    Purpose & Goals: Project Systems Delta 4.5a ECC 6.0

    The purpose of this presentation is to provide an overview and some level of detailsregarding the delta in functionality from Project Systems in the R/3 environment fromrelease 4.5a through 4.7 (Enterprise) and from 4.7 through ECC 6.00 EnhancementPack 6 including Commercial Project Management.

    It cannot serve as a complete detailed discussion of every change to the IMG andPS. For greater detail, it is strongly recommended that a complete review of therelease notes be performed. These release notes are available by release and athttp://help.sap.com under release notes.

    The goal of this presentation is to provide the user with a better understanding of thesignificant changes made to Project Systems and where (s)he can best focus theireffort in Change Management.

    Due to the time constraints of this session, we will only cover a small number of thesignificant changes to PS by release.

    Project Builder 1/3

    The Project Builder makes it possible to create or change work breakdown structures andnetworks together or individually. You can quickly switch between different views (overviews anddetail screens), graphics and the project planning board.

    In its functionality the Project Builder consists of a browser view designed to replace the oldstructure planning transaction as well as the transactions for editing single work breakdownstructures and networks.

    After you have started the Project Builder three screen areas appear:

    In the top left screen area the hierarchy of the project structure is displayed in a structure tree.You can change the structure easily with Drag and Drop.

    The bottom left screen area contains a user-specific variable work list and templates. Here youcan use the data from the last five projects you have worked with, and store existing project dataand standard templates for creating new objects.

    The right-hand screen area is used to display or edit the project objects (in detail screens andoverviews).

    Following new features and enhancements are available in the Project Builder :

    Combining transactionsPreviously there were separate transactions for creating, changing and displaying objects. These have beencombined in one single transaction in the Project Builder. After you start the transaction you are, in the rule, inchange mode. If you only have display authorization or the data is locked by another user, a message appearsand the system switches automatically to display mode. It is possible to switch between the two modes.

    Browser view: Improved overview and simplified navigationThe screen, split into three areas, offers you an better overview of your project structure as well as simplifyingnavigation. Creating new objects in a project is now much easier. It is also now possible to go back to screensthat you have already processed.

    Intuitive handlingAn optimized context sensitive menu (right-hand mouse button) enables more efficient menu control. You canuse Drag & Drop in the structure tree and worklist/templates to simplify processing of your project structure.

    Saving user-specific dataYou can decide where you want to start work in the Project Builder, in the structure display, the projectplanning board or the display last used. You make the corresponding settings in the user-specific settings. Hereyou also determine whether the last data you edited should be loaded as a preview the next time you work inthe Project Builder.

    In a separate screen area you can switch between a worklist and templates:In the worklist you user-specifically store the project data that you use frequently to retrieve quickly later. Thelast five projects you have worked on are also listed in the worklist.

    The templates simplify creating new objects in your current project. Here you can select new objects, copyexisting project objects or include standard templates from which to copy. You can move objects in and out ofthe worklist and templates using Drag & Drop.

    Project Organization

    Project Organization for WBS Element

    You can now define a project organization for each WBS element. You can then assign thehuman resources involved in the relevant work package to this organization. Once you havedone this, the system defaults the human resources in the project view Work Apportionment toHuman Resources where you can assign them to activities.

    The tab page previously called Organization is now called Assignments.

    Network Validation & Substitution

    You can now carry out validation and substitution for networks too. Previously thiswas only possible for work breakdown structures.

    You use validation to check values and combinations of values when you enterthem in the Project System; with substitution you can replace them.

    In Release 4.6A there are new BAPIs (Business Application Programming Interfaces). Thefunctions of existing BAPIs have also been enhanced.

    The following object types are now also supported:

    Milestones for WBS elements

    Milestones for network activities

    Activity elements

    Material components (display only)

    The object types Project und Network , which are avaialble since Release 4.0A, can now havethe Locked staus set and removed.

    You can display subtrees of the WBS hierarchy by entering a WBS element in theIWbsElementTable parameter in the WorkBreakdownStruct.Getdetail BAPI.

    In the case of the Network.Getinfo, Network.Getdetail, and WorkBreakdownStruct.Getinfo BAPIs,it is now possible to restrict the object types that are processed by setting an indicator.

    The existing structure have been extended by additional fields.

    Changed Network Activity AuthorizationChecks

    Authorization check when deleting a network activity

    The system checks the authorization to delete a network activity even if it has not yetbeen released.

