Creating an event for FCH, celebrating its 30th anniversary, our goals include:

Reinforce the organizational culture and the sense of belonging to the FCH community

Get media coverage about the excellence of the university and the relevance of the Alumni

The event will have 3 parts:

PROGRAMME1. Opening Session

Speech by the Faculty’s director

Special guests, including some of the most successful Alumni of the faculty

(Promoting excellence, pride and the sense of belonging to this community)

PROGRAMME2. Dinner at the Great Hall

Regular catering, with typical Portuguese food

The hall will be decorated with pictures and sentences (the ones required to the guests)

(With the dinner, it is predicted that everyone gets involved with each other)

PROGRAMME3. Cocktail at the Main Hall of the Casino

Appetizers and entrees for all guests that are not at the dinner

Bar, serving all drinks, to every guest

Casino Machines will be available for gambling

(After the dinner is over, everyone will be joined at the Main Hall)

GETTING MEDIA COVERAGE

Make sure they are coming to the Gala

Research on the Alumni who work for

magazines, newspapers, television and radio

ASK THEM if they can do a little event coverage, to reinforce the Excellence of the faculty and celebrate its 30th

anniversary

CHECK LIST BEFORE

Book the entire Casino de Lisboa (Venue) for the event

Send all invitations until 21st April

Hire the catering company

Check if the company has Bar Maids, and hire them too

Prepare the decorations, including center pieces, table schedule, table towels, napkins, china, and chairs

Make sure everyone who confirmed their presence, has send their pictures and sentence

CHECK LIST BEFORE

Prepare all the photographs in a Polaroid frame

Food Tasting

Hire the Jazz Band and check with them the playlist

Confirm the orators for the Opening Session

Hire a photographer for the hole event

Rent a themed photobooth, as well as all the accessories

CHECK LIST BEFORE

Rent a blue carpet

Print the background boards to all the photograph places

Prepare the venue to receive the event, starting to move the decorations and preparing technical issues and organization, at least three days before the event

Call the band, one day before, to confirm their presence

Call the catering company, to make sure they will attend the event

Hire a Cake Design Company, to bake a huge anniversary cake for the event

CHECK LIST DURING

Greeting all the guests at the entrance (the faculty’s PR director)

Escorting the guests to the “sponsors photograph board”, in order to take a picture

Receive the band and escort them to the place addressed to them, making sure they sound check and confirm every detail

Receive the catering company, escorting them to the kitchen, and making sure all the food arrives to the venue

Receive the photographer

CHECK LIST DURING

Preparing the waiters to give a champagne flute to all the guest, when they enter the Casino

Make sure all the waiters are working, giving the guests appetizers and drinks

At the time given (7pm), make sure all the guests are escorted to the Auditorium, for the Opening Session

During dinner, make sure everyone is seated in right place

Check with the kitchen if everything is going according planned

CHECK LIST DURING

Make sure everyone has finished their dinner, in order to take all guests to the Main Hall

During the event, speak to the Alumni responsible of the Media Coverage, making sure they are taking some notes of what is happening and if they need something

Give the band the order to change music style (11:30pm)

Make sure that, at the event of the event, the anniversary cake is brought to the Main Hall, in order to sing the “Happy Birthday” song to FCH

CHECK LIST AFTER

Clean and pack all the material used on the event

Make sure media coverage is successful

Request the photographs to the photographer, and post them online at the FCH website and Facebook
