What is BOXI ?

• Business Objects XI

• A web-based reporting system

• Used by other areas of the University already

• Already used by EUCLID for Admissions information

• Allows reports to be saved and shared.

EUCLID Schools’ Student Management Universe

• How you see EUCLID information about groups of students or courses within BOXI

• Has standard pre-defined reports!

• Is a good starting place – more reports can be added over time

• You can learn to create and save your own reports.

• Don’t worry about that now – it has standard pre-defined reports!

How do I get in?

• If you WISARD already you will automatically have an account in BOXI

• If you need to ask for access see information on the web:http://www.euclid.ed.ac.uk/staff/NewsEvents/StaffAccounts.htm

• You access BOXI via MyEd (Teaching or Admin tab)

What centrally provided standard reports are there?

• 30 standard reports

• 12 Course Reports

• C6 – First Class Sessions Check

• 18 Student Reports

• S00 – Basic Course Cohort (Class lists with email addresses)

• S2 – Director of Studies with programme, status, confirmation of attendance, registration and fee details

What locally developed reports are there?

Printing Reports

• Switching into PDF mode formats the report specifically for printing.

1. Click View

2. Select PDF Mode

A few printing hints

• If you use an Apple Mac computer, ensure you have Adobe Acrobat Reader installed to ensure PDFs open and are displayed properly.

• Some browsers, such as Firefox might open the PDF document in Adobe Acrobat in a new window. This is okay. Print the document and then close the window to return to BOXI.

Saving to Excel

1. Click Document

2. Select Excel

Help – I can’t download to Excel!

• If you are using Internet Explorer, you may be blocked from saving your report in Excel.

1. Open Internet Explorer

2. Click the Tools Button, and then click Internet Options

3. Click the Security Tab, and then click the Custom Level

a. Scroll to the Downloads section of the list, and then under Automatic Prompting for File Downloads, click Enable

b. Scroll to the Active X Controls and Plug Ins section of the list, and then under Automatic Prompting for Active X Controls, click Enable

4. Click OK, Click Yes to confirm, then click OK again.

If you don’t see these options when you open Internet Options, contact your local computing support.

That’s all very well, but I just need a class list

It’s as easy as 1-2-3!

1. Go to Student Reports and click on S00 – Basic Course Cohort

2. Select the Course Code/Title, Delivery Session Year, Programme Session, and Programme Status Description

Ta-da! You have a class list!

3. Save as Excel and use for email lists or whatever else you need it for.

Some hints for producing multiple class lists

• Use the Refresh Data button to quickly run the report again, and select a different course when prompted

• Select multiple courses, save to Excel and divide it up into separate courses there
