SAP E-Recruiting has recruitment instruments that will help your company find new employees, employ them in positions that suit their capabilities, promote their professional development, and retain them in the long term.

Along with enabling you to handle your company’s applicant tracking activities, SAP E-Recruiting also ensures that you drive up-to-date human resources management, by proactively maintaining contact with applicants, potential candidates, and consequently, with your employees. By setting up a talent pool, you ensure that you not only identify the best possible candidate for a position from all potential candidates, but also that you are in a position to staff critical key positions in the long term and thus safeguard your company’s success.

The application handles the entire process chain, from planning through attracting, hiring, and retaining employees. The diversity of functions, such as electronic screening, filtering, sorting, ranking and so on, optimizes the work of your recruiters. Sophisticated technical mechanisms ensure that you can guarantee profitability throughout the entire process. Thus, the application links recruitment with your internal HR infrastructure.

You can also integrate workflows to automate information flow and multiple processes, such as creation of activities or sending of e-mails.

SAP E-Recruiting accelerates and drives your control of your recruitment processes. The application provides innovative access to Talent Relationship Management and promotes company-wide collaboration. User interfaces, which can be configured to suit specific roles, countries, branches, and so on, enable easy access for candidates, line managers, and recruiters to the information and services they require to perform their tasks or roles.

2.1 Hardware and Software Requirements

The product instance E-Recruiting can be installed either on SAP S/4HANA Foundation or on SAP S/4HANA. The following product versions can be used as a basis for the installation:

● SAP S/4HANA Foundation 1809 or higher● SAP S/4HANA 1809 or higher

NoteSAP recommends that you apply the highest available support package stack for all software components.

2.2 System Landscape for SAP E-Recruiting for SAP S/4HANA

This section describes selected technical system landscapes and the involved product versions and instances.

You can choose from two major deployment scenarios. First, the standalone instance based on SAP S/4HANA foundation. Second, the co-deployment as an add-on directly on SAP S/4HANA.

2.2.1 Deployment Scenarios based on SAP S/4HANA and SAP S/4HANA Foundation

SAP S/4HANA Standalone System

The standalone system with all product instances of SAP E-Recruiting for SAP S/4HANA installed on one system is illustrated in the following graphic. In this standalone server approach, frontend and backend are deployed on one server.

The E-Recruiting product instance is an add-on to SAP S/4HANA Foundation.

Standalone System with separate front-end server

The user interface can be separated from the business logic and essential data. There can be two servers – a front-end sever and a backend server. Both can also be connected with RFC connections if needed.

The following graphic shows a system that runs E-Recruiting product instance with separated UI and backend servers. In this case, both product instances are installed on SAP S/4HANA Foundation.

Co-Deployment

You can install all product instances of SAP E-Recruiting for SAP S/4HANA as an add-on to SAP S/4HANA. This type of system is illustrated in the following graphic:

In Co-Deployment, it is possible to separate the frontend server and backend server by keeping all the business logic in SAP S/4HANA Server and utilizing the other server as frontend.

The following graphic shows an example of a system with co-deployment that runs front end on SAP S/4HANA FOUNDATION Foundation, and backend on SAP S/4 HANA.

3.2 Pre-Installation Tasks

Before installing SAP E-Recruiting for SAP S/4HANA, see the SAP Notes for the contained software components for information regarding restrictions caused by installing and add-on, and that relate to the upgrade and maintenance of your SAP system.

3.2.1 Overview of Installation Options

SAP E-Recruiting for SAP S/4HANA 1.0 contains different product instances.

E-Recruiting

You have the following installation options for the E-Recruiting product instance (software component: S4ERECRUIT 100)

● You can install it as an add-on for the product version SAP S/4HANA FOUNDATION 1809, SAP S/4HANA FOUNDATION 1909, SAP S/4HANA FOUNDATION 2020 or SAP S/4HANA FOUNDATION 2021. For general installation information, see SAP Notes 2625488 , 2750164 , 2912919 or 3015497 .

● You can install it as an add-on for the product version SAP S/4HANA 1809, SAP S/4HANA 1909, SAP S/4HANA 2020 or SAP S/4HANA 2021. For general installation information, see the Installation Guide for SAP S/4HANA at http://help.sap.com/s4hana.

