Presidents’ Message

Message from PresidentJohn KennyRotary International

The future of Rotary will not be shaped at RI headquarters -- it will be shaped in each and every Rotary club, because it is for each of us -- as Rotarians -- to do what is necessary to keep Rotary strong.

But at the end of the day, everything that we accomplish is done through the strength of our clubs. And so each club must have autonomy to serve where and how it can serve best.

We must also look beyond our own home and our own community. We must look beyond our own needs, and we must be aware that ours is only one community, of one country, of the many communities and countries in this world

President’s Message:

I share with Past Presidents of this club the knowledge that to be your President is both a privilege and a responsibility.

Through our weekly lunches at the beautiful Mississauga Golf & Country Club facility, and through our many events, we have a unique opportunity to have an enormous amount of fun while doing important work for our community and the world.

As you go through your days, I encourage you to wear your Rotary pin with pride. Use the pin’s symbol as an invitation to your friends, co-workers, customers and family to participate in Rotary’s fun and good works.

We are always looking for good people, representative of our broader community, to join us and help make this great club thrive in the future.

Club Goals

Rotary Club of Mississauga. Goals 2009 -10

We have some big goals as a club …. our responsibility is to channel the energy those goals represent into the reality of our day to day work as a club. In defining our goals, we offer the following targets as a focus for the 2009 -10 year:

1. Increase membership with a net increase of 2, through the acquisition of new members and through the retention of existing members. Where possible, we should seek to fill openings in our club so that our club membership more closely resembles our community, with more female and visible minority applicants.

2. Focus on maintaining and enhancing the quality of our weekly meetings.

3. Enhance the fellowship opportunities as supported by club members.

4. Continue an open dialogue within the club with respect to the potential future uses of our Club’s Foundation’s investments.

5. Lay out new strategies to keep our fundraising activities relevant and effective.

In addition, please find within this booklet more specificplans related to each department within the club’s structure.

In June 2007, the Board of Directors approved the RI Strategic Plan 2007-10, which identifies seven priorities:

Eradicate polio.

Advance the internal and external recognition and public image of Rotary. 

Increase Rotary’s capacity to provide service to others. 

Expand membership globally in both numbers and quality.

Emphasize Rotary’s unique vocational service commitment.

Optimize the use and development of leadership talents within RI.

Fully implement the strategic planning process to ensure continuity and consistency throughout the organization.

Avenues of ServiceBased on the Object of Rotary, the Avenues of Service are Rotary’s philosophical cornerstone and the foundation on which club activity is based:

Club Service focuses on strengthening fellowship and ensuring the effective functioning of the club.

Vocational Service encourages Rotarians to serve others through their vocations and to practice high ethical standards.

Community Service covers the projects and activities the club undertakes to improve life in its community.

International Service encompasses actions taken to expand Rotary’s humanitarian reach around the globe and to promote world understanding and peace.

The Object of RotaryThe Object of Rotary is to encourage and foster the ideal of service as a basis of worthy enterprise and, in particular, to encourage and foster:

FIRST. The development of acquaintance as an opportunity for service;

SECOND. High ethical standards in business and professions, the recognition of the worthiness of all useful occupations, and the dignifying of each Rotarian's occupation as an opportunity to serve society;

THIRD. The application of the ideal of service in each Rotarian's personal, business, and community life;

FOURTH. The advancement of international understanding, goodwill, and peace through a world fellowship of business and professional persons united in the ideal of service

Club History

The Rotary Club of Cooksville, later to become the Rotary Club of Mississauga, was granted its charter by Rotary International on April 23 rd, 1954. The Club held its first regular meetings in the old Cooksville United Church on Dundas Street. As the populations of Cooksville and Toronto Township grew, the Club changed its name to The Rotary Club of Cooksville-Dixie, with its meetings held in Applweood Village. Under this name, the Club sponsored the Rotary Club of Streetsville in 1961.

In July 1960, the club’s charter president, Archie Turner, was appointed Governor of (what was then) District 707. Archie was the first of five District Governors from our Club. He was followed by Bob Watson (1973) Duncan Lyall (1988), Bob Harriman (1989) and Jerry Wijngaard (1999).

It was in 1969 that RI approved another name change and we became known as The Rotary Club of Mississauga. Our record of support to local and overseas communities is impressive and varied. Rotary’s special focus on “youth” has led to the Club’s involvement in the Youth Exchange Program, Rotary Youth Leadership Awards (RYLA), Camp Enterprise and Adventures in Citizenship. The Club sponsors the TL Kennedy Interact Club, The Glen Forest Interact The Mississauga Rotaract Club and the Mississauga PROBUS Club.

