Letter from the General Secretary

Dear Supporters of the St Austell Festival,

I have pleasure in sending you the syllabus for our 2019 festival. This year we

are delighted to welcome Jenny Thornton as our adjudicator for the Spoken

Word. Jenny is an old friend of the festival and she was last with us in 2014.

We shall also be delighted to welcome Marilynne Davies to adjudicate

Music; she is another old friend who was last here in 2013.

In the Spoken Word, primary school age classes have continued to be very

well supported. There are two changes this year. We have introduced a Year 2

Duologue (Class 12) for the first time. We hope it will encourage those who

may like to begin taking part in the festival with a friend beside them! The

other new class is very special. Marjie Fenston James has been associated

with encouraging young people in the Spoken Word locally for many years,

especially at Tywardreath. She has adjudicated the Spoken Word for us in the

past. Marjie has been writing lots of lovely poems, including many related to

Cornwall. Class 8 this year will be the Marjie Fenston James Class. It sets a

choice of two of her poems for Years 3 and 4 and two poems for Years 5 and

6. (We’ll award a trophy for each age group in that class.) The class will

replace in 2019 the class for a poem by a Cornish poet or about Cornwall. As

I said last year, it would be good to have some more primary school drama

entries. Schools can choose one of the scripts set or the drama group can

create their own script based on a given theme. Being involved in drama is so

rewarding and such fun – do come and share your drama with us!

Secondary drama classes have always been non-competitive and since 2013;

instead of setting specific classes, we have invited drama teachers to bring

students to present their work to be professionally assessed by our adjudicator

according to their own criteria and requirements. We want to encourage more

drama from secondary school individuals and groups - please make the most

of this excellent opportunity to have your work performed in public and be

assessed by a professional adjudicator! Secondary poetry classes will be as

in 2018.

In Music there are no changes in 2019.

Adult Participation

Adult entries in recent years have been disappointing, but I do so want to

encourage adult soloists, groups and choirs to enter so that we can put

together a full and enjoyable Friday evening programme of adult music. This

year again we are just including one non-competitive class for adult solo

singers, Class 39, which asks those who enter to sing two contrasting songs

for a maximum of eight minutes. We hope that the opportunity to perform in

public and benefit from the adjudicator’s advice without the element of

competition may be attractive! There is also an open non-competitive

instrumental class on a similar basis, Class148.

Composition classes

Once again, I should also like to draw your attention to two composition

classes; one is for a song sung by the composer (Class 36) and the other is for

a composition by a young composer (Class 147). Composition is now an

important part of both GCSE and A Level Music, so this is an excellent

opportunity for students to perform publicly, benefit from the advice of a

professional adjudicator and so enhance their examination performance.

Accompanists

We welcome our official accompanists once again this year. They are

Suzanne Brodie, Hannah Hawken and Stephen Watts. Please be sure to get

in touch with them at least three weeks before the festival if you wish to use

them. They will be happy to arrange a rehearsal. The syllabus indicates which

classes they will be able to accompany and how they can be contacted.

If there is a music class you wish to enter which does not appear in our

syllabus, do get in touch with me, because I’ll always be happy to consider

including it!

Entry fees remain the same as last year and are among the very lowest

charged in the country by festivals affiliated to the British and International

Federation of Festivals. Please consider becoming a Friend of the Festival,

especially if you have children who will be taking part several times. £10 for a

single person or £15 for a couple give you access to all festival sessions,

including the concert. More details are included in the syllabus.

Gala Concert

We decided in 2018 to have our gala concert in February 2019, rather than on

the last evening of the festival, but, of course, it had to be cancelled because

of snow! This has made us realise that bad weather is always a bigger risk in

January and February, so we have decided to return to our former practice of

holding a concert on the final evening of the festival. We may begin the

concert a little earlier to enable families to enjoy other commitments that they

might have later in the evening! (There is, of course, so much going on in

December!)

