This guide is for Cisco Show and Share administrators that have one or more of the following roles:

• Administrator

• Category Administrator

• Reports Administrator

• superuser

About Cisco Show and ShareCisco Show and Share is a webcasting and video sharing application that helps organizations create secure video communities to share ideas and expertise, optimize global video collaboration, and personalize the connection between customers, employees and students with user-generated content.

Cisco Show and Share provides the ability to create live and on-demand video content and define who can watch specific content. It offers viewer collaboration tools such as commenting, rating, and word tagging. It also provides comprehensive access reporting. Cisco Show and Share is a secured social network for collaboration, communication, learning, and pleasure — unlimited by time and place. People use Cisco Show and Share to improve information, communities, themselves, and each other.

As a Cisco Show and Share administrator, you set the system-wide preferences and settings, assign user roles, integrate other devices with Cisco Show and Share, manage content, and generate system-wide reports.

New in Release 5.6Video download—You can globally enable or disable video download for video authors. When enabled, video authors can download any video that they have uploaded to Cisco Show and Share. You can also globally enable or disable video download for all Cisco Show and Share users. When enabled, users can download a video based on the publishing policy set by the video author.

Refresh speaker cache—You can use the Refresh Cache button to manually update the local user database cache after synchronizing the LDAP server. The speaker cache automatically refreshes daily at 12:00 AM.

PrerequisitesBefore you access Cisco Show and Share, you need:

• One of the following web browsers:

– Microsoft Internet Explorer version 9, 10, or 11 for Windows (see Configuration Note for Microsoft Internet Explorer).

– Mozilla Firefox version 28, 29.

– Chrome version 34.0.1847.131m

– Apple Safari 6.0.5.

• Access to the Internet to download the plugins needed to play Flash, Windows Media, or Quicktime media in your browser (if they have not been previously installed).

• Access to the superuser account or an account with one or more of the following privileges: administrator, category administrator, or reports administrator.

Configuration Note for Microsoft Internet Explorer

For Cisco Show and Share to display properly in Microsoft Internet Explorer, you must configure Internet Explorer to check for changes each time that it loads any page from Cisco Show and Share.

Procedure

Step 1 Choose Tools > Internet Options.

Step 2 Click Settings in the Browsing history area.

Step 3 Click the option to check for changes each time.

Step 4 Click OK twice.

Access Cisco Show and ShareTo access Cisco Show and Share, point your web browser to:

http://server_name

In the above URL, replace server_name with the name of your Cisco Show and Share server, for example http://video.example.com. Do not use an IP address.

Note You may receive a security warning to accept the site security certificate when you first access your Cisco Show and Share site. Confirm the security exception to proceed to the site.

When Cisco Show and Share loads, you see a page similar to the one shown in Figure 1-1. When you first access Cisco Show and Share, you access the site as a visitor.

Note Depending on licensed features and options, your User Interface (UI) screens might look different from those shown in this guide.

Sign In to Cisco Show and ShareYou must be signed-in to Cisco Show and Share to access the administrator functions. The administrator functions that you can access depend on the administrator role or roles that you have.

Role Permissions

Category Administrator Category Administrators create and delete categories. They can browse and view videos. They may also be able to comment on, rate, and tag videos.

Reports Administrator Reports Administrators run and view Cisco Show and Share reports. They can browse and view videos. They may also be able to comment on, rate, and tag videos.

Administrator Administrators can access all of the Cisco Show and Share administrative functions except for those enabled by the Category Administrator and the Reports Administrator roles. They can browse and view videos. They may also be able to comment on, rate, and tag videos.

superuser The superuser role is a default administrator role that you configure when you first set up Cisco Show and Share. The superuser can access all of the Cisco Show and Share administrative functions.

Chapter 1 Start Here Access the Administration Area

To sign-in to Cisco Show and Share, follow these steps:

Step 1 Click the Sign In link in the global navigation area at the top of the page.

Step 2 When the login dialog appears, enter your username and password and click Log In.

You are returned to the Videos page.

Access the Administration AreaProcedure

Step 1 To access the administration area of Cisco Show and Share, click the Show and Share link in the global navigation area at the top of the page.

Step 2 Click Administration.

The Cisco Show and Share administration area appears. What you see depends upon the administrator permissions that you have.

The administrator in the illustration below has all three administrator roles assigned, so all of the options are available. The Reports menu would not be visible if the administrator did not have the Reports Administrator role.

If the administrator only had the Reports Administrator role, they would see the following when they logged into the administration area:

About Cisco Show and Share and Cisco Digital Media ManagerCisco Show and Share administration depends on services provided by Cisco Digital Media Manager (DMM). The software that provides these additional features and services is called Cisco DMS Administration (DMS-Admin). For example, although you assign user roles in the Cisco Show and Share administration screens, users are defined in DMS-Admin.

Because of these dependencies, your Cisco Digital Media Manager must always be reachable from Cisco Show and Share for Cisco Show and Share to function properly. See Ports Used by Digital Media Suite, page A-1 for information about communication between the components of the Cisco Digital Media Suite.

About User Accounts, Role Assignment, and AccessCisco Show and Share user accounts are not created within Cisco Show and Share. Instead, they are created in (or imported to) Cisco Digital Media Manager. By default, those accounts are given the visitor role when the user logs in to Cisco Show and Share until you assign them a role with additional privileges.

However, you cannot assign different Cisco Show and Share roles to user accounts from within Cisco Digital Media Manager. To assign elevated privileges, you must use the Cisco Show and Share administration pages.

Table 3-1 describes the Cisco DMS roles in assigning user access to Cisco Show and Share.

About User Role PrivilegesThere are six Cisco Show and Share user roles that you can assign explicitly, while two additional user roles are implicit. Each role assignment supposes that its members share a set of rights and responsibilities in common. However, you can assign multiple roles to any given user.

Table 3-2 describes the effect that each role imposes on its constituent users.

Assign or Remove User RolesYou can assign one or more roles to Cisco Show and Share users. If you do not assign a specific role to a user, the user is given the visitor role by default.

You can assign roles individually or you can select multiple users to assign the same set of roles to.

Procedure

Step 1 Access the user role management screen:

a. Choose Administration from the global navigation.

b. Choose Manage > User Roles.

a. To navigate the table:

– Browse — Use the pagination controls at the bottom of the table to browse through the list.

– Sort—Click on the User Name, User ID, or User E-mail column heading to sort the table by that column. Clicking on the column again reverses the search.

– Search— Use the search field to match a partial name, ID, or e-mail address. Do not use phrases with spaces.