Interact: This Rotary youth program was launched by Rotary International in 1962 and the first club was established by the RC of Melbourne Florida. Our first Interact Club was chartered in the late 1990’s. Interact clubs provide opportunities for young people of secondary school age to work together in a world fellowship of service. The name derives from “international” and “Action”.

Rotaract: This youth program was created in 1968 and is designed to promote responsible citizenship and leadership in young persons 18-30 years of age. The first Mississauga club was chartered in 1998. There are some 7200 Rotaract clubs around the world with approximately 165,000 ,members. These Rotaract clubs emphasize the importance of individual responsibility as the basis of personal success and community involvement. Each annually sponsors a project to promote high ethical standards in business and in their professional lives.

TRF PLANS:•Continue to improve members’ awareness of TRF annual and permanent funds and the links between them, WCS projects and RI programs.•To encourage and increase participation in the Each Rotarian Every Year (EREY) campaign for sustaining members – with a year-end goal of 80% participation.•To encourage participation in ‘planned giving’ (bequests etc) to TRF.•To work with the Director, Image and PR to promote the work of Rotary in the community at large.

CLUB FUNDRAISING PLANS:•To oversee the activities of Club fundraising projects and monitor their effectiveness in terms of:

•The return on investment (members’ hours/effort)•The adequacy of returns in meeting Club service project plans.

and to make recommendations to the Board in respect thereof.•In association with the Treasurer, to liaise with the Director, Service projects on availability of funding, cash flows etc.•To keep members informed through verbal reports and bulletin articles.

CLUB FUNDRAISING PLANS CONTINUED:

RibFest•Our 6th annual Rib Fest will take place in July 2009

•Preparations for the 7th Rib Fest will commence soon afterwards

•Ongoing Corporate Sponsorships are the key to financial success.

•The aim is to establish Rib Fest as a major annual fund-raiser that will involve a large segment of the Mississauga community and provide a vehicle for highlighting the work of Rotary and its mission to show that “Rotary Shares”

LobsterFest:•Our June 2010 date for Lobster Fest has been set.

•Our ‘Live Band” will be continued and we will generally endeavour to build on past success and tradition.

Festival of Lights:

•This will be our our second year in this fundraiser and we are looking to further energize this program this year.

New Fundraising Focus:•With our TV Auction coming to a close last year, the Club will need to consider which direction to focus that past energy. A separate committee will be struck to determine our next steps.

Sergeant at Arms, Mark Cashin Director

Sergeant at Arms Committee:

The function of the Sergeant-At-Arms is to help maintain an orderly, dignified, and effective Rotary club meeting; one that will make a right kind of impression on club visitors and guests.

The sergeant will be on the alert to prevent any occurrence that might detract from the dignity and prestige associated with Rotary clubs.

Specifically, the function is to handle the physical preparations for, and the mechanical part of, a meeting and, unobtrusively, to guide its general conduct, including:

•Oversight of the members of the Sargeant at Arms Committee to •Introduce visiting Rotarians and Guests•Note birthdays and anniversaries•Collect Happy Bucks•Assess Fines.

•Oversight of the POD system to ensure the POD leaders have properly allocated duties for the smooth running of the meeting.

Because of the duties performed by the Sergeant at arms, the club president is free to concentrate on conducting the meeting.

PLANS:

•To direct our financial support based on an agreed set of criteria, enabling us to focus on giving where it can be optimized.

•To raise the profile of our work:•Through publicity (with the Image and PR Director)•By inviting recipients to attend a Club meeting to officially receive donations and to invite media representation at such.

•We will continue to maintain our status as a ‘sustaining club’ of TRF by contributing the equivalent of US $100 for each member of record as of July1st.

•Our WCS projects will generally align with District 7080 ‘approved’ projects and we will always seek to use the multiplier effects of District Designated Funds (DDS) and matching grants.

•Among the criteria for selection will be consideration of the degree to which a project will be environmentally friendly.

•We will seek to expand Interact Clubs into other schools (beginning with those who participate in our Scholarships Program), and in cooperation with other Rotary Clubs.

•Wherever appropriate, we will endeavour to work in concert with other Mississauga clubs both to coordinate and optimize our activities and the benefits from them.

•To promote a greater degree of direct (hands-on) projects as opportunities arise and resources allow.

