Rules, Health Requirements and Registration Protocols of the Academy:
1. Rules of the Academy 1.1. All the deposit slips to accompany the trainee.
1.2. All trainees must bring their relevant qualifications as well as their ID Documents at course commencement.
1.3. Dress code will be send to all trainees that are registered with their training before commencement.
1.4. No firearms, alcoholic beverages or drugs will be permitted inside GEFSTA Training Academy.
1.5. All external trainees must be prepared to receive Induction Course before course commencement.
1.6. All trainees must adhere to the guidance given by the course instructor.
1.7. All other safety rules and safety procedures will be covered before course commencement.
1.8. Once on site, no horseplay that could cause accidents or injury will be tolerated.
1.9. All prices will be per delegate, exclude VAT and catering except where otherwise specified.
1.10. Cancellation for the course:-
1.10.1. Terms and Conditions to be applied are:-
1.10.1.1 All cancellation MUST be made in writing 10(Ten) working days after depositing the registration or full
course fee.
1.10.1.2. Time delivery of the signed course cancellation letter vs. course administration.
1.10.1.3. Screening of the letter (e.g. reasoning, rights of the person cancelling, etc).
1.10.1.4. Screening of the deposited amount. (Availability of funds transferred/cash/cheque, etc).
1.10.1.5. Cost of Administration due to cancelation therefore 50% is payable. (Bank charges, student’s SAESI
registration, learning materials, accommodation, etc).
1.10.1.6. All refunds are transferred after 120 working days excluding weekends and holidays.
1.10.7. All cancellations made 10(Ten) working days before commencement of the course a 100% fee is payable.
1.10.8 No refunds of either the mandatory deposit and/or the full payment of the tuition shall be made to the learner
who fails to complete the training and no submission and /or reasons shall be entertained in this regard.
1.10.9 Telephonic registration is regarded as online registration and it therefore bind any students/member who
register or deposit the money in the bank account of the academy to adhere with the clause 8. Of this Governing
Policy.
2. Health Requirements of the Academy:
2.1 External trainees will not be permitted on any course involving practical evaluations should they suffer from any of
the following health conditions: Perforation of the eardrum Serious hearing impairment Serious limitation of motion of the upper and/or lower extremities and/or deformities thereof Colour Blindness (Hazmat Courses) Hypertension History of heart disease Claustrophobia Acrophobia

3. Trainee Registration Protocols for the Academy: 3.1. All trainees must ensure that they have the required course prerequisites before attending the training course,
as the academy withholds the right to refuse course attendance to any trainee that does not comply.
3.2. The academy required all Training Application/Registration Forms at least 10 working days before course
commencement and cancellation of attendance at least 10 working days before course commencement and
in full writing as telephonically conversation is not acceptable. Depending on the seriousness of the
cancellation the academy will decide whether a refund of 50% from what you have paid will be necessary,
and this money will be paid into the learners bank account after 120 (14 weeks) working days excluding
weekends and holidays (see page 4 clause 1.10.). Trainees that do apply and register will be given
preference to attend over those that do not apply/register.
3.3. The academy reserves the right to cancel or postpone any course where insufficient reservations have been
received.
3.4. The other academy protocols will be covered with the trainee during course commencement.
ON SITE TRAINING AT CUSTOMER VENUES: TARIFF TABLES FOR 2014 1. COURSE PRESENTATION FEES
This fee is charged to cover the cost of audio-visual materials, manuals, student handouts, certification,
instructor manuals, instructor packages, packaging, course development costs, salaries of instructors &
other staff members, building facilities, practicals (infrastructure, equipments & consumables), students’
accommodations and other related rentals etc.Please take note that the final evaluation will be done at the
Accredited training centre as SAESI Policy except none SAESI Qualifications.
Calculated per trainee as per academy course price list, as long as the minimum number of trainees
attends. If the minimum number of trainees does not attend, then a standard course presentation fee of the
minimum number of trainees x unit cost per trainee + 20% is used as a standard course presentation fee.
2. INSTRUCTORS' FEES
This fee is charged to provide the instructor with food and beverages whilst en-route and to enable him to
purchase meals should he miss any scheduled meals at his place of accommodation. This also
compensates him for travelling time after official working hours. It also covers airtime on his cell phone or
any other miscellaneous items he might have to purchase.
Calculated at R200.00 per instructor for the traveling time to and from the training venue as well as R150.00
per day for the duration of the training. The days are calculated to include travelling time of 700km per day
or part thereof as well as the duration of the training. The return trip is also included at the same tariff of
R200.00 at 700km per day or part thereof.

3. TRAVELLING COSTS
This fee is charged to cover the costs of our vehicle as well as our trailer in terms of maintenance, diesel,
license fees, depreciation and replacement of vehicles as well as training equipment used for the sole
purpose of on-site training such as fuel pans, hazmat trailers, etc.
Calculated at R4.00 per km for the first 250km, R4.50 from 250km until 1000km and at R5.00 for the
kilometres exceeding 1000km. The entire trip to site and back is calculated on the basis. The full distance
covered is reflected in the final invoice.
4. ACCOMMODATION
This fee is charged to cover the hotel costs for the instructor whilst the training is presented and is presently
calculated at the average tariffs charged by the Holiday Inn Garden Court Hotels which averages R1000.OO
per night inclusive of breakfast and supper.
The total cost of the accommodation is charged according to the actual costs to GEFSTA who use Avis
Travel Agency to arrange all accommodation.
5. CONSUMABLES
The most common consumables are dry chemicals powder and foam compound and these items are
charged at replacement cost.
Presently dry chemical powder is charged at R105.OO per kg. Presently Alco seal foam compound charged
at R33O.OO per litter.
6. GENERAL
If the customer provides accommodation, meals, transport, etc. Acceptable to the academy, which meets
minimum acceptable standards and does not influence the quality of training, we are only too happy to
adapt our quotations accordingly.
It is expected of the customer wanting on-site training to provide adequate lecture room facilities with a TV-
VHS Video Recorder, Overhead Projector with screen as well as a white board and/or flipcharts with a
stand. If these items are provided by the academy, a small rental fee of R150.00 per item is charged.
(The lecture room with electrical sockets, acceptable lighting/ ventilation and with adequate seating is the
bare minimum standard acceptable by the academy).
All this is covered in our tailor-made free quotations provided to any organization in South Africa that
requests such a quotation via telephonic or fax enquiries.
COURSE DESIGN TRAINING CONSULTANCY AND OTHER SERVICES
The academy is prepared to adjust all existing courses to meet your training needs, and/or design a course
specific to your organizations training needs.
Course design will be done after a training need analysis is done to determine the training needs of the
target group. These services are provided on request and all quotations are free of charge.

Research and development of new technology in emergency response is an on-going process at the
academy with regular demonstrations, testing of new products, etc.
