Temp Location – Short Location, drives Rate (Choose specific location if available, region if not)

Recruited Candidate – McGH requesting a particular employee (bill rate is less for Yes)

Segment and Business Unit are required, Dept is optional

Start and End Dates – The length of the assignment

Quantity – Total # of hours – Drives Total; based off of Dates

Bill Rate – Payrate + Markup; partially driven by Location and Position Type

Expenses – T & E expenses expected to incur where applicable

Work Experience Level – Optional, years of experience in job fuintion (e.g.: 0-1 yrs., 2-5)

Assignment Type – Optional (Regular, Intern, Work from Home)

Contact Information – any and all information that you want to provide to Kelly to use if they need to reach back out to you. This is not required by the system but must be filled out in order to expedite when Kelly needs to reach us.

Hours per Week – Defaults to 40 (estimate for overtime)

Work Location – Detailed Location; where the work will be done

Work Supervisor – Individual signing Time Sheet; can be different than Hiring Mgr.

Supplier Ref. # - Disregard (Kelly Proj. #)

Resume Required – Click Yes if needed

Temp to Perm – Click Yes if allowed

Comments and Attachments – Any additional information needed to send to Kelly (i.e.: additional skill requirements or name of candidate if McGH recruited)

Creating a Requisition

We will begin this example at the catalog item selection for hiring a non-IT temporary employee.

When the P2P catalog is displayed, look for the Temporary Resources category and the left side of the screen. Click on the link and then click on Non-IT Temporary Staffing.

The assumption is made that you are familiar with P2P and the general PR process, If not, please go back and review the Generic PR Creation training.

Next you should click on the sub-category for the job type you need to hire.

Finally, click on Add to Cart for the job description that best fits your request.

In this example we will need to input additional details about the potential candidate and hiring manager. We will begin with the employee work location and whether or not a candidate was recruited by MH first or will be recommended by Kelly Services.

Click on drop-down arrow next to Employee Work Location field and select the work location. This is a high level description which drives the rate. Do not select a “region” unless the specific address is not available.

Next, Click on drop-down arrow next to MHP Recruited Candidate field to answer whether McGH is requesting a specific candidate or not. If “NO” Kelly will submit any number of qualified candidates.

Next we will enter the Segment, BU and Dept. Name. Note that only the Segment and BU are required, Dept. Name is optional…

Next we will select a Start Date and End Date for the hire…

You can enter a date using the mm/dd/yy format or click on the calendar icon next to the field to select the date.

Once the calendar is displayed, navigate to the desired month and click on the day. In this example, our Start Date is 2/14. Repeat the same process for the End Date.

Quantity and Bill Rate will be auto-populated and Fee Total calculated based upon the Location and Start/End Dates.

If T&E expenses are anticipated, fill in the maximum expense allotted in the Expense field.

The next information we will enter will be level of work experience desired and employee type.

Click on drop-down arrow next to the Work Experience Level field to select the required level of experience desired.

Click on drop-down arrow next to the Type field to select the employee type.

Then we will enter the name and contact information of the hiring manager.

In the free-form text comment box below the employee Type field, enter as much information about the hiring mgr. as possible for Kelly to use if they need to reach out to the hiring mgr. This is not required by the system but must be completed to help expedite the order process.

Now we will enter a more detailed location as well as the supervisor.

Click on drop-down arrow next to the Work Location field to select the required level of experience desired. This is the specific location where the work will be done.

Click on drop-down arrow next to the Name search filter and select the City filter.

Enter the name of the city where the employee will be working and click Search.

Click on the Select button next to the location of your choice.

Next we will select the supervisor from a list of McGraw-Hill employees. The Work Supervisor is also the timesheet approver.

If the supervisor is different than hiring manager, click on the drop-down arrow next to the Work Supervisor field to select the supervisor.

Creating a RequisitionEnter the last name of the work supervisor in the search field and click the Search button.

When the list of names displays, click the Select button next to the name of your choice.

Disregard the Supplier Reference#. This is Kelly’s project# and you will not have access to it here.

Note the Hours Per Week defaults to 40. If this is not correct, you can adjust it here.

Click on the appropriate radio buttons to require an attached resume and if the candidate could be offered a temp to perm position.

Enter any additional comments in the free form text box (e.g.: additional skill set, candidate name if applicable.)

If there are any documents require to send to the supplier, click on Add Attachment.

Click on the Browse button to search for your document.

Navigate through your folders and then double-click on your document.

Click on the OK button to attach your document and return to the Line Item screen.

This is the completed line item screen. Once you have verified that all necessary fields have been entered, click the yellow OK button at the top or bottom right of the screen.

When the catalog page returns, click on Proceed to Checkout

Editing Line Item Details

The requisition Summary page will display with the following fields:Title: The title for the requisition On behalf of: The individual requesting the item(s)Ship to: Where item is to be deliveredDeliver to: Whoever the item is being delivered toNeed by Date: Informs supplier when an item is needed (optional).

Please note, fields with an * next to the name are required fields.

Please Note: The On Behalf of field can be changed if you are submitting the requisition for someone else. The individual selected in the On Behalf of will affect the following: HR/Finance approval routing, Default accounting information, and Ship to/Deliver to.

The Invoice Approver can also be changed if necessary. This is not a financial approval and does not have to be the same user as the On Behalf of.

Editing Line Item Details

From the Requisition Summary Page, select the line item and click Edit to view line item details.

If you need to review or change the line item detail or accounting information, you will need to “edit” the line item…

Editing Line Item DetailsTo view or change the accounting data, scroll down until you see “Accounting – By Line Item”

The default data displayed is the HR data of the On Behalf Of.

Most fields on the PR can be changed using the dropdown menus… when you are finished, click on the OK button at the top or bottom of the screen.

From the Requisition Summary Page, click on Show Approval Flow…

Before you submit your PR, it is always a good idea to glance at the approval flow…

Editing Line Item DetailsIf there are errors, you will see them listed here but if not, this will allow you to see who is in the flow, to make sure it makes sense; also if there are any group approvals, there is no escalation for the group so it’s good to note that. By hovering over the approver name, you will see why they are in the flow.

When you are finished your review, you are ready to click on the Submit button!

Editing Line Item Details

You will see a system message that your requisition has been submitted. If you click on the Home tab, you will see the new PR listed in your My Documents.

Email Notifications

P2P will send email notifications at various stages in the process.

The types and frequency of emails received can be adjusted by user through the Preferences section on the Command Bar.

Embedded in all emails will be a hyperlink that will take you directly into the corresponding request once you log into the system.

Approvers will be able to review and approve requests via email or PDA’s.

Delegation of Authority

Users have the ability to delegate their P2P access to other individuals through the Preferences section on the Command Bar.

This option should be used when someone plans to go on vacation, go out on disability, etc.

The Delegation is specified for a certain period of time and must be approved before it goes into effect.

The Delegate must have the same or higher authorization in order for the Delegation to be approved.

When the Delegate logs into P2P, they will have the option to log in as themselves or as the Delegator.

The Delegate will be able to view, create and approve requisitions for the Delegator.
