Introduction This manual provides you with the information for conducting the Fall 2016 ACT Writing Field Test in the online format. Following these instructions will ensure accurate study results and allow your school to receive a report of examinee scores in the spring of 2017.

The test coordinator and all participating staff must read this manual before the first test day. If you have any questions regarding any of these procedures, do not hesitate to contact ACT Test Administration. Contact information is provided on the inside front cover.

Overview of Online Process The table below provides an overview of roles and responsibilities for online testing.

Technical coordinator

PearsonAccessnext and TestNav PearsonAccessnext is the web application used by testing staff (i.e., test coordinators, room supervisors) to start and monitor tests. It is located at https://actonline.act.org.

Note: Technical coordinators will access PearsonAccessnext to install, set up, and run proctor caching.

TestNav is the secure web application used by examinees to take the tests. Examinees will test using a desktop application of TestNav. This application can be downloaded for computers or Chromebooks at: http://download.testnav.com

Note: The browser-based or tablet versions of TestNav are not allowed for this administration.

System Check All computers must pass a system check for the TestNav app. The school’s testing capacity also needs to be checked. Both of these requirements are covered in the Technical Guide for Online Testing, which is located at http://www.act.org/content/act/en/products-and-services/state-and-district-solutions/writingfieldtest.html.

Performing these checks on the testing system does the following:

• evaluates the performance of the TestNav app for each testing computer

• assesses real-time speed and measures how many testing computers your proctor cache computer can handle

Proctor Caching Proctor caching is a procedure for online testing which reduces the bandwidth stress on local computer servers. Proctor caching allows one administrative computer at a location to download test content and then distribute it to computers used for testing. Installing proctor caching software is a required activity by the technical coordinator for this administration.

Complete information about proctor caching is located in the Technical Guide.

Test Content Security The ACT Writing Field Test must be given using a “locked down” testing application, TestNav. Disabling the lock-down is strictly prohibited. Computers used for testing must also be configured to prevent examinees from accessing any application, content, or other service beyond TestNav during testing.

To help ensure test security, all software applications including but not limited to the following must be closed before testing begins:

• internet browsers • cameras (still and video) • screen capture programs (live and recorded, e.g., Skype) • email programs • instant messaging • application switching • media players (e.g., iTunes) • printing

Login Security To ensure the confidentiality of examinees, their results, and exam content:

• Keep your staff login details confidential. Don’t share them. • Keep all student authorization tickets secure until all testing is completed.

Seal Codes Seal codes are a combination of numbers examinees must enter at the beginning of each test section, i.e. each writing test. Seal codes are unique to each test session (test room) and ensure standardized progress through the tests by all examinees in the room.

The test coordinator generates seal codes for each test session as part of preparing sessions. The room supervisor then looks up and provides each seal code as part of reading the Verbal Instructions. Each must be announced verbally and cannot be written on the board.

Accommodations Schools are welcome to include examinees with disabilities who may normally be granted additional testing time. However, because of the limitations of the Writing Field Test, we are unable to provide additional testing time during the test administration.

Confidentiality Test administration information is confidential and cannot be provided in any form to anyone outside of ACT without the express consent of ACT. This includes information about test day activities, test administration procedures, manuals, or test date documents.

Test Facilities

In This Section In this section, you will find guidelines on:

• test room selection • computer requirements • room setup • seating arrangements • computer desk surfaces

Selecting Test Rooms ACT prefers that you test in classrooms or a computer lab during regularly scheduled class periods. Test rooms for online testing must:

• have computers with high speed internet access • have access to a printer • have their own supervisor computer for administrative monitoring

Computer Requirements Computers used for the online administration must be school-provided desktop or laptop computers that remain under the control of the school. The school must maintain administrator rights to the computer and be able to validate each computer’s settings prior to testing.

Room Setup Each room’s setup must provide a fair and secure testing environment: • Testing staff must be able to freely circulate around the room to reach each examinee. • Information on walls or boards about writing, such as how to write or diagram an essay,

charts, strategy maps, or other aids, must be covered or removed.

