FOREWORD Again, the Young Engineers Advisory Council of the National Society of
Professional Engineers/Professional Engineers in Private Practice has produced an
outstanding document that should provide great benefit to all young engineers aspiring to
become leaders in their profession. They have researched, prepared, and developed their
fourth new document entitled “Guide to Enhancing Professional Development from
College Student to Company Principal.” This is a practical guide focused on the
professional development opportunities available to young engineers as they bridge the
gap between a college student and a company principal. This adds to their previous
documents, which are entitled “Mentoring Guidelines for Small, Medium and Large Size
Firms,” “Strategies for Member Retention and Attraction,” and “A How-to Manual for
Seminars, Socials and Ceremonies.” These documents form a library of well-prepared,
useful, and helpful information to those entering the professional engineering career field.
The NSPE/PEPP Young Engineers Advisory Council has been an active cohesive
group since 2001. We are very proud of our Young Engineers Advisory Council. They
have provided benefits to both PEPP and NSPE. We look forward to continuing
activities in the years to come.

1.0 INTRODUCTION The path of a typical engineer involves an engineering degree, an engineering intern license, and finally a professional engineering license. This is the focus of engineers as they begin their careers, but is this all it takes to be successful in today’s engineering world? Over the past few years, the Professional Engineers in Private Practice (PEPP) division’s Young Engineers Advisory Council (YEAC) has produced three products geared toward young engineers. The first product, “Mentoring Guidelines for Small, Medium and Large Firms,” was created to instruct companies on mentoring young engineers. “Strategies for Member Retention and Attraction,” the second product, focused on ways to attract young engineers to the National Society of Professional Engineers (NSPE) and then maintain their membership. And the third product, “How-To Manual for Seminars, Socials and Ceremonies,” was an instruction guide on planning events geared to attract young engineers to the organization. This year, the group chose to focus on answering the question: “What does it take to be successful in today’s engineering world?” Colleges and universities are providing students with the technical backgrounds required to provide the foundation for the engineering career. But what about some of the more developmental aspects, such as how to write a businesses e-mail, how to dress for a meeting, and how to market yourself or your company, which are also encountered in the daily routine of engineers? How does a young engineer acquire the professional development skills required to be successful in today’s engineering world? The committee came up with a core list of skills that are necessary for an engineer to be successful in today’s society. Each of these skills is covered in detail in the following document and includes a brief introduction to the skill and key items that every engineer should know. Most importantly, at the end of each section is a list of resources which may be used to learn more about the desired skill. The professional development skills were broken down into seven main categories for easy reference: verbal communication, nonverbal communication, citizenship/membership, ethics, diversity, marketing, and leadership/personal management. The YEAC dedicated a significant amount of effort into developing a comprehensive list of resources on each of the seven topics listed above. While each resource was not reviewed in detail, every effort was made to give young engineers as large a selection of materials as possible. The list includes available books, videos, seminars, and courses on the various skills required to aid in the professional development of young engineers. The manual has been written in an easy-to-use format. Print the entire document or just the pages you need on a specific professional development skill. Use the list of resources to review one, two, or any number of the items on a selected skill.

We also encourage NSPE chapters to use this document to put together professional development seminars for engineers. Young engineers are the key to the future. Hold events to target these young people and help train them to lead the engineering field into the future.

2.0 VERBAL COMMUNICATION Introduction In business, to communicate with others on a one-to-one basis is done by verbal communication under most circumstances. Also, first impressions are developed by potential clients, co-workers, and others primarily through your communication abilities.
Many studies have proven that a strong command of language is directly linked to career advancement, financial status, and social success. To excel, your verbal communication abilities must surpass that of your colleagues. Someone who cannot express ideas eloquently or who hesitates because of word choice can appear less than fully competent and qualified. Don’t let these mistakes hold you back from achieving your career goals and from all the other recognition you deserve! Key Points The following is a list of vital topics for verbal communication:
Use of Words/Language The use of an effective and strong vocabulary provides a good impression on the person you are trying to communicate with and demonstrates intelligence and competence. The use of accents and inflections that are not common to the area may be viewed poorly. If the accent is strong enough or if the listener has hearing problems, the listener may have trouble understanding the content. Understanding Your Audience When speaking to your audience, you need to watch for signs to see how they are hearing you and understanding what you are saying. Be sure that you try to understand your audience. Be sure not to talk under them, or in a condescending way, or over them by using terms, acronyms, or phrases your audience may not understand. If you are giving a presentation or speaking for a long period of time, allow your audience a break. Allow them to speak and interact to keep away boredom and peak interest. By allowing interaction, your audience will ask questions, understand easier, and find you more interesting.

Presentations/Interviews When conducting presentations or interviews, use graphic media that both you and your audience will be comfortable viewing. By using graphs, charts, and photographs, your audience will be able to better visualize the information you are trying to communicate. Know your audience so that the graphics are legible and of sufficient size. For example, an older audience may not be able to see smaller graphics or font. Dress for success and try to dress for your audience, knowing first impressions are important. When speaking to factory workers, dressing in jeans and work boots may be best for the informal setting, like talking about working conditions, and may make them more open to what you have to say. When giving a presentation to students, start with a jacket and tie, knowing the jacket can come off and sleeves can be rolled up so that you can appear closer to your audience. When speaking to either a single person or a large group, try to keep eye contact. Eye contact is one of the best ways to judge the individual reactions to your discussion. When speaking to a group, scan the audience regularly and try to look various people in the eye to provide better personal contact. A great way to keep an audience interested is to use appropriate humor. The occasional amusing story or anecdote may help keep your audience relaxed. Small Talk Sometimes, to connect with people, you have to speak about something other than work. Small talk is the art of casual conversation. Have discussions that consist of subjects outside of work. A good way to start small talk is to ask a simple question about the other person. People love to talk about themselves and this allows you to learn about their personal interests. Small talk is a great way to network. E-mail Etiquette With the prevalence of e-mail and instant messaging, electronic communication is almost as casual as one-on-one verbal communication. In writing e-mail and instant messaging, limit abbreviations and SPAM mail. Add humor only when appropriate.