– Filter—Filter the table by role, group, or both.

b. If using the search or filters, click Go to apply your filter or search. You can combine filtering and searching. To clear the filter or the search, clear the search field and filter lists and click Go again.

c. For each user you want to select, check the check box to the left of the user name. You can select multiple users and assign them the same set of roles as a batch.

Step 3 Assign or remove roles:

a. Click Edit User Role.

The Edit User Roles dialog appears.

b. To review the users you have selected, click See selected users.

A dialog box appears, listing all of the users you have selected. You can remove selected users by clicking the X to the right of their name. Click Done to close the dialog box.

c. Check the check box next to the roles that you want to assign or remove from the user(s). You can assign or remove more than one role.

d. Choose Add selected roles to add the roles to the users. Choose Remove selected roles to remove the roles.

Step 4 Click Save to save your changes.

Search for Users by Their Role AssignmentsYou can quickly identify all users who share a user role in common.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > User Roles.

Step 3 Choose an option from the Filter By list. You can filter the list by user role, by group, or by both.

About File Hosting LocationsA file hosting location is where Cisco Show and Share stores its published files. By default, Cisco Show and Share stores uploaded videos, transcripts, files, and slides locally on the appliance. In this configuration, Cisco Show and Share becomes the origin server for the videos.

We recommend, as a best practice, that you configure Cisco Show and Share to store the files on external servers. You can define external servers for each file type that you support.

A hybrid deployment, in which some file types are published locally to the Cisco Show and Share appliance, and some file types are published to an external server, is also supported.

How Locally Published Files are ServedWhen you publish all files locally, Cisco Show and Share delivers files directly from the appliance using the following methods:

• RTMP (streaming) for FLV and MP4/H.264.

• HTTP (progressive download) for WMV, MP3, and all other assets, such as attached files and text transcripts. HTTP is also used for MP4/H.264 videos when viewed from the Cisco Show and Share mobile application.

External File Hosting Location Server TypesYou can use streaming servers or web servers to host video and associated files.

It is highly recommended that you use an appropriate streaming server as the external file hosting location for FLV and MP4/H.264 videos. If you do not, the video editing feature of Cisco Show and Share will not work. The Cisco Show and Share video editor uses non-destructive editing. This means that the original video remains intact and pointers and markers are used to create the edited version. This type of editing requires a streaming server to play back the video correctly. If you publish an edited file to a non-streaming server, the file will play back in its unedited form.

Table 4-1shows the external server types recommended for each file type

Chapter 4 Set Up File Hosting Locations Guidelines and Limitations

About the Default Hosting LocationIf you publish some or all files to an external hosting location, you must define a Default Hosting Location. The Default Hosting Location is the location used for any file type that does not have a defined hosting location. It contains *.* in the file type for defining the hosting location. Typically, the Default Hosting Location will be an HTTP server.

Guidelines and Limitations• When using the mobile client and external hosting locations, you must define both an RTMP and an

HTTP server for H.264 files. This is because the mobile client accesses the videos from the HTTP server; it does not support streaming video. Users accessing Cisco Show and Share through the web client receive the video from the streaming server. When you first enable external file hosting, both an RTMP and HTTP template are created for H.264 files.

• Even if you specify an external server for Flash and MPEG-4 (.flv, .mp4, .m4v) videos, Cisco Show and Share maintains a local copy of that video to allow for future editing. In high volume deployments, this can cause the Cisco Show and Share drive to become full. To avoid this, you can upload videos directly to the external server and then refer to the video using a URL when adding it to Cisco Show and Share. You will not be able to edit videos uploaded by this method.

Note Cisco Show and Share also maintains two copies of Flash and MPEG-4 published videos when set to local storage—the published version and a copy for future editing.

• If you change file hosting locations when you have existing content in Cisco Show and Share, the content will still appear in the video lists. However, the thumbnails will revert to the default image and the system will report that the videos cannot be found. This is because Cisco Show and Share

is looking for the videos in the new hosting location. You must migrate your videos to the new location before changing hosting locations. It is strongly recommended that you set up your final hosting location before deploying Cisco Show and Share to your organization.

Define External File Hosting LocationsWhen you switch from local file hosting to external file hosting, Cisco Show and Share automatically creates templates for the most used file types. You can modify those templates with your external server information or create new file hosting locations.

One of the locations that you must define is the default hosting location. The DeployLocalConfig Hosting Location drawer contains the Default Hosting location settings. This location should be an HTTP server.

Files that are uploaded as attachments to videos, such as .zip or .doc files, the text transcripts (.txt), and the video thumbnails (.jpg) are also stored externally according to the location defined for those file types. If you do not have a location defined for those specific file types, they are stored on the server defined by the default hosting location settings.

Procedure

Step 1 Log in to Cisco Show and Share as Administrator or superuser.

Step 2 Choose Administration from the global navigation.

Step 3 Choose Setup > Show and Share.

Your browser loads the File Hosting Locations page. In the default state for this page, a check box with the label “Publish locally to <Show_and_Share_appliance_FQDN>” is checked.

Step 4 Uncheck the Publish locally to check box.

The File Hosting Locations page loads a set of drawers. Templates for the hosting locations of the most commonly used file types are pre-populated.

Note If you have integrated the Cisco Media Experience Engine with Cisco Show and Share, all uploaded videos will be transcoded to H.264 in an MP4 wrapper. Windows media files might be excluded from transcoding if bypass is selected by the user. Therefore, you will need to define hosting locations for both H.264 and WMV.

Step 6 (Optional) You can add additional file hosting locations by clicking Create an additional file hosting location. You can remove an unused template by clicking Delete.

• Windows Media Hosting Location: *.wmv, *.asf, *.asx, *.wma

• FLV Hosting Location: *.flv

File upload protocol The protocol or method for file transfer. Either FTP or SFTP. We recommend using SFTP.

Host address The DNS-resolvable FQDN or routable IP address of the remote server where you will deploy files of the relevant file type. Using an FQDN is recommended.

Login name A user account with sufficient privileges to access the remote server.

Login password The assigned password for the login name that you specified.

Directory root location

The relative directory path to files that you will deploy. For example, if the root directory on the server is configured to be /data/ftproot and the absolute path for the deployment site ends with /data/ftproot/vp/flash, then the relative value to enter would be /vp/flash.

Directory root URL path

The URL where Cisco Show and Share will reference your files. This includes the protocol, the FQDN, the application, the codec, and the path. If your video files are hosted on a web server, use the HTTP or HTTPS protocol. If the video files are hosted on a streaming server, use the RTMP protocol. For example:

[protocol]://[servername]/[application]/[codecID:][directory]

A sample URL for streaming a video over RTMP using the above syntax might be:

rtmp://myserver.com/vod/flv:flash

or

rtmp://myserver.com/vod/mp4:mystream

Note When using the RTMP protocol, you must specify the codec ID, for example, FLV, MP3, or MP4. You do not need to specify the codec when you use the HTTP or HTTPS protocol.

