1.2 College Advisory Scheme

ToenableeachnewstudenttosettleinassoonaspossibleandtoensurethateachnewstudenthasaccesstoatleastonememberoftheacademicstaffthroughouthisorherfirstandsecondyearsatUniversity,theCollegehasorganisedanAdvisoryScheme.

Followingthecompletionofon-lineregistration,youwillbeassignedanadviser.You must meet your Adviser personally during the first two to three weeks of term. At this meeting, you must give your Adviser your completed Advisory Scheme Record Form (on page 67).

TheprincipleroleofyourAdviseristoarrangethatyoureceivethehelpthatyoumayneedduringyourinitialyearsinUniversity.Ifyoufind,forexample,thatyouarerunningintoacademicorpersonalproblems,orthatyouareunsureofwhatisrequiredofyou,orifyouhavequeriesaboutthefacilitiesavailable,youarestronglyrecommendedtomakecontactwithyourAdviserattheearliestpossibleopportunity.Heorshewillmakeeveryefforttoeitherhelpyoudirectlyorwillensurethatyouareputincontactwiththestaffmemberswhocanbestprovidethenecessaryadvice.

1.3 Laboratory Numbers

Followingthecompletionofyouron-lineregistration,youwillbeemailedalaboratorynumber.Thisnumberisusedwhendrawinguptimetablesforpracticalclasses.

1.4 Clickers

TheCollegeofSciencerequiresallstudentstouseindividualelectronicpollingdevices(“clickers”)duringlecturesinordertofacilitatediscussionandengagement.ClickerswillbeissuedtoeachstudentattheCollegeDeskduringtheAdvisorySession.Misplacedorlostclickerscanbereplacedatacostof€30.00duringtheacademicyear.AllclickersmustbereturnedtotheCollegeofSciencebeforetheendoftheacademicyear.Failuretodosowillincuracostof€30.00.

1.5 Selection of Modules

SomeoftheB.Sc.programmesallowforachoiceofmodulesinFirstYear.However,thekeymodulesrequiredforthemainacademicthrustofeachprogrammearedefinedandarenotamatterofchoice.

Introduction

1. Plagiarismistheactofcopying,includingordirectlyquotingfrom,theworkofanotherwithoutadequateacknowledgement.Thesubmissionofplagiarisedmaterialsforassessment

purposes,plagiarisminpublicationorinpublicpresentation,isfraudulentandallsuspectedcaseswillbeinvestigatedanddealtwithappropriatelybytheUniversityfollowingtheproceduresoutlinedhereandwithreferencetotheDisciplinaryCode.

2. Allworksubmittedbystudentsforassessmentpurposes,forpublicationorinpublicpresentation,isacceptedontheunderstandingthatitistheirownworkandwrittenintheirownwordsexceptwhereexplicitlyreferencedusingtheacceptednormsandformatsoftheappropriateacademicdiscipline.

3. Whilstsomecasesofplagiarismcanarisethroughpooracademicpracticewithnodeliberateintenttocheat,thisstillconstitutesabreachofacceptablepracticeandrequirestobeappropriatelyinvestigatedandactedupon.

4. Regulations,guidelinesandproceduresregardingplagiarismshouldbemadewidelyavailableandastatementincludedincourseGuides,websites,departmentalnoticeboardsorappropriatehandoutstostudents.Plagiarismcanarisethroughignoranceandthereforeitisimportanttoensurethatstudentsunderstandwhatismeantbythetermandtheseriousnessoftheoffence.

5. Schoolsarerecommendedtoconsiderrequiringstudentstosignashortdeclarationthatworksubmittedbythemforassessmentpurposes,forpublicationorinpublicpresentation,istheirownandthatsuchastatementmaybeattachedtoasubmittedpieceofcoursework,essayordissertation(orsignedatthestartofeachcourse/academicyear,acknowledgingthatthestudenthasreadandunderstoodtheplagiarismregulations).Thepurposeofthisstatementistoreinforcetheprincipleofstatement(2)aboveandtoremindstudentsoftherequirementsforthesubmissionofaformallymarkedassessment.

