Dear Colleague,

It’s hard to believe, but it’s been 20 years since the first North American Shared Services and Outsourcing Week. And look how far we’ve come! From a one room event with 50 people and a handful of providers to the largest event in the region, SS&O Week has survived two recessions, a war, and countless changes in the global landscape, yet keeps on growing.

And that is because of you.

The shared services and outsourcing community is one that thrives on change and plays a crucial role in the maintenance and stability of its companies. Born out of the need for major cost savings, this community has revolutionized the way companies manage their back office processes, to the point where our discussions have moved into the front office, and how SSOs are moving into sales and marketing and even becoming revenue generating themselves.

Since we last met in Orlando, the SSON team has been working constantly to ensure that the content we place before you is at the forefront of what the SS&O community is currently grappling with. In 2015, while it was officially the “Year of Talent,” we also found that a lot of the conversation was moving towards process improvement and ultimately, automation. This year, while talent recruitment, engagement and overall management is still – and may always be – a top of mind issue, over the last 8 months the emerging hot topic has clearly been how Robotic Process Automation has the potential to revolutionize the way SS&O executives conduct their business, including how it impacts their employees.

You’d have been hard pressed to avoid the RPA and digital transformation in the last year. From how it could revolutionize the speed by which transactions are processed, to how labor itself could be digitized, and therefore, possibly replaced. Can companies afford the up-front costs of implementing the technologies but then can they afford not to? One can see how RPA has been described as a double-edged sword.

It is these debates and discussions that have taken SS&O Week from that first 50 people to the 850+ you see today, and keeps them coming back each year. Global and regional strategic heads come to meet with their peers and learn about the strategic direction at other multinational corporations. Operational and tactical executives come to hear if their successes and failures are on par with the industry, and the tips and tricks of the trade that will get them over their next hurdle. Everyone comes to learn what is coming next in shared services and outsourcing, where they fit in and how they can move forward.

Don’t miss out on the event of the year! SS&O Week is 20 years old and we’re not just celebrating the event, but the shared services and outsourcing industry. Come and discover the next phase in your personal and organization’s journey. I look forward to welcoming you at the Omni Orlando Resort next March. Come for the networking and leave with strategies that will transform your business for the next 20 years!

Best,

NO Onstage Sales Pitches

2015 was a watershed year for S S O N , b e c o m i n g t h e o n l y organization to commit to an all-practitioner led speaker faculty for both our plenary and tracked sessions. The results speak for themselves, as we had the largest event on record and the most positive feedback of any past event.

O u r s u c c e s s i n v i g o r a t e d o u r program, and will continue into 2016. In each and every session, you will learn from peers about their

experiences, lessons learned and their roadmap to success.

Now, don’t get us wrong – our vendors still have a very prominent place at our events, because we know that they provide an enormous amount of value and knowledge for you. (If anything, many of the practitioners you’ll hear from owe their success to a partnership with a solution-provider!) However, it will be based on your decision when and where to hear from them –

whether through a 1-to-1 meeting to discuss a specific challenge, during a Masterclass, Workshop or Roundtable catering to niche groups or within the Exhibition Hall to get an understanding of what is available to you to empower your success.

It is our primary responsibility to make sure you widen your networks and hear the content you signed up for when you attend an SS&O Week.

the market.” – Dennis Dodo, CFO,

John Gregory Global Finance Lead GBS Kellogg Company

Piyush Gupta Sr. Executive Vice President, Business Transformation, Head Shared Services Reliance

Q. What are you responsible for in your role?

A. Global Finance Lead for GBS – responsible for moving activities from previous SSOs and the Retained business into a 3 tiered GBS model.

Q. What one project was your single biggest lesson and what did you learn?

A. SAP implementation for all Europe in 9 months. Lesson – the only way to get vanilla systems and processes is to go fast…

Q. In your crystal ball, where do you see the SS&O industry heading in the coming years?

A. Increasingly taking on more value add activities and moving to wider enterprise coverage beyond the traditional GBS functions. I expect Artificial Intelligence to play a much more significant role starting in the very short term.