    Authorization check when setting a deletion indicator in the network activity

    When you set a deletion indicator in a network activity, an authorization check takesplace. In addition, you prevent the system from setting a deletion indicator by usingthe customer exit EXIT_SAPLCNAU_004.

    Deleted Static Processing of Resource-Related Billing (VA90)

    As of SAP R/3 Enterprise Core 4.70 (SAP_APPL 470) the static processing ofresource-related billing (transaction VA90), as announced for Release 4.5, is nolonger available. Instead you can use the dynamic processing (transaction DP90). Itcontains all of the required functions.

    Effects on Existing Data

    You must convert your existing orders to dynamic processing.

    Effects on Customizing

    You must convert your system to the dynamic processing of resource- relatedbilling. You can do this even before converting to SAP R/3 Enterprise for allReleases from 4.5B and above.

    For more information about converting to dynamic processing, see Customizing(IMG) for creating quotations and billing under Static Processing (Process beforeRelease 4.5).

    Changed Interest Calculation for SpecialPeriods

    As of SAP R/3 Enterprise Core 4.70 (SAP_APPL 470) you can carry out a specialinterest calculation for special periods in projects or internal orders.

    Constraints

    When postings in special periods are due, the balance of the previous periodfor the time frame of one day is calculated with interest. This is in addition to theinterest debits and interest revenues. Due to technical reasons this cannot beprevented.

    In the log, the postings in special periods are shown as value dates in the past.

    If you calculate interest for special periods in a special way, you must start aseparate interest calculation run for each special period. This could lead toinconsistencies otherwise.

    New! Copying the Status of Order Items

    You can set the status "fully invoiced" for SD order items and for the billing workbreakdown structure element (WBS element). However, in the standard system youcannot automatically compare the statuses of both objects.

    As of SAP R/3 Enterprise Core 4.70 (SAP_APPL 470) you can use the reportsRKPSYNCSTAT and RKPSYNCSTATWL to copy the status of the SD order item tothe WBS element. You can stipulate whether the business or the processing statusof the order item, or both, should be interpreted. Set the status "fully invoiced" only ifall SD order items assigned to the billing element have the status "fully invoiced".

    Furthermore, by using the new reports you can undo the status "fully invoiced" forthe billing item, if the conditions you set have not been fulfilled.

    The report RKPSYNCSTATWL accesses the work list of the Schedule Manager,while the report RKPSYNCSTAT does not.

    New! User Status in the SAP Project System 1/2

    As of SAP R/3 Enterprise Core 4.70 (SAP_APPL 470) there are new functions forprocessing a user status in the master data transaction for structure processing, inindividual processing, in the Project Builder, in the project planning board, and in thestructure planning of the SAP Project System.

    Project definition and WBS elements

    Along with the existing functions set user status and reset user status the followingadditional options exist for the project definition and WBS elements:

    Using the enhanced attribute FUNC_AREA_LONG you can stipulate objects in theProject System for the

    Business Object Repository -(BOR-), for which now 16 digits are available, insteadof four. The old four-digit attribute FUNC_AREA stays in the system, so that thechange remains compatible to existing releases.

    Costs with the attributes planned costs, actual costs and controlling area currency inthe method GETINFO and GETDETAIL of the BOR object network are read by theSAP system for the network (if they are header-assigned) or for the activity/activityelement (if it is activity-assigned) in an object-related way. However, these attributesdo not allow you to transfer the costs to the SAP System. The costs are alwaysoutput in the controlling area currency specified in the attributeCONTROLLING_AREA_CURRENCY.

    Enhanced! Requirements Dates in Bill ofMaterial Transfer

    As of SAP R/3 Enterprise Core 4.70 (SAP_APPL 470) you can automatically adjustrequirements dates in the bill of material transfer (transaction CN33) that lie in thepast:

    If the requirements date of a newly assigned item is determined during bill of materialtransfer, the system checks whether this requirement date is before the date, which iscalculated from the current date, taking the time interval into account. You stipulatetime intervals in the system. If the new requirement date is before the date calculatedfrom the current date and time interval, the system automatically sets it to thecalculated date when saving, and flags it as manually maintained. In this way you canchange the date if you wish.

    Changed Project Information System

    Overviews in the Project Information System

    As of SAP R/3 Enterprise Core 4.70 (SAP_APPL 470) you can access the individual overviewsbased on the SAP List Viewer (ALV), which were newly implemented with Note 353255, by usingthe SAP Menu. You can also access the enhanced individual overviews from release 4.5 from theSAP Menu.