7. AsmallnumberofstaffshouldbeidentifiedineachCollegewhowouldhaveresponsibilityfordealingwithsuspectedandreportedcasesofplagiarism1.ThesestaffareDesignatedAuthorities,asdescribedintheNUIGalwayStudentCodeofConduct.

1 ThisisinkeepingwithbestpracticerecommendationsfromtheUK’sJISCPlagiarismAdvisoryServiceandalsoreflectspracticeinanumberofinstitutions.Whilstitmayseemlikeanadditionalburdenintermsofadministration,itoffersanumberofadvantagesofeitherleavingtheresponsibilitytothelecturerinvolvedorindeed,theHeadofDepartment.Insomeuniversitieseachdepartmentidentifiesonesuchstaffmember,inothers,asinglestaffmembermayspananumberofsubjectswithinabroad“cognatearea.”Further,havingasmallnumberofsuchstaffclearlyidentified,acrosstheuniversity,whocanreadilybetrainedinsuchissues,ensuresconsistencyofpractice.Italsoenables“fast-tracking”of“minor”oradmittedoffencesandrespondstotheoutcomeofFlanaganvsUniversityCollegeDublin(1988,http://www.ucc.ie/law/irlii/cases/159jr-88.htm),asdotheremainderoftheseguidelines.

8. Thesestaffshouldbetrainedonthebasicissues,bemadeawareofcurrentbestpracticeguidelines;techniquesforminimising,detectingandrespondingtoplagiarism;andcurrentnationalandinternationaldevelopmentsacrosstheHEsector.

9. AmemberofteachingstaffwhosuspectsthatasubmittedpieceofstudentworkmaybeplagiarisedshouldnotifytheappropriateplagiarismadviserintheirCollege/cognatearea.Ashortreportincludingacopyofthesuspectedexampleandanyevidenceforplagiarismshouldbeforwardedtotheadviser.

10. Theplagiarismadvisershallconductaninvestigationoftheallegedplagiarism,firstlydeterminingwhetheritrepresentsa“minor”or“major”offence.

11. Minorcasesarethoseinwhichthesuspectedplagiarismisafirstoffenceandrepresentspooracademicpractice.Suchcasesinclude:

• Apparentlyinnocentmisuseofmaterials. • Inadequatecitationsuchaspoorreferencing,inappropriateparaphrasing. • Over-relianceonsourceswithoutsufficientofthecandidate’sownwork. • Thoseinwhichthesuspectedplagiarismrepresentsonlyasmallproportionofthework and/oranelementinapieceofworkwhichmakesasmallcontributiontothemarkfor

themodule.

12. Theadviserwill,insuchcases,normallyinterviewthecandidatetodiscussthesuspectedplagiarism.

13. Iftheadviserissatisfiedthatthereissufficientevidenceofsuchanoffence,thestudentwillbegivenawrittenwarningandprovidedwithadviceonavoidingplagiarismandthenecessityofproperlyacknowledgingandreferencingsources.

14. Majorcasesarethosewhichmayinclude,forexample:

• Copyingmultipleparagraphsinfullwithoutacknowledgementofthesource.

• TakingessaysfromtheInternetwithoutrevealingthesource.

• Copyingallormuchoftheworkofafellowstudentwith,orwithout,his/herknowledge orconsent.

• Submittingthesamepieceofworkforassessmentundermultiplemodules.

• Thoseinvolvingafinalyearundergraduateorpostgraduatestudent(taughtorresearch).

• Asecondoffencewherethestudenthasbeeninreceiptofanearlierwrittenwarning.

15. Inconsiderationofpossiblemajorcases,thestudentwillbenotified,inwriting,ofthesuspectedoffence,providedwithacopyofthemarked-uppieceofworkandinvitedtoattendaninterviewwiththeplagiarismadviserandanadditionalmemberofstaff2.

16. Thestudentwillhavetherighttobeaccompaniedandassisted,attheinterview,bya“friend.”3

17. Attheinterview,thestudentwillbegivenaclearexplanationofwhathasbeenalleged,shownacopyofhis/herwork,giventheopportunitytojustifytheworkandbeinvitedtoadmitordenyresponsibility.

