Policy and Procedure Statement

Census Rosters

Census Roster Processing

• Faculty are given one week by Registrar's to certify rosters.

• Once the roster is certified, the attendance information is written into a custom table.

• The specific courses where attendance has been confirmed are also written into our Applicant Comments screen.

Applicant Comments (RHACOMM)

• This notation allows customer service staff to identify the courses where attendance has been confirmed.

Applicant Requirements Screen (RRAAREQ)

• Identifies the student as having a potential adjustment due to non-attendance.

Non Attendance Lists

• Two reports generated– Students with Pell, TEACH or IASG who have at

least one course where the attendance has not been verified (did not begin attendance in all courses)

– Students that have any Title IV aid and have all courses with attendance not verified (failure to attend)

Non Attendance Processing

• The financial aid frozen hours will be updated to reflect the hours for which the student began attendance.

Non Attendance Processing

• Pell, TEACH and IASG awards will be recalculated using the new enrollment status.

• Cost of attendance will be recalculated using the new enrollment status.

• For students that were failure to attend (did not begin any courses), all aid will be removed from the student’s account.

Student Notification

Withdrawals - 1st Class day through Census

• To verify that students began attendance prior to the census date, we contact faculty.

Enrollment Status

• Registrar’s will drop students from courses where the student was not certified as attending.

• Drop will be backdated prior to the 1st class day.• Updated enrollment status will be reported to NSLDS.