• The room supervisor must be able to monitor the examinees from a central location in the room.

Seating Arrangements You may use the same seating arrangement you use in regular class sessions provided examinees cannot see each other’s screens. The table below contains additional requirements.

Computer Desk Surfaces Computer desk surfaces must provide enough space for:

• examinees to work comfortably • the use of scratch paper Lapboards balanced on examinees’ legs are not allowed. If laptops are used, they must be placed on tables or desks.

Staffing

In This Section In this section, you will find information on:

Staff Roles You will find references to the roles below throughout this manual.

Test Coordinator: The test coordinator has overall responsibility for coordinating test site operations, including storing materials and setting up testing rooms. He or she provides the continuity and administrative uniformity necessary to ensure that the examinees are tested under standardized conditions; he or she also ensures the security of the tests themselves.

Technical Coordinator: The technical coordinator helps the test coordinator set up computers for testing and is responsible for proctor caching. The person in this role must be available on test day to assist and troubleshoot any technical issues that may arise.

Room Supervisors (teachers): Each room must have a room supervisor who is responsible for all testing activities within that room. Each room supervisor must be present for the entire test session.

Proctors: Proctors assist room supervisors with testing activities. See the table below to determine the number of proctors required, based on the number of examinees in the room.

Test Coordinator Responsibilities The test coordinator is responsible for the following tasks.

• create room supervisor accounts in PearsonAccessnext • upload student data file to PearsonAccessnext • train staff on PearsonAccessnext • work with technical coordinator to ensure all site readiness activities are completed • create all test sessions in PearsonAccessnext • assign examinees to test sessions in PearsonAccessnext • print and distribute student authorization tickets to room supervisors • prepare and unlock test sessions the day of testing

• remove examinees who are absent (do not test at all) from their assigned test sessions in PearsonAccessnext

Technical Coordinator Responsibilities Technical coordinators are responsible for the tasks listed below.

• install TestNav app for each computer used for testing • select proctor cache computer(s) used for testing • set up and install proctor caching software • run the software to cache test content at least 48 hours prior to testing • ensure the school’s computers and infrastructure meet online testing requirements

• help the test coordinator and other staff set up for test day (includes examinee and administrative computers and testing rooms)

• troubleshoot technical issues examinees may have with testing Note: These tasks are covered in the Technical Guide.

Room Supervisor Responsibilities Room supervisors (teachers) are responsible for the tasks listed below.

• distribute student authorization tickets • use PearsonAccessnext to retrieve seal codes • help examinees log in to TestNav • help examinees enter seal codes to start individual tests • use PearsonAccessnext to start and stop the test session for their class • read the Verbal Instructions to the examinees • monitor testing progress • monitor for prohibited behavior • ensure examinees have logged out of TestNav after each test • collect and account for all authorization tickets/scratch paper before dismissing examinees • document irregularities • return all test materials to the test coordinator

Proctor Responsibilities Proctors are responsible for the tasks listed below.

• help room supervisors distribute and collect student authorization tickets and scratch paper • help examinees log in to TestNav • help examinees enter seal codes to start individual tests • monitor testing progress • monitor for prohibited behavior • report any irregularities to the room supervisor immediately • ensure examinees have logged out of TestNav after each test

Attentiveness It is important for staff to remain attentive to their testing responsibilities throughout the administration. Staff should refrain from activities not related to administering the test and walk around the room periodically to monitor the examinees.

Training for Online Testing The test coordinator is expected to train room supervisors in the tasks they will need to perform in PearsonAccessnext and train room supervisors and proctors in the general functionality of TestNav so they can assist examinees.

Section II: Preparing for Test Day PearsonAccessnext : Staff Accounts

In This Section In this section, you will find information for test coordinators on:

• logging in to PearsonAccessnext • assigning staff in PearsonAccessnext • creating and editing room supervisor accounts • disabling, deleting, and restoring room supervisor accounts

Logging in to PearsonAccessnext To log in to PearsonAccessnext , take the following steps.

