About This Course

Objectives

To gain more confidence and a further level of skill in the use of a computer.

Description

This course is for beginners whose home computer is equipped with Word 2007 or 2010 and who have completed the ComputerSkills – Word 2010 - Level 1 course.

It continues on from that course and covers saving documents to a Removable Drive and copying a file from a Flash Drive to a computer, toolbars and rulers, the Zoom feature, switching between windows, Word Art and creating your own Certificate.

Prerequisites

Successful completion of the ComputerSkills – Word 2010 – Level 1 course.

Duration

2 sessions of 2 hours per session

Anyone using Windows 7 and MS Word 2010 may do this short course as a refresher and continuation from Computer Skills Level 1.

The notes supplied with the course are brief and students may find it helpful to take notes as the course progresses.

Some of the exercises may require files containing texts of more than one line, so to save time, SeniorNet will provide a CD containing an appropriate file for your use during the lesson and at home.

Some of the teaching involves the instructor showing you, by using a screen, how to do something and then asking you to do what has just been demonstrated.

Tutors offer their services voluntarily. Often they aim to pass on knowledge and skills they themselves have acquired at SeniorNet only recently. They do not claim to have all the answers, so go easy on them!

Practise is essential.

It is important to review what you have learned, to become familiar with it. It is true that IF YOU DON’T USE IT YOU’LL LOSE IT. Our memories are generally poor so that only practice will make the lessons sink in.

Don’t be afraid to ask for help; there are no dumb questions.

Exercise 1.1 - Saving Files to a New Folder.

1. Open Windows Explorer (click Icon on Task Bar)

2. In the Left Navigation pane click the tag beside Documents. Click My Documents.

3. On the Menu bar click- New Folder.

4. In the Right pane type SeniorNet into the new folder slot. Tap Enter.

5. Close Windows Explorer.

Exercise 1.2 - Open and Save files from the Data CD

1. Insert Data CD into the Disk Drive and close it.

2. When the Autoplay window appears on the screen. It has several options; click Open Folder to view files.

3. Double click Computer Skills MS Word in the left pane and in the right pane double click Exam Time - When it opens Click – File/Q.A.T - Save As.

4. In the left pane of the Save As window click the tags beside the Documents and My Documents Folders and locate the SeniorNet Folder you made in the last exercise.

5. Click the folder. Check the Address slot to ensure SeniorNet is showing – then click - Save at the bottom of the window. Following the instructions below we will now save a second file to our folder.

6. Back in MS Word – Click File tab - Open – or Q.A.Toolbar.

7. In the Open window, Scroll down to the Data CD in the left pane – Double click to open it – double click - Computer Skills MS Word– double click - News.doc.

8. Click File button - Save As. Click the tag beside Documents.Click My Documents in the left pane and, in the Right pane, double click - SeniorNet folder. Be sure to check the Address slot before clicking Save.

9. Close all open windows.

Using a Flash drive.

A ‘Flash’ Drive is a Removable drive that is useful for backing up important files and for transferring files from one computer to another. As Flash drives are moved from computer to computer it is very important that a virus scan is done before opening the files on your computer.

Exercise 1.3 – Scanning a Flash Drive.

This is done as follows:

1. Insert the Flash Drive into the USB slot on the left side of the monitor, the box of desktop computers at home or the slot on the side of a Laptop.

2. An Autoplay window appears on the screen. It has several options; click the one which says Open Folder to view files.

3. In the left Navigation pane locate the Flash drive under Computer - SNHC FLASHD(F:) - Right click on it.

4. In the Context Window Click - Scan with A, and wait. (at home this will show the name of your antivirus software)

5. A Result box will appear which should show – “No Threats Found”. If there is any other result, please advise your Tutor. Close Result box. Leave Flash Drive in place.

Exercise 1.4 - Saving a File from a Documents Sub Folder to a Flash Drive

1. Open Exam time file from the SeniorNet sub folder in Documents – My Documents.

2. Make some changes to the Exam time file on screen. (E.g. font, colour, add or delete text).

3. Click –File - Save As.

4. In the left pane of the Save As dialog box, click on SNHC FLASHD(F:) (or the name of the Flash drive if it has one) and click Save.The edited file is saved to the Flash drive, and the original is stillin the SeniorNet sub folder in Documents. Minimise Word.

At home, you may also create new folders on a Flash drive in the same way as you did in Documents, to save files into. Check that the Flash Drive name is in the Address slot first.

