Virtual Event Central – A Scalable, Turnkey Global Event

Marketing SolutionGlobal scalability is the true test for any virtual experience platform. Architecting virtual

events that perform flawlessly in a variety of worldwide scenarios demand social

networking design expertise supported by a strong, innovative virtual technology

foundation. In 2008, HP tasked

6Connex to align the Virtual Experience

Platform with that of the vastly

distributed product and customer needs

of HP’s business while meeting the

company’s diverse global technology,

security, and marketing requirements.

Working closely with different groups across the organization, 6Connex created a

scalable virtual technology marketing infrastructure that applied a social engagement

networking strategy and virtual technology marketing infrastructure to support global

marketing communications. The accumulation of those activities was the development

of HP’s Virtual Event Central (VEC) – a platform that allows HP to set up any type of

digital social engagement/networking event in the form a virtual tradeshow, seminar or

conference, whether it is an internal event with HP employees or an external event with

customers or partners. That platform is a “turnkey” solution for HP’s global marketing

and event community to efficiently execute virtual events.

When a visitor enters the HP VEC platform, they experience a rich and engaging,

virtual 3D, animated environment that immediately establishes a sense of place. The

space is filled with animated, life-like people walking through the virtual environment.

From within the space users can engage in one-to-one or one-to-many communication,

utilizing a robust chat system to communicate with other attendees, subject matter

experts, product specialists and booth hosts. The design takes into consideration the

physical tradeshow experience and translates that into a virtual environment for a global

audience.

As a result, HP has transformed how the industry thinks about events, conferences and

tradeshows, bringing increased marketing ROI and value to the organization worldwide:

Faster Time to Market : Because a virtual experience event or tradeshow can be

planned within weeks compared to the months that a physical event requires, virtual

events increase time to market across HP worldwide.

Overall Marketing ROI : Attending and organizing a physical event can be very

costly. HP event professionals can provide a lower cost alternative to traditional

physical events rather than having to limit their company’s event participation or

cancel shows.

Instant Worldwide Outreach : The cost of travel can be an immediate barrier

for attendance or participation of important events. Virtual trade shows enable

businesses from around the world to participate in an event without the cost of

travel and associated loss of productivity allowing HP to maintain its global brand

presence.

Metrics and Measurement : Besides the standard KPIs that a physical event

offers, additional KPIs can be measured particularly around behavioral metrics. By

hosting a virtual event or tradeshow, users can be tracked in terms of their patterns

of behavior associated to how they navigate through the event, how long they visit

particular areas or stations at a virtual event and what actions they take. HP event

professionals will be able to utilize these real-time metrics to make adjustments

to the event, on the fly, in order to maximize the experience and increase their

marketing results.

Going Green : Virtual events and tradeshows support initiatives aimed at solving

the global climate crisis. The cost for gas, physical material development and

waste from participants attending physical events are limited. Users can attend an

event in the comfort of their office or home from anywhere in the world. HP event

professionals can plan, manage and host the event without having to travel and

coordinate all the logistics associated with setting up a physical event.

HP Data Protector Virtual Event – Virtual Event Central Proof of

ConceptIn early 2009, HP’s European marketing team based in Switzerland wanted to leverage

the Virtual Event Central to produce a worldwide event. The objective was to launch the

latest version of the company’s data protection software and show how the company

is changing the economics of backup and recovery. Targeting IT managers and

directors in global companies, the HP Data Protector Virtual Event featured four webinar

presentations and four demo product videos. Ten different booths were created to

educate attendees about the latest technology for protecting critical physical and virtual

server environments. With VMware as a key target sponsor, live sessions were set up

that let visitors meet and interact with HP and VMware experts and get the latest product

updates and best practices. Booths were available for Spanish and French speakers.

During a six-week registration period, each region was tasked with lead generation and

promotion through an email campaign, banner ads, and telemarketing.

6Connex, a wholly owned subsidiary of Design Reactor, is the pioneer of virtual experience technology marketing solutions. Our Virtual Experience Platform enables businesses and individuals to connect and engage virtually anytime and anywhere using a dimensional environment-like architecture for B2B or B2C social networking whether it’s as a tradeshow, event or conference, and beyond. 6Connex has developed award-winning, results-oriented virtual technology marketing solutions for industry leaders such as Cisco, HP and Proctor and Gamble. Visit http://www.6Connex.com.

From around the world, over 1,300 attendees came to the HP Data Protector Virtual

Event. Collectively, they downloaded over 3,300 pieces of content and viewed the

videos 2,121 times. Approximately half attended one of the webinars and swiped their

badge in one of the booths, giving HP detailed information on their needs. But, by

far, the show’s most impressive metric was the average amount of time spent in the

event. On days the show was live, the average amount time visitors spent exploring

and interacting with content averaged 2 hours and 33 minutes. This is an extraordinary

amount of quality time spent in a branded online environment. And, after the show was

archived and available on-demand, the average time was an hour and 13 minutes.

A dynamic virtual environment designed for social networking supported by highly

relevant content enabled this level of performance. 6Connex partnered not only with

HP event managers and marketers but also with key IT and security stakeholders

throughout the organization. The result was a scalable event platform flexible enough to

not only meet HP’s marketing requirements but technical business requirements and the

needs of customers around the world.