Step Action

1 Go to PearsonAccessnext at https://actonline.act.org.

2 Select the Sign In button.

3 Enter your username and password, and click the Sign In button.

Assigning Staff ACT will create test coordinator accounts in PearsonAccessnext . When accounts are created, a “new account” email is sent with instructions. Once the test coordinator has finished setting up his or her own account, he or she will then need to create accounts for room supervisors. A “new account” email will then be directed to those staff to finish setting up their accounts.

Creating Room Supervisor Accounts Take the following steps in PearsonAccessnext to create a room supervisor account.

Note: Test coordinators are the only individuals who can create room supervisor accounts.

Step Action

1 Select the Setup icon.

2 Select the Users title.

3 In the Tasks window, select the checkbox next to Create / Edit Users and

then select the Start button.

4 Complete all required fields. Be sure that ‘enable’ is selected, and select the Create button. The account is created. The system sends a welcome email to the user you just created. The room supervisor will need to follow the instructions in that email to finish creating their account. Note: Usernames must be unique with a minimum of 8 characters and no spaces.

5 To create another room supervisor account, repeat step 4.

6 When you have finished, select the Exit Tasks button.

Editing Room Supervisor Accounts Take the following steps in PearsonAccessnext to edit a room supervisor’s account.

1 Select the Setup icon.

2 Select the Users title.

4 Select the checkbox next to the user.

5 In the Tasks window, select the checkbox next to Create / Edit Users and

then select the Start button.

The user’s name will appear in a list on the left side of the screen.

6 Select the user and their details will appear for editing.

7 Select the Save button when finished.

8 When you have finished editing users, select the Exit Tasks button.

Disabling Room Supervisor Accounts If you want to prevent a room supervisor from accessing the system, you can disable his or her account. Take the following steps in PearsonAccessnext to do so.

Step Action

1 Select the Setup icon.

2 Select the Users title.

3 Find the User by entering the last name, email, or select Search and the

checkbox next to the Show all results title.

4 Select the checkbox next to the correct user.

5 In the Tasks window, select the checkbox next to Create / Edit Users

and then select the Start button.

The user’s name will appear in a list on the left side of the screen.

Step Action

6 Select the user and their details will appear for editing.

7 Under the Account drop down, select Disabled.

Note: To re-enable a disabled account, change back to Enabled.

8 Enter an Account Disable Reason.

9 Select the Save button.

10 When you have finished, select the Exit Tasks button. The user’s record will now be marked as disabled.

Deleting Room Supervisor Accounts If a room supervisor is no longer employed by your school, you should delete their account. Take the following steps in PearsonAccessnext to do so.

Step Action

1 Select the Setup icon.

2 Select the Users title.

3 Find the User by entering the last name, email, or select Search and the

checkbox next to the Show all results title.

4 Select the checkbox next to the user.

5 In the Tasks window, select the checkbox next to Delete / Restore Users and then select the Start button.

The user’s name appears in a list.

6 Select the checkbox next to the user’s name and then the Delete / Restore button.

The user’s name will now have a red X next to their account.

7 When you have finished, select the Exit Tasks button.

Restoring a Deleted Room Supervisor Account Take the following steps in PearsonAccessnext to restore a deleted room supervisor’s account.

Step Action

1 Select the Setup icon.

2 Select the Users title.

3 Using the Filters, from the Account Status drop down, select

Deleted.

The users with deleted accounts are displayed.

4 Select the checkbox next to the user.

5 In the Tasks window, select the checkbox next to Delete /

Restore Users and then select the Start button.

The user’s name will appear in a list.

PearsonAccessnext : Uploading Student Data File

In This Section In this section, you will find information for the test coordinator on:

• the student data file used for online testing • uploading the student data file to PearsonAccessnext

Student Data File Before examinees can be added to test sessions for online testing, they need to be added in PearsonAccessnext . An electronic data file containing examinee information (name and date of birth), as well as ACT High School Code, is used for this purpose. Uploading this data file of examinee information is a required pretest activity for this administration.

