lesson has embedded remediation, some students may need longer than 120 minutes to complete four grade-level Digital Lessons each week. District and School Champions can creatively find more time for struggling students to work on grade-level weekly Digital Lessons to avoid more struggles in the future and students falling further behind. School Champions should also ensure that all teachers are checking reports twice each week.

Build systems to ensure all students complete grade-level content

19LEAD ZEARN MATH: IMPLEMENTATION PLAYBOOK

PHASE 5: BUILD SYSTEMS TO ENSURE ALL STUDENTS COMPLETE GRADE-LEVEL CONTENT

COMPARE PROGRESS OF EACH GRADE TO THE PACING CALENDARDistrict and School Champions should check the Completion Tracking Admin Report and review the percentage of students completing each Mission of their grade. Throughout the year, look for 100% of students completing Missions of their grade and classrooms remaining aligned with the yearlong pacing calendar. The following discussion topics can help District and School Champions identify action plans to support classrooms with staying on pace:

• Instructional approach in small groups. Are students learning the core daily lesson in both Independent Digital Lessons and Small Group Lessons? Small Group Instruction for each lesson ensures each student deeply learns each grade-level lesson. Ensure that all classrooms are using Zearn Small Group Lessons to teach a 30-minute daily lesson.

• Unplanned skipping for certain students. Zearn Math is designed so that teachers can set students to any Topic of the curriculum based on student needs. Are struggling students being skipped ahead to keep pace? While this ensures that students are learning the same mission-level content in Digital Lessons and Small Group Instruction, it widens gaps for struggling students.

• Unplanned intervention for certain students. Students can navigate to any previous Topic in the Zearn Math curriculum. Are students completing 4 grade-level Digital Lessons each week? Classroom systems such as collecting Exit Tickets and checking Student Notes can ensure students are completing grade-level digital content.

• Unplanned skipping for the entire class. Is the entire class skipping ahead to focus on certain Missions out of sequence? The curriculum scope and sequence focuses deeply on a few interconnected math concepts that build throughout the Missions of each grade. Completing Missions in sequence ensures students are building foundational knowledge needed to learn future content.

CHECK-IN ON ONGOING ZEARN CURRICULUM STUDY PDOngoing Zearn Curriculum Study PD is critical to help teachers plan daily whole group and small group math instruction across a range of learning needs. District Champions should ensure all School Champions visit grade-level meetings according to the PD Calendar to ensure that all Missions of Zearn Curriculum Study PD are completed.

• Ideas for classroom motivation systems

• Video tutorial on accessing Zearn Math Teacher Reports

• Video tutorial on using Tower Alerts report

• Information on teaching Small Groups Lessons

• Overview of Zearn Assessments

• Curriculum Map with yearlong pacing calendar

After this meeting, School Champions should follow-up with teachers to support them in implementing action plans and sharing the resources outlined previously in this Playbook, including:

20LEAD ZEARN MATH: IMPLEMENTATION PLAYBOOK

PHASE 5: BUILD SYSTEMS TO ENSURE ALL STUDENTS COMPLETE GRADE-LEVEL CONTENT

Support administrators with reviewing Admin Reports weekly and sharing weekly progress with their schools Ongoing review of implementation progress is critical to maintaining momentum and identifying areas of focus. District Champions should support School Champions with regular review of Admin Reports, even outside of monthly meetings. District Champions should support School Champions with reviewing Admin Reports weekly to check on the following:

• The % of of students completing 4 Independent Digital Lessons each week for each grade

• The classrooms with 100% student logins

• The classrooms meeting 120+ in Independent Digital Lessons each week

District Champions can support School Champions sharing weekly progress in the following ways:

• Request that School Champions send an email on weekly progress to all teachers in their school and copy the District Champion on the email.

• Suggest School Champions meet weekly with teachers to review classroom reports and identify strategies to support students in reaching lesson completion goals.

• Help School Champions plan school-wide celebrations to recognize classrooms meeting their goals.

Information on using the School Goals Report

Ideas for celebrating school goals and motivating students

District Champions should ensure all School Champions have the below information:

21LEAD ZEARN MATH: IMPLEMENTATION PLAYBOOK

PHASE 5: BUILD SYSTEMS TO ENSURE ALL STUDENTS COMPLETE GRADE-LEVEL CONTENT

Continue to participate in classroom walk-through visits with administrators at each schoolIn conjunction with routine meetings to discuss data from Admin and Teacher Reports, District and School Champions should participate in regular classroom walk-through visits to look for the following practices:

• Ensure classrooms continue to implement the classroom model with fidelity and are learning in a daily rotational model.

• Ensure classrooms continue to use strong systems and routines for providing feedback on Student Notes and Exit Tickets, motivating students, celebrating progress, and encouraging perseverance.

• Ensure students are learning a Small Group Lesson each day. Teachers can use pacing recommendations in the Small Group Lessons and Curriculum Study PD to prioritize content.

• Ensure teachers are using Teacher Reports and monitoring Tower Alerts to inform Flex Time planning

Share best practices and ongoing Zearn Math updates with all administrators across the districtThroughout regular district-wide meetings and communications, District and School Champions should share best practices and ongoing Zearn Math updates with all administrators. Information for these communications could come from the weekly progress emails that School Champions share with their schools. District Champion communications could include the following ideas:

• Send regular update emails to all administrators and teachers that provide key focus areas, reminders of PD calendar events, and highlight the schools and classrooms with 100% of students meeting their weekly 4 Digital Lesson goals.

• After classroom visits, send an email with reflections to all administrators with ideas from exemplary classrooms and areas for continued focus.

• Send an email that shares examples of school-wide celebration events. Schedule time for teachers to visit exemplary classrooms from other schools. Cross-district classroom visits can help spark ideas.

• Host teacher roundtables with a mix of all grades, or schedule during grade-level time. Use this time to share strategies that are working in classrooms by highlighting a teacher, hosting a teacher panel, or using the Classroom Implementation PD Facilitator Guide “Beyond the PD” questions for an open discussion.

• Host a district parent math night or share progress with parents by sending home parent letters or Mission completion certificates.

District and School Champions can access Zearn Parent Letters and a parent-focused Zearn Math Presentation to support communicating to parents about Zearn Math.

I’m excited to share that our class is using Zearn Math this school year. Zearn Math is a top-rated math curriculum that personalizes learning for each student. With Zearn Math, your child will learn and practice math concepts in two ways – Small Group Instruction with me and Independent Digital Lessons. By learning in these two rotations everyday, every student in our classroom will deeply learn the big ideas of math for our grade.

• While working through Independent Digital Lessons, your child will learn and practice new concepts at his/her own pace. Independent Digital Lessons include fun warm-ups to build math foundations, interactive videos to learn new concepts, paper and pencil work to transfer learning, and lots of supportive, precise, and personalized feedback.

• During Small Group Instruction with me, each student discusses their reasoning aloud, works with concrete objects to demonstrate their thinking, and receives feedback on their understanding. Teaching in a smaller group allows me to do an even a better job meeting the specific needs of your child.

I encourage you to explore Zearn Math with your child to learn more. Use some of the discussion prompts below to build a dialogue that can continue all year!