    When you go to the structure overview and the project planning board in the individual overviews,the standard system calls up the new individual overviews. If on the other hand, you want to callup the enhanced individual overviews, you must activate the user parameter PSIS-USE_EXTENDED.

    The interfaces originally delivered with Release 4.6A for structure overviews and individualoverviews are no longer supported (since SAP Note 326591) and have been deleted.

    Report Variants in the Project Information System

    As of SAP R/3 Enterprise Core 4.70 (SAP_APPL 470) you can no longer evaluate the existingvariants for individual and structure overviews of enhanced interfaces from SAP R/3 Release 4.5.If you want to continue using these variants, you must recreate them.

    New! WBS Element Groups

    As of SAP R/3 Enterprise Core 4.70 (SAP_APPL 470) you can use the following additionalfunctions for the WBS element groups:

    New transaction

    You can change WBS element groups with the new transaction KJH2.

    New authorization object

    Using the new authorization object K_PRPS_SET you can restrict the authorization to displayWBS element groups (transaction KJH3) and change WBS element groups (transaction KJH2).

    The new authorization object contains the following fields:

    o Group name

    o Activity

    The protected activities in maintenance of WBS element groups are:

    - 02 = change

    - 03 = display

    WBS_FIELDS_FOR_ASSET to implement rules for the transfer of fields from WBSelements to asset master data records for the creation of assets.

    New! Several Customer Subscreens PerNotification Type 1/2

    Several Customer Subscreens:

    Up until release 4.6C, for each notification type a maximum of one customersubscreen could be included in the notification header data. An area of 4 lines wasreserved for this subscreen. From release 4.70, for each notification type it is possibleto include one or more customer subscreens in the notification header data. The sizeof the customer subscreens can be freely defined as long as they do not exceed thetotal size of the tab pages.

    Enhancements in User Exits:

    In the customer enhancement QQMA0001, the interface of the function modulesEXIT_SAPMIWO0_008 and EXIT_SAPMIWO0_008 was enhanced. Three new importparameters allow you to execute your own PBO and PAI program parts, depending onthe output location (tab page, subscreen area, screen).

    New! Several Customer Subscreens PerNotification Type 2/2

    Effects on Customizing

    From release 4.70, a second screen area "customer subscreen (>1 Screen/NType)" (091)will be available for the inclusion of customer subscreens in the notification header.Previously, only the subscreen area "customer subscreen (one Screen/NType)" (090) wasavailable for this purpose.

    When using screen area 090 you assigned the screen to be included under "notificationheader: screen areas'. When you use the new screen area 091, a field for the directassignment of the screen is available in Customizing for the simplified and extended views.

    In Customizing for the simplified and extended views, there is a new field called "tab pageallocation".

    You can use this field to freely choose the number of subscreens (between one and five)that you want to

    appear on each of the following tab pages: 10\TAB01, 10\TAB02, 10\TAB03, 10\TAB19,10\TAB20 and 10\TAB21. The fewer subscreens you assign to one tab page, the morespace there is available for each subscreen on that tab page.

    The predefined number of five possible screen areas for each notification tab page is still thedefault value, so no further activities are required when upgrading. Note that you can onlyuse one of the screen areas (090 or 091) for each notification type.

    New! Planning and Budgeting in Any Currency 1/8

    Use

    International groups often use one uniform company code currency (group currency) in CO.However, it may be necessary to plan and budget in the respective local currency as themajority of costs will be incurred in the local currency. The local currency is usually thecorresponding company code currency.

    Previously only budgeting of jobs (orders and projects) was possible in the local currency. FromRelease 4.70, you can also budget investment programs in the local currency. In addition, it ispossible to plan investment programs, appropriation requests and jobs directly in the localcurrency.

    As was previously the case for orders and projects, plan and budget values for investmentprograms and appropriation requests are also saved in both the controlling area and localcurrencies defined in the master record of each object. If you change or re-specify theexchanged rates used, it is now possible to recalculate the values in the local currency usingthe values in the controlling area currency, and vice-versa.

    In reporting for IM, it is even possible to calculate evaluations in any report currency (plan,budget and assigned values). If the values are available in the specified report currency, theyare issued unchanged. If they are not available, they are converted from the controlling areacurrency into the report currency.