Exercise 1.5 - Rename your Flash drive

1. Locate the Flash Drive in the Left Navigation pane under Computer and Right click on it.

2. In the context window, click Rename.

3. The drive now appears with its name selected. Simply type your initials and phone number into the slot.

4. Tap Enter to seal. The new name now appears on the Folder.

5. We now need to change the name back to SNHC FLASHD using the above instructions.

Exercise 1.6 - Removing a Flash Drive

It is important to ensure that the Save process is complete before removing the flash drive.

1. Click the white Arrow Δ on the right of the task bar to find the Safely Remove icon in the Pop Up window.

2. Click – Eject USB Flash Drive.

A message will state that you cannot remove the Flash drive!!That is because the file is still open.

3. Right click on Word on the Task Bar – click Close Window/X.

4. Repeat Step 2.

5. Remove the flash drive only when you see the message,

Your document is now on the flash drive and can be copied to another computer, or held there as security (back-up) in case the original is lost.

Exercise 1.7 - Copying a file from a Flash Drive to a Computer

In this exercise, we will copy the file now on the flash drive to your SeniorNet folder in Documents on the hard drive.

1. Insert the Flash drive in the edge of the monitor.

2. When the Autoplay window appears on the screen, click Open Folder to view files.

3. In the left panel, under My Computer, click the Flash Drive.It may have the general name Removable Drive (E:) or a name it may have been given such as SNHC FLASHD(F:).(the letter at the end of the name may be different on some computers).

4. In the Right pane Right click the Exam time file to be copied.

5. Click Copy in the Context Menu.

6. In the Left pane, under Documents - My Documents - Right click the SeniorNet folder and click Paste in the Context menu.A dialog box will ask if you want to replace the original file of the same name.Click ‘Copy, but keep both Files’.

7. Before you close Windows Explorer - open - Documents - My Documents - SeniorNet Folder and check to see the two (Exam time) files you saved.

8. To Clear the Flash Drive for use by the next class, select it in the Left pane.

9. Right click the Exam Time file in the Right pane and click Delete in the Context menu. Click Yes in the Dialogue box that opens.

10. On the taskbar, click the Safely Remove Icon on the right.

Exercise 1.8 – Drag and Drop.

Instead of Cut and Paste, to move text, you can select the text and simply drag it to where you want it.

1. Click Windows Explorer – Click DVD Drive Data CD – click Computer Skills MS Word. Double click Rejuvenated and save to Documents - My Documents.

2. The last verse is labelled 2. Select this verse by placing the pointer in the margin level with the number 2 it is now an arrow shape, click and hold the mouse button while you drag straight down to the bottom line of the verse.

3. Release the mouse button.Note : because each line is a separate paragraph it cannot be selected by a double click in the margin.

4. Slide the mouse pointer under and into the selection; notice the Pointer changes to an arrow.

5. Press the mouse button down and see the box that appears below the arrow. Slide the mouse pointer out to the right and notice the vertical dotted line – I - that travels ahead of the pointer.

6. Place this line under the word – for - in the first verse and release the mouse button. Deselect.

7. Place the IP Mark at the end of the word plays – verse 1 - tap Enter to create a space between the verses. Verse 2 is now in the correct position.

8. Repeat this to move verse 3 into its correct position and readjust the spacing.

9. Experiment by moving some words from a verse to other positions.

10. Now hold down the Ctrl key while you drag some words.The selected words have been copied to the new position. This can be very useful in reducing the need to type some repetitive words.

11. Close the file and close Word.

Exercise 1.9 – Revision.

In this exercise we will copy the Busy Bee verse from the Data CD and Paste It onto a new page.

1. On the Data CD, open Busy Bee.doc from the Computer Skills MS Word folder.

2. Click New on the Q.A.Toolbar. You now have two Files open.

3. On the page with the text, click on the Title Bar and drag the window across to the Left of the screen.

4. As you drag it a pale blue shadow appears on the left half of the screen, release the mouse button and the page now fills half the screen.

5. This time following the same process move the Blank file to the Right of the screen.

At present the verse appears as shown below.

6. Using the Cut and Paste, the Copy and Paste or the Drag and Drop methods, and no further typing, move the text from the left page to the right. Change it to look as below:

7. Add a Title Busy Bee to the top of the page make it size 14, underline in Red by clicking the Reveal Arrow beside the Underline button.

Click Underline colour – Red.

8. Save the file to My Documents – Check My Documents is showing in the Address Slot – Click Save. Maximise and keep it open on the screen.

