email email is short for 'electronic mail'. Similar to a letter, it is sent via the internet to a

recipient. An email address is required to receive email,

and that address is unique to the user. Some people use internet-based applications

(webmail) e.g. gmail Some use computer programs to access and

store emails (email clients) e.g. outlook Modern webmail systems work as clients, but

not storing on a local PC.

email Many people have multiple email accounts with

online providers e.g.– gmail,– Outlook.com (hotmail)– Yahoo

An email client can sync all your messaging inone place, but so can webmail systems (gmail)

An email client can also offer additionalfeatures, such as enhanced security, or theability to back up messages, contacts &calendar.

email There are 3 types of email server provided by

your ISP (Internet Service Provider) Outgoing email

IMAP (Internet Message Access Protocol)keeps your emails on your ISP’s computer

read your emails IMAP and POP are both ways to read your

Gmail messages in other email clients.– IMAP can be used across multiple devices.

collated and viewed in one account or client, byforwarding or importing.

With all systems emails can be filed for latersearching.

Most systems use folders as on a PC. Gmail uses labels. Similar to folders but the emails are not held

permanently in a file/folder. Any number of labels can easily be attached to

an email.

inbox and archived. If a reply comes in then the email returns to your

inbox.

email – delay sending In gmail it is possible to set a delay before actually

sending, in case you change your mind or spot amistake.

Can be upto 30 secs.

email - Backup With an email client on a PC all emails are saved

locally on the PC. Backup can then be done as part of a normal backup

routine. Outlook saves data (emails, contacts, calenders etc)

as a .pst file. Thunderbird saves data (emails, contacts, calenders

etc) as an APPDATA file. With webmail if a local backup is required this has to

be made manually and usually save email filesas .mbox.