Q. What one project was your single biggest lesson and what did you learn?

A. Setting up the Big data analytics team. We had setup a big data analytics team within SSO to help the entire organization leverage big data and their analytics capability. Hiring, engaging and retaining big data team in Shared services is a completely different ball game!

Q. What do you think is the biggest jump forward in the shared services and outsourcing industry over the last 20 years?

A. Shared services has transformed from being centers of cost arbitrage to knowledge centers and now to competitive advantage.

Q. In your crystal ball, where do you see the SS&O industry heading in the coming years?

A. Digitization and automation will play an extremely pivotal role in deciding the future shape of Shared services industry. Robotics will be an extremely interesting field to watch as well as its applications can be far and wide in shared services and extremely disruptive.

Shakti Jauhar VP Global HR Operations & Shared Services PepsiCo

Cindy GallagherSVP and ControllerDiscovery Communications

Q. What one project was your single biggest lesson and what did you learn?

A. Our Global Cloud Based HR Technology deployment has provided many lessons. New and upcoming cloud based technologies are more of functional deployment that a typical IT project; it is critical that Project leadership have functional expertise. It continues to be even more important to have top leadership commitment to fundamentally change the way we do work and to not underestimate the level of change management for success

Q. What do you think is the biggest jump forward in the shared services and outsourcing industry over the last 20 years?

A. The SS&O from an HR perspective has become more mature over time and is no longer ‘your mess for less’. Outsourced providers are an extension of your organization and have expanded their services from simple administrative tasks to cover support of entire areas of operation.

Q. In your crystal ball, where do you see the SS&O industry heading in the coming years?

A. SS&O industry players will have to be proactive, innovative and agile in adapting latest technology innovations in order to keep pace and survive. Artificial intelligence will eliminate the need for some of the transactional support and providers will need to expand their offerings to new areas on business with their clients.

Q. What is the metric you are most proud of and what was it prior?

A. Working capital improvement of +$200M in 12 months

Q. What do you think is the biggest jump forward in the shared services and outsourcing industry over the last 20 years?

A. Hands down RPA

Q. In your crystal ball, where do you see the SS&O industry heading in the coming years?

A. The evolution of automation and RPA will enable SS&O to truly become the thought leader within the finance organization, providing full insight into both financial and business strategy. We will move beyond process to a strategy driven analytical industry.

Sam Barani Head, Global/Outsourced Shared Services Salesforce.com

Tony SayerVP, Assistant Corporate Controller, Shared ServicesParker Hannifin Corp.

Q. What is the metric you are most proud of after moving to a GBS model and what was it prior?

A. Absorbed 25-50% volume while decreasing cost per transaction by 25-40%.

Q. If you had unlimited funding, what would you want to implement in your organization?

A. GBS Analytics. We are doing that already but certainly can expand it to a lot more functions.

Q. If you had to do something over again in your organization, what would it be and what would you do differently?

A. Not transitioning several functions within several locations at once. One time we transitioned 7 global functions at once and it was a bad idea!

Q. What are you responsible for in your role? A. Defining the vision for a global Financial Shared

Service Organization and implementing that vision incorporating feedback from stakeholders.

Q. What is the metric you are most proud of and what was it prior?

A. Implementing our European FSSC taking on Accounts Payable from 90 locations across 20 countries with 14 different languages in just 2 years starting from nothing.

Q. In your crystal ball, where do you see the SS&O industry heading in the coming years?

A. Moving to many more global and totally outsourced centres.

Shared Services for Shared Services – How to Serve Those Who ServeThe challenges of managing operations in shared services are many: workload forecasting, staff productivity measurement and monitoring, SLA monitoring, managing changes to the process, and many more. How can a shared service organization best serve its management and associates to allow them to perform their best for their clients and users? What things can be done to create common language, common support structures, and industry leading processes to support the shared served operations teams? In other words, how do we serve those who serve? This session will look at how you can implement operations support programs that can be applied to any type of shared service environment.