3.2.2 Preparing the Installation

The installation is based on the definition of the individual product instances. In all cases, you use the Maintenance Planner to plan your system landscape and generate a stack XML file, based on the required product versions and instances. You select and download the installation files in the Maintenance Planner.

You can use the Maintenance Planner to plan the installation of the complete target stack of your system with the server product version, add-ons, and support packages in one step. Installation

Implementation

You can specify different security policies for different types of users, as required. For example, your security policy may specify that individual users who perform tasks interactively, must change their passwords on a regular basis, but this is not required for those users under which background processing jobs are run.

CautionThese roles are provided as examples that need to be adapted. Do not use them in your productive system in the form in which they are delivered.

Authorization objects used in these roles have been added manually. To create your own roles, you can use the template roles or use the transactions SU24 or SU25 with transaction PFCG and dynamic role creation respectively.

You can use the Profile Generator (transaction PFCG) to display the roles available in the system. You can also use the Profile Generator to create your own additional roles.

4.2.1.1 Standard Authorization Objects

The table below shows the security-relevant authorization objects that are used by ERECRUIT (E-Recruiting).

The authorization in E-Recruiting is controlled by the applications within E-Recruiting. This can be done via the transaction SU21, with the Object Class HR (Human Resources) and the object P_RCF_APPL (applications in E-Recruiting). You can assign the applications to the relevant roles.

4.4 Application-Specific Virus Scan Profile (ABAP)

SAP provides an interface for virus scanners to prevent manipulated or malicious files from damaging the system. To manage the interface and what file types are checked or blocked, there are virus scan profiles. Different applications rely on default profiles or application-specific profiles.

To use a virus scanner with the SAP system, you must activate and set up the virus scan interface. During this process, you also set up the default behavior. SAP also provides default profiles.

SAP E-recruiting for SAP S/4HANA uses only basic upload functions and therefore does not deliver an application-specific default profile.

4.5 Data Storage Security

The SAP E-Recruiting data is saved as follows:

● If you use SAP E-Recruiting integrated with other SAP applications, the data is saved in the SAP Web AS or SAP ECC databases.

● If you use SAP E-Recruiting as a standalone application, the data is saved directly in the SAPE-Recruiting databases. You do not require any other databases in addition to this standard.

SAP E-Recruiting stores the data in the following locations:

Data protection is associated with numerous legal requirements and privacy concerns. In addition to compliance with general data protection and privacy acts, it is necessary to consider compliance with industry-specific legislation in different countries.

4.6.2 Consent

SAP E-Recruiting for SAP S/4HANA offers functions to collect user data. End user’s consent is taken before collecting any personal data. SAP E-Recruiting for SAP S/4HANA offers a placeholder where customers can provide the link to their data privacy statement. End user (Candidate) must accept and provide their consent at the time of registration. SAP E-Recruiting for SAP S/4 HANA also offers re-consent mechanism to ensure that user provides consent again if there are any changes to the existing data privacy policy.

4.6.3 Information Retrieval

Data subjects have the right to receive information regarding their personal data that is being processed. The information retrieval feature supports you in complying with the relevant legal requirements for data protection by allowing you to search for and retrieve all personal data for a specified data subject. The search results are displayed in a comprehensive and structured list containing all personal data of the data subject specified, organized according to the purpose for which the data was collected and processed.

For information about reporting, the Information Retrieval Framework can be used. You can retrieve the information by using the ILM objects provided with SAP E-Recruiting when you create a purpose.

4.6.4 Deletion of Personal Data

When considering compliance with data protection regulations, it is also necessary to consider compliance with industry-specific legislation in different countries. A typical potential scenario in certain countries is that personal data shall be deleted after the specified, explicit, and legitimate purpose for the processing of personal data has ended, but only as long as no other retention periods are defined in legislation, for example, retention periods for financial documents. Legal requirements in certain scenarios or countries also often require blocking of data in cases where the specified, explicit, and legitimate purposes for the processing of this data have ended, however, the data still has to be retained in the database due to other legally mandated retention periods. In some scenarios, personal data also includes referenced data. Therefore, the challenge for deletion and blocking is first to handle referenced data and finally other data, such as business partner data.

