Venue

The conference will be held at the University of Oxford in Worcester College. The talks will be held in the Sultan Nazrin Shah Centre alongside the exhibition, posters, refreshments and lunch. A site plan for the college is appended at the back of this handbook.

Accommodation The following house-keeping notes are for those participants who have reserved accommodation at the college.

• Keys should be collected from the porters lodge, check in is available from 14:00 on the day of arrival. Any lost keys will be charged at £5.00.

• Guests will receive a key for their room and an access card which will open the Main Gate. The main college gate is closed after 18:00. All access cards are person specific so that in the event of an emergency all guests can be accounted for.

• Breakfast will be served daily in the dining hall from 08:00-10:00. • Check out time is 10:00 on the day of departure. • There is no smoking in college bedrooms. • All guests are to keep to the rooms allocated to them. • Smoke detectors must not be tampered with under any circumstances. Any problems should be reported to

the Lodge Porter. • If you require services to your bedroom, please go to the lodge and ask for the porter on duty for the

maintenance log. Any problems recorded, will be dealt with by a member of the maintenance team as soon as possible.

• For security reasons we request that all visitors of conference residents are met at the lodge and are not left unescorted within the college grounds. No unauthorised overnight visitors are permitted.

• If you would like additional pillows, duvets or have any questions about your room, please contact the scout who services your room or ask at the Porter’s Lodge.

• All rooms will be serviced during your stay with the bins emptied daily. If you do not wish to be disturbed, please leave your bin outside the room.

WiFi – The Cloud Free WiFi is provided by ‘The Cloud’ or Eduroam for visitors from other participating universities. To access the cloud, please follow the instructions below.

1. Make sure your WiFi is turned on 2. Select ‘The Cloud’ from the available network list 3. Open your browser, hit refresh and follow the on-screen instructions to register or log-in 4. For auto-connection, download the Sky FastConnect app for iOS and Android.

If you should experience any IT problems, please email guest,support@worc.ox.ac.uk. Catering The registration fee includes refreshments and lunch for the duration of the event and the social programme. With the exception of the pre-dinner reception and conference dinner, all catering will be served in the Sultan Nazrin Shah Centre. The pre-dinner reception and conference dinner will be held in the Cloisters and dining hall respectively. Please refer to the table below for timings. Social programme Monday 3 April An exhibitor’s reception and buffet will be held in the Sultan Nazrin Shah Centre on Monday 3 April alongside the exhibition and posters. Presenters with ODD-numbered posters e.g. P1, P3, P5 etc. should be next to their posters to discuss their work and answer any questions.

Details about the poster session are given on page 10. Wednesday 5 April A reception will be held in the Sultan Nazrin Shah Centre alongside the posters. Presenters with EVEN-numbered posters, P2, P4, P6 etc. should be next to their posters to discuss their work and answer any questions.

A pre-dinner drinks reception will be held at 19:00 in the Cloisters and will be followed by the conference dinner in the dining hall. Please note: the dinner will start promptly at 19:30, no admittance will be permitted once the dinner has started. Excursion - Tuesday 4 April Tour of the Culham Science Centre (pre-booked only) This tour will take in the MAST and JET tokamaks on the Culham Centre for Fusion Energy site.

Outreach Event - Tuesday 4 April The Plasma Physics Group will be holding an event for the general public called ‘Plasma Science takes 5’. It will feature around ten Plasma Physics researchers giving 5 minute publically accessible talks on a plasma science topic of their choice. Topics such as solar flares, magnetic confinement fusion and medical uses of plasmas will be covered. Doors open at 18:00hrs for an 18:30hrs start. Tickets are free and can be obtained online. Entry will be by ticket only.