Uploading the Student Data File Take the following steps to upload the student data file to PearsonAccessnext . Step Action

1 Go to https://actonline.act.org.

2 Log in with your PearsonAccessnext user account. You will be on the Home screen.

3 Select the Setup menu, and select Import/Export Data.

The Import/Export Data screen appears.

4 Select the arrow beside the Start button, and select Import/Export Data.

The Tasks for Importing and Exporting screen appears.

Step Action

5 Select Student Registration Import from the Type drop-down.

6 Select Choose File and select the Student Data File from your computer.

7 Once the correct CSV file is selected, select the Process button.

The View File Details screen appears

8 When the form has finished processing, an email will be sent to you from PearsonAccessnext <[email protected]> indicating the status of the upload.

9 Once you have received this email, click the Refresh Arrow next to Details at the top of your screen. You will now see the status of your upload is either Complete, which means your students were successfully loaded

Note: If you have the Complete message, you are finished. Click on Exit Tasks. or Complete with issues, which means there were errors in the spreadsheet. You can view the errors and what lines on the spreadsheet the errors occurred at under Steps at the bottom of the screen.

Step Action

10 Troubleshoot and fix the errors listed on the View File Details screen in your

file. Note: Save a local copy of your file in .xls format. You won’t be able to make edits to your file in Excel, but you can use the .xls format to make edits before opening and saving the file in Excel.

11 Once the errors have been fixed in your file, follow the steps above to load the file again.

PearsonAccessnext : Test Sessions

In This Section In this section, you will find information for the test coordinator on:

• the definition of a test session • creating test sessions • editing test sessions

Definition of a Test Session In PearsonAccessnext and TestNav, a test session for this Writing Field Test is defined as a testing event for one class.

You will create one test session for each class and then assign each student to their class’s test session.

For example, there would be one test session created for “Ms. Jeffries’s English class” and another test session created for “Mr. Johnson’s 3rd period class”.

One test will appear in the system: “The ACT Writing Fall 2016,” which consists of two writing tests. Each test has its own seal code.

Creating Test Sessions Take the following steps to create a test session.

Note: Test coordinators are the only individuals who can create test sessions.

Step Action

1 Log in to PearsonAccessnext at https://actonline.act.org.

2 Select the Testing icon.

3 Select the Sessions title. The Sessions screen appears.

4 In the Tasks window, select the checkbox next to Create / Edit Sessions and then select the Start button.

5 Complete all required fields.

Session Name: Name the sessions so room supervisors will be able to easily identify them (e.g., “Jeffries English” or “Johnson 3rd period”). Organization: Your organization/school should be selected; if not, select it. Test Assigned: Select “The ACT Writing Fall 2016”. Form Group Type: Select “The ACT Writing Fall 2016”. Scheduled Start Date: Select the earliest date you plan to test for this session (any day from October 3 through 28). Scheduled Start Time: Leave this at the default of 1:00 AM. Discuss TestNav Setting and Precaching Computer fields with your technical coordinator to determine use and what to enter. Refer to the “Assigning Examinees to a Session” section for how to add examinees once you have created test sessions.

6 Select the Create button.

7 To create additional sessions, repeat steps 4-6.

8 When you have finished, select the Exit Tasks button.

Editing Test Sessions Take the following steps in PearsonAccessnext to edit an existing test session.

Step Action

1 Select the Testing icon.

2 Select the Sessions title. The Sessions screen appears.

3 In the middle of the screen, under the Find Sessions Search drop down, select Show all results.

Note: You may also use the Filters to find a session.

4 In the list, select the checkbox next to the test session you want to edit.

5 In the Tasks window, select the checkbox next to Create / Edit Sessions and then select the Start button.

6 From the side menu, select the test session to edit.

The test session is displayed.

7 Make changes to the session and select the Save button.

8 To make edits to additional sessions, follow steps 3-7.

9 When you have finished, select the Exit Tasks button.

Assigning Examinees to a Session Take the following steps to add examinees to a test session.

