I hope all is well and that you guys are weathering the frigid temperatures as well as can be expected! We are busy getting ready for another season to start; it’s hard to believe that, as of tomorrow, Opening Day is just two short months away! Just as hard to believe is that it’s already been over nine months since we all worked so rapidly to put together the Earth Day program at the ballpark last April and, along those lines, we were wondering if the EPA might be interested in collaborating on some Earth Day initiatives and programming again in 2014. We have a 7:05 PM home game that day and, with significantly more time to plan, I think we could potentially put together an even more creative and impactful event, if there remains a mutual interest.
Please let us know your thoughts and we’ll look forward to speaking with you further.

Ron Slotkin would be the keeper of the video that we played at the beginning of the Nats game on Earth Day. The video featured Bob P welcoming the fans the Earth Day game. The other thing we did was to provide the Nationals with recycling quiz questions. Several times during breaks in the game, a Nationals representative picked two fans from the crowd to take the quiz. The winner got a Nationals gift item. This was shown on the Jumbotron to the whole stadium. I don’t remember any other video content that was shown at the game. Photos from the game (Bob P. pitching, etc.) were posted on the Agency’s Flickr page. Happy to talk about it more, if I can be helpful. - George

The Administrator and likely Secretary Moniz, will be throwing the first pitch at the Red Sox Yankees game at Fenway Park in Boston on 4/22 – Earth Day. We are going to start working with Red Sox on the program and options for the jumbotron.
Alisha reminded me that there were recycling and other videoclips done for Bob P’s earth day first pitch at the nats game last earth day – so we are hoping to get a hold of those (realize this was in your previous life!) to see if they are sufficiently generic (or could be easily edited to be) so we could use them on 4/22 here in Boston.
Also – Carly – we will want to touch base with you on the Green Sports angle on all of this.

Dan – Thank you again for sending me the letter of invitation. I can now formally confirm Administrator McCarthy’s participation at the game on Tuesday, April 22. Thank you so much for your gracious offer to provide the Administrator with a ticket for herself and her guest but unfortunately I’ve been informed by our ethics office that she cannot accept these. However, I’m sure she will want to stay for the game and will therefore purchase her own tickets.
Please note that the Administrator will have several staff members with her. Earlier in the day before her arrival at the game we would like to have a member of our Advance team (Jeff Tate copied above) as well as a member of her Security team visit the stadium to walk through her exact steps for the evening. Approximately 1 hour prior to the game Jeff and the same Security team member will arrive at the stadium in advance of the Administrator’s arrival. I would suggest that each agency/organization put together three to five 15-30 second clips that we can work into the pre-game and in-game entertainment. Sound good?
It would also be great if the group could put together a one-pager surrounding social media efforts that I can share with our marketing team.

With regard to content of the PSA, it will have to be approved by Joanna Warner, our Senior Director of Corporate Communications. I have copied her on this email for a response. With regard to video specifications, the below is what I’ve received from our Production Department:
Videos should be submitted with (square) pixel dimensions of either 1920x1080 or 1280x720 with a frame rate of 29.97 fps
Best Quality:
QuickTime mov using Apple ProRes 422 codec
Stereo Uncompressed 48 kHz/16 bit audio - audio peaks should be near -6 db
(30 second 1080p videos should be around 500 MB)
Smaller file size:
H.264 submitted as an mov or .mp4 with a constant bit rate (CBR) of 35,000 kbps or 35 Mbps
Stereo AAC compressed audio at 48 kHz and 320 kbps - audio peaks should be near -6 db
(30 second 1080p videos should be around 150 MB)
Preferred Delivery Methods:
Nationals FTP using an FTP client such as Filezilla <https://filezilla-project.org/> or Cyberduck <http://cyberduck.ch/>