A sample URL for playing video over HTTP might be:

http://myserver.com/vod/mp3

or

http://myserver.com:8080/vod/mp4

The second sample shows where the port number appears in the URL when you do not use the default port for the HTTP protocol.

Prepare a Web Server for Externally-Hosted Transcript FilesYou must configure and use a web server for your text transcripts whenever they are stored externally from the Cisco Show and Share server. Your transcript files will be hosted externally when the default file location (*.*) points to an external server or if you define an external server for *.txt files.

In the root directory on your web server, you must save an XML file with the filename CROSSDOMAIN.XML.

Delete a File Hosting LocationWhen you switch from local file hosting to external file hosting, Cisco Show and Share automatically creates templates for the most used file types. You might not need all of them. For example, if you are using a Cisco MXE 3500 running Release 3.3 software, you will not need the FLV Hosting location. You can safely delete it.

If you delete a file hosting location for a file type that has been previously published, files published to that location will be unavailable. Viewers will receive a warning that the file is no longer available.

Procedure

Step 1 Click Delete to the right of the file hosting location name.

Step 2 Click Yes in the confirmation dialog box.

Configure Local File HostingBy default, Cisco Show and Share uses local file hosting. Typically you will not need to perform this procedure unless you are using local file hosting and you change the AAI password. This procedure shows you how to reenable local file hosting.

Procedure

Step 1 Log in to Cisco Show and Share using an administrator account.

Step 2 Choose Administration from the global navigation.

Step 3 If not already there, click Setup > Show and Share.

Step 4 Check the Publish locally to checkbox.

Step 5 Enter the AAI admin password in the Password field.

Step 6 Click Verify Password.

If you entered an incorrect password, you receive the message “URL Test Failed”. Reenter your password and try again. If you entered the correct password, you receive the message “URL Test Pass”

TroubleshootingPublishing for a specific file type fails

When publishing works for one file type and fails for another, it typically indicates a mis-configuration of the file hosting location.

• Check the file hosting location settings for the file type that is failing. If you have two file hosting locations configured for a single file type, for example if you have HTTP and RTMP mp4 file hosting locations configured, try setting up the hosting locations so that they are on different paths in the file system.

• Check the network connectivity between Cisco Show and Share and the file hosting location.

All video uploads fail

If you are using FQDNs for the file hosting locations, verify that you do not have multiple FQDNs associated with the same IP address on the DNS server.

About the Publishing WorkflowBy default, Cisco Show and Share does not impose any workflow restrictions on video publishing. Video authors can publish their own videos without restriction.

The Publishing Workflow without ApproversBy default, Cisco Show and Share users with the Author role have the privileges to publish their own media. When the Author clicks Publish, the video is published to the audience selected by the author (either public to a restricted group of users). The publishing process does not require any approvers.

The Publishing Workflow with ApproversYou might not always want video authors to be able to publish videos without approval. In this case, you can enable an alternative workflow that does not allow video authors to publish their media without approval. Instead, certain users are given the Video Publisher role, which enables them to approve videos that are submitted for publication. Authors are then assigned to that approver. When an author chooses to publish a video, it is sent to the approver. The approver can publish the video or send it back to the author.

Because Cisco Show and Share users can be assigned more than one role, video authors may also be assigned the video publisher role.

You must assign approvers to authors even if authors have publisher privileges. If authors also have publisher privileges, then the authors can also be approvers for their own work.

Approvers can have multiple authors assigned to them. Each author can have only one approver.

Table 5-1 describes the combination of roles and the privileges associated with those roles.

Author only Can create and edit their own work but are not authorized to publish it. They must submit a request to their assigned approver who has the publisher role.

About CategoriesYou can create subject categories that apply organizational logic to your collection of videos. Authors and publishers can assign one or more categories to their videos. Categories can contain other categories and viewers can use the categories to filter their video listing.

After you create categories, they appear next to the Featured Videos browser.

Prerequisites• You must have the Category Administrator role to create and manage categories. You can only

manage categories that you create. You cannot see categories created by other category administrators.

• You must use the superuser account to move, rename, and delete any category created by other category administrators. Additionally, the superuser can reassign category ownership from one user to another.

Create Categories

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Customize > Main Categories.

The Create Category dialog box opens.

Step 4 Enter a unique and descriptive name for this category.

Step 5 Choose whether this category should be located at the Root level or inside another category that you already defined.

Step 6 Click OK.

Move a CategoryYou must be the category owner or superuser to move a category.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Customize > Main Categories.

Step 3 Select the category you want to move. Click the triangle button ( ) to expand categories that contain subcategories.

Step 4 Click Options.

Step 5 Choose Move Category.

The Move Category dialog box appears.

Step 6 Choose a new location from the New Location list.

Step 7 Click OK.

Change Category OwnerCategories are “owned” by the user who created them. You must be the category owner or superuser to rename, move, and delete a category. This procedure allows you to change the ownership of a category. Only the superuser account can change category ownership.

Procedure

Step 1 Log in to Cisco Show and Share as superuser.

Step 2 Choose Administration from the global navigation.

Step 3 Choose Customize > Main Categories.

Step 4 Select the category for which you want to change ownership.

Note You can only change category ownership for top-level categories.

Step 5 Click Options.

Step 6 Choose Change Owner.

The Change Category Owner dialog box appears.

Step 7 Click Select.

Step 8 Choose a new category owner from the list.

Delete a CategoryYou must be the category owner or superuser to delete a category. If you delete a category that has sub-categories, the sub-categories are also deleted.

Deleting a category does not delete videos that belong to that category; it removes that category from those videos.

Visitors and registered users cannot see or use any feature while it is hidden. Later, you can reenable any feature at your discretion. Enable Hidden Video RightsBy default, authors can restrict access to a video to all users or specific users. If you enable the hidden video rights feature, the author can share the URL of a video that is published with the status of hidden. The published video is not visible on any public page; only the author can see the video in their Uploaded tab. The video author can share a URL link to the hidden video so that other users can view the video.

By default, the hidden video rights feature is disabled.

Disable General and Timeline CommentsBy default, viewers are allowed to enter general or timeline comments. You can disable this option globally.

If comments are allowed globally, authors can disable the ability to comment on a specific video when they publish the video. The setting configured during the video publishing applies to the video being published only. Authors cannot enable commenting for specific videos if comments are disabled globally.