A.J. Hanna Sr. Director, Service Management - Ministry Service Center Ascension Health

Generate a Roadmap to Global Process Ownership Success: Ideation, Investigation & ImplementationSo you’ve decided that a global process ownership capability would be the best step forward in your SSO, or you’ve been anointed GPO. Now what? There are so many “what comes next?” possibilities, it can be daunting to create a path and follow it. This workshop will take you through those crucial first steps in developing a GPO capability, including:

• Ideation: honing the high-level concept and securing the mandate to take it forward

• Investigation: understanding the existing landscape and what you must do to make the global process ownership model work

• Roll out: starting to put the model into action including outlining a governance structure

Think Marketing to Accelerate Shared Services or BPO GrowthSo you’ve dragged your organization kicking and screaming through a few transitions to a shared services and/or outsourced business model, and now it’s time to spread the wealth to the rest of the company. You might think that the next logical step is focus inward, building up more process skills, identify opportunities to move up or across the value chain, or deepen governance and reporting. However, these are now table stakes in the provisioning of shared services; ‘build it better and they will come’ is not a viable approach to scaling in the majority of organizations. Instead, it’s imperative for the services organization to adopt a marketing mind-set to deliver growth. Specific topics for discussion include:

• Overcoming the challenge of growing shared services without a clear mandate

• Becoming a provider of choice• Developing an effective marketing

strategy and capability• Linking marketing and change

management• Combining account management

with governance

Please come prepared to discuss your scaling challenges and come away with actual, implementable best practices.

Robotic Process Automation – a Practical Guide for Working with Smart MachinesMany organizations are using Robotic Process Automation (RPA) to transform operations for Global Business Services, drive dramatic savings, improve quality and improve business outcomes. Beyond RPA’s impact on operational efficiencies, – the ability to enable and enhance Business Intelligence and Big Data Analytics programs is truly a game changer. But maximizing benefits from this new capability requires rethinking and articulating an appropriate strategy and service delivery approach, identifying the best fit RPA tool(s)

for your needs, defining new contract mechanisms, developing new governance structures and effectively managing change.

Attendees of this workshop will have the opportunity to:

• Benefit from research on the state of RPA engagement in the SS/GBS market

• Receive a complimentary RPA opportunity assessment on their SS/GBS function

• Understand how to incent incumbent providers to implement RPA

Build a Robust Partnership With Your Outsourced ProviderTraditional outsourcing models have been cost-focused, reactive, paint-by-number agreements. Today, organizations are looking for alternate models that are value-centric, proactive – or even predictive – and specialized for each customer’s specific need. With the volume of organizations that have a hybrid or outsourced model, SSOs are looking for a true partner, one who will help to maintain the balance between what is retained and what is outsourced. In this workshop, leaders will share their hard-won (and lost) battles to achieve this harmony, including:

• Clearly defining the organization’s service delivery strategy including a definition of outsourced vs. retained processes

• Moving the needle to make it more of a partnership than a nuts and bolts agreement

• Looking beyond the metrics and past performance and towards innovation

• Maintaining governance across both retained and outsourced organizations

2:10 Emerging Technologies Are Reshaping the Future of Shared Services – What Does it Mean for You?

Technology is disrupting business operations and changing how companies will optimize their shared services operations. The future of GBS will be transformed, whether it is HR SaaS technology that reshapes the organization or automation of back office processes using ‘bots’ to perform data entry and run reports, or the integration of IT and GBS. Hear specific examples of the impact emerging technologies are having on HR, Finance, and IT operations.