The processing of personal data is subject to applicable laws related to the deletion of this data when the specified, explicit, and legitimate purpose for processing this personal data has expired. If there is no longer a legitimate purpose that requires the retention and use of personal data, it must be deleted. When deleting data

in a data set, all referenced objects related to that data set must be deleted as well. Industry-specific legislation in different countries also needs to be taken into consideration in addition to general data protection laws. After the expiration of the longest retention period, the data must be deleted.

Deletion

To enable even complex scenarios, SAP simplifies existing deletion functionalities to cover data objects that are personal data by default. For this purpose, SAP uses SAP Information Lifecycle Management (ILM) to help you set up a compliant information lifecycle management process in an efficient and flexible manner. The functions that support the simplified blocking and deletion of personal data are not delivered in one large implementation, but in several waves You have to use an existing archival or deletion functionality or implement individual retention management of relevant business data throughout its entire lifecycle. The ILM component supports the entire software lifecycle including storage, retention, blocking, and deletion of data.

End-of-Purpose Check

An end of purpose (EoP) check determines whether data is still relevant for business activities based on the retention period defined for the data. The retention period is part of the overall lifecycle of personal data which consists of the following phases:

● Business activity: The relevant data is used in ongoing business, for example contract creation, delivery or payment.

● Residence period: The relevant data remains in the database and can be used in case of subsequent processes related to the original purpose, for example reporting obligations.

● Blocking period: The relevant data needs to be retained for legal reasons. During the blocking period, business users of SAP applications are prevented from displaying and using this data; it can only be processed in case of mandatory legal provisions.

● Deletion: The data is deleted and no longer exists in the database.

Job Overview

You can use transaction SM37 to obtain an overview of all running, scheduled, released, and finished batch jobs in your SAP environment.

You use this tool to monitor batch jobs during processing and to view details of their status, to make sure processing is successful, to check for runtime and related details of a job, or to schedule jobs for a specific time in the future.

When a job is finished, the system displays the duration of the job in seconds, the job log details, and whether a spool file has been written.

Application Log

You can analyze the system application log using transaction SLG1. Application logs are generated for all application processes based on the Framework for Parallel Processing. The system logs statistical information about the mass run (number of processed and successful objects), error messages for all problems that occurred, and success messages (if enabled).

Whether success messages are written to the application log depends on the settings on the selection screen of the mass run.

NoteFor testing purposes, it is fine to choose all messages, but during production we recommend that you have only one success message per object (if at all). If you choose Log Off (no message), there will not only be no success message, but also no error message in the log and no messages in the postprocessing orders (the creation of orders is independent). We do not recommend this setting.

Transactional RFC

You should use transaction SM58 on a regular basis when there is RFC communication between applications.

Message Monitoring – Integration Engine

You can use transaction SRT_MONI to monitor and analyze messages processed using the Process Integration Server (PI).

Trace and Log Files

Trace files and log files are essential for analyzing problems. Log files are written whenever the database system and database tools are in operation.

Application Log

You can display application logs with transaction SLG1. Each logged event is classified by the object and any sub objects that belong to it. There are application log objects that are specific for SAP E-Recruiting. The central object is HRRCF.

In addition, there are generic application log objects, for example, derivation tools, archiving, and technical interfaces like BAPIs.

For a complete list of application log objects, start transaction SLG1, and in the Object field choose an entry from the list of objects. When you have entered an object, you can also display the subobjects that belong to this object. For a complete list of these subobjects use the input help for the Subobject field.

Base Level Logs

SAP servers record events and problems in system logs. Each SAP application server maintains a single local log. When this log file reaches the maximum permitted size, the system starts to overwrite the file from the beginning. You can configure your server so that messages are issued to a central log file as well as to a local log.

NoteCentral logging is not available on AS/400 and Windows NT host systems.

You can display these base level logs with transaction SM21.

Trace Files

To locate errors more easily, you can use various traces that log additional actions.

Workload Monitors

Parallel processing and packaging settings affect the processing time and the usage of the hardware resources. You can find the configuration steps for package size settings in the Best Practice document for Parallelization.

You can use monitoring tools such as the Mass Run Analysis Tool (transaction ST13- MassMan) and the Parallel Processing Monitor to verify the parallel processing and package size settings that lead to the expected throughput of a mass process.