By default, commenting is allowed.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 In the Settings area, under Comments (general and timeline), clear the Allow authenticated user to add general and timeline comments check box.

To enable general and timeline comments, check the check box.

Step 4 Click Apply to save your changes and make them active for site visitors.

Disable Anonymous CommentsBy default, viewers do not have to log in to leave general or timeline comments (if comments are allowed). If a viewer leaves a comment without being logged in, the comment is attributed to “Anonymous”. You can require users to log in before they can leave comments so that the comment author is known.

If anonymous comments are allowed globally, authors can disable the ability to comment anonymously on a specific video when they publish the video. Authors cannot allow anonymous comments if anonymous comments are disabled globally.

By default, anonymous comments are allowed.

If video ratings are allowed globally, authors can disable the ability to rate a specific video when they publish the video. Authors cannot enable rating for a video if rating is disabled globally.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 To enable rating, check the Video Ratings check box.

To disable rating, clear the check box.

Step 4 Click Apply to save your changes and make them active for site visitors.

Disable TagsBy default, viewers can add tags to videos. These tags appear in the tag cloud on the Cisco Show and Share home page.

If tags are allowed globally, authors can disable the ability for viewers to enter tags for a specific video when they publish the video. Authors cannot enable tags for a video if tags are disabled globally.

By default, entering tags is allowed.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 In the Settings area, clear the User Tags check box.

To enable video tags, check the User Tags check box.

Disable Supplemental File DownloadsBy default, viewers can download any supplemental files that video authors publish with their videos. You can disable this capability.

Disabling video downloads does not remove the supplement files from the system. Instead, the Files tab is hidden for videos that have associated downloadable files. If you reenable supplemental file downloads, any content that was previously uploaded becomes available again.

Also, authors can still upload supplemental files with their videos when video downloading is disabled. The files will not be available until file downloading is reenabled.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 To disable file downloading, clear the Downloadable Files check box.

To enable file downloading, check the Downloadble Files check box.

Step 4 Click Apply to save your changes and make them active for site visitors.

Video DownloadYou can enable or disable video download for authors so that they can download videos that they have uploaded to Show and Share. You can also enable or disable video download for Show and Share users. By default, Cisco Show and Share users cannot download videos.

Disabling video download does not remove the video from the system. The download button is hidden when the video download feature is disabled.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 In the Download Video area, select or clear the following check boxes:

• Allow users to download videos

• Allow authors to download videos

• Disable video download

Step 4 Click Apply to save your changes and make them active for site visitors.

Disable Video EmbeddingBy default, viewers can copy an embed code to embed the video into their own web pages. Disabling video embedding removes this option.

By default, the video embed code is available to viewers.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 In the Settings area, clear the Video Embedding check box.

To enable video embedding, check the Video Embedding check box.

Step 4 Click Apply to save your changes and make them active for site visitors.

Disable Video EditingBy default, authors can edit videos that are in the draft state. The video editor allows authors to crop videos, create chapters, synchronize slides, and change the video thumbnail.

If you disable the video editor, authors can still upload slides with their video. However, they will not be able to synchronize the slide to the video and the Slides tab will not be available to viewers.

You should disable video editing if your flash video files are not being served from a flash streaming server. Cisco Show and Share uses nondestructive editing. This means that instead of changing the actual video, Cisco Show and Share inserts markers and pointers to indicate the changes. This type of editing requires the video to be served from a Flash streaming server. If the video is being served from another type of server, such as a simple web server, then the edits made by authors will not appear during playback.

If the videos are stored on the Cisco Show and Share server itself, they will be served from a Flash streaming server.

By default, video editing is enabled.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 In the Settings area, clear the Video Editing check box.

To enable video editing, check the Video Editing check box.

Enable Image Smoothing for Attached SlidesSlide quality may be diminished when they are viewed in the Slides tab. This is caused by the resizing of the slide .jpg file. You can enable image smoothing to enhance the quality of the slides displayed in the slides tab.

By default, image smoothing is disabled.

Limitations and Restrictions

If you are hosting the slides on an external server:

• You must have a crossdomain.xml file in place on the web server that hosts the slide images. See “Set Up File Hosting Locations”, for information about crossdomain.xml files.

• Do not enable this feature if you are using a content delivery system, such as Cisco ACNS or Cisco ECDS, that uses redirects to server content.

If you are hosting the slides (.jpg files) on the Cisco Show and Share appliance, there are no restrictions.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 In the Settings area, check the Image Smoothing check box.

To disable image smoothing, clear the Image Smoothing check box.

Step 4 Click Apply to save your changes and make them active for site visitors.

Enable QuickTime Plugin DownloadThe QuickTime plugin is used to decode H.264 live event streams in Cisco Show and Share. Enabling the plugin download causes Cisco Show and Share to attempt to download the plugin (if needed) for viewers of a live event. If you disable this feature, viewers without the plugin will receive an error message when attempting to view a live H.264 stream.

By default, QuickTime plugin download is enabled.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 To disable this feature, clear the check box under QuickTime Plugin Download in the Settings area.

Step 4 To enable this feature, check the check box under QuickTime Plugin Download in the Settings area.

Disable Access by Anonymous VisitorsBy default, anonymous visitors can access Cisco Show and Share to search, browse, filter, and watch public videos. You can disable access to Cisco Show and Share portal and redirect anonymous visitors to the sign-in screen.

Note The forced login feature is active only on the Show and Share portal—not the embedded player, mobile devices, or APIs.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 To disable access by anonymous visitors, check SnS Login Required check box.

To enable access by anonymous visitors, clear the SnS Login Required check box.

Step 4 Click Apply to save your changes and make them active for site visitors.

Refresh Speaker CacheThe Refresh Cache button is used to update the local user database cache after synchronizing the LDAP server. Refreshing the cache will take from one minute to one hour depending on number of users in system. For 10,000 users, the refresh time is approximately one minute; for 200,000 users, the refresh time is approximately 52 minutes.

The speaker cache automatically refreshes daily at 12:00 AM. If an automatic refresh is in process, clicking the Refresh Cache button has no effect. The speaker cache limit is 200,000 users.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 To refresh the local user database cache, click the Refresh Cache button.

The Cache refresh in process message appears. Allow up to one hour for completion depending on the number of users in the database.

Configure a Custom Help LinkBy default, the help link in the upper right corner of the Cisco Show and Share page points to information on Cisco.com. You can change the target of this help link, allowing you to point to your own standards, policies, and procedures for using Cisco Show and Share.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 In the Preferences area, type the URL of your help information in the System Help Link field.

Step 4 Click Apply to save your changes and make them active for site visitors.

