Welcome YOUR STUDENT QUICK GUIDE Congratulations on accepting your place here at Dumfries & Galloway College, we are honoured to welcome you. Due to the current ongoing Scottish Government advice we have a slightly different start to our year than we would normally, however please be assured our team is on board to help you begin your course remotely.

This Student Quick Guide will help familiarise you with all the essential information you need to have a successful year. Soon you will have access to your student account and our LearNet portal.

LearnNet is our college’s Student Intranet, which you access via a computer or mobile device. It can be used as a tool for learning, for finding information and for communication.

On it you will find vital information, quality policies and procedures relating to your course; course packs, library information, online databases and much more. Through LearnNet you can also access our library catalogue. Students can get on-line access from all networked computers at our campuses. It is also possible to log-on to LearnNet from home.

By involving employers, national and local bodies in the design and monitoring of the curriculum, we deliver programmes that reflect local and national employment needs.

The nationally recognised qualifications that employers expect, including Scottish Qualifications Authority (SQA) Certificates, Diplomas and Scottish Vocational Qualifications (SVQs), are the basis of most courses available to you. Also, for some courses and programmes, agreements have been negotiated which will enable you, as a successful student, to progress to later stages of degree courses after your time at college.

Teaching and learning programmes will be delivered by appropriately subject qualified, experienced, and trained staff using a range of teaching methods.

You will have the opportunity to participate in the decision making process of the college via the Students’ Association (DGSA) and course committees. This is an essential factor in the quality of learning and teaching at Dumfries and Galloway College. Students are also represented on the Board of Management and Quality and Curriculum Committee.

You will have access to a range of learning and other resources to provide you with the support you need to complete your course. This will include our Libraries, Learning Zones and Independent Learning Centres as well as the support of our Student Advisors and Student Services Team. You will also be able to obtain the independent and objective advice of Skills Development Scotland (SDS), by appointment at the college.

If you have additional support needs resulting from a specific learning difficulty, e.g. dyslexia, dyspraxia etc, or a medical condition or disability, then staff members from our guidance team are available to offer advice, support and help with identifying appropriate support strategies to enable you to participate to the best of your ability. Some strategies will include the option of trying out accessibility equipment. If you would like to find out about the types of accessibility equipment the college can offer you, why not have a browse in the Accessibility pages of our student LearnNet. The equipment is for the use of all students at both our campuses and also our outreach centres, but is held at Dumfries and Stranraer Campuses.

Throughout the year, external organisations will visit the college and provide useful advice and information on a variety of subjects e.g. CAB (Citizens Advice Bureau), YES (Youth Enquiry Service), BUNAC etc.If you would particularly like a specific organisation to attend, please contact a Student Advisor who will be more than happy to try and arrange a visit.

External Information Providers/ Visits

Sometimes you might need a little extra support to ensure you achieve your potential, this might be in every class or might be occasionally and the support can be received in different ways. You can work with the student advisors to find the method which suits you best. It may be extra software on your device, it could be from our educational support worker or it might be extra time in assessments or exams. It can be daunting asking for the help but we believe it will help you achieve your course, remember you can always change your mind.

STUDENT FUNDING PERSONAL TUTORS While at college you will have a personal tutor, this is normally one of your lecturers. Your personal tutor is here to support you along your college journey, you will meet your personal tutor online week beginning the 24th of August, you will receive a invite to join the Microsoft Teams meeting soon.

If you have any questions about your course, have concerns - it could be about your life outside college or just need a chat you can always get in touch with your personal tutor.

You should contact your personal tutor if you are going to be absent from college. If we don’t hear from you, you personal tutor or student advisor may get in contact with you.

THE LIBRARY

The library is currently closed to students at both campuses; however, you can contact Alison McAughtrie ([email protected]) to obtain e-books.

Our funding team will arrange student support payments to students studying on further education courses. This includes bursary, Education Maintenance Allowance (EMA), discretionary and childcare payments. You apply for your funding online and should already have received your activation email link. Higher Education (HE) discretionary and childcare payments are also administered by the funding team and accessed via your college online funding account.

