OPENING LETTER FOR THE CEO

As the current issue of the AFAQ magazine coincides with the holy month of Ramadan, ADNOC Distribution is pleased to extend its sincere greetings and good wishes to His Highness Sheikh Khalifa Bin Zayed Al Nahyan, President of the UAE, His Highness Sheikh Mohammed Bin Rashid Al Maktoum, Vice President

and Prime Minister of the UAE and Ruler of Dubai, Their Highnesses the Supreme Council members and Rulers of the Emirates, His Highness Sheikh Mohamed Bin Zayed Al Nahyan, Crown Prince of Abu Dhabi and Deputy Supreme Commander of the UAE Armed Forces, Their Highnesses the Crown Princes and Deputy Rulers of the Emirates, as well as to the people of the UAE and other Arab and Islamic nations.

The second quarter of 2014 has been a busy one for us at ADNOC Distribution. Our various teams have that have resulted in outstanding achievements. During that period, the company introduced new products including retailing 50lbs LPG cylinders across its service stations in the Northern Emirates to UAE nationals at a subsidized rate starting from 29th of June. In addition, ADNOC Distribution launched a reformulated low-sulfur diesel product in the UAE market starting 1 July as part of updated guidelines announced by Emirates Authority for Standardization and Metrology (ESMA).

A key step forward is the franchise agreement between ADNOC Distribution Global Company and Al Olalibi Group, a pioneer in the distribution and transportation of petroleum products in Saudi Arabia that mandates us to operate service stations in Saudi Arabia under the trademark and brand name of ADNOC Distribution Global Company. This agreement comes within the framework of promoting stronger economic cooperation between the UAE and Saudi Arabia, and articulates the strategic vision of the leadership in the two countries.

In the past quarter, ADNOC Distribution was also awarded the ‘UAE Superbrand 2014’ title, a recognition awarded by Superbrands Council, the largest global independent authority and arbiter of branding excellence. The distinction validates the efforts of our colleagues in various positions across departments. It also endorses the brand’s strong presence as one of the largest and most innovative petroleum companies in the GCC region and reinforces customer trust in our service delivery.

We believe that ADNOC Distribution retains its reputation and leading status thanks primarily to the excellent quality and diversity of our products.

I take this opportunity to say a special thank you to the media for the significant traction and positive coverage that all our events and initiatives have received in recent months. The high visibility has indeed outpaced the company’s investments into media outreach efforts since the beginning of this year, as highlighted by media performance and coverage report for Q1 prepared by the Marketing and Corporate Communications Division. This report monitors and assesses our media presence in line with our long-term strategy and objectives.

This issue of the AFAQ magazine features major highlights and landmark achievements of the company from April to July 2014. As with every edition, we look forward to your feedback.

Wishing you all a month of devotion and prayer, faith and good deeds, Ramadan Mubarak!

had allocated the company a plot in the fishing port of “Naqaa” for building the new service station. Hadi pointed out that the station is currently in the design phase and soil examination at the site has already started. In order to better serve the fishermen, the company has set a time frame for opening the station in the shortest time possible, and the tenders will awarded within the next two months. The construction works at the site is expected to be completed by the first quarter of 2015.Hussein Al Hajri, Chairman of the UAQ Fishermen’s Association, also commended the ADNOC Distribution’s initiative to build a new service station for the benefit of fishermen, pointing out that such stations will save fuel transportation costs and will make searching alternative

stations in remote areas easier. He noted that some fishermen still carry fuel tanks in their cars, which poses a threat to their lives in the event of an accident. The service station at the fishing port is one of the top priorities for the fishermen, as they have to fill their boat tanks before starting fishing trips. Hussein Al Hajri further pointed out that the new fishing port still lacks some basic services such as a service station, warehouses to store fishing equipment, housing for crew, as well as other services needed by the fisherman to continue their profession Making these services will significantly lower the material costs on fishermen and will allow to pay for their expenses and salaries.

300 fishing boat docksThe fishing Port of “Naqaa”

will have 300 berths for fishing boats, including 20 docks for senior fishermen and 90 wharfs built at a cost of about AED 30 million. The initiative comes as part of His Highness Sheikh Khalifa directives to develop fishing ports in various regions of the UAE.The fishing port at Khor Umm Al Quwain was recently completed under the guidance of His Highness Sheikh Saud bin Rashid Al Mualla, Supreme Council Member and Ruler of Umm Al Quwain. It comprises 72 berths which aim to lessen the burden on UAE national fishermen who are searching for alternative places to dock their boats. The port is also located near the big fish, fruits and vegetables market.