    Effects on Existing Data

    Before Release 4.70, the plan values for appropriation requirements, were only savedin the controlling area currency. This was also the case if a local object currency wasspecified in the master record for the appropriation requirement. From Release 4.70,the plan values for appropriation requirements are always saved in the controlling areaand local currencies. Therefore, you must adjust appropriation requests that werecreated in an earlier release and use a local currency that varies from the local objectcurrency. The easiest way to do this is to use the program RAIMCRC2 to recalculatethe plan values in the local object currency for appropriation requests whose planvalues are in the controlling area currency (transaction IMCRC2, menu path: FinancialAccounting -> Investment Management -> Appropriation Requests -> Tools ->Recalculate Currency Plan for Appropriation Requests).     As of SAP R/3 Enterprise Core 4.70 (SAP_APPL 470) you can evaluate the document flow ofbilled resources/expenses for a customer order, service order, contract, or project using a newprogram. The program displays the billed, rejected, and open resources/expenses in a structureoverview similar to the expenditure view in resource-related billing. You can change the structureinteractively. The billing requests are listed in detail for each resource item. You can navigate tothe billing request directly from the result overview. Many other functions, such as filtering,enable you to make a flexible evaluation.

    You evaluate the document flow using the transactions DP99A, DP99B and DP99C. Thesetransactions differ only in their selection options.

    Progress Tracking enables you to closely monitor the progress of network components in theProject System and purchase orders in Materials Management. By tracking events that youhave defined yourself in Customizing for Progress Tracking or in the Progress Trackingfunction itself, you gain improved control over the progress of your network components orpurchase orders. For example, for tracking a purchase order you could create events forinternal occurrences such as issuing a purchase order. For tracking a network component, yourevents could include goods issue, and goods receipt. Scheduling dates for events allows you toanalyze variances and recognize problems early on. You can also stipulate dates for eventsusing enhancements for either system dates or external data.

    As of SAP ECC 6.0 (SAP_APPL 600) you can check the data to be posted within theplanning of costs and revenues (CO-OM) using your own checks. To do this you usethe BAdI: CO-OM Check plan line items (CO_OM_PLAN_ITEM_CHECK.) of theenhancement spot CO_OM_PLANNING.

    The BAdI is called up both in manual planning and when you use function group KIPLand the related BAPIs. For additional information, see Documentation for the BAdIs.

    Within Funds Management, the following scenario serves as an example: Theplanning of investment revenues (general and specific returns, contributions andrevenues from the sale of fixed assets) is carried out using the transaction PlanningCost Elements/Activity Inputs Change: Initial Screen (CJR2). The revenues areplanned as negative costs, meaning planned with a minus sign. Formerly you were notable to check whether you could actually plan using a minus sign for the relevant costelements. You can now implement such a check using the BAdI.

    Project Structure Overview (New)

    As of SAP ECC 6.0, PLM Extension (EA-PLM 600), you can use the new projectstructure overview (transaction CN41N) in the project information system. It is ascaled-down version of the existing structure overview (transaction CN41). If youdo not require the full functional scope of the existing structure overview (CN41),the new project structure overview (CN41N) is a user-friendly alternative thatprovides you with the most important functions for viewing your projectinformation. You can also navigate to detail screens for the project objects, whereyou can edit the master data.

    As with the existing structure overview (CN41), the system retrieves the data fromthe PS logical database according to your selection criteria. On the selectionscreen, you can choose the PS info profile, the database profile, and the statusselection profile. You can use all of the existing features of the database profile,such as filtering based on selection criteria. On the selection screen, you cannotreuse selection variants from the existing structure overview (CN41). However,you can create standard selection screen variants that are specific to the newproject structure overview (CN41N). When you execute the report, the systemdisplays the results in the form of a hierarchy using the ALV tree.

    Business Requirements

    Customers using very large project structures in Project System (PS) sometimes faceperformance problems when maintaining project master data of large projects or e.g.when scheduling such projects.

    The development Handling Large Projects planned for Enhancement Package 4(EhP4) will provide a new concept to maintain master data of large project structures.

    The EhP4 development will not cover options for project structure changes (e.g.creation of new objects) or scheduling and resource planning.

    Basic Concept of EhP4 Development

    The new concept on handling large projects is based on the existing ProjectSystem.

    The existing Project System database tables, transactions and business processesare not affected.

    To maintain master data of large project structures a new transaction, the ProjectEditor will be provided, allowing users to work on selected subsets of project masterdata (data sets).

    Using the Project Editor customers can also use a more flexible locking conceptand drafts if required.

    For performance intensive projects caching of project data can be used.