Exercise 1.10 - Add Clipart to the Page

1. Go to the Insert Tab on the menu bar.

2. Click on Clip Art. In the window that opens on the right of the screen click into the slot under Search for: Type - flying cartoon bee.

3. Click the box beside - Include Office.com content, because you must be connected to the Internet to obtain some Clip Art.

4. Click Go.

5. Double click the first picture, it appears selected on the page i.e. in a frame of lines and circles. A new Picture tools, Format Ribbon opens at the top of the screen.

THIS ONLY SHOWS WHEN PICTURE IS SELECTED!

6. In the Ribbon Group named Arrange click the Reveal Arrow beside Wrap Text, click Square in the drop down pane.

7. Place the pointer over the lower right corner and when you see a double ended arrow, click the mouse, a cross + appears in its place. Move the cross towards the centre to make the picture smaller approximately 5cm x 5cm.

8. Place the pointer over the picture – this arrow appears This is the Move arrow – click the mouse and drag the picture to where you want it.

9. Close all Windows. Remove the Data CD.

Lesson 2

Exercise 2.1 – Altering the window size.

1. Open Windows Explorer (Click its icon on the Taskbar or Windows key +E)

2. Of the three buttons on the right of the Title Bar, click the middle button, and note the effect on the screen size. Note the new appearance of the middle button and read the changed pop-up tip.

3. While the window is Restored Down, to less than screen size, move the pointer to the Title Bar. Hold the left mouse button down and drag the pointer down and to the right. The window will move with it to a new position.

4. Slide the window up and to the left until you can see its right border.

5. Point to the right border and move the pointer slightly until it changes to a double-headed arrow. Click and move the arrow to drag the border to the left or right.

6. Also do this with the bottom border.

7. Next, drag a bottom corner in any direction and you will see both borders move together. These dragging actions can be applied to any window that has been Restored Down.

8. Click the middle button again to revert to the original view.

9. Click the left button. Windows Explorer has disappeared!

10. It is still open but has been minimised so that you can see something else on the screen.

11. Float the pointer over the Icon on the task bar and a small version of Windows Explorer appears on the screen – click to Maximise.

12. Now minimise the screen to the Task Bar. When a window is minimised, you can do other work on the screen, and reopen it later.

13. Open MS Word.

Exercise 2.2 – Switching between Windows.

You have two windows open. The Documents window is active. The Windows Explorer screen you opened is hidden but it has a button on the taskbar at the bottom of the screen.

1. To see it, click its button and it becomes the active document again.You can switch between the two by clicking either button.

2. Minimise all windows. Open MS Word then open another two New blank documents from the Q.A.Toolbar.

3. Open two more documents. Each will have its own number and its button on the taskbar. Switch between them and note the Title Bar at the top changes.

4. Open a few more and see what happens.

5. Close all but two of them by Right clicking on each Name on the Taskbar and in the Pop Up window click Close (X).

6. Open a picture (Start – Pictures – double click Sample pictures and choose picture).Note that you can switch between applications just like between documents.

7. Minimise Picture and any other open windows. Click any of the Taskbar buttons to restore its document or application to the screen.

8. Close all open files without saving.

9. NB. A right click on any of the icons on the task bar gives you the option to close open windows.

Exercise 2.3 – Page Layout Check

In this exercise, we will change the page layout using the following steps:

1. Open MS Word.2. Go to File – Options – Display – Printing Options.3. Click Background colours and images and OK.

4. Next go to the Paragraph Group on the Home Ribbon –

click the line and paragraph spacing icon and

check that the settings are the same as this screenshot.

Exercise 2.4 - Certificate1. Click the Page Layout tab on the Menu bar.

When searching for colours Columns are vertical, Rows are horizontal.

2. In the Page Background Group click the Page Colour reveal arrow and in the

5th Column 2nd row click the palest blue colour.(Float label: Blue Accent 1 Lighter 80%).

3. Select Page Borders, under setting: in the 1st column choose Box.

4. In the 2nd Column under Style: Scroll down and click the Rope design.

5. Below this is the colour slot. Click the reveal button and choose Blue on the 5th Column in the 5th row, (Float label: Blue Accent 1 Darker 25%)

6. Accept other settings click OK.7. Type: SeniorNet Hutt City Inc.:..........................tap Enter twice.

8. Type: this is to certify that ................................tap Enter twice.

9. Type: Your Own Name .......................................tap Enter twice.

10. Type: has successfully completed....................tap Enter twice.

14. Press and hold the shift key while tapping the Underscore key - twenty times,

16. On the Insert Ribbon - click Date & Time.

In the window, click on the Date.e.g.12 September 2011, Click OK. Tap Enter twice.

