As Queen’s continues to focus on qualityand excellence of the student experience,it’s important to recognize the complexrole of student recruitment. I have hadthe privilege of engaging in student re-cruitment activities on behalf of Queen’ssince 2005, in three distinct roles. First,as international admission manager inthe Office of the University Registrar,then as program manager in the Schoolof Medicine, and finally in my currentrole at Queen’s School of Business.
“Recruiters” are tasked with repre-senting the university to young peopleconsidering studying here. is is nosimple task, and one that requires ex-tensive knowledge of academic and non-academic life, as well as the Kingstoncommunity. But this is only part of theequation and it constitutes the morestraightforward aspect of recruitment.e more fundamental and nuancedtask of recruiting comes through the re-lationships built with potential studentsand their loved ones. Providing open,
honest and straightforward informationin an efficient and friendly manner iskey, as is providing access to objective,third-party resources that will assistprospective students in their decision-making. We must also be good listenersable to honestly assess “fit”, recognizewhen a potential student may not be ableto best meet their educational objectivesat Queen’s and advise them appropriately.
It is a great honour and responsibilityto represent this institution to the restof the world. e most fulfilling and re-warding moments of my career havecome when I have had the opportunityto speak with current students who Ifirst met at a recruitment event in Torontoor Tokyo. Hearing them speak abouthow much they are valuing their timein Kingston and how grateful they arefor making the choice to come to Queen’snever fails to get me excited about thenext time I’ll be speaking to prospectivestudents. While nearly 4,000 new undergraduate students have just been welcomedto campus, a small army of Queen’s recruiters has already begun thework of attracting and inviting people from all over the world to study
here in the fall of 2012. They are university ambassadors – staff, faculty and students– who journey to every province and territory in Canada and to countries includingChina, India, Turkey, Malaysia, Hong Kong, Switzerland and the United States toinspire prospective students. They visit high schools, attend university fairs, conductdaily campus tours, and steward relationships with guidance counsellors and com-munity leaders in cities and towns all over the globe.
“We’re blessed with a wonderful group of recruiters. They are dedicated, talentedand passionate about Queen’s,” says Stuart Pinchin, Associate University Registrar.
In his role for five years, Mr. Pinchin and his team gear up for the 12-month re-cruitment cycle in mid-August each year, beginning with the production of promo-tional literature such as the flagship publication the Viewbook. The big event thismonth is the Ontario Universities Fair in Toronto, which officially launches the re-cruitment year for all universities in the province. Admission coordinators fromthe Office of the University Registrar, in addition to representatives from professionalschools such as law, engineering, nursing, education and commerce and the Schoolof Graduate Studies, will meet and greet approximately 130,000 high school studentsfacing their post-secondary selection.
Although Queen’s receives far more applications than the close to 4,000 under-graduate spaces available for an incoming class, it can be a challenge to meet the enrolment targets for each program. Mr. Pinchin explains that one of the roles ofthe admission coordinator is to stress the right fit. “In addition to a high academicstanding, the most successful applicants will want to embrace the residential natureof Queen’s, and the tight-knit community that inevitably develops with a new class.They will want to take advantage of all that Queen’s has to offer,” he says.
In her role as communications manager for the Office of University Registrar,Kellie Meacher sees beyond the statistics and spreadsheets so often referred to whendiscussing recruitment activities.
“Each one of those numbers on a spreadsheet represents a family and we’re in-credibly sensitive to that. We see these families on campus tours and at events andwe feel the excitement from the student and the abject fear from the parents. We’reas excited as the students are when we are able to make that offer of admission oraward a good scholarship. We’re always humbled by the distance people travel tovisit Queen’s,” says Ms Meacher. mAr thA whiteheAD helpingwrite the nex t chApter of QUeen’s l ibrAry Even though the midterm rush wasweeks away, students packed the carrelsat Stauffer Library one recent Friday af-ternoon. For Martha Whitehead, newlyappointed University Librarian afterserving as the interim head for the pre-vious year, the scene was not surprisingat all.
“People love the library and have areal sense of ownership. When I cameto Queen’s in 2004 from the Universityof British Columbia, I was impressed bythe great student community, the strongfaculty and the research that occurs atthe university,” she says. “I believe thelibrary connects research, learning andthe student community.”
Queen’s libraries are embedded in theresearch and learning flow, which hasbeen a strength for many years. For ex-ample, people in the Faculty of Educa-tion know the librarians and respectthem, and that’s true in each of the library communities on campus.
Preserving the Queen’s Library’s cen-tral role in learning and research will bea major priority during the restructuringaction plan which began last year.
“The philosophy of the plan is to become as efficient as possible around
activities that cross all boundaries suchas book ordering and electronic resourcemanagement,” says Ms Whitehead. “Wealso recognized that people might be de-veloping an expertise in a particular library that really should be sharedacross the whole system.”
As the library continues implement-ing the plan and the university’s aca-demic and research plans unfold, MsWhitehead wants to engage with peopleand hear their vision for the library’s fu-ture. Ultimately, those conversations willinform the future library master planthat will dovetail with campus planning.
Ms Whitehead and her husband havesettled into the Kingston community.Her two daughters attend the Universityof Toronto but visit often. To give some-thing back for her enjoyment of the natural landscape, Ms Whitehead volunteers with Friends of FrontenacPark. She also recently participated inKingston Reads: Battle of the Books, aliterary showdown during KingstonWritersFest.

