Welcome

In MS Office 2007, Microsoft discarded the concept of using Menus and Toolbars. Microsoft substituted those features by introducing the Ribbon and Quick Access Toolbar. What many users of MS Office still don’t know is both of these features are easily customizable allowing for a more friendly and functional environment. The following is a step-by-step guide for customizing a Ribbon and Quick Access Toolbar in Microsoft Word 2013. In addition, this guide will show how to customize Keyboard Shortcuts.

Customize Ribbon

The default Ribbon consists of Tabs in which Groups are composed of similar Commands. The default settings can be modified by subtracting Groups or by adding Tabs, Groups and/or Commands.

Steps…

To Customize Ribbon

1. From any Word document click on FILE to reveal the Backstage View.

2. Click on Options.

3. Click on Customize Ribbon.

Two columns are displayed. The left-hand column Choose commands from: consists of Commands that can be added to a Group and the dropdown menu contains different options to display commands to choose from. Below the column is an option to customize Keyboard shortcuts.

The right-hand column Customize the Ribbon: consists of a structural layout of Tabs, Groups and Commands. Details can be displayed or hidden clicking on the “+” or “-” to the left of the Tab or Group. Removing the checkmark from the box to the left of the Tab will remove that Tab from being displayed while working in Word. Below the column are options to create a New Tab, New Group, Rename, Reset and Import/Export.

The Add>> feature between the columns allows for selected Commands to be added to a Group. The <<Remove feature allows for a Tab, Group or Command to be removed as long as it isn’t a default setting.

The up and down arrows outside and on the right of the Customize the Ribbon: column allows for Tabs, Groups and Commands to be moved up or down.

To Add a Tab

Click Customize Ribbon

New Tab (Custom) and New Group (Custom) are created.

5. Highlight New Tab (Custom) and click Rename…

6. Type in name. Click OK.

Note: To rename new group highlight New Group (Custom) and repeat steps 5 & 6.

13. From Customize Ribbon on the Word Options dialogue box highlight the Tab, Group or Command wanting to remove and click Remove.

Customize Keyboard Shortcuts

Many commands come with default keyboard shortcuts. Most of these keyboard shortcuts are standard in MS Office and most other software. For example “Ctrl + S = Save” and “Ctrl + C = Copy.” MS Office also allows for customizing of keyboard shortcuts through adding or removing keyboard shortcuts.

Steps…

To Add a Keyboard Shortcut

Note: go to Customize Ribbon on the Word Options dialogue box by following steps 1-3 under To Customize Ribbon directions above (pages 1-4).

1. Click on Customize… to the right of Keyboard shortcuts: to access the Customize Keyboard dialogue box.

2. In the left-hand column under Categories: click on the Category correlating with the desired Commands in the right-hand column.

3. In the right-hand column under Commands: click on the desired Command to create a keyboard shortcut.

4. Click in the field below Press new shortcut key:

5. Click on the Shortcut Keys to be added to the command, for example “Alt + S”

Click in Field. Then click Shortcut Keys.

Note: under the Current keys: field a message will be displayed whether that keyboard shortcut is already assigned to a command. Selecting Assign will remove the keyboard shortcut from the old command and assign it to the new command.

6. Click on Assign.

7. Click Close.

8. From the Customize Keyboard dialogue box select the Command to remove the keyboard shortcut.

9. Highlight the keyboard shortcut in the Current keys: field and click on Remove.

Customize Quick Access Toolbar

Customizing the Quick Access Toolbar is similar to customizing the Ribbon and can create a more friendly and efficient environment to work inside of MS Office. The Quick Access Toolbar can also be set to display above or below the Ribbon.

Steps…

To Customize Quick Access Toolbar

1. Click on the Customize Quick Access Toolbar dropdown arrow and select More Commands… to access the Customize the Quick Access Toolbar dialogue box.

Note: alternatively, select Quick Access Toolbar on the Word Option dialogue box which can be accessed by following steps 1 & 2 under To Customize Ribbon directions (pages 1-3).

To Display Commands on the Quick Assess Toolbar

8. Click on the Customize Quick Access Toolbar dropdown arrow. A checkmark to the left of the Command indicates that Command is being displayed on the Quick Access Toolbar. Click on a Command without a checkmark to display it.

To Move the Quick Access Toolbar Below the Ribbon or Above the Ribbon

9. Click on the Customize Quick Access Toolbar dropdown arrow and select Show Below the Ribbon or Show Above the Ribbon.
