Additional Information and requirements
1. Delivery - all deliveries are to be made between the hours of 8:00 a.m. and 3:00
p.m. Monday through Friday.
2. Acceptance - delivery does not mean acceptance. All vehicles are subject to
inspection to establish conformity to specifications prior to acceptance.
Invoicing of vehicles & equipment
After receipt of a purchase order, the vendor will be required to Contact Vehicle & Asset
Management, either by phone or email when said unit is ready for delivery. Aaron
Simmons or Scott Shinnaberry will be the point of contact for this process

gentlemen will require the vendor to supply an invoice, the original MSO and the
window sticker to ordering agency (Vehicle & Asset Management) before delivery. At
time of deliver to the end user, vendor will require a state employee signature and date on
delivery receipt that will then be forwarded back to Vehicle & Asset Management within
48hrs of delivery. If delivery is made and failure to supply an invoice or make
appropriate contact with Vehicle & Asset Management this may result in the unit being
returned to the vendor until an invoice can be supplied. Invoice & MSO must be
completed as follows: Vehicle & Asset Management 6500 Centennial Parkway,
Nashville, TN 37243.
1) Vehicle to be completely winterized
2) Minimum of 1/4 tank of fuel (by fuel gauge) upon delivery
3) Successful bidder to supply (2) sets of ignition keys and (2) sets of other
component keys per unit
4) Pre-delivery according to manufacturer's standard requirements
5) Invoice to include ignition and all other key numbers.
6) Vehicle to be clean inside and out with all applicable stickers removed.
Protective coverings and plastic to be removed from seats.
7) Warranty: will begin on date vehicle is placed in service not to exceed six (6)
months from delivery date.
8) Delivery mileage – maximum allowable miles at time of delivery is 300 miles.
Mileage warranty will begin at this mileage and the full manufacturer standard
warranty will be added to the delivery mileage. I.e. 36,000 mile warranty plus 300
delivery miles equals 36,300 miles of warranty period.
9) Vehicle specifications shall be confirmed before commencement of work.