Modern Lubricants Technology Training Conducted for ADNOC Staff in Collaboration with Lubrizol Corporation

Held at Shangri La Hotel, Abu Dhabi, the seminar drew the participation of staff from the Production Plants Division, Corporate Sales Division, and the Procurement & Purchasing Division. Select distributors of ADNOC Distribution’s lubricants in the local market as well guests of ADNOC Main (Base Oil Marketing) also participated in the training initiative. The training seminar included two sessions. The first focused on the role of engine oil lubricants and the impact that driving under extreme conditions has on the performance of lubricants. In addition to reviewing the role of base oils in modern lubricants and tracking major trends in base oil, hardware changes in future engine models and their impact on the development of lubricants, common engine oil specifications related to the

American Petroleum Institute (API) and Original Equipment Manufacturer (OEM) were also examined. The requirement of engine oil formulation in present-day lubricants for reducing emission and facilitating fuel economy and durability were among the other topics that the session addressed. Driveline lubricants and the factors to be considered when selecting a lubricant for various driveline applications were brought up for discussion during the second session of the training initiative. Hardware such as automotive gears, automatic transmissions, manual gears, farm tractors, and off high equipment were also examined. The training, in addition, highlighted some of the major drivers for modern age lubricants such as fuel efficient transmission and gear fluids technologies. Throwing

light on ways to manage the contradicting requirements of highly engineered gear boxes, types of transmissions fluids and their applications, the session offered field examples of how the use of wrong lubricants could cause major damage to the gear box and result in significant financial losses.Participants at the session were also introduced to new automatic transmission technologies, particularly the Continuously Variable Transmission (CVT) that uses a belt or chain to change gear through an infinite number of gear ratios, and the Dual Clutch Transmission (DCT). Elaborating on the range of industrial oils and their importance in the Middle East, the training particularly highlighted the ‘Right Oil for Right Application’ concept for hydraulic fluids, industrial gear, and compressor oils.

41AFAQ 3rd issue, 2014

HEALTH, SAFETY AND ENVIRONMENT

Report HSE Observations (Falcon eye) – Anticipate Close Calls before They Become AccidentsWhy It Matters ...

Most accidents can be • predicted by near misses, unsafe acts and unsafe conditions. The difference between a • near miss and a serious injury might be a fraction of an inch or a split second of time. Near misses are a red flag • -- a warning that something is very wrong and requires immediate attention. HSE observation (near miss) • is an accident waiting to happen. It is something that almost happened or even did happen, but fortunately did not result in an injury. For example:An employee trips over an • extension cord that lies across the floor but avoids a fall by grabbing the corner of a desk. An outward opening door • nearly hits a worker, who jumps back just in time. Instead of using a ladder, an • employee puts a box on top of a drum but once up loses his balance and falls to the ground. He is a little shaken up, but not hurt. Exceeding the prescribed • speed limits on the road.Oil spill in walkways, creating • tripping hazards.

When such examples happen, most employees (and often their supervisors too) feel relieved that nobody was hurt and

simply get back to work. But that is considered a big mistake. When employees narrowly avoid accidents and injuries, neither they nor management should ever shrug them off. Someone -- the employee who had the near miss or someone else -- is very likely to be injured eventually by that very same hazard.

HSE Observations are Golden Training Opportunities Following any HSE observation, call for a safety meeting and identify what happened, what could have happened, and how to make sure that it does not happened again. Seize the moment and you might just prevent the imminent accident. For example, a worker slips on a slick surface and almost -- but not quite -- falls. Set a safety meeting on housekeeping and talk about each employee’s responsibility for correcting a hazard, when possible, or report them in case workers can’t fix them. You can use HSE observations as training opportunities in all different safety and health areas.

Watch out for the Underreporting of HSE Observations One of the biggest problems with HSE observations is that employees tend not to report

them. To counteract this dangerous tendency, train your workers to treat HSE observations just like accidents. In other words, they should take them seriously and report them immediately. Point out that the sooner a safety problem is brought to management’s attention, the sooner you can find out what’s going on and take action to prevent someone from getting hurt the next time the same thing happens. Also, remind employees that:

You are not looking to blame • anyone when you ask them to report HSE observation. You just want to get to the root of the problem so that you can prevent future accidents and injuries. You want them to report a • HSE observation even if they have removed the hazard or corrected the problem themselves. Many HSE observations are just the tip of the iceberg--signs of larger safety problems that need attention, such as poor housekeeping, the need for an ongoing maintenance plan, poor work area layout, problematic work procedures, or insufficient training in safe work practices. You need to know about every little safety-related problem

Services Division, to whom I am indebted for my career change and path of self-discovery. I am also grateful to Mr. Ahmed Al Qubaisi, Vice President, Human Resources Division, for his support and guidance following my training at the HR Division throughout my career path, from an Analyst to Senior Analyst to Training and Career Development Department Manager, and finally Employee Relations Department Manager. Also, Mrs. Saleha Bilal, Recruitment Department Manager, the only woman who held a leadership position in the company for a while and who never hesitated to provide me with her valuable advice and encouragement.