Information for presenters Oral presentations The lecture theatre includes an LCD projector, screen and PC. If you require any additional equipment, email claire.garland@iop.org. Presenters are asked to prepare their presentations to match the time allocated in the programme as these will be strictly enforced by the conference chairs. Presentations should be structured to include an introduction, the main content and conclusions. Visual aids (e.g. maps, charts etc) can be used but you are advised to keep the information simple, use colour and contrast for emphasis and use a large enough font (minimum 15 point) to ensure legibility. Please bring your presentation to the conference on a USB memory stick and load it onto the PC located in the lecture theatre no later than the start of the session in which you are speaking. Please save your file as your surname and initial in the appropriate folder on the desktop. Direct connection of personal laptops (with set-up in the break prior to the corresponding session) is the alternative. For those using a PC laptop, please make sure you have a VGA output. If presenting from a Macintosh, please bring a VGA cable.

The electrical current in the UK is 230v AC and 3 pin plug sockets. If you need an adapter, please bring one with you.

Poster presentations Posters will be on display for the duration of the conference with dedicated poster sessions taking place on Monday 3 April and Wednesday 5 April. Presenters are asked to be beside their posters as follows:

• Presenters with posters including an odd-number e.g. P1, P3, P5 etc. are asked to be available during the session on Monday 3 April.

• Presenters with posters including an even-number e.g. P2, P4, P6 etc. are asked to be available during the session on Wednesday 5April.

Posters can be mounted from 11:00 on Monday 3 April and must be removed by 13:40 on Thursday 6 April. Any poster not removed at the correct time, will be recycled.

Poster boards are 2m by 1m and orientated vertically. Posters should be AO in size (118.9 x 84.1cm / 46.8 x 33.1 inches), in a portrait format. Posters must be prepared in advance of the conference as it will not be possible to print them on-site. Fixing material will be supplied to mount your poster. Flash posters Poster presenters are invited to give 2-minute oral presentations introducing their posters. Presenters will need to provide a 1-page slide in PDF format prior to the conference – the slide should be an advert for the poster. If you would like to be considered for this session, please contact claire.garland@iop.org. Travel Worcester College is located in the centre of Oxford on the junction of Beaumont Street, Walton Street and Worcester Street. The college is just across the road from the main bus and coach station, and is a 10 minute walk from the railway station and main shopping areas. For travel information, please refer to the website page at http://plasma2017.iopconfs.org/travel Parking There is no parking at the college. Visitors driving to the conference are encouraged to use the Park and Rides at https://www.oxfordshire.gov.uk/cms/public-site/park-and-ride Health and safety Safety and emergency evacuation procedures There are notices showing all the security information at the entrance to every building and also a phone next to the sign linked to the main lodge. In the event of an incident, please inform the Porters Lodge immediately by dialling 01865 278 300. In the event of a fire alarm sounding, all participants should evacuate the building and assemble in the Nuffield Quad on the Nuffield Lawn. Do not return to the room until instructed to do so by a member of the lodge staff. Fire test alarms are carried out on Tuesday mornings when the alarm may sound for 5-10 seconds. You do not need to leave the building unless the alarm sounds continuously for more than 10 seconds. Security Do not leave your belongings or valuables unattended at any time, abandoned bags will be removed by security, and may be destroyed. Storage will be available, but items are left in these areas at the owners’ risk. If you do have a security concern, the first point of contact should be the Posters Lodge which is manned 24-hours a day. The Porter can be contacted on 01865 278300.

Smoking Smoking is not permitted anywhere within the building. The only smoking area is the large grass areas such as the Nuffield Lawn or the Orchard. Candles or naked flames are not permitted in any building without consent. Smoke detectors must not be tampered with under any circumstances. Any problems should be reported to the Porters Lodge. First aid First Aid can be found at the Front Reception Desk. There are trained first-aiders on-site during office hours. If the injury is serious, please call 999 from a mobile or venue phone and summon an ambulance first before contacting Reception. • Please keep off the grass of the Main Quad and note any signs for Private areas of College where the Fellows and Provost (Head of Worcester) live all year round.

• Swimming is not permitted in the college lake. • Behaviour and conduct: Courteous and reasonable behaviour is expected from guests at all times,

inappropriate behaviour or offensive language will not be tolerated.