Data protection

We have done our best to take account of the data protection regulations. Our

syllabus incudes our Privacy Notice and the more detailed Privacy Policy can

be found on the Festival website or obtained from the secretary. Our entry

forms require you to sign to say that you are willing to give the necessary

consents for this and our safeguarding policy. Parents or guardians need to

sign for young people 16 or under. Alternately, teachers can sign to indicate

that they have received the necessary consents for individual entries. We are

very grateful for your co-operation. Please note that if you so not wish the

name of a performer to appear in our programmes or the name of a winner to

appear on our website or in the local press, you need to let us know at the time

of entry.

The deadline for entries is Friday 4th October. Please do your best to get

entries to us on time. It is a complex task to prepare the programmes and this

can only be done when we know the nature and number of entries.

I want to end with a very important plea for more committee members.

Our present committee is wholeheartedly committed to providing the

opportunity for people, and especially young people, in the St Austell

area to perform in public. This opportunity enables those who take part

to gain in self-confidence and acquire skills that are invaluable. However,

most of our committee members have been sustaining our festival for

many years and are reaching the point when they need to retire. We are

also conscious that the Festival needs to keep up with many other

festivals by introducing on line entry and payment facilities. We urgently

need some new younger committee members with good computer skills to

join us and take on some of the necessary responsibilities in running the

Festival. Please consider whether you might be able to help. If we cannot

find the help we need, we shall reluctantly have to make the sad decision

that the 2020 Festival will be our last.

OUR ADJUDICATORS

MUSIC

MARILYNNE DAVIES

BA, M Ed, LRAM, PGCA, FRSA

Having studied Voice ‘cello and Piano at the Royal Welsh

College of Music and Drama Marilynne began her career in

education and later studied for a Masters Degree in

Education.

Her experience in teaching ranges from nursery to post-

graduate levels and she has been external examiner and

assessor in performance for a number of universities at the

graduate and post graduate levels.

She was, until recently, Head of the School of Performance

at York St.John University –a post that included Music,

Dance, Drama, Film and Television.

As an adjudicator for the British and International

Federation of Festivals she has adjudicated both in the UK

and abroad. She frequently leads a variety of workshops across the age range and has

initiated and run long term projects organised by individual festivals.

Currently she is Music Director of the 140 strong Harrogate Choral Society, founder

of the Harrogate Polyphonic Choir and director of a small group of female voices

called Beati.In 2011 she was honoured to be one of two Music adjudicators to be

created a Fellow of the British and International Federation of Festivals.Currently she

is Chair of the Fellows.

Her membership of a consortium of European Conservatoires has led her to research

into the Practice of Performance. The results of that research have been implemented

across the Conservatoires.

In her spare time Marilynne enjoys walking - preferably contour walks – playing

social Bridge and collecting enamel patch boxes!

SPEECH

JENNY THORNTON

AGSM (teaching), ALAM (Acting and Public Speaking),

Certificate in Education, LISTD, CDE (Dance)

Jenny trained at the Guildhall School of Music and Drama

gaining awards for Character Acting and Most Promising

Teacher. Jenny has led the Performing Arts Teams in a

large Comprehensive, been an Assistant Principal for

Edexcel, LAMDA examiner and now enjoys running her

own Performance Centre with ages from 4 years to adults

delivering drama, dance and musical theatre and also

writing. Her play called “Gone” gained a Commended

when performed at The Orange Tree Theatre in Richmond

as did her most recent play “Young Love”. She was

delighted when LAMDA chose two of her pieces for their

new acting anthology. Her most recent teaching experience

is working in a state school as a peripatetic teacher as part of her “Outreach”

programme extending the work of the Richmond Festival. Jenny is delighted to be

returning to St Austell Festival and making it a positive experience for all concerned.

“Drama is a life skill that changed me from a stuttering introvert to a confident

individual. We can give our children no better opportunity.” Jenny Thornton

READ GENERAL RULES, PLEASE

1. ENTRIES

Entries should be made on the official entry forms. Schools should use

group entry forms, and not individual forms. Entry forms are also available

on the website. Entry forms, together with the entry fees and stamped

addressed envelope, should be sent to:

Mrs P Whitehouse, 4 Crinnis Wood Avenue,

St Austell PL25 3QD (The Spoken Word).

