Bonner AmeriCorps:Types of Slots Available

Choose the slots that make the most sense for your program, your community partners, and your members. These will be requested each semester through Survey Monkey.

Bonner AmeriCorps:Orientation

• AmeriCorps Orientation is required, on or before the day a member signs his/her contract

• Log an AmeriCorps Orientation as their first entry on their first timesheet

• Orientation must cover entire AmeriCorps Contract, emphasizing especially: (please see Orientation slide for more information)

• Prohibited Activities

• Suspension and exit procedures

• Process for the collection of Time Sheets; emphasizing the necessity of completing and logging all required hours in order to be eligible for award

• How Education Award can be used

Bonner AmeriCorps:Orientation

During orientation when completing the Enrollment Booklet, AmeriCorps regulations require these

particular items to be covered. The following are not optional components:

• Member security and sensitivity to the community.

• Member rights and responsibilities

• Program's code of conduct

• Prohibited activities (included those specified in the regulations),

• Requirements under the Drug-Free Workplace Act (41 U.S.C. 701 et seq.)

• Suspension and termination from service,

• Grievance procedures,

• Sexual harassment, other non-discrimination issues, and other topics as necessary. (FAQ Number 07 Prov. IV. D.3.)

Bonner AmeriCorps:Enrolling Members with Bonner Foundation

AmeriCorps Enrollment Workbook:

• Completely filled out in ink, signed, submitted within 20 days of requested start date

• Signature dates on or before requested start date• Member and Administrator must initial any changes

made by pen or white out• Clear copy of Government Issued Citizenship

documentation – Provide legal name change documents if name

has been changed • Must submit clear Government Issued Photo ID for

Criminal Background Check• Copy and keep in Campus Member File

Bonner AmeriCorps:BWBRS Responsibilities

As a Campus Admin, you are required to Manage the following in BWBRS:

• Add Members

• Up keep of Partners and Positions and Training and Enrichment

• Community Learning Agreements

• Report of Hours and Approvals

• Report on Service Accomplishments

Bonner AmeriCorps:Partners and Positions

• When selecting placements for your student please keep in mind the following:

• Community, Community, Community (outside, not campus)• Mentoring• After-school assistance• Disaster Relief• Anti-Hunger• WHEN IN DOUBT, RULE IT OUT (but ask us anyway!)

• Please make clear, concise descriptions that highlight the direct service in the position description

Bonner AmeriCorps:AmeriCorps Eligibility

Remember to keep in mind AmeriCorps Eligibility. The following items are not eligible:

• On-campus activities where there is no direct link to the community at large

• Receiving Academic Credit

• Administrative work that is not a result of direct service

• Fundraising- cannot exceed 10% of total hours

• Medical or scientific research

• For-profit entities

• International service

• Prohibited activities as defined in enrollment book on p15

Bonner AmeriCorps:Community Learning Agreements

Students:

• Create CLA on BWBRS each semester at their main service placement

• Discuss goals with Community Partner and Campus Administrator

Administrators

• Review for AmeriCorps Eligibility

• Make Active or Ask for Edits

• Complete CLA at the end of each semester

Foundation

• Will Nationally Review before approving any hours

Bonner AmeriCorps:Creating Time Logs

Each week:

• Students log Hour Entries into BWBRS each week

• One log entry per site per day (even if student went multiple times)

• Students log hours according to: CLA service, non-CLA service, and Training & Enrichment

• If the time was spent in fundraising, the student must check the box “this time was spent fundraising”

• Entries may not exceed 12 hour maximum, 16 with prior approval

Bonner AmeriCorps:Printing Monthly Hour Log Reports

Each month:

• Print out Hour Log from BWBRS by MONTH (on “Report page” choose the correct month from the “show hours in” and click “update”; the print command is under “available actions”)

• Student, site supervisor & campus administrator sign logs on or after the last day of service logged that month

• Signatures must be original in ink (no pencil or stamps accepted)

• Any written changes must be initialed by student and Campus Admin

Bonner AmeriCorps:Submitting Hour Log to Bonner Foundation

Each month continued:

• Using the Hard Copy Time Log, Campus Admin approves hours on BWBRS. When approving the hours on BWBRS check for the following:

• Double entries • Entries do not exceed 12 hour maximum, 16 with

prior approval• Entries with no titles• Signed on or after the last entry on Hour log

• Any changes made must be initialed by the Campus Admin and Member

• Copy log and keep in Campus Member File

• Campus Admin mails signed hard copies with original signatures to Foundation

Bonner AmeriCorps:Time Log Recommendations

Set a monthly schedule for your students to follow to turn in time logs

We suggest: • At end of month, members print out Time Sheet

• First week of month, members obtain site supervisor signature

• First week of month, or first Bonner meeting of month, members submit last month’s time sheet with site supervisor signature to Bonner AmeriCorps point person

• Bonner AmeriCorps director/point person signs time sheet

• Bonner AmeriCorps point person makes copies of all time sheets and places in campus member file

• Bonner AmeriCorps point person mails original time sheets to the Bonner Foundation by the 15th of the month

Bonner AmeriCorps:BWBRS Case Management

When issues arise with paperwork, National Program Staff will notify you through the new

BWBRS Case Management System.

Here is how it works! • Foundation Staff will open a case

• A BWBRS Digest Email is sent to the Campus Admin and Student as a notification (to review the case, follow link)

• Always respond to the case by leaving a comment. Both the Campus Admin and Student can respond. This comment is sent to Foundation Staff through email.

• When the case is resolved, Foundation Staff will close the case which will be removed from active cases

• All Active cases can be seen under the Report Page: Case Overview. Clicking on the Data Record in each case will take you to actual entry though you may need to update the semester date to reveal the complete comment.

Bonner AmeriCorps:AmeriCorps Exits

A member’s last day of service is the last day the member performs service and logs the entry on BWBRS.

• Review all member Hour Logs to ensure that they have been received & approved by the Bonner Foundation.

• Review member’s BWBRS file to ensure all case management is resolved.

• Submit any outstanding paperwork.

• Mail official AmeriCorps Exit Form to Foundation

• Page 1: Completed by student and signed on or after last day of service

• Page 2: Campus Admin checks Education Award Status and the Foundation Staff sign as the certifying official

• All AmeriCorps exits and outstanding paperwork must be submitted within 20 days of their last logged day of service, regardless of their award status or member contract end date.

Bonner AmeriCorps:Self-Assessment

AmeriCorps Management:

The Bonner Program meets requirements and expectations for managing its AmeriCorps positions, including paperwork, tracking use of BWBRS, and adhering to guidelines and prohibited activities (if applicable).

Policy changes happen and we will inform you of these new requirements as they are dictated to us by the Corporation for National and Community Service.