17. Tap the Tab key then space bar once, press and hold the shift key while tapping

the Underscore key twenty times. Tap Enter twice.

18. Back on the Home Ribbon select each line and change as shown in the following

chart.

19. Select the first six lines and click the Centre Align button, deselect.

20. To insert a picture at the bottom of the page first place the IP mark there.

21. Click the Insert ribbon. In the Illustrations Group click Clip Art. 22. In the Clip Art panel on the right, in the Search for: slot, type Computers and

click Go.

23. Scroll down to choose and click on an image of your choice.

The image now appears on your certificate.

24. On the Picture Tools Ribbon now showing at top of screen,

click the Wrap Text reveal button, click Square.

25. If need be, resize the image by dragging on the corners,

place the pointer into the image and drag towards the

centre of the page.

Click to the right of the page to deselect.

26. Click File button – Print to see a Preview and to check layout.

Ask your tutor to check the Certificate before printing. Well done!

Exercise 2.5 – Introduction to WordArt.

WordArt is used to make an artful display of words, i.e. text. Copied below is an explanation of some of the functions used within WordArt.

DRAWING SYMBOLS - CLICK & DRAG TO EFFECT FUNCTIONS

Pink diamond re-shapes the frame. Green Dot rotates the frame.

1. On the desktop or Taskbar, click on the MS Word icon to open a document.

2. Click Insert tab - in the Text Group – click WordArt. The WordArt Gallery appears.

3. Click one of the Text Styles you wish to use - an Edit dialog box appears. In fact two things happened:-

The text that appeared is displayed in the design style chosen.

A new WordArt Formatting Ribbon has appeared at the top of the screen.

4. Type Your Name into this already selected box.

5. Click outside the frame and the Ribbon disappears.

6. Click back into the frame by clicking on the text and the Ribbon has returned.

7. Reselect the text, go to the Home Ribbon, select a Font of your choice and increase the size to 48.

8. Return to the Drawing Tools Format Ribbon; Float the mouse pointer slowly over the WordArt Ribbon buttons allowing their descriptions tips to pop up.

9. In the Shape Styles Group you can change the outline and colour of the text box, the WordArt is in. We do not want to use this here so we will click Shape Fill – No Fill and Shape Outline – No Outline.

10. In the next Group WordArt Styles click the reveal button beside Text Fill and change the colours. Click Text outline and change the colours.

11. With Text Selected go to Text Effects – Transform. Float your mouse pointer over the various shapes to see the result. Finally Click on Wave 2. (The 2nd one in, on the 5th line down).

12. Keeping inside the frame, you will see either one or two Pink Diamond shapes. They are Shape Handles. By Clicking & dragging, experiment by moving them about and observe the effects. Click Undo to remove changes. (Some shapes have two pink handles, most have only one).

13. There is also a Green Circle at the top of the text area. Have fun with it, Click and Rotate your name. This function will become useful in later courses for design effect.

14. Click outside the box and save your document.

15. Close the document and Close Word.

Exercise 2.6 – A Project

This is a project which will give you an opportunity to try out what you have learnt so far.

It asks you to write a brief letter to the local council telling them your street light has been out for months and although you have been ringing their Call Centre, it has not been repaired.

1. Open MS Word.

2. Insert the Date from the Insert Ribbon Tap Enter.

On the Data CD, there is the fictitious complainant’s home address and address

of the Council which you can use.

3. Open the Computer Skills MS Word folder on the Data CD.

4. Open the file Project One.doc.

5. Copy and Paste these addresses, above the Date into the blank document, in a letter format:-

21 Riverview Avenue

River City.

River City Town Council

P. O. Box 78910

Main St Mail Centre

River City.

6. Select the address and on the Home Ribbon click the launch arrow in the Styles Group.

7. Click Clear All, the address will move to the margin. Close Styles menu.

8. Type a brief explanation of the problem. (e.g. Please repair the street light outside my house. Yours faithfully etc.).

9. Change the addresses to Times New Roman 12pt. and make the body of the letter Lucida Handwriting 12pt.

10. Save the completed letter to a New Folder, called My Projects, in Documents. (Click the New Folder button in the Save As window.)

At home, you could name the folder SeniorNet, where you can keep future SeniorNet projects or files.