All entries should be received by Friday 4th October at the latest.

Cheques should be made payable to St Austell Festival of Music and

Speech. Please note that late entries may not be accepted.

Schools wishing to pay by BACS should contact Mrs Savigear or Mrs

Whitehouse for the necessary bank details. In these circumstances the

group entry form may be emailed rather than posted, but please remember

to send confirmation of when the BACS payment is paid, and the amount.

This is particularly important if payment is made by the Academy Trust and

not the individual school.

2. OWN CHOICE

(a) A copy of Own Choice music or poetry must be provided for the

Adjudicators. If no music or poems are provided they may, at their

discretion, allow the competitor to perform, but no marks will be

awarded

(b) Competitors entering Own Choice classes must state on the Entry Form

the title and composer (Music), and the title and author (Spoken Word).

(c) The quality of choice will be considered by the Adjudicators.

(d) Own Choice music or poetry must be handed to the clerk 10 minutes

before the class begins.

3. ACCOMPANISTS

(a) Competitors may bring their own accompanists but the services of the

Official Accompanist will be available.

(b) Competitors requiring an official accompanist in any class should

contact one at least 3 weeks before the festival.

4. GRADED CLASSES

Competitors may only enter once in the Graded Classes for any instrument

or piano, and should not have passed any grade higher than the one entered.

5. Competitors in all classes must be amateurs. An amateur is considered to

be one who does not derive the main part of his or her income from that

section of the Arts in which he or she is proposing to take part in the

festival.

6. AWARDS. The British and International Federation Standard of marking will be

adhered to, i.e.:

75-77 FAIR A performance limited in its communication

78-80 MODERATE A performance showing development of technique

and/or communication

81-83 MERIT A capable performance showing some artistic

appreciation and/or technical ability

84-86 COMMENDED A convincing performance technically and

artistically

87-89 DISTINCTION An excellent performance technically and artistically

90+ OUTSTANDING An exceptional performance, both technically and

artistically

The Adjudicator's decision shall be final. Any complaint must be in

writing, signed, and handed to the Hon. Secretary.

7. Competitors will appear as printed in the official programme.

8. Ages are linked to school year groups for the 2019/2020 academic

year. Other ages as on date of performance.

9. Trophies must be returned to the festival CLEAN and in good order by

Friday 1st November at the latest. Trophies may be returned via the

primary school or directly to the Music or Spoken Word Entries secretaries

(contact details on entry forms).

Holders are responsible for their safe custody and return.

10. Competitors will be admitted free during the session in which they are

competing. A Competitor's ticket, which will be sent in November, must

be shown at the door. Schools will also be sent teachers' tickets so that

teachers accompanying school groups when they are competing can be

admitted free.

11. The prescribed edition of the music chosen for the set pieces in the festival

should be used by all the competitors.

12. A professional may conduct in all choir, orchestra and ensemble classes.

All conductors should note that it is not permitted to sing along with their

choirs.

13. Members of adult choirs must, if required, prove at least two months'

membership prior to the date of the festival.

14. A competitor can only compete once in a class, unless taking part in a group

with three or more other competitors. However, an exception can be made

in case of sickness in, for example, duets and trios at the discretion of the

Committee.

15. Competitors in the Spoken Word classes must perform from memory,

unless stated otherwise.

16. 80 marks must be achieved before a Trophy is awarded. Certificates will

be awarded to ALL competitors. Only the winner of a class, or sub-section of a class, will have a BLUE certificate,

but all those taking part individually will receive a white certificate.

17. Adjudication sheets and Certificates will be awarded to competitors after

each adjudication. They will not be sent by post.

18. Competitors not present when their names are called forfeit their right to

compete unless time can be arranged by the adjudicator.

19. Where, in the opinion of the Committee, classes are too large, they may be

divided.

20. The Committee cannot be responsible for any loss of personal belongings,

musical instruments etc. during the festival.

21. (a) Mobile phones must be switched off during festival sessions.