Configure a Custom FooterBy default, the footer on the bottom of each Cisco Show and Share page provides information about Cisco Systems. You can replace the default footer text and add your company information.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 In the Preferences area, type your company information in the Footer Preference field.

To restore the default footer text, clear your company information from the Footer Preference field.

Procedure

Step 2 Choose Manage > Content Transfer.

The Show and Share Content Transfer screen appears.

Step 3 Select a user to transfer video ownership from. You can use these tools:

• Filter—Filter by user status:

– Deleted users are no longer present in the Show and Share community.

– Inactive users without author privileges who no longer own their videos.

– Active users with author privileges.

About Featured VideosYou can use the Featured Videos area to manually specify videos that you want to highlight. For example, you might spotlight videos that:

• Announce important information, including opportunities and deadlines.

• Publicize news, or reveal the outcome of a vote or contest.

• Introduce new tools, concepts, or policies, or explain something that was confusing.

• Replay a significant or relevant event or meeting.

Cisco Show and Share then spotlights these videos in its Featured Videos browser, which all users see.

Until you populate the Featured Videos browser for your site, it remains empty. When the Featured Videos browser is populated, thumbnail preview images for videos are visible to all community members under the Featured Videos heading.

About CustomizationsThere are several ways that you can customize your Cisco Show and Share site. This chapter covers the following interface customizations:

Choose a Language for the User InterfaceThe system language preference defines the language that visitors see when they first log in to Cisco Show and Share. User that are logged in can override this setting on an individual basis from their My Preferences area.

Select A ThemeThe Theme applies an overall look and feel to your Cisco Show and Share site. There are five themes available:

Change the Site LogoYou can use the default Cisco Show and Share logo or choose a custom logo that is shown at the top of each Cisco Show and Share page.

Any logo image that you upload must be a non-progressive JPEG, a GIF, or a PNG file. The logo size must be 398 x 46 pixels.

About Cisco MXE 3500 Integration with Cisco Show and ShareWhen you enable Cisco MXE 3500 integration in Cisco Show and Share, videos uploaded to Cisco Show and Share are delivered to the Cisco MXE 3500 for transcoding and, optionally, Pulse spoken keyword and speaker identification. When the transcoding is complete, the transcoded videos are returned to Cisco Show and Share. You can edit transcoded videos in the Cisco Show and Share video editor.

You can enable video authors to bypass transcoding for Windows media files that might contain embedded closed captioning or slides. This will retain the embedded data that will be lost if the videos are transcoded. However, you cannot edit the files in the Cisco Show and Share video editor.

Chapter 12 Integrate a Cisco MXE 3500 for Video Transcoding and Pulse Video Analytics About Cisco MXE 3500 Integration with Cisco Show and Share

Transcoding OutputVideos are transcoded to MP4 files by using the H.264 video codec. You can configure the transcoding process to produce up to three versions of the video with these resolutions:

• 360p—Low resolution. This is the resolution used by the Cisco Show and Share mobile client to display videos. Viewers can select this to resolution for smoother playback over slow connections.

• 480p—Medium resolution. Videos that are transcoded to this resolution will also be transcoded to 360p.

• 720p – High resolution. Videos that are transcoded to this resolution will also be transcoded to 480p and 360p.

Viewers can select the video resolution and can change the resolution in the middle of video playback. Lower resolutions play better on slow network connections. Playback in the Cisco Show and Share mobile application uses the 360p version of the video.

Although you can configure the transcoding process for 720p, you might not always get a 720p version of the video. This is because the Cisco MXE 3500 does not upscale a video. For example, if you configure transcoding for all three resolutions and an author uploads a video at 480p, Cisco Show and Share will only produce the 480p and 360p versions of the video.

Note When you upload a video for transcoding by using an iPhone or iPad, the Cisco MXE 3500 transcodes the file in the lowest resolution setting. This is because the iPhone or iPad application compresses the video on the client side to a lower resolution. The uploaded video causes Cisco Show and Share to automatically request the low resolution version from the Cisco MXE 3500. For best results, you should upload the video by using a PC.

Table 12-1 shows the output specifications for each video resolution.

Guidelines and LimitationsThe following limitations apply to Cisco MXE 3500 integration with Cisco Show and Share:

• Cisco Show and Share is only compatible with the Cisco MXE 3500 appliance.

• To use the Pulse video analytics feature set, you need to use the MXE 3500 version 2 hardware (MXE-3500-V2) running MXE software version 3.3. If you have an earlier version of the MXE installed, you can upgrade your Cisco MXE 3500 to Release 3.3. See the Release Notes for Cisco Media Experience Engine 3500 Release 3.3 on Cisco.com.

• You can only configure one Cisco MXE 3500 or Cisco MXE 3500 cluster in Cisco Show and Share.

• Transcoding is only available for the Record a Video option if Mobile Application Access is enabled. See Chapter 13, “Enable Mobile Application Access”.

Step 1 Log in to Cisco Digital Media Manager (http://dmm_server_name:8080) as the administrator or as superuser.

Cisco DMM verifies the connection to the Cisco MXE. If it cannot connect to the Cisco MXE, an error message appears. If you receive an error, verify your settings and try again.

Enable Video Transcoding in Cisco Show and Share

Procedure

Step 1 Log into Cisco Show and Share with admin or superuser privileges.

Step 2 Choose Administration from the global navigation.

By default, 360p is selected.

Step 5 Select the video resolution for transcoding. If you select the medium or high quality, videos are also transcoded to the lower resolution. Viewers can select the video resolution they want to view during playback.

Note The Cisco MXE 3500 will not upscale videos. If you have selected 720p, and an author uploads a video at 480p, the Cisco MXE 3500 will only produce the 480p and 360p resolutions.

If you later change the resolution setting, previously transcoded videos maintain the original resolutions until they are republished. For example, if you originally had selected 720p and later changed it to 480p, the 720p videos will retain the version until re-uploaded under the new settings.

Step 6 (Optional) To allow WMV files to be transcoded on non-mobile devices, check the Windows Media Files checkbox.

Enabling the checkbox gives authors the option to skip transcoding and have the files processed natively by Cisco Show and Share. However, if they bypass transcoding, they will not be able to use the Cisco Show and Share editor with the video.

Clearing the checkbox prevents users from bypassing transcoding for their Windows media files (.wmv, .wma, .asx, and .asf). Any embedded closed captioning or slide synchronization will be lost.

About Mobile Application AccessCisco Show and Share users can download an application for their iPhone, iPad, or iPod Touch that allows them to view or upload videos to Cisco Show and Share. You can enable or disable mobile access to Cisco Show and Share.

Note If you enabled the forced login feature on the Show and Share portal it does not require mobile device log in to access the portal. For more information, see Disable Access by Anonymous Visitors.