2 Select the Testing icon.

3 Select the Sessions title. The Sessions screen appears.

4 In the middle of the screen, under the Find Sessions Search drop down, select Show all results.

Note: You may also use the Filters to find a session.

Organizing Materials for Staff

In This Section In this section, you will find information on:

• materials to be provided by your school • scratch paper • student authorization tickets • printing student authorization tickets

Materials Provided by Your School The school is responsible for providing the following items for each test room:

• pencils with erasers to lend to examinees who do not bring them (for scratch work) • a pencil sharpener • a reliable timepiece as backup: watch, stopwatch, interval timer, or accurate wall clock

Scratch Paper Blue scratch paper is included in your materials shipment from ACT. Examinees must use only the blue scratch paper provided by ACT. Examinees are allowed one sheet per test, for a total of two sheets for the administration.

Student Authorization Tickets The student authorization ticket is a printout that contains:

• the URL the examinee will use to access the online test • his or her individually assigned username and password • his or her name Examinees will have one authorization ticket. It must be collected after the first test and reused for the second test.

Important! The test coordinator prints the student authorization tickets prior to test day. They must be handled as secure and kept in a secure location until all online testing has concluded.

Printing Student Authorization Tickets Take the following steps to print student authorization tickets.

4 In the Session List field, select the session you want to work with. Note: When you begin typing, a list of selections appears. Confirm the correct session by selecting it.

6 Print the tickets.

Note: This activity should occur on the morning of the test, before the room supervisor begins their test session. Room supervisors do not have permissions to do these two activities.

The test session is now In Progress. The Start Session button becomes a Stop Session button. You now have a padlock next to the test. Note: In the examinee table, notice that the Student Test Status is marked as Ready, but has a padlock. This means the test is locked.

10 Slide the button to the right to unlock the test.

Note: The Student Test Status changes from Ready with a padlock to Ready (no padlock). If you do not perform this step, examinees will not be able to access their test in TestNav. An error message will appear indicating their test is locked.

Note: ACT recommends that you unlock all test sessions at the same time and leave them unlocked for the second test, until all testing is completed.

Setting up Computers To set up computers, room supervisors take the following steps in each test room before admitting examinees.

1 On the administrative computer, open PearsonAccessnext at https://actonline.act.org.

2 On each testing computer, open the TestNav application on the desktop.

Using Scratch Paper Examinees may use only the blue scratch paper provided by ACT. They are allowed to have one sheet of scratch paper per test.

Note: All used and unused scratch paper must be collected from examinees and returned to ACT.

Prohibited Items in the Test Room Examinees must not use or access the following items at any time while in the test room:

• textbooks, foreign language or other dictionaries, reading material, notes, or any unapproved testing aids

• scratch paper not provided by testing staff during testing • tobacco in any form • food or beverages, including water

• All electronic devices, including cell phones and wearable devices, must be turned off and placed out of reach, including those of staff. If a device sounds during testing, it is at the teacher’s discretion how to handle that examinee.

• Any items not related to the tests must be placed under the desk.

Starting a Test Session At the administrative computer, take the following steps in PearsonAccessnext to start and run a test session.

Note: Before test sessions can be started, the test coordinator must follow the instructions for preparing and unlocking test sessions in the How to Prepare and Unlock a Test Session on Morning of Test section. Room supervisors must then do the steps below prior to reading Verbal Instructions.

Viewing Examinee Progress in a Session At the administrative computer, take the following steps in PearsonAccessnext to view an examinee’s progress during testing.

6 Search to find the examinee(s) whose status you want to view. The list of examinees appears.

Ready The examinee has not yet started the test.

Active The examinee has logged in and started the test. Note: If the examinee exits the test, but the status remains set at Active, the examinee cannot resume testing unless the status is changed to Resumed or Resumed Upload.

Exited The examinee has exited TestNav but has not submitted test responses. Note: The examinee cannot resume testing unless the status is changed to Resumed or Resumed Upload.

Resumed The examinee has been authorized to resume the test, but has not yet logged in.

