SOME THOUGHTS ON RECORD KEEPING
Your Record Book is a personal record of you and your activities in 4-H
this year. The purpose of the record book is to provide you with a detailed
account of your years work. A complete book will be a useful reference in
years to come and will also show your accomplishments from the year.
Your Record Book should include all or most of the following…
Your club name and the project you are in.
A list of the members and leaders in your club and your project.
Your goals for the year.
A complete account of the work done on each activity or article.
A list of other resources that were used during the project year.
An evaluation of your 4-H year.
Records of:
o Your club activities.
o Project meetings and your responsibilities.
o General meetings and business conducted.
o Special 4-H activities you participate in.
Practice good record keeping habits during the year as you carry out your
project. It’s much easier to remember what you did yesterday than it is to
remember what you did three months ago. Information in your Record
Book should be complete and accurate. Your entries should be neat and
readable as others may want to look through your records. Organize your
material into sections with dividers and use a three-ring binder for
durability. Add extra pages as necessary and remove or mark those you
were not required to do and consider a “table of contents” as it is a value
to you, the judge, and others.
Above All…
Remember that a Record Book is for you personal use.

To include the information you will want to remember or look up years
from now!

LET’S FIND OUT MORE…
Clothing is a BIG Subject area! It is impossible to learn absolutely everything
about each level in just one year. So, before you start your project, you’ll have
to decide what you want to concentrate on. Remember, it is not our intention
that you should cover each level in a year- how long you spend at each level
depends on your sewing experience, how much you accomplish, and how long
you want to spend on that particular project.

YOUR RESOURCES
When deciding on a project, it helps to know what resources you have to work
with. Time, money, equipment, and information are just a few of the things you
should think about.
Ask yourself these questions about each of the sewing projects you are
interested in:
1. HOW MUCH WILL IT COST?
Remember to keep in mind the cost of all materials- notions, fabric, equipment,
your record book binder, sewing reference material, etc… (You may ask you
mom, dad, or project leader to help you out with this one.)
2. WILL I HAVE ENOUGH TIME TO WORK ON IT?
What other extra-curricular activities are you involved in? Are you taking more
than one 4-H project? How much time would you have in a week to work on
your clothing project? Will you be available for project meetings?
3. DO YOU HAVE ACCESS TO A SEWING MACHINE?
Does your mom have a sewing machine, your grandmother, or maybe a
neighbor or friend? Will you have to compete with other people to use this
machine? You may have to set up a schedule to plan who can use the machine
when!
4. WHAT OTHER RESOURCES ARE AVALIABLE IN MY COMMUNITY?
Does your local or regional library have reference materials you can use or
could they order books for you? (Your 4-H leader can give you suggestions from
the book list in the leaders guide.) What about you school Home EC teacher or
a local sewing expert? Perhaps they have some information you could borrow!

After you have decided what you are going to work on for the year, ask your
project leader to help you set some goals. These goals would include making
the three or four project items you’re interested in sewing and whatever else
you want to learn. Goals often include deadlines. Perhaps you could sit down
with your leader and the other project members to set up a schedule of what
you want to learn, and when.

It’s a good idea for all sewers to keep records of the projects they work on- that
way you’ll know how long it took, how you made the project, how much you
spent, and other important details that you may wish to refer back to.
For every article you make, keep a record of the following things:
How long it took you to finish the project.
The cost and the suppliers of the materials (also, samples if possible)
The plan or drawing of the article.
Any other information you need to make the same article again. (for
example, any corrections you made or problems you had)
On the following pages are two sample project records and three sample
project cost sheets. You can make copies of these for each of your project
items, or you're also welcome to custom design your own!
YOUR SEWING SAMPLES
One of the things we do a lot in clothing is make samples to practice out
sewing skills. To show that we have accomplished a particular skill, we include
the samples in out record book. It is expected that members will include some
fabric / sewing samples with their record book.
We’ve included a basic page for “samples” that you may want to use (you can
copy it if you need additional pages) Or, again, you can make your own sample
pages. Be sure to include what each sample is and any information on how you
made the sample.
Start with large fabric swatches that are easy to work with. These swatches can
then be cut down to fit in the record book more easily. Sample 7.5 or 10cm (3-
4”) square are large enough for most samples on construction paper, album
pages or in page cover protectors.
Mount fabric samples in your record book to show:
Fabrics with different fiber contents.
Fabrics of different constructions (woven’s, knits, and nonwovens).
Sewing techniques.