I spoke with Jennie Keith in our Ethics office yesterday to ensure that we stay within the ethics laws during our events on Earth Day with the Nats and the Red Sox. Here is a summary. I’ve also attached the guidance that Justina gave last year for the Nats game.
* The Administrator and Deputy Administrator (and Mathy) must pay market value for any “gifts” that go with pre-game ceremonies (throwing out the first pitch). So, if they want the tickets, parking, hats, shirts, etc., they must pay for them or turn it down.
* If the Administrator and Deputy Administrator (and Mathy) stay for the game after the pre-game ceremonies, they must pay for their tickets or work (and then they wouldn’t have to pay for their tickets). If they don’t want to pay or work, then they must leave the game. This would constitute work:
o If we have a kiosk/booth/table with information regarding EPA, Earth Day, climate change, recycling, etc., they must work the area and provide information to ballpark guests.
o If they give an interview during a break in the game that is broadcast on the jumbotron or on TV. They must
speak about Earth Day, climate change, etc. and not just about the game. If the interview is completed and shown pre-game and not during the game, that does not fulfill the “work” obligation because that would be part of the pre-game ceremonies.
* Any staff who attend must pay for their tickets if they intend to stay after the pre-game ceremonies, unless they are working the kiosk/booth/table and giving out information related to Earth Day. They will be on official duty so they should put it on their timesheet.
* The photographer is on duty during the pre-game ceremonies photographing the Administrator or Deputy Administrator. If the Administrator and Deputy Administrator work during the game and the photographer is taking pictures of their work, he is on duty. If the Administrator and Deputy Administrator do not work during the game, then the photographer is also off duty and will have to pay for his ticket if he stays for the game.
* Any spouses or guests of EPA employees must pay for their tickets.
Nancy, Jennie wasn’t sure what arrangements have been made with the Red Sox and whether there is some sort of co-sponsorship agreement. She said that your Ethics folks can give you guidance regarding any EPA staff, but since certain things involve the Administrator, she would like to be kept in the loop. Can you let her know of anything specific that is outside of what I’ve outlined above?

Dan Lyons believes we cannot accept the tickets based on the info below from Arian – which I know that Arian got from OGC ethics at HQ. That seems to have changed based on the new guidance that says if they are working they can accept the tickets.
We need to decide who is working and who is not --- i.e., who needs/wants a seat.
Besides Deb and Curt and their plus ones – which we are prepared to pay for – any of the other of us going would be working and could stand and not have seats.
We just need to understand that the sox only give us 4 seats with the pitch – and others who want to sit and watch the game have to purchase seats.
And then there are the 10 seats Gina wants to purchase.

We are working to resolve the confusion around tickets for the Tuesday night game where Secretary Moniz and Administrator McCarthy will be throwing out the first pitch. As you know, as government agencies we have restrictions on what we can accept from outside organizations.
One issue we need to clarify is how many tickets come courtesy of the Red Sox to the individuals throwing out the first pitch. My colleague at the Energy Department indicated he had been told that 4 tickets would go to the Secretary as part of his participation – so we assume the same would be true for Administrator McCarthy.
The reason we need to confirm this info is because that will then determine how many other tickets we will need to purchase.
Also, we will have staff there who will be doing social media from the game – who will not need a seat – so presumably they can stay and will not need a seat.
Thanks for your patience – once we have this information from you – we will work quickly to confirm the ticket purchase orders for EPA and DOE.

Matt – I think you are on the ground – and if not an imposition .. could we hop on the phone sometime before you have to sleep? I think we should try and have Tony Redlinger from DOE on as well as they are trying to figure the same thing out.
Dan Lyons believes we cannot accept the tickets based on the info below from Arian – which I know that Arian got from OGC ethics at HQ. That seems to have changed based on the new guidance that says if they are working they can accept the tickets.
We need to decide who is working and who is not --- i.e., who needs/wants a seat.
Besides Deb and Curt and their plus ones – which we are prepared to pay for – any of the other of us going would be working and could stand and not have seats.
We just need to understand that the sox only give us 4 seats with the pitch – and others who want to sit and watch the game have to purchase seats.
And then there are the 10 seats Gina wants to purchase.

