• All administrators see the same view– Access to all view all user forms

VIEW OPTIONS & SYSTEM OVERVIEW

Administrator View Options

• Top Right: District Admin Tab

• Process View– The most “user-friendly” option & recommended

for primary use– Comprehensive list for administrators of all users

for which they have evaluation rights– Sort options– Detailed Evaluation View by User:

• Click on a user’s name to bring into the Detail View window

ASSIGNING EVALUATION RIGHTS

Assigning Evaluation Rights• Allows administrators to assign a specific form to

another administrator/themselves for completion• You do not have to assign rights in order for

Teachers to have access to any of the forms• Assigning rights allows designated administrators

to easily view/track progress and receive email notifications/updates of form submissions

• Multiple administrators can participate in the eval process – assignments do not prohibit other administrators from accessing forms assigned to other administrators

Assigning Evaluation Rights

• “The Man with the Green Arrow”

• You will only see the Assign Icon for forms that do not require scheduling

• Can use the Assign function to schedule by including in the notes the appointment information and checking Notify User

Assigning Evaluation Rights• Assign forms to yourself if you are responsible for

the final review– The form shows up in your “to-do” list– Sends email confirmation to administrator assigned w/

assigned element and who completed the assignment– Option to notify user of assignment

VIEWING FORMS

Viewing Forms

• All administrators have access to view any forms at any point in time

• Access to edit all forms EXCEPT the Teacher Self Reflection

Action Buttons• Action buttons at bottom of each form are:

– Submit• Flags the form as completed and queues it for acknowledgement or finalization

– Save• Retains the work you just completed on the form and allows you to continue

working on it at a later time. Do NOT exit any form without saving it or your work will be lost!

– Save & Notify• Retains the work you just completed and allows for a message to be sent to

your administrator or another administrator

– Reset• Clears ALL fields in the current form

– Print– Comment

• Allows for the form to be annotated with a comment box

Form Terminology• Not Scheduled

– A form that has yet to be scheduled

• Proposed– A form where a date has been proposed but not yet accepted

• Scheduled– A Form that has been scheduled/accepted from proposed status

• In Progress– A form where the scheduled date has passed

• Incomplete– A form that the teacher has been required to complete but has not yet submitted

• Unacknowledged– The information on the form has been entered and the form has been submitted to the

teacher for review/acknowledgement. The user has not yet acknowledged the form but has received an email request

• Awaiting Finalization– The teacher has acknowledged the form and it is ready to be finalized

• Complete– The form has been finalized

FINALIZING FORMS

Finalizing Forms

• After a form has been completed, the administrator must finalize the form in order to change the status to the next level

• This function is only available to administrators and in the Process View

• Option to route the form to be finalized by another administrator, notify the user and add notes

Finalizing Forms

• If a form is finalized prematurely, click on the “View Form” Icon

• Scroll to the bottom and click on “Edit Form”

• User will have to resubmit and acknowledge the form the form again, but it will be editable with all of the original data intact

– Required Fields:• Name• Category• Rubric Alignment• File/URL

• NOTE: You won’t be able to save until you click “Add Criteria”

• File upload size is 50MB maximum

• Videos/Large files should be uploaded to an external site (YouTube) and linked

DETAIL VIEW

Admin: Detail View• “Large Report Window”

– Sort and Filter– Save sort options– Mass Features

• Email Groups• Assign Multiple Staff

– Set “Due Dates”– Export sort options to Excel File or PDF