Prerequisites• A Cisco MXE 3500 Release 3.3 (or an earlier release with the updated transcoding profiles)

integrated with Cisco show and Share. See Chapter 12, “Integrate a Cisco MXE 3500 for Video Transcoding and Pulse Video Analytics”.

• Video transcoding enabled. See Enable Video Transcoding in Cisco Show and Share, page 12-5.

• If using external file hosting, you should create both an HTTP and an RTMP hosting location for the files. You can use the same server for both HTTP and RTMP, but you must define different folders to host the files for each hosting location protocol.

• Windows media files that have bypassed transcoding are not viewable through the mobile application.

• Videos published in an earlier version of Cisco Show and Share are not viewable in the mobile application until they have been re-uploaded and re-published.

• Videos published before enabling Cisco MXE 3500 transcoding are not viewable in the mobile application until they are re-uploaded and re-published.

• If you enabled the forced login feature on the Show and Share portal it does not require mobile device log in to access the portal. For more information, see Disable Access by Anonymous Visitors.

• The maximum video length that you can upload or record through the mobile application is ten minutes. For longer videos, you should transfer the file from the mobile device and upload to Cisco Show and Share through a supported browser.

Create the File Hosting Location(s)If you are using external file hosting, you need to have both an HTTP and a RTMP hosting location defined for H.264 videos before enabling mobile application access. If you do not have both configured, you need to create them. See these sections:

Create an HTTP File Hosting Location

The Cisco Show and Share mobile application plays videos served from the HTTP file hosting location. The mobile application does not support streaming video.

Prerequisites

You are using external file hosting. If you are using local file hosting, you do not need to perform this procedure.

Procedure

Step 1 Log in to Cisco Show and Share as administrator or superuser.

Step 2 Choose Administration from the global navigation.

Step 3 Choose Setup > Show and Share.

Step 7 Select SFTP or FTP as the file upload protocol.

Step 8 In the Host address field, enter the server FQDN.

Step 9 In the Login name and Login password fields, enter the upload login credentials.

Step 10 In the Directory root location field, enter the directory root where the FTP or SFTP uploads should place the files. This is the directory path from the FTP root, such as /content/video.

Step 11 Enter the URL root where the videos are hosted.

Note The URL must begin with HTTP or HTTPS.

Step 12 Click Verify Protocol Settings to verify that Cisco Show and Share can upload media assets to the server.

If the you get a failure message, verify that you are using the correct login credentials.

Step 13 Click Verify Root URL to ensure that the videos are accessible from the URL provided.

When finished, your hosting location should look similar to the following:

Create an RTMP File Hosting Location

The Cisco Show and Share web application plays videos served from the RTMP file hosting location. This enables viewers to easily navigate the video.

Disable Mobile Application AccessDisabling mobile access prevents the mobile client from connecting to Cisco Show and Share. Videos that are recorded and uploaded while mobile application access is disabled will be viewable in the mobile application when access is restored provided that the video transcoding and hosting location settings do not change.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 To disable the feature, clear the checkbox under Mobile Application Access in the Settings area.

Re-Upload a Published VideoIf you uploaded a video in a previous version of Cisco Show and Share, it may not be available on the mobile client. To make it available on the mobile client, you must re-upload the video. Re-uploading the video sends the file to the Cisco MXE 3500 for transcoding.

Prerequisite

You must have access to the video source that you are re-uploading.

Procedure

Step 1 Log in to Cisco Show and Share.

Step 2 Go to the My Account > Videos > Uploaded.

About the Pulse Video Analytics FeatureThe Pulse video analytics feature set provides spoken keyword and speaker identification for videos that are transcoded by the Cisco MXE 3500. Keywords are matched to a white list that is configured by the administrator on the Pulse video analytics engine. Speaker identification is a learned process. The Pulse video analytics engine learns to identify different speakers in a video. If the speaker has been identified previously, speaker identification is entered automatically. If the speaker has not been identified, a generic speaker tag is assigned to the speaker. Authors can then use the Cisco Show and Share video editor to identify the speaker. Subsequent videos uploaded with that speaker will show the speaker name. Keyword and speaker information appear on a new tab, called Pulse, on the video player window.

Disable Pulse Video Analytics FeaturesAny videos that are uploaded after disabling the Pulse video analytics features will not be processed by the Pulse video analytics engine. They will need to be re-uploaded in the future. Disabling Pulse video analytics features prevents videos that are recorded directly in the Cisco Show and Share interface from being transcoded. Therefore, videos that are recorded while the Pulse video analytics features are disabled will not be viewable in the mobile client.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Manage > Preferences and Settings.

Step 3 To disable the feature, clear the check box under Pulse Spoken Keyword and Speaker Recognition in the Settings area.

About Cisco Digital Media EncodersFeatures on the Digital Media Encoders tab help you manage how Cisco Show and Share live event users use the Cisco Digital Media Encoders (DMEs).

Cisco DMEs enable you to stream live events through Cisco Show and Share. You can also use them to manually submit videos for transcoding.

As a system administrator, you must configure the encoding formats and profiles for the Live Event Administrators to use when setting up a live event.

About Encoding Formats (Presets)Cisco Show and Share is preconfigured with the recommended DME encoding formats. Encoding formats are named collections of settings— or presets— used when configuring a live event.

Encoding formats specify:

• Media output type.

• Dimensions, such as 640x480, that are suitable for the playback device.

• Bandwidth consumption rate that is optimized for the expected network capacity.

• Overall quality (bitrate, frame rate, and more).

“Default” Encoding Formats

When you first start to use Show and Share Administration, you can recognize the predefined and preferred formats in the Encoding Formats list. The word “default” is appended to the name.

Note There can be only one default format for each supported video format.

You can create new encoding formats, edit the currently defined formats, and delete formats. You can also change the two encoding formats that the DME should use as the defaults.

About Encoder ProfilesThere are two types of encoding profiles: pull configurations and push configurations.

With a Pull configuration, you define a port for the Cisco DME to publish the stream to. Clients or streaming servers pull the stream from DME on that port.

With a Pull configuration, you supply the credentials and publishing point information for your streaming server and the Cisco DME pushes the stream to that publishing point. Video clients access the video stream from the streaming server.

Tip If you do not know the encoder’s routable IP address or DNS-resolvable hostname, go to the DME front panel, and then choose Menu > Setup System > Network > 100 Mbit (or 1,000 Mbit) > View Settings > IP Address(es).

Step 5 Click Discover Encoder, and then wait until the discovery process is finished.

Step 6 Enter a name and description for the encoder profile.