How to Attain the Next Transformation Lever Through RPA Although shared service organizations have long-deployed enabling technologies like standard Enterprise Resource Planning (ERP) packages, self-service portals, and low-level automation tools like scripting and screen scraping, RPA is a new breed of software that allows enterprise-safe automation of processes. In this session, Mary Lacity presents findings from her book with Leslie Willcocks, Service Automation: Robots and the Future of Work. She examines how Robotic Process Automation (RPA) is being deployed in shared service organizations as the next transformation lever beyond centralization, standardization, optimization, relocation to low cost areas, and use of enabling technologies. You will hear about how several early adopters achieved multi faceted positive business results from deploying RPA and well as what is needed to achieve these business benefits including:

• An Executive-sponsored service automation strategy

• Proper governance

• Control by business operations/shared services

• Talent development

• Robust change management strategies

4:40 How to Jumpstart your SSO Journey with a Compelling and Data-Driven Business Case and Overcome Roadblocks Once You’ve Embarked on the JourneySimilar to other transformational initiatives, before you can successfully launch a new shared services organization, you must first prove that it will create value for your organization by putting together an evidence-driven and persuasive business case. In this session, learn how to master the 3 key steps of building a solid business case– calculating the anticipated benefits, projecting potential costs and conducting risk analysis of a new shared services initiative. In addition, take home best practices on how to:

• Develop an accurate current state baseline to compare against external benchmarks and highlight key opportunities for cost reduction

• Successfully quantify and communicate both the financial and strategic benefits of shared services in a way that is meaningful to the business

CASE STUDY: How to Leverage an Analytics Function for Global Operational Excellence – the MasterCard StoryIn May, 2011, MasterCard embarked on its shared services journey, to better support the business and enable its continued year on year growth. Its former decentralized model, which included non standardized processes and regional finance outsourcing, resulted in double work, high costs, and minimal accountability and governance. The implementation of the GBSC throughout the globe took MasterCard through June, 2015 and immediate wins were achieved including

Increased electronic payments from 64% to 93%, increased invoice imaging from 35% to 90%, increased T&E compliance from 85% to 98%, reduced cost per invoice by 58% and increased overall quality across the F&A processes globally. These successes are a direct result of the partnership with the analytics team that drove the GBSC’s abilities forward. In this case study presentation:

• Learn how to partner operational strategy with raw data to achieve operational success

• Hear about MasterCard’s next steps towards SSO growth, including the addition of HR Services and integrating newly acquired companies

• Explore how it was able to handle the growth to the transaction side without adding headcount

How to Achieve Significant Global R2R Automation Through a ‘Simplification and Stratification’ StrategyBristol-Myers Squibb has significantly reduced the amount of manual work that goes into completing a month end close process by leveraging standard process and automation of routine tasks. This has supported an effort to stratify the close process so that only material entities are fully closed on a routine monthly, relying on automation of process to get to a virtual close of many entities. This has allowed BMS to smooth out peaks in the activity of its financial close team. In this session, hear how BMS is continuing to improve and evolve their automation strategies.

Develop a Roadmap Toward a GBS Strategy: Getting You Where You Need to Be Without Scaling Too Quickly Once you understand the business case for moving to a GBS strategy, you are going to want to do everything at once. This holds true whether your organization has had a shared services structure for years or is just starting out and hoping to skip to the best service delivery model. While enthusiasm is crucial, you do need to ensure that you don’t move too quickly and collapse under the pressure. Issues addressed include:

• Determining which aspects of a GBS strategy are most important for your business and adopt them to your pace and culture

• Identifying concrete steps toward adopting a GBS strategy for short, medium and long term planning

• Locating your technology, business , and resource gaps

• Designing and building a solid infrastructure to scale while maintain agility to change

• How to project manage the transition and help stakeholders cope with change leveraging a well designed communication campaign

• Stabilizing the existing operation and pushing the envelop to drive continuous process improvement

