Step by Step Process
Step One: Open your web browser.
Step Two: Type https://hdirectmail.inpriva.net/admin-ui into the address bar (also called the
navigation bar).
Step Three: Click the Login to Admin Portal button to be taken to the customer login page.

Step Four: Type in the username and password. For the username enter in your complete
Direct Address. *Note: If you do not have your username or password contact Inpriva’s Customer Support. (see
page 20 contact information)
Step Five: Click the Submit button.

Admin Portal Dashboard:
After successful login you will be taken to the Admin Portal Dashboard. This page includes a
listing of all users that are established to date. You can see the Status of the user (pending,
active, suspended) and the user’s non-direct email.
The hIDn Identifier is a unique identifier associated with the mailbox.
The toolbar allows you to take one of several actions on the user account (described in greater
detail in later sections):
• Add – add a new user mailbox
• Edit – edit user details
• Activate – enable the account for use
• Change Password – change user password
• Reactivate – reactivate a suspended mailbox
• Suspend – disable the mailbox. You can still see the account, but the mailbox is not
available for use.
• Delete – the address is no longer valid

Step by Step Process
Step One: Log into Admin Portal (see pages 3-5)
Step Two: Click the Add button.
Step Three: Once the Add button is clicked, you will be directed to the Create Individual Mail
Account page. Complete all fields on this page.
• Username – This will be the what
shows in the direct address. (e.g.
• Password – This must be 8
characters long including an upper
& lower case letter, number, and
special character (~!@$^*?).
• First and Last Name – This is the
user assigned to this mailbox. No
spaces are allowed in these fields.
Ex. Mary Beth has to be either
“Mary”, Beth”, or “MaryBeth”
• Personal Email – The users personal
email address.

Step Four: Click the Create Account button. The new mailbox will show up as Pending status in
the mail accounts list.
Step Five: Activate the mailbox by selecting it (click on it) and clicking the Activate button.

Step Six: The new mailbox status becomes active and a note appears letting you know the
submission was successful.
*Note – Once a mail account is created two emails will be sent to the user’s personal address
that was provided. First is an introduction email and the second gives the user their temporary
password.

Step Two: Select the User Mailbox you want to suspend by clicking on it and then click the
Suspend button.
Once Suspend button is clicked you will see the Mailbox status change to Suspended and a note
of the successful submission.

Step Three: To reactivate the suspended user select the suspended user by clicking on it and
click the Reactivate button.
Once the Reactivate button is clicked you will see the Mailbox status changed back to Active
and the note of the successful submission.

Step by Step Process
Step One: Log into Admin Portal (see pages 3-5)
Step Two: Select the User Mailbox you want to Delete by clicking on it and then click the
Suspend button. *It is very important that you suspend the mailbox first! DO NOT click the
Delete button before going through every step in this process!
Step Three: Go to https://mail.inpriva.net/pact/ in your web browser (see page 3 for how to)
Step Four: Enter the username and password of the mailbox to be deleted and click the Login
button. If you don’t know the password, you can change it in the admin portal. (see page 18)

Step Five: Once in the mailbox, review all messages in the inbox. *This is a critical step. Once
the user account is deleted, ALL messages, including their attachments, will be deleted also.
• If the inbox contains
important information that is
needed continue to step 6.
• If you are 100% sure there is
nothing in the inbox that is
important and needed
continue to step 8.
Step Six: Contact Inpriva (see page 20). Explain to them that you need to delete an account but,
you need to keep the messages within that inbox. Inpriva has the ability to archive those
messages including their attachments. Inpriva will explain the archive process to you.
Step Seven: Test and make sure you have access to the archive that Inpriva provided to you. If
you have issues gaining access to it contact Inpriva (see page 20). Continue through step seven
until you have successful access to your archived information before going ahead to step eight.
Step Eight: Select the suspended mailbox to be deleted and click the Delete button. The
deleted mailbox will disappear from the admin portal. *DO NOT delete without completing all
steps in this process!

Step One: Log into Admin Portal (see pages 3-5)
Step Two: Select the mail account that needs the user changed by clicking on it and click the
Edit button.
Step Three: After clicking the Edit button you will be taken to the Edit Individual Mail Account
page. Complete the following fields and then click the Update Acount button.
• Username – This cannot be changed
• First and Last Name – Enter in the first
and last name of the new user. Again,
there are no spaces allowed in these
fields
• Email – Enter in the new user’s
personal email address.

Step Three: After clicking the Change Password button you will be taken to the Change
Password Individual Mail Account page. Then click the Change Password button.

Switching an Admin User
Process: The current Admin User has to send Inpriva an email giving permission for the new
user to take over the Admin Portal. If the Admin User no longer work for the facility, a member
of the facility who has the legal signing capabilities must send the email giving permissions.
Once the email is received by Inpriva, they will send a step by step process to facilitated the
Admin User switch. The new Admin User will be required to complete a verification process
which will be explained by Inpriva. Any question about this process contact Inpriva. (see below
for contact information)
Annual Renewals
Process: A couple months prior to the expiration of your subscription, Inpriva will send you a
notice to verify your mailbox accounts. Once verified, you will access your Customer Care
account at https://hdm-admin2.inpriva.net/NMS/index.php and proceed to add your needed
plan to the cart. From there you can generate an invoice and summit payment. Any question
about this process contact Inpriva. (see below for contact information)

All communication between you, as the administrator, and the hDirectMail helpdesk should be either over the phone or via your hDirectMail mailbox. The Direct address for administrative support is [email protected]. If you have additional questions about your administrator account, or require further technical assistance, you can access Helpdesk support at the non-Direct [email protected] or you can reach the Helpdesk by phone at 866-936-1423 between the hours of 8:00 am and 5:00 pm Mountain time, Monday-Friday.