Higher Education (HE) bursary payments are sent by Students Awards Agency Scotland (SAAS). These payments will be made direct to you. SAAS have taken the decision for universities and colleges that they will honour the original 2020/21 start dates given to them. This is in line with their commitment to ensure students do not face financial hardship as a result of COVID-19.

Where you have applied for a student loan, this will be paid separately, and the date will be confirmed by Students Loan Company. This may mean that SAAS payments and student loans are paid on two different days.

If they are unable to help resolve your issue they will pass you on to the appropriate member of staff to assist you.

LEARNING ZONES

Learning Zones 1, 2, 3 and 4 are situated on the first floor adjacent to reception area. This is a quiet study area so please do not use this as a through route to the library. Room 0057 is also a Learning Zone. There will always be a member of staff on duty in all Learning Zones to offer IT support and advice.

DUMFRIES CAMPUS At the Stranraer campus there is a multi-PC Flexible Access Centre, which allows you to use computers and learning materials on a drop-in / book-in basis. The centre staff are available to support you with using the computers, accessing learning resources and using the Internet for research. The staff are also trained in identifying customised learning courses to enable you to improve your IT and internet skills.

Group sessions are often held within the Flexible Access Centre and members of the public are encouraged to enrol on these IT courses which range from introductory levels in IT to the European Computer Driving Licence (ECDL) and ECDL Advanced.

STUDENT LOCKERS It is advisable that you invest in a personal locker during your time at college to store your personal effects securely.

Lockers at both campuses will be allocated on the following criteria (in this priority order):

• Full-time students that carry potentially harmful equipment for practical classes

• Full-time students who need to carry a change of clothing for practical classes

• Full-time students

• Other

Dumfries Locker keys are available from room 1007a and a £5 deposit* is required to be paid.

Stranraer £5 deposit* is required to be paid at reception, where you will be directed to collect your key.

Please do not share lockers as we are unable to open a locker if it has not been allocated to you.

*This deposit is returned when you hand back your locker key.

HEALTH & SAFETY

At the moment our campuses are still working remotely, attending the campus is by invitation only. If you do attend there are strict measures in place to protect both staff and students:

1. Only attend your college invitation if you are feeling fit and well. If you have COVID-19 symptoms, please refer to NHS guidance.

2. A one way system is in effect, there is clear signage for entering and exiting the building and a one way flow to move around the building.

3. Sanitising stations are at the main entrance to use on entering the campus. These are also throughout the building, please use frequently.

4. Wash your hands with soap and warm water regularly.5. Notify reception you are here, you may need to provide your

name, this is to support track and trace.6. Social distancing is in effect and you should remain 2m apart at

all times.7. Once you have finished at the college, please exit the college

promptly.8. If you develop any COVID-19 symptoms within 14 days of visiting

the college, please follow NHS guidance and contact the college immediately.

Should you require first aid treatment please advise the nearest member of staff or main reception. There are fully qualified First Aiders on call at each college campus. Contact main reception if necessary. Please report any injury immediately so that we may take action to prevent any recurrence. Inform us if you have an accident, no matter how minor the injury. Inform us if you witness or observe any safety related incident by reporting to main reception.

Smoking including the use of vapes or e-cigarettes is prohibited within college grounds and premises, except in designated areas.

We try to provide a secure environment, but would remind you that individuals are responsible for the safe keeping of personal belongings. Insurance conditions do not permit the college to accept liability for personal possessions.

Security

This is your college - please help us look after it! Your help in maintaining the quality of the buildings, furnishings and in keeping it as tidy as possible will be much appreciated by all your fellow students and members of staff.

Taking Care of Your College

Fire Alarm call points are located throughout all college sites. Make yourself aware of alternative routes to the fire exit nearest to where you are visiting, studying or working.

On Discovering a Fire:• Sound the alarm• Dial 999 to call the Fire Brigade• Leave the building immediately

via the nearest escape route and go directly to the assembly point.

