Steps

• Answer the questions• Create a vision and purpose• Work out the steps in the plan• Plot a timeline• Simultaneously create a maintenance and upkeep

Considerations

• Create a workflow• Find suitable repositories and platforms• Think about file formats and file sizes• Think about the catalogue descriptors to adopt• Think about the use of tags• Think about future storage and access

Content

• Photos both physical and digital• Websites• Writing both physical and digital• Audio and video files?• Artwork both physical and digital• Projects – photos of house design projects• What are the stories?

Audit

• Create a spreadsheet of all of the items to be collected• Sort into categories of media type

– Photos– Artwork– Writing

• Sort into categories of themes– Family– Travel– Work– Projects– Creative expression– Student work

Framework

• Set up the framework that will be adopted– Online wiki?– The cloud?– Back up files on pc, disks and separate hard drive– Hierarchy of ‘containers’.– Links, descriptors, tags and metadata– Physical representations– E.g. Personal ePortfolio on Delicious

Process

• Gathering• Identifying• Sorting• Weeding• Editing• Resorting • Add metadata and file names• Placing into piles ready for storage

The work

• Get down to the work– Start scanning– Saving– Sorting– Editing– Labeling– Listing– Storing

Maintenance

• Set up a maintenance schedule– New additions to the repository– Review work flows as necessary– Test file stability of items– Test file stability of repositories– Back up regularly– Relocate as new technologies emerge

Story telling

• Tell the story– Arrange files and photos in a way that tells the stories within– Keep for prosperity– What is the legacy?