(b) Audio and Video recording is not permitted during any

performance or adjudication.

(c) Photographs are not permitted.

22. All enquiries relating to the festival should be addressed to the General

Secretary, accompanied by a STAMPED ADDRESSED ENVELOPE.

Note: Except for festival literature, data will not be disclosed to any third party.

Please read our privacy notice and confirm on the entry form that you

consent to this.

Advice to Young Competitors: • Your performance lasts from the time you leave your seat until you return to it. In

an own choice item, announce the title clearly and slowly. When you have

finished, acknowledge the audience and your accompanist, if you are playing or

singing. • Where a time limit is stated, please make every effort to comply with it.

• Please show respect for every performance.

Privacy Notice (revised June 2018)

The St Austell Festival of Music and Speech is a performing arts organisation run entirely by volunteers and registered with the Charity Commission. New regulations about data protection came into force on

25th May 2018. Information such as names, addresses, dates of birth, email addresses and phone numbers can all be described as ‘personal data’. What information do we collect about you? In our festival organisation we handle personal data regularly through paper entry forms, mailing lists, committee, accompanist and volunteer details, information about sponsors and Friends of the Festival etc. We will only ask for such information as is necessary for the efficient administration of the Festival. We do not ask for ‘sensitive personal data’ unless there is a legitimate reason for this – for example, where an entrant may need support to participate in a class, or where there is a legal requirement. How will we use the information about you? We collect information about you in order to process entry to classes in the Festival and for any other administrative functions of the Festival. Access to this data will be restricted to those personnel who administer the festival. It will be stored on password controlled computers; when hard copies are sometimes used to ease administration, they will be kept in a secure place. Legal Basis Personal data will not be collected and processed without your unconditional consent or where there is a legitimate interest. Access to your data and correction Everyone has a right to know what personal data we hold about them and, if they request it, to receive a hard copy of this information at any time. This information can be requested from the General Secretary ([email protected]). We want to make sure that the personal data we hold about you is accurate and up to date and all reasonable efforts will be made to ensure this is the case. You may ask us to correct or remove any information you think is inaccurate.

Retention of data Data may be retained according to the Festival’s Data Protection Policy, which may be found on our website or by application to the General Secretary (as above). Do we share this information with anyone else? The festival will not pass collected data to any third party unless required to do so by law, but it should be noted that names (only) of competitors will appear in our Festival programmes and the names of class winners will be posted on the website and in the local press. If you do not wish a name to appear in any of these places, this should be made clear at the time of entry.

FESTIVAL CONCERT

It has been very difficult to arrange our gala concert on the Saturday evening at the

end of the festival in recent years because of so many other events in early December.

Our concert last year was arranged for Friday 1st February 2019, but had to be cancelled

because of snow! This year we will return to our practice of holding the concert on

the final evening of the festival.

The number of entries may necessitate alteration to this timetable, but we try to arrange

the programme for the convenience of our competitors.

THE SPOKEN WORD

The Jean Sales Cup will be awarded to the Key Stage 2 girl & boy (Years 3-6)

obtaining the highest marks in the set poem classes.

The St Austell Festival is pleased to announce that it has entered into an agreement

with the Authors’ Licensing and Collecting Society. This means that entrants do not

have to seek copyright permission for any poetry, prose or solo dramatic items

performed, to a time limit of 10 minutes. Performers and teachers will be delighted to know that their participation in this

festival means that authors will be directly reimbursed as a consequence of their works

being performed at this festival.

MUSIC

A participation certificate will be awarded to individuals and groups taking part in

non-competitive classes.

St Austell Festival of Music and Speech - Child Protection Policy

The British and International Federation of Festivals for Music, Dance and Speech work

for amateur festivals everywhere to help create thousands of educational performance

opportunities for children and young people each year. The Federation, and our member Festivals, are committed to ensuring safe environments for

children and young people and believe that it is always unacceptable for a child or young person

to experience abuse of any kind. We recognise our responsibility to safeguard the welfare of

all children and young people, by a commitment to recommend best practice which protects

them.