On Hearing the Alarm:• Leave the building by the

nearest available exit - obey Fire Marshals

• Close doors behind you• Report to the assembly point

notified in each room• Only re-enter when instructed -

Start your day with a hot Scottish traditional breakfast, cereal, freshly baked scone, or fresh fruit platter. Lunch offers a choice to suit everyone, from heart warming soups, freshly cooked main courses, including a healthy option, self-help salad bar, and ever popular snack items including pasta, noodles and curries. At Zest we give our students at both campuses the opportunity to train in a real life working environment, this allows them to ‘practice’ the job roles they are hoping to be employed in. Our students are led by Lecturers to take on roles within the kitchen and restaurant which meet thier course objectives.Delicious lunch & express services are offered to staft and students at both campuses during term time. The students produce and serve a three course lunch menu each week. The express service offers a range of tasty take away options.

LEISURE & RECREATION THE WORKOUT (DUMFRIES)Our state of the art sport and fitness facility at our Dumfries campus includes:

• a vastly extended gym with the latest fitness equipment

• changing facilities including those for limited mobility

• a multi court sports hall• physiotherapy room• first aid room

When formal classes are not using the facility, The Workout is open to all learners after an induction is completed, see reception or our website for further details.

SPORTS HALL (DUMFRIES)The sports hall is spacious and contains three marked Badminton courts with sufficient space around each to enable capacity activity at all time. Lunchtime activities may be available and could include 5-a-side football, badminton and circuit training. There may also be the opportunity for you to participate in a range of sports through Scottish Student Sport and other organisations. Should you have a particular request regarding a recreational activity then let us know and we will do our best to provide it if at all possible. Activities normally run during lunchtime between 12.00 and 13.00. The sports hall is available for evening bookings.

THE RYAN CENTRE (STRANRAER)You know what they say “Healthy Body, Healthy Mind” so make sure you take advantage of the sporting and recreational facilities available to you at the Ryan Centre (situated opposite the main entrance to the Stranraer Campus). Students can gain unlimited access to the following: fitness suites fitness classes, swimming during public swimming sessions, sports courts for badminton, table tennis and indoor tennis and inclusive fitness guidance for a £25 per month fee.

Have Your Say! STUDENT ASSOCIATION

The SA’s aims are to maintain and improve your student experience through engagement in learning and teaching, and to give students the voice to ensure the best facilities available are open to you. We hope to achieve this aim, both within the college, and at a national level through affiliated membership of the National Union of Students (NUS).

Through the SA and its representative structure, students can collectively have a say about, and make a difference to the quality of their education and the student experience at the

college. The SA facilitates student representation in college decision-making through the President and the Vice President, playing an active role on the College Board of Management and by liaising with college Staff via the Learning and Teaching Committee.

The SA also provides a mechanism to represent student needs at various internal and external meetings. By ensuring there is good student representation, this allows you, the student, to express yourself on the issues you feel are important.

The Students’ Association (DGSA) exists to ensure that students are represented at all levels and across all programmes at Dumfries and Galloway College. Every student enrolled at the college, whether part-time or full-time, is automatically a member of the SA.

The SA is also about having fun and enjoying student social life giving you a focal point for student activity within the college, whilst at the same time providing you with access to information from various external bodies, including NUS Scotland, Funding and Health.

SA also assist students to develop an entertainments programme throughout the year and can also help you to set up any sporting activities you would like to see running within the college. In order to achieve all of this, we need involvement from you, the student.

BRONWYN BROWNPresident

Bronwyn has studied with us for 4 years, culminating in her current Business course. She is passionate about changing student life at college, making everyone feel welcome and enhancing connections between everyone across our college community.

In her private life, she has been a young carer for her parent, and has been involved in several community groups in Stranraer.

She is an active LGBTQ+ advocate and activist, always contributing positively to celebratory events in college to improve the student experience and promote respect. She says “college helped me when I was in a bad and dark place. I will make sure students feel safe and happy.”

Amy will be a third year Hospitality student with us this coming year. She has been Health and Wellbeing Officer with the Student Association for some time now. As part of her remit, she designed several key mental health improvement projects and helped to produce our college’s Mental Health Agreement. She aims to continue this work to benefit both students and staff now that she has been elected. In her private life, Amy is a keen Chef with a speciality in baking pastries to share with others. She recently gained social media fame as one of the bagpipers who brought the community of Stranraer (virtually, of course) together as part of the ‘Clap a Carer’ Thursday night events.

