Exchange Standards

Through the collaboration of AIESEC offices and host organizations we deliver theminimum standards of our programs and provide LEAD spaces to our participants, whichfacilitates an Inner and Outer Journey that will enable them to develop their leadership.

Providing information for each entity partner

Pick up EP from point of entry:1. In case the point of entry is not the

same as the destination of the TN, detailed travel/transport directions must be provided to EP at time of Match.

2. Physical reception with all intern in city where intern will have internship

Setting the channel of communication and constant communication with EP before arrival in order to give him all needed information

The host entity need to write in The Opportunity form options on where the EP will be picked up

EP needs to send information about his arrival destination to the host entity at least 48h before starting the trip

Host entity will prepare Welcome package (SIM card, Busplus, city map…)

Registration in police in not more than 24 hours

EP will receive an assistance from EP buddy for buying departure ticket

EP should write a short story or make a short video about his/her internship that can be showcased later by AIESEC and EP.

Every intern will receive an assistance in departure by having at least one AIESEC member that will:1) Take him/her to the final departure destination (bus station, train station or airport ) – if it is in city of LC2) Take him/her to the departure destination from which he/she can reach his/her final departure destination, and also give him/her detailed instruction how to get to the final departure destination – if it isn’t in the city of LC

OP manager will check the EP’s safety status at least once a week until he/she departs from Serbia with the visa status provided by the HE, even after the Exchange Program duration has ended. If the EP decides to stay in Serbia longer with his/her own coordination of the visa or residential status, AIESEC is no longer responsible for his/her safety status.

Detailed work plan needs to be delivered to EP before the start of realization1. Related to AIESEC activities2. Related to OP

Detailed work plan related to OP is his schedule of working hours and days and more detailed explanation of his responsibilities and topics he needs to cover day by day. That enables EP to come prepared on internship

Detailed work plan related to AIESEC activities is draft version of Realization map and it could be changed if needed in the first week of realization on agreement of EP and AIESEC HE responsible person

Minimum duration of short term unpaid GIP (GE) is 6 weeks

Maximum duration of short term unpaid GIP (GE) is 8 weeks

Minimum duration of Classic GIP is 6 weeks

Maximum duration of Classic GIP is 52 weeks

#Minimum working hour for both, classic and short term unpaid GIP is 35 hours per week, and maximum is 40 hours per week

EP won’t work on State holidays and weekends which is provided by Law of Republic Serbia, unless if it’s not defined in the Rule Statute of the company.

EP will have break as well as other colleagues have during daily work.

Overtime is not defined during these internships, and it will be arranged company

EP will have intro at the beginning of work to discus with his/her mentor about the tasks forthat day, and summarizing the daily work at the end of the day

Each EP will go to the workplace with responsible person from AIESEC on his first day of work

Each EP has expectation setting meeting with responsible person from AIESEC and OP taker

This is to ensure smooth cooperation between all parties involved

Individual responsibilities and goals needs to be set on the first meeting with EP

EP should get a feedback from OP taker and evaluation of his work on weekly basis

EP should get a feedback from responsible person in AIESEC and evaluation of his work on weekly basis

Responsible person from AIESEC should enable EP spaces to overcome gaps based on feedbacks and evaluations

EP has to be informed about type of accommodation and other conditions at least 10 days prior to arrival.

Simple GIP

Apartment Host

Maximum 10 people can live in an apartment/house with 1 bathroom. Hosting family should provide EP bed and possibility to

use bathroom and kitchen.Each person needs to have at least 8m² in apartment.

For any element for accommodation that EP has to bring with himself

(e.g. bedsheets), he/she has to be informed at least 7 days prior to

arrival.

AIESEC Serbia has to provide adequate hosting family

to ensure the EP is not being discriminated by race,

sexual orientation, religion and national origin.Responsible person from AIESEC needs to check the apartment at least

bi-weekly

If there is any moving during the exchange period it has to previously be defined in OP form

Accommodation needs to be maximum 1hour ride from a place of work,

Classic GIP

Responsible person from AIESEC needs to help EP to find appropriate accommodation; he/she has

to offer to EP at least 3 options.

Responsible person from AIESEC and EP

have to book the apartment at least 7days

prior to EPs arrival.

TN taker has to provide salary for EP from which he/she can cover accommodation

costs, food and transportation.

EP has to be informed about total monthly costs

for the accommodation from Responsible person

from AIESEC.

The responsible person from AIESEC needs

to send Reception booklet to EP with basic living costs

The OP form specifies if any financial or non-financial compensation (meals, etc.) would be provided during the internship

EP LEAD with IPS

EP should be integrated in LC activities as much as possible, such as:1. LCM2. Local Conference3. Team Bonding/Team Building4. Other LC Activities (for example GC

promotion)

Host committee should provide to EP at least on Internal education which they can use on internship and after internship

Host Committee is obligated during the Local Conference (if they have realizations in that period) to provide interns their track with sessions. For example if it is: 1. First week of realization it can be IPS2. Third week of realization it can be TD3. Fifth week of realization it can be LM

Host committee should provide to EP an External education delivered by Alumni, Companies, Faculty and other stakeholders

Some of the exchange standards are responsibility of HOME entity and others are responsibility of HOST entity.

If we want to deliver high quality experiences every standard have to be fulfilled.

To ensure fulfilling of all standards focus on CO-DELIVERY.