3:00 How to Use Cloud Applications to Achieve Real-time Visibility with Shared ServicesWhen the Hyatt Hotels Corporation eliminated spreadsheets from their corporate monthly reconciliation process, they had taken the first step in their Modern Finance journey. Hyatt also realized that their accounting consolidation department outsources much of the month-end reconciliations to an offshore service provider and the legacy on-premise systems they used to monitor progress were limited and slow. Something had to be done. Hyatt evaluated multiple reconciliation automation providers and chose a cloud solution that automates most manual components of reconciliation management and enables real-time views into accounting tasks throughout the period and during the close. Inthis session, learn:

It’s All About the Automation – Evaluate the Pros and Cons of Automating Transactional Activities in an HRSSOHear how organizations have tapped into the world of automation to manage the costs of HR service delivery and improve employee satisfaction. Automated HR services help to eliminate redundant workflow, allowing HR personnel to be more strategic and provide access to data operational managers can utilize to make better decisions that grow revenue and reduce operational costs.

Hosted by:

Move from Transactional to Strategic in Your Vendor RelationshipsWhen your procurement function is highly transactional, it is inherently difficult to add strategic value. This is particularly true in a truly global specialty insurance organization like QBE. For QBE, centralizing global procurement functions has allowed tremendous visibility into key vendor relationships and has transformed the conversations that occur between vendor and client. You will hear how QBE:

• Put technology in place to facilitate global internal customers and vendors

Reimagine Your Organization Post-Stabilization to Define What’s NextWhile your shared services organization may never really be post-stabilization, after the initial growth phase comes a new level of maturity. At BD, that new maturity level sparked investigation into the issues and concerns of the new SSO and led to a reimagining of the organization. In this session, hear about initiatives in this new maturity, including:

• Realizing benefits beyond labor arbitrage to better define the ROI of shared services as cost savings lead to profitable reinvestment

• Breaking down the existing tower structure and realigning based on end-to-end thinking to improve visibility and service

Tales from an Early Adopter: Addressing Governance and Security Concerns Head On to Avoid Problems in the FutureWhile there has been a tremendous amount of discussion around RPA, far too little of the conversation has been focused on the governance and security issues inherent in automation. In this session, hear about how an early adopter of RPA has addressed security and governance concerns from the outset. Topics covered will include:

• Selecting pilot projects strategically to build the business case and socialize the idea behind RPA

• Understanding what questions you need to ask potential solution providers to ensure your governance and security concerns are addressed

Automated, Paperless P2P: Pipe Dream or Achievable Reality? While companies have had success with some level of paperless automation, many still struggle with going to a completely paperless system. During this session, you’ll hear about how one company has made its move toward this reality, including:

• Building support for paperless P2P with internal and external stakeholders to secure on-the-group support for the initiative

• Moving toward electronic POs and invoicing to build the foundation for an automated, paperless environment

• Developing processes for exceptions that streamline and correct for the future

Dennis R. Cooper V.P., Accounts Payable Department, Supply Chain Management PNC

Session 3: Conquer the Technology Terrain – How to Leverage and Improve your Technology Enablement?Technology is a critical component to GBS, but how does it really fit? Does GBS drive technology or does technology drive GBS? The interactive break-out sessions will include discussions on cloud and integration for GBS, robotics and advanced automation, the impacts of social and mobile on GBS and other technology topics based on your priorities. We will discuss technology landscapes and the challenges introduced by GBS along with possible solutions.