Resumed Uploaded

The examinee has been authorized to resume the test, but has not yet logged in.

Completed The test has been submitted by the examinee through TestNav and the data has been processed.

Marked Complete

The examinee has exited TestNav and will not resume the same test, or has never logged in to a test, but the test session needs to be stopped.

8 Select an examinee’s status while viewing the list to view more detailed information about that examinee’s test and item progress.

Closing a Test Session After all examinees assigned to a test session have completed all online testing, or if the testing window has expired, you must close the test session.

Take the following steps in PearsonAccessnext to close a test session.

• Read aloud the instructions in the shaded boxes, exactly as written. Do not depart from the text.

• Do not read aloud text in (parentheses).

• Pause after each series of dots (…) and wait for examinees to finish the task before proceeding. Look at the examinees to be sure they are following instructions.

• Perform all tasks only when directed to do so.

Administering the First Test On the first test day, take the following steps to administer the first writing test.

When time runs out, submit your test according to the instructions on your screen. If you finish before time is up and you have reviewed your work, you may submit your test early. Once you submit your test you will not be able to return to it. If you finish early, sit quietly until I give you further instructions. Are there any questions?

8 If there are no questions, continue by saying:

When I give you the seal code, enter it and select the Start Section button. This will start the timer on your computer. If you have any difficulties entering your seal code, raise your hand and we will assist you.

9 On your administrative computer, look up the seal code for the first test.

10 When you have looked up the seal code for the first test, continue by saying:

You have 40 minutes to work on this test. The seal code is _________________. Enter it and begin.

Note: If examinees do not enter the correct seal code, they will see an error message. If all examinees see an error message, check to be sure you have provided the correct seal code. If an individual examinee sees an error message, help him or her to enter the correct code.

11 During the test, do the following: Verify that all examinees were able to start the test. Walk around the room periodically to monitor examinees. Monitor examinee progress on your administrative computer.

12 Keep track on your administrative computer of the 40-minutes time allowed for this test so you and your staff can be vigilant as time expires for each examinee. When examinees submit the first test they will be on the instructions screen for the second writing test. When they are, direct them to log out of TestNav. To do so, the examinee can: press Ctrl-Alt-Delete (on Windows); or select Log out of TestNav from the Person icon dropdown at the top of the examinee’s screen The examinee is logged out. On the administrative computer, the examinee’s status is Exited. Note: All examinees must be logged out of TestNav before examinees can be dismissed.

13 When you are certain that all examinees are logged out of TestNav, continue by saying:

This concludes today’s test. Sit quietly while we collect your student authorization tickets and scratch paper.

14 Collect the student authorization tickets and scratch paper from each examinee. Do not allow examinees to handle the tickets or scratch paper of other examinees.

15 Dismiss examinees per your usual classroom procedures.

16 Store the student authorization tickets and used scratch paper securely. The tickets will be re-used for the second test.

17 On the administrative computer, log out of PearsonAccessnext .

Administering the Second Test On the second test day, take the following steps in PearsonAccessnext to resume testing.

Notes: • Only examinees in Active or Exited status can be resumed. • Examinees must have submitted the first test to be able to take the second test. If an

examinee was absent for the first test he or she must complete the pretest section and submit a blank first test before taking the second test with the rest of the class. See Irregularities.

20 Keep track on your administrative computer of the 40-minutes time allowed for this test so you and your staff can be vigilant as time expires for each examinee. When examinees submit the second test, they are automatically logged out of TestNav. Examinee status will be “Completed”. Testing staff must verify that all examinees move properly through the screens and end up on the screen that indicates they have logged out of TestNav.

21 When you are certain that all examinees are logged out of TestNav, continue by saying:

In This Section In this section, you will find information on:

Definition of an Irregularity An irregularity is something that occurs in the course of a test administration, affecting one or more examinees, the test materials, the facility/equipment, or the staff.

A group irregularity is something that affects a group of examinees (e.g., one room or the entire site).

An individual irregularity is something that affects a single person or several individuals involved in a single circumstance (e.g., communicating answers to each other).