This policy applies to our Board of Trustees, paid staff, Adjudicator members, volunteers,

students or anyone working on behalf of the Federation and our member Festivals.

We recognise that:

• the welfare of the child/young person is paramount

• all children, regardless of age, disability, gender, racial heritage, religious belief, sexual

orientation or identity, have the right to equal protection from all types of harm or abuse • working in partnership with children, young people, their parents, carers and other agencies

is essential in promoting young people’s welfare The purpose of the policy:

• to provide protection for the children and young people who participate in our festivals,

including the children of festival members • to provide staff and volunteers with guidance on procedures they should adopt in the event

that they suspect a child or young person may be experiencing, or be at risk of, harm We will seek to safeguard children and young people by:

• valuing them, listening to and respecting them

• adopting child protection guidelines through procedures and safe working practice for staff

and volunteers • recruiting staff and volunteers safely, ensuring all necessary checks are made

• sharing information about child protection and safe working practice with children, parents,

staff and volunteers • sharing information about concerns with agencies who need to know, and involving parents

and children appropriately • providing effective management for staff and volunteers through supervision, support and

training. The Federation will review this policy each year in November in line with Safe Network

guidance or sooner in light of any changes in legislation or guidance. All changes will be

communicated to our member Festivals in time for the start of the new Festival year.

Creating Safer Festivals for Everyone

The Federation and its member Festivals use the following policies and procedures to create

Safer Festivals for everyone:

1. A single, definitive Child Protection Policy adopted by all Federation Festivals.

2. One or more designated Festival Safeguarding Officers (FSO) appointed for each

Federation Festival: Mrs Anne Keast Phone: 01726 61444

3. Best practice advice in the form of Safe Working Practice and Festival Child Protection

leaflets, with support and training for all Festival staff and volunteers. Including clear

reporting procedures for anyone with a concern about a child.

4. Appropriate recruitment and induction procedures for all new Festival staff and volunteers

responsible for providing safe environments for everyone attending / performing at a

Federation Festival.

5. All Festival personnel wear an official Festival badge. All

teachers/parents/guardians/carers are asked to report all incidents of any nature to anyone

wearing a badge. All reported incidents will be handled in accordance with the Safe

Working Practice and Festival Child Protection best practice advice. In addition we

will ensure the availability of a quiet area / room where concerns can be expressed in

private.

6. For the duration of a Festival all teachers/parents/guardians/carers are responsible for the

continuous care and supervision of their own children/pupils. If they are unable to attend

personally, they must delegate their responsibilities to an identified adult and ensure that

their children/pupils are aware of the identity and name of the person responsible for

their care. This includes supervision throughout all Festival venues, practice and

changing areas that may be provided. The Festival cannot take responsibility for any

property left unattended.

7. No unauthorised photography, audio or video recording of children and young people is

allowed in the performance areas at our Festivals. Where parents/guardians/carers do not

wish photos to be taken at all, then the responsible adult attending should ensure that

their child is not included in official photos.

8. Some children and vulnerable adults may have specific needs in order to take part. If this

is the case we ask the responsible teachers/parents/guardians/carers to contact the

Festival Secretary prior to arrival. The Festival actively seeks wherever possible to meet

these needs, but must know beforehand in order to prepare support – or to advise that

help cannot be provided on this occasion.

9. The Festival’s Child Protection Policy and approach to Creating Safer Festivals for

Everyone is published explicitly in our Syllabus, Programme and Website. By

completing and signing the entry form all parents / guardians / carers and teachers of

competitors under 18 (or vulnerable adults of any age) confirm that they give (or have

obtained) the necessary consents for the competitors to take part in the Festival. Without

consent the entry to the Festival cannot be accepted.

Teachers of Drama in schools and colleges are invited to bring students to

present their work to be professionally assessed by our Adjudicator

according to their own criteria and requirements. A time limit would have

to be imposed according to weight of entries and the nature of the work

presented. First requests made would determine, to some extent, the format of

the programme.

Teachers should contact the Spoken Word Secretary by phone or email to

discuss what might be arranged.