5:50 Taking Shared Services to GBS and Beyond – The Continued Journey to a Best in Class GBS Organization

The last two years have been filled with great change for the General Motors’ shared services organization. From a very siloed organization with Finance, HR and some outsourced operations, it has transitioned into a full service Global Business Services organization, albeit in the early stages of cost reduction. That said, the results have proven themselves, with the organization taking $750 million in work at the end of 2014, with more to come. In this session, Diana Tremblay, the driver of the GBS organization will discuss:

• GM’s tiered timeline for savings back into the business • Building a brand, nurturing the brand mentality and

integrating it into the business• The strategies in place to line up processes into one

end to end process• Challenges currently faced including migration

activity, “doing it right vs. doing it fast” and getting standardized when no standardization yet exists

While women are more and more heading up some of the largest corporations in the U.S. there is still a ‘glass ceiling’ for many seeking the executive level. The shared services industry is one in which we see an exciting number of female executives, but the career path can still be fraught with roadblocks. At our first ever panel and dinner, hear from executives who have broken through the glass, and meet with others in your career stage. Empower yourself to get to the next level in your career!

Shared Services in the Federal Government: Getting the Lay of the LandSince its introduction iin the early 80’s – with the Office of Management & Budget mandate that all departments and agencies migrate their payroll operations to one of four certified payroll services providers – shared services in the Federal Government has evolved significantly. The e-Government initiatives established lead agencies for various mission-support operations, including human resources, financial management, grants management and geospatial operations.

The initiatives also established center provision of software applications-related services, including platforms for human capital management. During the Obama Administration, the focus has been on establishing shared services centers for financial management applications and building an expanded fra mework for human capital management.

In this session, we will discuss the nature of the Administration’s shared services work and the progress to date. We will also discuss plans for the remainder of the term and actions being taken to institutionalize the shared services delivery model within the Executive Branch.

SSOW is Where You…Make Connections! We know that the connections you make at SSOW are invaluable and often last throughout your career. We pride ourselves at facilitating those connections each year and 2016 will be no different!

NETWORKING APP When we launched our networking app two years ago, we had no idea it would become a focal point of our event, allowing our attendees to send emails, schedule 1:1 meetings, make session notes and do instant polls! With our 20th Annual event promising to be bigger and better than ever before, so will our app capabilities. Stay tuned to the exciting updates on what you’ll be able to do through networking. The benefit of this networking opportunity is clear – and we’re excited to be offering this exclusively to our SS&O Week attendees.

GENERAL SESSION ROUNDTABLES In 2015 we introduced our general session roundtables to ensure that no topic or industry was left behind and our attendees were assured extra opportunities to meet like-minded peers. These proved to be a huge success, so why fix what isn’t broken? Getting out of a traditional conference and into a more intimate setting is not only a great way to get in-depth on a particular area, but perhaps more importantly, is a great way to meet a select group of people with interests that match your own. Whether those interests are based on a certain topic, or by your industry vertical, our roundtable series will ensure you get face time with people like you. And by immersing these roundtables in our general session, you know that the people you are looking to meet will be there, right in the middle of the event.

MATURITY CURVE FOCUS GROUPSWhile we’ve prided ourselves on enabling our attendees to meet their true peers amongst our gamut of executives from same function through a variety of program initiatives, you told us that one thing you’d like to see is specific content based around the maturity level of SSOs. Ask no more! We’ve developed our Maturity Curve Focus Groups to delve further into the trends and challenges executives are facing when their organizations are in a particular state of evolution. We’ve split our groups into Emerging, Maturing, Standardizing and Evolving with topics including managing Master Data, Developing a Roadmap for Business Intelligence, and Leveraging Relationships During an M&A.

who require discretion in their conversations.

SSO Pro Training DaySSON’s SSO Pro Program

essential for professionals leading Shared Services processes and

organizations. The workshop will include three of the core

competencies and is concentrated on their direct application to the

Shared Services environment, emphasizing how to identify gaps

and opportunities in customer satisfaction and process quality

and enable participants with project management skills to

implement projects to close the gaps and enrich business results.

Commitment to No On-Stage Sales Pitches

Last year, we broke the mold by making a commitment to an elevated program by saying no to the on-stage sales pitch. It

elevated our program to heights never before seen and we’re still

hearing the positive reaction from our audience. This initiative

continues and our audience will be treated to a 100% practitioner-led

speaker faculty during the main conference.