Tip You will add the encoder profile as an option in a list. You — and other live event users in your Cisco Show and Share community — can then choose and use it.

Step 7 Choose options in the Default Encoder Input Settings area to identify the input settings that you will use most often.

Step 8 Choose Pull mode as your most common method to publish live events from this encoder profile.

Step 9 Click Add a Pull Configuration to add the streaming server pull configurations for the encoder profile.

We recommend that you use a port number in the range from 6000 to 7000. The default is 6990.

Tip When you use pull mode, a configuration called “test only (encoder-direct, port 6990)” is automatically created. You can use the test configuration to verify streams that use the encoder profile.

Step 10 Click Save Pull Configuration.

Step 11 Click Save this Encoder.

A message in your browser confirms that Cisco Show and Share saved the profile.

Before You Begin

Set up and connect the DME according to the procedures in the encoder documentation.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Setup > Digital Media Encoders > Push Configurations.

Step 3 Click Add a New Encoder.

Step 4 Enter a name and description for the encoder profile.

Tip You will add the encoder profile as an option in a list. You — and other live event users in your Cisco Show and Share community — can then choose and use it.

Step 5 Create an entry for the streaming server.

a. Enter the streaming server base URL and port number.

b. Enter the name of the streaming server publishing point.

Note DO NOT USE the encoder URL unless you are conducting a brief test with no more than two viewers.

c. (Optional) If the streaming server authenticates its users, enter a valid username and password.

Step 6 Click Save.

A message in your browser confirms that Cisco Show and Share saved this encoder profile.

This is a manual process; you cannot configure Cisco Show and Share to automatically use the DME to transcode files. For this capability, you need to use a Cisco MXE. See Chapter 12, “Integrate a Cisco MXE 3500 for Video Transcoding and Pulse Video Analytics” for more information.

Because codecs are typically lossy, you might notice that the fidelity of the transcoded output file is not as high as the fidelity of the source file. A transcoding job might take as long as, or possibly longer than, the duration of the source file, depending on multiple factors that include which codecs you use.

Chapter 16 Use a Cisco DME to Transcode Video Procedures

Copy a Video File to Your DME for TranscodingYou can copy to your DME a video file that you will transcode through Cisco Show and Share.

Procedure

Step 1 Plug a keyboard, mouse, and monitor into your DME.

Step 2 Stage the source file for transcoding.

a. Add the source file to a USB 2.0 hard drive or flash drive.

b. Connect the USB drive to your DME.

c. Use Windows Explorer on your DME to copy the source file from the USB drive to D:\AVFiles\In.

Transcode a Video FileYou can use your DME to transcode an AVI or MPEG2 video source file.

Before You Begin

• Copy the source file to your encoder.

• Log in to Cisco Show and Share as an administrator.

Tip We recommend that you schedule your transcoding jobs so that they do not run at the same time as any other encoder tasks, such as encoding live video or saving a live stream to a file.

Procedure

Step 1 Choose Administration from the global navigation.

Step 2 Choose Setup > Digital Media Encoders > Transcoding.

Step 3 Click Add a New Transcoding Task.

Step 4 Enter or choose the required values to define the transcoding job. See UI Reference: Transcoding, page 16-4 for information about the transcoding task fields.

• Copy a video file to your DME for transcoding.

Step 1 Point your web browser to ftp://<encoder_IP_address>/AVFiles/Out.

Step 2 Right-click the filename in the directory listing.

Step 3 Choose the option to download the file.

Tip If you have physical access to your cisco DME, you can attach a USB thumb drive to the DME and use the keyboard, mouse, and monitor attached to the DME to copy the output file from D:\AVFiles\Out to the USB drive.

About Cisco Show and Share ReportsThere are a number of reports available to system administrators that provide detailed information about how the system is being used. These reports differ from author reports in that they cover all of the videos uploaded to Cisco Show and Share, not just the videos associated with the administrator’s login account. Additionally, there are quite a few more reports available. Table 17-1 provides an overview of the reports a system administrator can run.

What Are Page Views?

The page view value counts each click in Cisco Show and Share that:

• Changes visible information, such as which tab is active.

• Does not play any video.

This measurement indicates how many users loaded the page for a video but did not watch it.

What Are Video Streams?

The video stream value counts each click of the Play button in Cisco Show and Share.

What Are Unique Visitors?

Each browser that loads Cisco Show and Share receives a browser cookie for tracking purposes. The unique visitors value counts the total number of browser cookies in use on any particular day.

Any day when a browser connects to Cisco Show and Share, we count it is one unique visitor on that day. (Even when a browser reconnects multiple times in one day, Cisco Show and Share Reports counts it as only one unique visitor for that day.)

What Are Referrers?

The referrer is exactly the HTTP URL for whatever page was active in a browser immediately before that browser loaded Cisco Show and Share.

Per Video Traffic >...

Video Views Measure video viewership by date. This is the count of users who clicked Play.

Page Views Correlate dates with traffic levels.

Video Downloads Count the number of downloads per video.

More Info See how many viewers clicked More Info. You can filter the results per video.

Measure the viewership of all videos that share one author.

Populate and View Reports

Note We do not begin to measure viewership for a video until someone watches it in Cisco Show and Share.

Before You Begin

• This software uses scalable vector graphics in its charting. For browser requirements, see Release Notes for Cisco Digital Media System 5.3.x on Cisco.com.

• Log in to Cisco Show and Share as an administrator.

Procedure

Step 1 Choose Administration from the global navigation, and then click Reports.

The first four subtabs load reports that you can refine and filter. The fifth tab helps you to administer the reports database that Cisco Show and Share Reports uses.

Step 2 Click the tab of the report type that you want to run, and then select the sub report on that tab. See About Cisco Show and Share Reports, page 17-1, for information about the reports available on each tab.

Step 3 (Optional) To restrict the report to a specific date range, do one of the following. Most reports default to the previous week.

• Enter the start date and end date manually or click to choose either date from a calendar. Then, click Go to refresh the report.

• Choose an option from the Select a Time Span list. The report is refreshed automatically.

Step 4 (Optional) Filter by videos or users.

Some reports offer additional filtering capabilities. If so, those filters appear below the Select Date Range filter. See the following for information about using those filters.

• Select a Viewer/Select an Author

The Select a Viewer or Select an Author filter allows you to filter the videos in a report by who viewed or authored the video. To use this filter, simply start to type a user name or ID into the field. The system attempts to match the ID or name to existing names in the system. Select the name you want and then click Go.

• Select a Video

The Select a Video filter allows you to generate the report for a specific video. By default, the reports are generated for all videos. To use this filter, click a video from the list and then click Go. You can sort the list by date the video was publishe or by title. You can filter the list by typing a word in the Select a Video field. The list filters to those videos that contain that word in the title.