The Irregularity Report The Irregularity Report is an online form used to document and report all testing irregularities for online testing. Test coordinators and room supervisors can download and submit it in PearsonAccessnext .

Submitting an Irregularity Report Take the following steps in PearsonAccessnext to submit an Irregularity Report.

1 In the Support menu, select Documentation and open the Irregularity Report.

2 Complete the Irregularity Report with as much detail as you can (e.g., who said and did what, when, and where).

3 Save the completed Irregularity Report to your desktop or somewhere locally, giving it an identifiable name. Notes: Use a maximum of 30 characters for the name (excluding the “.pdf” file extension). ACT recommends you use an irregularity number and test session name in the file name (e.g., IR1 Smith Lab 212 The ACT, IR2 Smith Lab 212 The ACT).

4 In PearsonAccessnext , in the Support menu, select Support Requests. The Support Requests screen appears.

5 In the Tasks window, from the Select Tasks drop down, select the checkbox next to the Create / Edit Requests title.

8 In the Title field, enter the name that you named the Irregularity Report (exclude the “.pdf” file extension). Note: The Title field accepts a maximum of 30 characters.

9 In the Category field, select Submit Online Forms.

10 In the Question / Concern field, enter a very brief description of the irregularity (e.g., prohibited behavior, examinee illness, network problem).

11 To attach any additional documentation, select the Choose Files button and follow the prompts.

12 Select the Create button. A “Success, changes saved” message appears and the report is now listed in the Request List on the left side of the screen.

13 When you have finished, select the Exit Tasks button at the top of the screen.

14 Repeat these steps to submit an additional Irregularity Report.

Handling Irregularities If you are unsure how to handle a situation, ask the test coordinator to call ACT.

You must document the following situations on the Irregularity Report:

• Examinee becomes ill or must leave the test room during a test. Instruct the examinee to submit the test (even if incomplete) and log out of TestNav. Excuse the examinee per school policy. Examinees who return to class are not permitted to resume testing. Note: If this occurs during the first test, the examinee is allowed to take the second test.

• Examinee gives or receives assistance, attempts to copy from another examinee, disturbs others, or uses unauthorized testing aids. Stop the examinee’s test and dismiss him or her per school policy. See Stopping/Interrupting a Test.

• Examinee received less or more than the allotted time on a test. If an irregularity results in an examinee receiving something other than 40 minutes exactly on a test, indicate the amount of time the examinee received for the test and the circumstances.

• A disturbance or distraction occurred (e.g., fire drill, announcement over PA). Describe the incident. If testing had to be stopped for the class, note the testing time elapsed and indicate whether or not testing resumed. Do not resume testing if examinees will not have 40 minutes to complete the test. See Stopping/Interrupting a Test and Resuming an Interrupted Test.

• Examinee refuses to participate. How to handle examinee refusal is at your discretion, but do not allow the examinee to disrupt testing.

• Examinee is absent on the first test day but present on the second test day. The examinee will skip the first test and take only the second test with his or her class. See Instructions for Examinees Who Miss the First Test.

• Examinee is present on the first test day but absent on the second test day. Mark the examinee’s test complete. See Marking an Examinee’s Test Complete.

• Examinee is absent on both test days. Remove the examinee’s name from the test session. See PearsonAccessnext : Examinees and Test Sessions.

Handling an Emergency Evacuation In the event of an emergency evacuation, your first concern must be for the safety of examinees and testing staff. If an emergency occurs, and if time permits and it is safe to do so, take the following steps before you evacuate.

Step Action

1 Direct examinees to immediately log out of TestNav (on Windows, pressing Ctrl-Alt-Delete is the quickest method—it will force an automatic logout).

2 On the administrative computer, log out of PearsonAccessnext .

3 Make note of the time.

4 Collect authorization tickets and scratch paper.

5 Lock the test room.

Note: Also see Stopping/Interrupting a Test and Resuming an Interrupted Test.

