Overview

1. For manual IDBs prepared by small offices which do not have a LSDIA system or an automated ROSS system:

a) You do not enter the delivery information b) You verify that all information is there (RC, IDB#, signatures when required, signatory names, etc.) c) You attempt to correct whenever possible d) You image ALL IDBs (with or without signature) e) You file all IDBs with signature for a minimum of 7 days (or according to local practice)

The Document Processing Unit (DPU) will enter all delivery information for each of the items and will attach the signature as required.

Logging On to DIA

• Click the DIA Icon from the desk top

Logging On to Imaging Application

• Select the Image IDBs button to enter the imaging application

Image IDB Main Screen

• The IDB imaging screen functions are exactly the same as the old imaging screen, it is simply a slightly different look.

• The functions are as follows:

1. Number of IDBs to be imaged – enter number of IDBs to be imaged

2. IDBs Imaged – displays number of IDBs correctly imaged

3. Start and Finish – date and time imaging started and ended

4. IDB # - number at the top of IDB imaged. Also, a checkmark will

appear to the left of the IDB number.

5. Order – order IDB was imaged

6. Result – result if IDB was imaged correctly

Imaging IDBs

1. Gather all IDBs to be imaged and batch them in packets of 20 to 25. 2. Count the number of IDBs to be imaged 3. Insert the IDBs into the scanner

4. Enter the number of IDBs counted in the “Number of IDBs to be imaged” box

5. Click on the Start button 6. Once all IDBs have been imaged look at each image to ensure it is of acceptable quality. To view an image click on the IDB # in the IDBs Imaged portion of the screen. This image can be made large or smaller by using the Zoom feature and turned right side up using the Rotate button.

Please note: if you are unable to read the IDB the Document Processing Unit operator will not be able to read it either. If the IDBs are illegible, please attempt to resolve with the delivery site nd write clarifications on the IDB before imaging.

7. If all IDBs are of acceptable quality press the Save button.

8. For IDBs of poor quality remove the corresponding checkmark to the left of the IDB # and reimage them with the next batch. 9. For IDBs that were not imaged at all simply remove them from the batch and reimage them with the next batch. 10. Continue imaging all IDBs. 11. Once all imaging is complete, click on the Exit button.

Troubleshooting

HARDWARE All hardware components come installed with the factory defaults or adjusted according to Canada Post specifications. What is required from you is minimal.

Computer • Check all connections • Check power (ON/OFF switch)

NOTE: Only reboot the computer when instructed by qualified personnel or the Computer Help Desk (CHD) specialist. If all is OK with the computer, then call the CHD at 877-411-8585 Option 5

Screen • Check all connections • Check power (ON/OFF switch)

If all is OK with the screen, then call the CHD at 877-411-8585 Option 5