Thank you so much for your gracious offer to provide the Administrator with a ticket for herself and her guest but unfortunately I’ve been informed by our ethics office that she cannot accept these. However, I’m sure she will want to stay for the game and will therefore purchase her own tickets.
Therefore, the invoice that I sent you was for the purchase of 23 tickets that was to include the following people:
Administrator and 4 staff = 5
Administrator personal ticket request = 10
EPA Boston staff = 8

Hi Dan and Chris,
We are working to resolve the confusion around tickets for the Tuesday night game where Secretary Moniz and Administrator McCarthy will be throwing out the first pitch. As you know, as government agencies we have restrictions on what we can accept from outside organizations.
One issue we need to clarify is how many tickets come courtesy of the Red Sox to the individuals throwing out the first pitch. My colleague at the Energy Department indicated he had been told that 4 tickets would go to the Secretary as part of his participation – so we assume the same would be true for Administrator McCarthy.
The reason we need to confirm this info is because that will then determine how many other tickets we will need to purchase.
Also, we will have staff there who will be doing social media from the game – who will not need a seat – so presumably they can stay and will not need a seat.
Thanks for your patience – once we have this information from you – we will work quickly to confirm the ticket purchase orders for EPA and DOE.

Hi all – Liz, Leah and I just got on the phone. We decided that we’ll produce three graphics which will be shared with the group by COB:
1) A graphic with the three logos that reads “Fenway Park is carbon neutral today. What are you doing to #ActOnClimate?” (this is in the style of Liz’s graphic 1)
2) A graphic with the three logos that reads “Boston has cut carbon pollution by X%. What are you doing to #ActOnClimate”?

I think it’s worth cutting one of the PSA’s to get these graphics out there – it will greatly participation in the conversation over social media.

Attached is a start on a doc to help coordinate messaging and social media. I compiled all the PSAs so we can start to see how they fit together. I'm not sure how details or scripted you all want to get, but I started drafting some tweets as well. We have so many messages to get out, I think it can't hurt to try and be as strategic as possible! Keep in mind this is just my initial brainstorm, so please fill in gaps and feel free to move things around, just use track changes so we can all be on the same page.

We'll use the #ActOnClimate hashtag on the final bumper of each one to tie them into the theme.
As I mentioned on the call, Energy.gov videos are less like traditional PSAs and more like broad narratives on how regular people are making a difference — so I think these should be nice complements to the more direct PSAs your agencies have produced.
I'll get working on DOE's contribution to the social media one-pager, too.

Red Sox to honor University of Connecticut men's and women's basketball teams Tuesday at Fenway Park
BOSTON, MA - The Red Sox today announced that they will honor the University of Connecticut's men's and women's basketball teams for their NCAA Championship wins tomorrow, Tuesday, April 22, at Fenway Park. This year marks the fourth and ninth national title for the men's and women's teams, respectively.
The Huskies will throw out the ceremonial first pitches before Tuesday's 7:10 p.m. game that opens a three-game series against the New York Yankees. Senior guard Shabazz Napier will throw for the men's team, and junior forward Kaleena Mosqueda-Lewis will throw for the women's team. Connecticut Governor Dannel P. Malloy will also be in attendance and participate in the ceremony.
The Red Sox will also celebrate Earth Day during Tuesday's ceremonies, presented by National Grid. U.S. Secretary of Energy Ernest Moniz, EPA Administrator Gina McCarthy, and President of National Grid Massachusetts Marcy Reed will be present for those ceremonies.

Here is the latest on tickets/passes – I will try to make this understandable:
As of Easter Sunday we were looking at 4 complimentary tickets – for the Administrator and three others working with her (me, Tom and Jeff). I believe I was purchasing 11 other tickets – 7 for the Administrator’s family and 4 for Region 1 leadership.
Last night, I was asked to see if I could secure another ticket for the Administrator’s family – bringing the total purchased for her family to 8. So, I realize there is not a limitless supply of tickets and you cannot just make new seats to put all of these folks. One solution would be to convert a “complimentary” ticket (mine) to an actual ticket and I would pay for that one, as well. I will be staffing her and I would utilize a guest pass – not actually taking a seat.
I hope that makes sense.