Many videos contain both a graph and and a table representation of the data. In many cases, you can mouse over a graph point to see an exact count of one measured unit or another.

Step 5 (Optional) Use the “Export to Excel” link to save data to a local file.

Maintain the Reports DatabaseWe recommend that you check the integrity and stability from time to time of your reports database.

Tip If your site has a lot of activity, you should perform this check every 60 days. If your site has very little activity, years might pass before there is any need to perform this check.

Procedure

Step 1 Choose Administration from the global navigation, and then click Reports > Administration.

Step 2 Verify that the Current Database Status indicator shows that the status is Green.

The status should be Green.

When it is any other color than Green, you must trim older records from the database. Otherwise, when you allow the database to keep growing, Cisco Show and Share Reports becomes progressively slower. In addition, the processes that add new records to your database might not operate quickly enough to record all Cisco Show and Share activity during periods of heavy use.

Step 3 Click Archive Prior Months as soon as possible when you see that the status is not Green.

Step 4 Respond to the confirmation prompt, and then click OK.

Warning Do not close your browser or navigate to any other page until the operation is finished. It might take as long as 10 minutes.

Caution New activity on your Cisco Show and Share site might occur while we are generating an archive. In this case, new rows and records are appended to the live database but we exclude them from the new archive. The archive’s scope was predetermined when you clicked the Archive Prior Months link.

• The generated archive contains your entire database, in exactly its state at the moment when you clicked the Archive Prior Months link.

• We export the database archive as an ordinary text file so that you can import it elsewhere, and then we compress it.

• After the archive is generated, we trim some records from the database to reduce its size. The records that we delete are older than the date that you specified when you clicked the Archive Prior Months link. For example, this link would delete all records that predate January 2010:

Configure Failover

The Failover feature allows you to configure Cisco Show and Share and Cisco Digital Media Manager (DMM) appliances so that one will take over operation if the other one fails.

A Cisco Show and Share failover configuration requires the following devices:

• A primary and a secondary Cisco Show and Share appliance.

• A primary and a secondary Cisco DMM appliance.

Note You cannot configure failover for only the Cisco Show and Share appliance; you must configure it for both the Cisco Show and Share and the Cisco DMM appliances.

Backup and Restore

Backing up or restoring system configuration involves both the Cisco Digital Media Manager appliance and the Cisco Show and Share appliance. See these sections:

Guidelines and LimitationsUse the following guidelines when backing up and restoring:

• We recommend that you back up to a remote rsync, SFTP, or FTP server instead of performing a back up on a USB drive. If you back up to a USB drive, you must copy the backup files to an FTP/SFTP server before restoring the files on the Cisco Show and Share and Cisco DMM appliances.

• Media stored on external hosting locations is not backed up. If you delete a video from Cisco Show and Share, it is removed from the external hosting location. If you restore a backup taken before the video was deleted, you will see the video listed in Cisco Show and Share but will receive a file not found error if you try to play the video because the video had previously been removed from the external hosting location.

• You must backup your entire system—Cisco Show and Share, Cisco DMM, and your external hosting locations—and restore your entire system at the same time to ensure that the restored data matches across all three components.

• When restoring a backup to a replacement appliance, you must install the license on the appliance before restoring the data. For more information, see the User Guide for Cisco Digital Media Manager 5.5 and 5.6 Appliances on Cisco.com.

• You cannot restore a backup taken on one version of the software to another version of the software. Backups must be restored on an appliance running the same version of software as when the backup was taken. For example, you cannot restore a backup taken on an appliance running Cisco DMS Release 5.5 software to an appliance running Cisco DMS Release 5.6 software.

• Scheduled backup information is not retained in the backup file. When you restore your data you will need to reschedule any recurring backups.

Backing Up an ApplianceThe backup procedure creates two files on the target device, one with a time stamp in the name and one without.

Before You Begin

• Verify that your appliance can communicate with the rsync, FTP, or SFTP server.

• Verify that you have permissions to write to the rsync, FTP, or SFTP server.

Procedure

Complete this procedure on the Cisco Show and Share and Cisco DMM appliances.

Step 1 Log in to the Appliance Administration Interface (AAI) as admin. Choose BACKUP_AND_RESTORE and press Enter.

Step 2 Choose BACKUP and press Enter.

Step 3 Choose CONTENT+CONFIG from the options and press Enter.

The CONTENT+CONFIG option specifies that the locally stored media and configuration files are backed up.

Step 4 Choose REMOTE and press Enter.

Step 5 Choose one of the following remote server types and press Enter:

• rsync (recommended)

• FTP

• SFTP

You can choose the desired protocol depending on your network environment.

Step 6 Enter the server IP address and press the Down arrow. Enter the username for an account on the remote server, press Tab to highlight the OK button, and then press Enter.

Step 7 Enter the password for the account on the remote server and press Enter.

The appliance tests the connectivity to the remote server. If you entered the correct server IP address and credentials, you can proceed. If not, you must start the backup procedure over from the beginning.

Step 8 Press Enter.

Step 9 Press the Down arrow to highlight Backup once (now), press Space to select that option, and then press Enter.

Step 10 Press Enter to start the backup.

Step 11 When backup is complete, press Enter to return to the appliance Backup/Restore screen.

Step 12 To view the Backup Logs, choose the SHOW BACKUP LOGS option.

Complete the backup procedure on both the Cisco Show and Share and Cisco DMM appliances to back up the existing media and configuration files before a software upgrade or software reimage.

Step 1 Log in to the Appliance Administration Interface (AAI) as admin. Choose BACKUP_AND_RESTORE and press Enter.

Step 2 Choose RESTORE and press Enter.

Step 3 Choose CONTENT+CONFIG and press Enter. The CONTENT+CONFIG option restores the backed-up media and configuration files.

Step 4 Choose REMOTE and press Enter.

Step 5 Choose one of the following remote server types and press Enter:

• rsync (recommended)

• FTP

• SFTP

Step 6 Enter the server IP address and press the Down arrow. Enter the username for an account on the remote server, press Tab to highlight the OK button, and then press Enter.

Step 7 Enter the password for the account on the remote server and press Enter. The restore process begins.

Step 8 Press Enter to return to the appliance Backup/Restore screen.

The appliance Backup/Restore screen appears. The BACKUP/RESTORE STATUS shows RUNNING while the restore is in process.

Step 9 To view the Restore Logs, choose the SHOW BACKUP LOGS option.

Complete the restore procedure on both the Cisco Show and Share and Cisco DMM appliances to restore the existing media and configuration files after a software upgrade or software reimage.