Bob Weisnagel, Associate Director of Pension Benefits & Insurance, has been askedto answer many questions about the Queen’s Pension Plan. Over the next few months,onQ will publish some of the most commonly asked questions.
QuestionI’m planning on retiring soon, and expectmy pension to be based on the minimumguarantee. Do the plan changes reducemy early retirement pension at age 60?
AnswerNo. e Pension Benefits Act states un-equivocally that accrued benefits cannotbe reduced. Pension payments for amember retiring early at age 60 on theminimum guarantee remain at the current10 per cent reduction applied to thebenefit formula (two per cent for each
of the five years of early retirement) forall service prior to September 1, 2012.Only service accrued aer implementa-tion will be reduced at the higher threeper cent level.
For example: if a 30-year plan memberretires at age 60, one year into the newrules, the accrued benefit from the first29 years would be handled under theold rules (i.e. two per cent reductionper year early). Only the last year wouldbe factored in under the new rules. If thatmember retired two years into the new
rules, 28 years would be handled underthe old rules and two under the new,and so on.
e same would apply to indexingaer retirement: pension credits earnedbefore the new rules are implemented(i.e. September 2012) will continue tobe indexed according to the currentexcess interest formula. In other words,
the technical changes applicable to theminimum guarantee will have a gradualimpact on pensions and will take a gen-eration to be fully implemented. Q

trAining for ne w ADmin system begins this month
As Queen’s prepares to implement the new HR PeopleSo administrative system, ateam will be providing formal training to almost 600 authorized users. e programis set to begin this month and will continue into January.
Meanwhile, the extended team from Human Resources, IT Services and QUASRworking on the system is gearing up for the transition phase that will ready the systemfor launch.
“e team is working hard,” says project director Jim Carse. “We have the rightpeople with the right expertise who also realize the value and importance of teamwork.”
e project’s transition phase will bring the team into high problem solving mode,addressing any outstanding issues that could affect the system’s functionality. eteam is running multiple parallel payroll processes on the legacy and PeopleSo sys-tems to make sure the new system produces correct paycheques. It is also monitoringa list of 17 priority areas to assess and address risk and levels of readiness. e teamis fully focused on the launch goal.
e university’s internal audit team has completed phase one of it’s audit of HRPeopleSo; any issues will need to be completely addressed before the launch.
“I am looking forward to the benefits the university will derive from this projectover the next few years, so we are pressing on with this implementation,” says CarolineDavis, vice-Principal (Finance and Administration). “But I don’t underestimate thecomplexity of this project or the impact of so great a change on the user community.So there will be a comprehensive sign-off process at senior levels in the administra-tion before we go live. Finding enough ways to recognize theefforts of all the outstanding faculty andstaff at Queen’s is never a simple task.This past year, the new Graduate SupportAward, with backing from the School of Graduate Studies and the Society forGraduate and Professional Students(SGPS), honoured two people who havemade a meaningful contribution to theexperiences of graduate students.
Terrie Easter Sheen, administrativeassistant and graduate assistant in Gen-der Studies is one staff member, who ishighly-valued by students and facultyalike. Working in the formerly namedWomen’s Studies department since its inception in 1985, Ms Easter Sheen hasseen the department grow and evolveinto the Department of Gender Studies,and eventually expand to include a grad-uate program.

seriously and passionately, ensuring thattheir experiences at Queen’s are positiveand rewarding.
“Even before new students set footon this campus, I emphasize to them thatthey can count on me to assist them anyway I can,” she says. “I want to go thatextra mile for them.”
Graduate coordinator SamanthaKing’s dedication and hard work in theSchool of Kinesiology and Health Studiesearned the award as well. Current re-search focuses on the use of prescriptionpainkillers in contemporary culture andthe power dynamics at play in determin-ing who is in pain. She strives for herwork to be political at its core and tomake an impact on society at large.
“Supervising and supporting graduatestudents is one of the most challengingand fulfilling aspects of academic life,”she says. “I feel honoured and humbledto be recognized this way.” Q

lAst goAl wins!It’s quirky, free-form, inclusive and, most of all, fun. Nooners is a pickup soccergame played during the noon hour, Monday to Friday all year round. What beganas a practice for the Computing Science/Mathematics Grad League team in themid-70s has evolved to include students, staff, faculty, and alumni, and may just beone of the longest running athletics and recreation programs on campus. The gameis played on Tindall Field from mid-March until early December, and in the uppergym of the Athletics and Recreation Centre during winter months.
Mike Smith, senior technical support specialist, IT Services says Nooners rulesaren’t written down anywhere but players learn the basics quickly. “For example,use of hands is not allowed, including the goalkeeper, which means, in essence,there isn’t a goalkeeper. Any contact is a foul allowing for a mandatory free kick.Throw-ins are replaced by indirect free kicks. And of course, last goal wins,” saysMr. Smith.
Although no special skills are required to join Nooners, Mr. Smith suggests thata “thick skin, the patience of Job and the humility of Gandhi” will serve playerswell. With tongue firmly placed in his cheek, he explains, “you need to play at least10 years before you can propose a rule change and then when your suggestion is ig-nored you need to play another 10 years before you can respectfully inquire aboutit. Nobody knows what happens next because nobody ever asks that question. After20 years you have gained too much wisdom to pursue the matter.”
