Managing Change at AsureQuality Using
Configuration Packages

What we do
• State owned enterprise, with 1700 staff over 60 locations
• Testing we do:• Microbiology & Pathogens• Residual & Pesticides• Food contaminants & General chemistry
• The AsureQuality labs process on average 700,000 samples and 1.9 million tests per year

• Contract Lab Template V6• First to implement WebLims in Australasia• Multi‐site, geographically dispersed• Some numbers:
– 3000 + analyses– 2000+ contracts– 1000 + customers– 1000 + subroutines

Project Stage
• February 2012 ‐ Started system configuration• January 2013 ‐ Started User Acceptance testing and data validation
• March 2014 – First customer group went live (Wellington MPI)
• Now – Final roll out – Already operating in Auckland as well as Wellington with selected customer groups

Why do we manage change
• To understand impact of the changes to the business before it happens
• Minimize the risks• Enable beneficial changes to be made on a regular basis• Maintain validation status

A problem
• Problem: When a contract has a large number (>100) contract items, charge manager becomes significantly slower when adding more.

Process to log an issue
• Fill the “Log Issue” tab based on the information from issue form

How an issue is assigned
• Use Search Dialog to find the issue• Drill down to the issue and use “Manage Issue” tab to adjust the properties, add notes and assign to a technician

Solution & Review Comment
• “Solution & Review Comment” is used to record the issue resolution progress

Incident & Issue Management Dashboard
• The issue will show up on the dashboard of assigned technician

What can we do?
• We cannot reduce the number of contract items because of business requirements
• However, using a combination of user grid and object group manager can greatly improve the user experiences

Using Changes Manager
• Create a Configuration Package• Use Changes Manager to find all changes

Adding objects into package
• Adding all necessary objects into the package and export it using change manager

Package installation
• Install package in target environment

User testing in QA system
• User testing using test script

Migrating to production
• Once the test script is passed, the package is ready to be migrated to production at next available scheduled update event
• Run regression testing
• Same installation process as in QA

Advantages of Configuration Packages and Changes Manager
• Clear ownership of issues• Traceability
– Attached supporting documents– Investigation process in the notes of the issue
• Find similar issues• Know how many issues are outstanding• Make it easier to manage a large amount of changes
– We migrate roughly 20 packages in one event every fortnight

Enhancement ideas
• Using Changes Manager and Configuration Packages to apply database changes (adding fields, tables etc…)
• Menu and toolbar changes currently fail to be migrated using Configuration Packages.
• Package report could use some tweaks