My colleagues have my gratitude and respect for their invaluable support. Last, but most important, my thanks go out to His Excellency Abdulla Salem Al Dhaheri, CEO of ADNOC Distribution and Mr. Abdulla Salem Al Zaabi, Senior Vice President, Administration, for providing an enabling environment and unlimited support for each UAE national in our company.

Could you please briefly tell us about you tasks in your capacity as Manager of Employee Relations Department? My duties mainly entail management and supervision of

the compensations and benefits section, the employee relations section and the employee records section. In this capacity, I provide studies and important data that help implement policies and best practices in employee affairs. Currently, I am working on a project that aims to streamline and modernize our administration functions by implementing state-of-the-art IT systems to make them easier for employees, especially those working in different regions of ADNOC Distribution.

How do you plan to develop the functions of Employee Relations Department? We need to optimize our systems in order to streamline the daily work schedule of every employee in our company, including service delivery, processing various transactions and personal applications in a convenient and consistent manner. When an employee is treated as king, this will impact his creativity, loyalty and dedication to his work inside and outside the company, leading to an increased productivity and business growth. We seek to achieve this macro goal as ADNOC Distribution’s employees. In addition, we also aim to integrate modern technology and smart systems into our daily operations that will in turn considerably reduce human

effort in processing transactions as well as save time. Our current objective is to deliver faster and better service to our employees in various areas.

These courses have effectively contributed to enriching my knowledge about different aspects of my work. They have also given me an opportunity to change my career direction and develop skills that have had a profound impact on my future career path. I am now ready to take my rightful place in supporting my colleagues in the Employee Relations Department to help them hone their skills and expand their areas of expertise.

Being a woman in a senior leadership position, do you face any challenges at work within the company or outside?By the grace of God, I do not face any challenges within my work, thanks to the valuable trust the company’s management has reposed in me and their continuous faith in my abilities since day one. This has also helped me unleash my potential that is reflected in my gradual career growth. The only ‘challenge’ that I face outside my work is the difficulty in balancing work, family and a social life.

Tell us about a situation that played an important role in your career?Of course I have come across difficult situations and had a fair share of disagreements in the workplace. They have taught

me the importance of building a strong personality and working with determination and conviction. In addition, working in different roles and positions has taught me to be flexible in adapting to new situations.

I recall one instance that bolstered my readiness to work hard and shoulder new responsibilities. It was when Mr. Abdulla Salem Al Zaabi, Senior Vice President - Administration nominated me to my current position. For the first time I realized the weight and importance of my responsibility as an Emirati employee to live up to the confidence and faith of my superiors. My nomination to the position of Employee Relations Dept Manager, which is a highly demanding and critical role, confirms that the only way to scale the job ladder in our company is through hard work and efficiency, not from being a man or a woman.

Who are your biggest role models in both professional and personal life?I consider my father and mother my biggest role models both in personal and professional life. I have learnt from my father to be positive in life, in my thinking, in making decisions and in dealing with others. My mother, on the other hand, taught me the idealism in achieving the best of everything, in studying,

in my social interactions and in bringing up my children.

How do you see the role of Emirati women in serving society through their various roles?Emirati women have succeeded and excelled in different roles and positions. This is evident from the sheer number of leading women personalities who were honored and awarded with ‘Pride of the Emirates’ medals by His Highness Sheikh Mohammed Bin Rashid Al Maktoum, Vice President and Prime Minister of the UAE and Ruler of Dubai in 2014. Among the winners of this new category that has been added to the Sheikh Mohammed Bin Rashid Government Excellence Award this year were three women: Her Excellency Noura Al Kaabi, Dr. Salwa Al Suwaidi and Captain Mariam Al Mansouri.

Being a daughter of this soil, how do you think you can give back to this great nation and do you have a future plan to serve your country and community? My country has absorbed me into its fold ever since I was born. I grew up, gained an education and become self-reliant in this beautiful nation. To compensate appropriately I am always keen to ensure perfection in everything I do and make certain that every task entrusted to me is delivered

to my best capacity. I also try to be a role model to my colleagues when it comes to dedication, discipline and diligence. I try to exude positive energy to all those around me and work to evolve into a well-rounded member of ADNOC Distribution and my society. My future plans include setting up a career development consultation center that helps high school and university graduates make suitable career coaching and mentoring to their personal ambitions, aptitudes and job market requirements.

Do you have any advice to give to Emirati women on professional or personal levels?Make ‘Courage to Challenge’ your personal philosophy in life and work. By doing so, you will discover your talents and inherent strengths, learn to invest in your abilities and never give in to excuses or follow negative personalities.

