Welcome

Objective of this session:

• To introduce the new Registration System

• To walk-through how to perform each of the main functions forAssociations and/or Clubs

• To highlight tips/shortcuts

• To ensure every participant is confident in their ability to use the new Registration System

• Session duration is 2 hourswith a 5-10 minute break at hour 1

• Training is a walk-through style session where we will cover everything you need to get ready for registrations

• There is a live demonstration that you can participate in

Introducing the ONLINE SERVICES TEAM

The Football NSW Online Services team provides system and technical support to Associations, Clubs and members for the national registration system.

We also assist with queries related to SportsTG, Active Kids Vouchers, and reporting.

FNSW ONLINE SERVICES TEAM• In 2018-2019 the Online Services Team will deliver training for the

the new national registration system to 33 associations and over 700 clubs (approx. 1500+ people in NSW)

Project Summary • This tool is built using an agile methodology- meaning

development is constantly occurring to provide new functionality, and will continue to be even after GO LIVE

• The following data is being migrated: Club/association details, registration numbers, individual details, history, product purchases, invoices, notes and working with children check data

• The following data is NOT being migrated:T&Cs, Additional questions data, individual photos

Lets be honest…

Before we begin… you should know…

1. You will be given access to a training environment that you can continue to use to practise your setup, and have a play

2. The training environment may change from day to day –don’t panic, it’s a development environment and is used for testing - it doesn’t affect the REAL system

3. What it looks like today may slightly change when we GO LIVE

4. Both FFA and FNSW staff have been testing the system since August- and we are still testing it on a weekly basis

5. There are an initial set of user guides available and more will come, including how-to videos

Note

Associations should remember there are two environments that will need user IDs:

The training environment(play area that wont impact real data)

The LIVE production system

ENSURE YOU HAVE A LOGIN ID

• FNSW will create USER IDs for each of the 33 Association Administrators

• Your ASSOCIATION will create USER IDs for each Club Administrator

• Once access is given to a CLUB administrator they can create additional logins for their committee (Step 9)

• Creating USER IDs is simple, but should be done with caution to ensure the correct level of access

• In the training environment USER ID’s will need to be created by FNSW or FFA (interim)

OPTIONAL PRODUCTS • Within Product Management, Clubs may create

additional products that can be offered at the time of registration, such as club merchandise (socks and shorts, jackets, hates, training gear)

• ‘Other Products’ can then be added to a registration signup form to be offered with a registration product

• ‘Other Products’ can also be offered as a separate item that members can select to purchase outside the registration process

SIGNUP FORM• Sign up forms provide Organisations with the ability to

receive payments and registrations online. The Signup form controls the process the member will follow and the fields the member will see during the signup.

• Typically, the only changes required to a signup form each year will be the

• Addition or removal of personal fields,

• Addition or removal of other “additional” fields

• Addition or removal of Optional products

• Review of Welcome, Confirmation or Offline Payment descriptions

• The Signup form is a pre-requisite in order for a club to be able to create Registration Products (packages).

PACKAGES• A Registration Product represents the items that

participants will be able to purchase through an online payment form.

• Multiple Registration products can be created individually using the same Parent Organisation’sRegistration Type

• Once Registration products are created, they can be used year on year

• Typically, the only changes required to a registration product each year will be the

- Registration period,

- Fees, and

- Available Dates.

PLAY FOOTBALL Preview

• The FOOTBALL ACCOUNTThe ‘front door’ of football

• What it is – A way to verify a user. Users enter their name, DOB and email address. Each user’s email address is cross checked before the user can log in via their account

• What it does – Once integrated with a website or system the football account becomes a quick and reliable way to confirm a user’s identity across systems

• What that means – We can start to provide faster, more personalised services to participants.

- The Football Account uses a participant’s email address to verify and provide access to rego, or other system

- Users can link their social accounts to their football account, using social accounts to log in

- Claim accounts from mid December

What doesn’t?- People will retain their FFA Number but in the future they won’t

need it to register or log in to systems.