•To continue to promote the development of youth through support of Camp Enterprise, RYLA, Youth Exchange, Service Above Self Scholarships, Interact and Rotaract.

Membership, continuedJai Li, Director

The Director of Membership is responsible for matters relating to members personally,their growth and development and the provision of fellowship opportunities between members and their families.

PLANS:•To continue focus on the growth of the Club membership with emphasis on attracting members so our club better represents the balance of backgrounds in our community.

•We will look for members’ referrals through encouragement at Club meetings, guest luncheon tickets and Rotary business cards. Also through publicity at our fundraising events.

•Review our classifications and seek to recruit in vacant areas by specific appeal to existing members and perhaps through Mississauga business associations.

•Monitor mentorship program to improve our ‘retention’ performance.

•We will organize ‘firesides’ as needed to provide information and for connectivity with new members.

•We will maintain the TLC program – contacting absent members, providing ‘baskets’ for ill members / spouses and keep the Board appropriately informed.•We plan to work in conjunction with the Director of Image and PR on advertisement and PSA opportunities.

•We will seek candidates and provide encouragement to develop suitable members beyond the Club-level of Rotary.

•We plan to increase the number and range of our fellowship events.

•Our goal is to have a membership strength of 67 by June 30 th 2010. We will continue with our ‘Associate Membership’ program, as a tool to attract suitable prospects to Rotary.

Club Administration is at the very heart of an effective club. All else depends on efficiency and effectiveness in this support area. PLANS:Finance:•We plan to prepare spending budgets based on the previous year’s fundraising results – thereby raising money before planning to spend it.

Meeting Program:•Includes planning for the introduction of ‘high profile’ speakers at specific meetings which would be designed to attract media attention and such meetings would included the ‘official’ handover of (local) Community Service Donations.

Meeting Management:•Last year’s POD system realignment will be continued, with Director Mark Cashin acting as the official Sergeant at Arms with a committee of supporters scheduled for this duty throughout the year.

District Conference:•All Club members will be encouraged to take this great opportunity to learn about Rotary, make new acquaintances and renew old friendships.

District Assembly:•Incoming Board Members, and newer members in particular will be encouraged to attend this meeting … the climax of the annual Divisional Training program.

Paul Harris Awards:•These service awards are made on the basis of merit and the availability of sufficient RI credits (One per US $1,000). They are made both to our own Club Members, and to the community at large who deserve special recognition.

The Rotary Club of MississaugaPersonal Security – Code of Good Practice

Policy Statement: It is the responsibility of every Rotarian to safeguard to the best of their ability , the welfare of every person with whom they come into contact during their activities as a Rotarian. Special attention is to be given to children, the elderly, disabled and other vulnerable persons – this includes the prevention of physical, sexual or emotional abuse.

Our legal and moral obligations: All Rotarians are responsible for protecting the safety and security of everyone we encounter in the provision of service to our community. We have a special obligation to those individuals with a greater vulnerability due to age, physical or mental limitations.Rotarians are obliged to avoid doing anything that is likely to result in harm to others, and to take reasonable precautions to avoid placing others in a position where harm could be done – including physical and emotional harm.Rotarians have an obligation to intervene if they are aware of information, or are in a position where they could reasonably be expected to have information, about abuse or anyone, through that person’s involvement in any Rotary activity or event.

Guidelines: This policy shall apply to both projects and ongoing Club activity. In the case of projects, the project chairperson shall have overall responsibility for ensuring that the policy is observed in the planning and execution thereof. Plan activities so as to minimize situations where abuse may occur. Remember that “records checks” from local police departments may not be fully effective. They generally report convictions for criminal offences and may not include charges that did not result in a conviction; or may include ancient, unproven or flippant allegations. Neither do they necessarily disclose personal behaviours that may put children and/or others at risk. Ensure that everyone involved in an event or activity is aware of the Club’s policy – this includes all Rotarians, Rotarians’ partners, Roteractors and Interactors, all volunteers and any paid staff.

Two past presidents of the Club (Moss/Dinnert) are designated jointly as the Club’s “Personal Security Officers”. They will have overall responsibility for this policy, its review, updated, and for raising awareness. They will have the responsibility for dealing with allegations or disclosure and it is to these officers that members should report their concerns or address their questions.

Section 8 of the District 7080 Code of Good Practice contains guidelines on how to deal with the disclosure or discovery of abuse. The document also includes the District 7080 Abuse Protocol.