If you can go back to the past, what will you prefer as your future career? When I was in school, I was nicknamed the lawyer of our class because I acted as its spokeswoman. I was also a member of students’ council and in charge of school activities and picnics. I always volunteered to solve problems and speak on behalf of students, and when I finished my high school, I

chose HCT as my first option for my higher studies. The school principal at that time (1996) was Mrs. Fattheya Al Mubarak who tried to convince me to join the Faculty of Law. I preferred Business Administration, because it was one specialization that was required everywhere at that time.

You and your family: How do you organize your time between work and family? At home as also at work I set ‘perfection’ as my goal in whatever I am doing. I consider my job a sacred duty, it means a lot to me on an individual level and to my country as well. When it comes to family, motherhood is an indescribable feeling and a responsibility before God that comes ahead of anything else. I try to be perfect in the upbringing of my children with the help and support of my beloved mother who takes care of my children in the morning until they were a year old. After that I sent them to a well-reputed nursery until they reached school age. After work, I spend my time commuting with them to different classes such as swimming, football practice at the club, and memorizing the Holy Quran in addition to helping them with their homework.

A final word?I would like to express my sincere gratitude to the wise leadership

of the UAE for extending to its citizens - men and women – significant opportunities in terms of access to a quality education and job opportunities, enabling them to excel in serving the people of the UAE.

I would also like to thank His Excellency Abdulla Salem Al Dhaheri and Mr. Abdulla Salem Al Zaabi, for their efforts in creating an enabling environment built on trust and the development of Emirati human capital as our most valuable asset. I thank them for recognizing our contributions towards the company across technical and managerial positions. The advice I would like to give each employee is to set for yourself a new philosophy where you love the work you do regardless of the occupation you aspire to achieve. It is only then that you will find success and excel in your field of expertise.

followers. No leader exists without gaining the support of others.” Therefore, a leader should possess an inspiring vision and a clear objective towards which he shall lead his followers.

We should differentiate between leadership and management. Leadership, in brief, is focused on building relationships with others,

There are many definitions of leadership, but the simplest and most popular one is the ability to influence others to achieve a specific goal or purpose. This definition can be further explained that the leadership is a skill can be attained through learning, continuous practice and development. Management experts explain that leadership may be an innate quality for

a meager 1 to 2 per cent of general public.

To be able to lead, leaders must have the ability to use their influence on others. They must employ a variety of tools to influence others such as carrot and stick method and oratory and persuasion skills. Warren Blank in his book The 9 Natural Laws of Leadership says: “A leader has willing

devising long term strategic plans and opening up new horizons of work, whereas management focuses on the daily work and routine activities in present, not the future.

John Maxwell, a leadership specialist, divides the leadership into five levels as following:

Level I - Position: At this level, leaders do not enjoy a tool to influence others except their job titles. People will follow them because they have to do so unwillingly. The problem here is not that the leader got this position, but when he exploits it to make others follow him forcibly. These types of leaders rely on the influence they get through legislations, rules and policies.

Level II: Permission: Leaders at this level are keen to maintain their relationships with their subordinates. They respect them and make them feel their worthiness. People will follow their leaders happily and on other own will. At this stage, a mutual and spontaneous trust is developed between the leader and follower. Here we should note it is possible for someone to love others

without leading them, but it is impossible to lead others effectively without loving them.

Level III - Production: Leaders at this level depend on the results and achievements. People will follow them because of their successes and contributions at organizational level, which will boost morale, increase profits and decrease turnover rate. In this way leaders fulfil their objectives effectively. Leaders at this level are agents of change and they can overcome obstacles and resolve thorny issues.

Level IV (People Development): No one can become a great leader by solely using his power, influence and authority, but by granting power to subordinates, enhancing their abilities and investing in their skills. This will allow churning out new leaders from followers, who will extend their support to the leader for bringing about positive changes in their lives.

Level V - Pinnacle: It is the last and topmost level and requires persistent efforts, diligence and a great degree of talent to reach. Leaders at this level will create new leaders and will

develop their organizations to become highly competitive. Followers will closely observe their leaders for the high reputation and great values they represent which helped them use considerable influence on others.Among the most effective theories impacting performance of individuals and companies is Situational Leadership Theory. It is one of the most important leadership theories, especially when most companies, large or small, go through a crisis in leadership, which will lead to multiple difficulties in achieving desired goals.

In the mid-seventies of last century, American scientists Ken Blanchard and Paul Hersey developed Situational Leadership theory, which argues that there is no ideal leadership method for different circumstances, and a leader should adopt a leadership pattern that is suitable to his employees. A leader should use one of the four patterns depending on two main factors: the employee’s efficiency in his area of work, and his enthusiasm, commitment and devotion towards the tasks assigned.