She is a ‘people’ person with bags of energy and a strong work ethic. Amy will take up her post next academic year.

POLICY & PROCEDURES As an educational organisation we have over 14 policies and procedures in place to ensure an inclusive and fair learning environment, it keeps us all in line and gives us guidance on how to handle situations which may arise. When you enroll at the college you accept the terms and conditions of our college which includes the following documents … familiarise yourself with the summery …. always read the small print!

Although they all have importance, the top two recommended are Assessment Procedure and Student Disciplinary.

COLLEGE BEHAVIOUR How to behave in college... online and in person, although our college is starting virtually we still have some guidance. It is important that you familiarise yourself with these rules, as behaviour by any member of the college community not matching these standards will be challenged, and may result in serious consequences including disciplinary action.

Remote Learning Code of ConductAs with all Dumfries and Galloway College IT services, you are bound by our ICT acceptable use policy

• When using MS Teams, you are expected to behave as you would in face to face settings.

• If you are joining a live online teaching session in MS Teams your camera and microphone should typically both be off unless asked to use them by your lecturer.

• If you are not engaging with the lesson and are giving cause for concern, your lecturer can remove you from the teaching session.

• Anything typed into the chat is stored and visible by all members of the team.

• Anything you write into the chat area must not breach confidentiality.

When using MS Teams chat you must not do anything that might be

• Park your car or motorcycle in places other than in the designated parking spaces.

• Exceed the College speed limit - 10 mph. If you do, you may be banned from the car park.

• Damage college property - you will be charged for it and may be suspended from classes.

• Gamble - anywhere on college premises.

• Be irresponsible or careless in the consumption of food or drink in or around college premises. The Refectory is available for the consumption of food and drink, whether it has been purchased there or not. Food or drink should not be consumed in any classroom, computer and other workshops, libraries or access centres. Drinks and food taken from the refectory must be in closed containers.

• Come into college under the influence of, or bring into college, alcohol or any banned or illegal substance including non-prescribed drugs.

• Play music from mobile phones, digital devices, portable speakers etc.., including playing loud music from a car in the car park. If you do, you may be banned from the car park. You should not use your mobile phone to play music in any of the college buildings.

• Use mobile phones in the classroom, workshops, Library or any of the college learning centres. Mobiles must be switched off in these areas.

• Drop Litter. You should use the containers provided for litter, especially for chewing gum and cigarettes when in the college grounds.

• Abuse or harass other students, staff or visitors to the college physically, verbally or in any other way. If you have concerns about harassment or any form of bullying you should report this to your tutor or a student advisor. Alternatively a report form is available on the student Intranet.

• Use mobile phone cameras (they can be used in some circumstances by staff agreement). Mobile phone cameras pose a risk to the personal safety of students and staff and the human rights of the individual to privacy. In addition they create problems for confidentiality of documents such as examination papers, and give rise to concern about cheating or inappropriate use of personal data. chat you must not do anything that might be considered discriminatory against, or bullying and harassment of, another member of the college community.

• Where a breach of the IT regulations is considered to have come about through unacceptable behaviour, it will be handled through the college’s Disciplinary Procedure as appropriate.

Noise Whilst we want you to enjoy your time at the college, please remember it is a place of study and you should avoid making loud noises in any part of the building, which can distract others.

CCTVFor your security and safety, the college operates a high definition CCTV system. The system is continually recording and the college will not hesitate in using the images to discipline (or prosecute) students behaving inappropriately.

Student Identity Card (ID) You will be issued with an Identification Card. Cards must be carried at all times as members of staff may ask to see them. Cards are needed for the library & access to computer services. It allows entry to exams where appropriate and is very handy for discounts! If you need to order a replacement card, you can do so at reception at the cost of £4.00.

Punctuality Good time keeping is an essential part of your preparation for employment or future career. You are expected to attend all classes with time to spare and with all the necessary books and equipment. Students who are involved in practical exercises must attend their classes promptly wearing the appropriate uniform and personal safety clothing if required. Failure to do so may result in loss of bursary and eventually to your removal from the course.