18. Insuchmajorcases,wheretheadviserissatisfiedthatanoffencehasoccurred,theadviserisrequiredtodeterminebetweenthreepossiblecoursesofaction,dependingontheapparentseverityoftheoffence:

(a) Anopportunitytorepeatandresubmitthework,butwherethemaximummarkthatcanbeawardedisthepassmarkappropriatetothemodule.

(b) Theimmediateimpositionofanacademicpenalty,whichwouldnormallybetheawardofzeromarkstotheplagiarisedwork,withnooptiontoresubmitthework.

(c) Thesubmissionofthecaseforconsiderationbytheuniversity’sDisciplineCommittee.

19. Inallcases,thestudentwillbenotifiedinwritingofthedecisionoftheadviserandanypenaltyimposed.

20. InkeepingwiththeUniversity’sCode,thestudentshallbeentitledtoappealadecisiontotheAppealsBoard.

21. Anappropriaterecordshouldbekept4inrespectofanyupheldallegation,whichcanbeconsultedbytheplagiarismadvisertodeterminewhetheranewcaseispotentiallyasecond,orsubsequent,offence.

22. Basicstatisticalinformationcoveringthenumberofcasesreferredtoadvisors,thenumberofwrittenwarningsandotherpenaltiesappliedandtheirdistributionacrossDepartmentsandFaculties,shouldbecollatedbytheUniversitytoinformsubsequentmodificationstotheseregulationsandascertaintherequirementforwidertrainingandinformationdisseminationonthistopic.

6.1 Introduction

ThesegeneralregulationsapplytoallfulltimeundergraduatedegreeprogrammesintheUniversity.Everyfulltimeundergraduateprogrammemust complywiththeseregulationsunlessotherwiseprovidedaspersection6.9below.StudentsmustalsorefertothespecificCollegedegreeprogrammeregulationsandrequirements.

TheseregulationsareapprovedbytheUniversity’sAcademicCouncilandareregulatedandreviewedbytheAcademicCouncil’sStandingCommittee,followingpriorconsiderationbytheAcademicRegulationsCommittee.TheAcademicRegulationsCommitteewillbecomprisedoftheRegistrarandDeputy-President(Chair),DeansofCollege,anotherrepresentativefromeachCollegeandtheDirectorofAdultEducation.RelevantadministrativestaffwillbeinattendanceattheCommittee’smeetings.TheCommitteewillreporttoStandingCommitteeofAcademicCouncil.

6.5 Passing and Progression

TheExaminationBoardistheformalexaminationauthorityforeachCollegeandexaminationsession.ChairedbytheDean,theBoardismade-upofacademicstaffmembersoftheCollegeandexternexaminersfromtherelevantdisciplines,orfromtheCollegesresponsibleformulti-Collegeprogrammes.OnlythosedecisionsapprovedbytheExaminationsBoardwillbeformallyrecognizedasofficialUniversityexaminationresults–relatingtoPassing,Progression,DeterminationofHonours,andGrantingofDeferrals.

ExaminationBoardswillbeheldattheendofaStage,normallySemester2,andaftertherepeatexaminationsinAugust.TheExaminationBoardwilldeterminetheoverallresultandwillapplycompensationprovisions.

Progression

UndergraduatedegreeprogrammesattheUniversityarenormallyorganizedintoStages. Students must successfully complete each stage before progressing to a subsequent one. Full-timeUndergraduateDegreeProgrammeswillbeorganisedonanacademicyearbasis,whereeachyearrepresentsadefinedStage. Passing

The pass mark on all modules is 40%. A mark of ‘Incomplete’ must be returned to the Examinations Office where there is a requirement that an element(s) of a module be passed and that element(s) is not passed. CollegelevelprovisionsshouldbethesameacrossallprogrammesandmodulesinaCollege.

6.5.1 Carrying Forward Marks

6.5.2 Material Assessed at Repeat Examinations

Marksforcomponentsofamodule(i.e.sub-moduleassessmentelements)frompreviousattempt(s)donotcarryforwardfromoneassessmenttothenextunlesstherelevantCollegehasmadeprovisiontoexemptstudentfromretakingspecificcomponentsforacademicreasons.

Compensation Provision

CompensationwillonlybeappliedincaseswhereitsapplicationenablesthestudenttopasstheExaminationasawhole.