Items to note.
1. Tickets - They did not have the tickets available today, but I'll have them tomorrow on site at 5 pm. According to them everyone on our side, minus the PSD guys, have a ticket for an assigned seat.
2. Jersey - Her jersey will be ready and waiting for her upon arrival to the stadium. She can change into it in the holding area.
3. Pick Up & Departure - With her going home after the Aquarium event, we'll need to determine who from the traveling staff will stay with her and ride back with the family. As of now the limo can accommodate 5 ppl. So, that would include RAM + 3 family members. Leaving space for one staffer - Matt or Tom. Whoever isn't riding with her will need to come in advance.4. Access to the field - They're asking that we keep it to 5 ppl total going down to the field with her. So, after she's done with the interview everyone else not included in that 5 will have to go to their seats. I'm proposing RAM, 3 family members, 1 PSD, and 1 staffer (Matt/Jeff).
We'll have someone from the Red Sox organization to escort her around. I think that covers everything.

Following up on our conversation today, the below is a quick overview of the logistics tomorrow:
PARKING
-Currently, we have Bob Perciasepe and Mathy Stanislaus on the Garage C list for tomorrow’s game. Once you have the names of the staff who will be staffing the “Community Clubhouse,” please pass them along to me and we’ll add those names to the list as well.
-Garage C is adjoined to the ballpark and the entrance is located on First Street, S.E., just south of the intersection with N Street, S.E. Any of the participants whose names are on the list will simply need to identify themselves to the parking attendant and they’ll be granted access into the garage.
BALLPARK ACCESS
BOB PERCIASEPE AND MATHY STANISLAUS
-If Bob Perciasepe and Mathy Stanislaus will have their tickets prior to arrival at the ballpark, the easiest thing for them to do is have them exit the parking garage via the elevators (located on the opposite side of the garage from the vehicle entrance). Once exiting the elevators on the ground floor of the garage, they’ll be right in front of our Center Field Gate and they can simply enter through this gate using their tickets, at which point they’ll find themselves in our Center Field Plaza. Once an arrival time for each of them has been confirmed, I’ll plan on meeting them inside of the Center Field Plaza (Michelle Valdez may meet Mathy if he arrives later than Bob does).
If Bob and/or Mathy (and/or any family members or anyone else from the EPA that would like to be on the field pregame) won’t have their tickets before they arrive tomorrow, I’ll meet them outside of the Center Field Gate at the bottom of the elevators, as opposed to inside of the Center Field Plaza. Just let me know.
-Do we have arrival times for each of them? Bob should be there by no later than 5:45 PM (for the interview), and Mathy should be there by no later than 6:15 PM.
-MY CELL PHONE NUMBER IS 202-302-3126. Can you provide me with cell phone numbers for Bob and Mathy (or whomever I should call on their behalves) if I need to contact them for any reason during the afternoon?
COMMUNITY CLUBHOUSE STAFF
-London Hitchman will handle their access and will coordinate details with you once he receives the completed form that I sent him earlier. I’ve alerted him that I’ll be taking care of the parking for this group once I receive the names, so no need to include on the form.
ADDITIONAL FIELD GUESTS
I’ll need to know by tomorrow morning if anyone else from the EPA or any of Bob’s or Mathy’s family members will be on the field before the game tomorrow as well (so that we can bring additional credentials). If you’d like an EPA photographer to be on the field before the game tomorrow, I’ll need to know that today, as we’ll have to coordinate through our communications department.

Thanks for passing along the tweets. I’ve forwarded to our marketing department. As far as Mike’s full name and
title, it’s Mike Ploger and his title is In-Game Host.
As far as warming up, we’ll do our best and while I think we can get it under 20 minutes, I’ll have to have him on the field at least 5 or 10 minute before he throws. This isn’t a very easy request for us to accommodate, as a general rule, but we’ll see what we can make happen.

Thanks for passing along the tweets. I’ve forwarded to our marketing department. As far as Mike’s full name and title, it’s Mike Ploger and his title is In-Game Host.
As far as warming up, we’ll do our best and while I think we can get it under 20 minutes, I’ll have to have him on the field at least 5 or 10 minute before he throws. This isn’t a very easy request for us to accommodate, as a general rule, but we’ll see what we can make happen.
Also, are you able to confirm that all of the information in the interview questions is correct? And how about contact numbers for this evening?

He said last year he was given time to warm up, but then had to wait about 20 minutes before pitching, which makes the pitch more difficult.