Instructions for Examinees Who Miss the First Test If an examinee missed the first test day (did not log in to TestNav), the examinee must complete the pretest section and submit a blank first test (nothing entered for the essay) on or before the second test day. The examinee can then take the second test with the rest of his or her class. Follow these instructions.

Step Action

1 Hand the examinee his or her student authorization ticket. Instruct the examinee to log in to TestNav and read the Welcome screen.

2 When the examinee has logged in and read the Welcome screen, say:

Select the Start Test Now button. You should see a pretest screen.… Read the information on the pretest screen, select the Start Section button and complete the pretest questions. When you finish, exit the pretest section….

When the examinee has completed and exited the pretest section, he or she should see the screen for the first writing test.

3 At the screen for the first writing test, instruct the examinee to enter the seal code for that test. Note: If you don’t already have the seal code for the first test, look it up on your administrative computer.

4 Instruct the examinee to ignore the test assignment and immediately submit the first test without entering anything in the essay (the essay field must be blank). Tell him or her to dismiss the warning that appears about leaving the essay question unanswered. After submitting the blank test, the examinee should see the screen for second writing test.

Resuming an Interrupted Test If testing was interrupted and examinees were logged out of TestNav (e.g., evacuation, technical issue), testing can be resumed from where the examinees left off and the examinees will not lose time. Take the following steps in PearsonAccessnext to resume testing for the affected examinees.

Notes: • Only examinees in Active or Exited status can be resumed.

• An interrupted test must be resumed in the same class period in which it started. If that isn’t possible, contact ACT for instructions.

1 In the Testing menu, select Sessions. The Sessions screen appears.

2 In the Search menu, select the Checkbox beside Show all results to find all sessions. The results appear in a table.

3 In the table, select the checkbox beside the session(s) you want to view.

4 In the Select Tasks menu, select Show Students in Sessions & Control Sessions. The Students in Sessions screen appears.

5 In the Session List, select the appropriate session.

6 Find the examinees whose status you want to view.

7 Use the table below to decide your next step.

Marking an Examinee’s Test Complete When an examinee submits both tests, the status is automatically marked as Completed in PearsonAccessnext . If an examinee does not submit both tests for that session (e.g., dismissal, illness), the room supervisor or test coordinator must manually mark the examinee’s test complete.

Note: If an examinee did not log in to TestNav (e.g., absent both test days), do not mark the test complete. Instead, remove the examinee’s name from the session. See PearsonAccessnext : Examinees and Test Sessions.

Take the following steps in PearsonAccessnext to mark an examinee’s test complete.

Step Action

1 On the Students in Sessions screen, select the checkbox beside each student you want to mark as completed.

2 On the Select Tasks menu, select Mark Student Tests Complete and then select the Start button.

The Mark Student Tests Complete screen appears.

3 Again, select the checkbox next to each student you want to mark as completed.

4 Enter a reason in the Reason field and select the Mark Complete button. A “Success, changes saved” message appears.

5 Select the Exit Tasks button to return to the Students in Sessions screen. The “Student Test Status” for those students is “Marked Complete.”

Section IV: Posttest Activities After Testing

In This Section In this section, you will find information for the test coordinator on:

• collecting materials from room supervisors • materials to be destroyed • packing and returning materials

Collect Materials from Room Supervisors The test coordinator is responsible for making sure each room supervisor has returned all materials for each class tested. Collect and account for the following items from each room supervisor as soon as his or her class has completed all online testing:

• all student authorization tickets and scratch paper, bundled for each examinee • all unused student authorization tickets • all unused scratch paper • the administration manual

Materials to Be Destroyed After all testing is finished, securely destroy all printed copies of the manual. You may keep copies of the electronic document for your records.

Returning Materials to ACT After all testing is finished, take these steps to pack and return the following online test materials immediately to ACT.

Step Action

1 Place these online testing materials inside the return carton.

• all used and unused student authorization tickets • all used and unused scratch paper

2 Call ACT to schedule a FedEx Ground pickup. The carton is prelabeled and prepaid for FedEx Ground return service.

3 Store the materials securely until they are picked up by FedEx.