3.0 NONVERBAL COMMUNICATION Introduction When meeting with potential or existing clients or customers, potential employers at an interview, or any other business meeting, first impressions can be lasting. These first impressions can certainly be made before a word is even spoken: by your dress, manners, and body language (reflection of your attitude). These types of nonverbal communication can often times be more important than the words. Take the following examples:
You attend a formal business meeting wearing mud-stained jeans, a t-shirt, and boots. At a dinner with a prospective client, both words and food are spewing out of your mouth. While telling a prospective client all the wonderful things that you and your company can do, you are yawning, looking around, and just generally looking bored.
The above examples are rather amusing and extreme; however, even the slightest nonverbal communication error can be the difference between getting the project or job. If qualifications are equal, often the project or job will be given to the person or company that the client or employer just feels comfortable with. Therefore, learning to communicate without saying a word can be the difference between business and career successes or failures. Listening Skills One of the most important communication skills to master is the art of listening. This involves not only paying attention and looking interested, but also understanding what someone is really saying. Appearance Although we may not have total control of our physical appearance, you do have control over the image we project. By dressing neatly and appropriately, you can project a professional image.

Manners and Mannerisms Mannerisms send nonverbal signals, good or bad. People will make judgments about you based on your etiquette in different situations, such as meals, social situations, and around the office. Body Language A person may read nonverbal clues about whether you are nervous, confident, or bored. Projecting interest in the speaker will build relationships and help open the channels of communication. Learn to use your body language and to read the body language of others to be a more effective communicator.

4.0 CITIZENSHIP/MEMBERSHIP Introduction Upon entering the engineering work force, young engineers seem to focus only on work itself. Involvement in professional societies, the community, and government are typically not seen as important and the benefits of membership are not immediately evident. Professional societies, community, and government involvement, as well as your everyday work, all become facets of what develops the careers of good engineers. This section provides some resources to encourage the young engineer to become involved. Key Points The following is a list of vital topics for citizenship and membership:
Community Volunteerism One of the most important places to get involved is in your community. Community involvement is not only beneficial to you, but it also provides an opportunity for you to give back to the community. Involvement in your community can be quite rewarding. It can not only lead to betterment of your community, but also to betterment of yourself. Community involvement also provides you with the opportunity to mentor the next generation of community leaders, as well as shape the growth of the community. Community involvement also allows the opportunity to network with other professionals and community leaders and market yourself and your company. Most often those with whom you are involved within your community can either become a client themselves or a great resource for spreading your name to others who may become clients. This may include people encountered at religious functions, civic activities, or school functions. Society Volunteerism A relatively easy step toward involvement is joining a professional society. Companies involved in professional societies will often pay for their employee’s membership. When this happens, the responsibility of the young engineer becomes merely to attend. While just attending does not expand an engineer’s involvement, it does provide the opportunity to be recognized and develop personal relationships with other professionals. Once these relationships are developed, young engineers will feel more comfortable increasing their involvement in the society. Being involved in your society breeds several opportunities. You will be provided with the opportunity to become part of the next generation of society leadership and to mentor others in that capacity. The associations made through involvement in professional organizations also provide

the opportunity to market yourself and your company. Often societies consist of engineers of different disciplines. When someone asks an electrical engineer to recommend a good civil engineer, you want your name to be the one mentioned. Likewise, if you are an engineer that markets to municipalities, you want your name and firm known to those engineers who may be on the consultant selection committee for a job you may be going after. Political Action Committees Involvement within the political action committees of your professional society provides the opportunity to become involved in government on both the state and the local levels. These committees not only get involved in the government itself, but they also watch out for those laws and regulations that affect both engineers and the engineering community. Political action committees help increase influence and strengthen leverage on political issues. Appointed, Volunteer, and Elected Positions Government involvement also includes appointed, volunteer and elected positions within your state or local government. As an engineer, you benefit by becoming either a member or a technical advisor to some of these groups. Your involvement can afford you a voice in what happens in the government that most closely affects you. This can benefit you as an engineer as well as the engineering community. There are also local and state citizen groups that provide the means for government involvement. On the state and national level, involvement in advisory commissions provides a forum to have the engineering voice heard. Last, but not least, is pursuing an elected office. Employment, as well as family responsibilities, do not always allow for us to take such a role. However, for those who can, it can become a wonderful service for the betterment of our society in general, as well as our engineering society.

5.0 ETHICS Introduction Ethics is the discipline dealing with what is morally acceptable and unacceptable, and with moral duty and obligation; often dealing with the principles of conduct governing an individual or a group practice. Fundamental elements of ethics include objectivity, honesty, trustworthiness, and responsibility. As engineers, we are obligated to uphold the “CODE OF ETHICS FOR ENGINEERS.” It is paramount for professional development that a young engineer learns the fundamental principles and canons outlined in this document. Society uses these principles and canons to assess the professional behavior of engineers. According to the National Society of Professional Engineers (NSPE), “Engineering is an important and learned profession. As members of this profession, engineers are expected to exhibit the highest standards of honesty and integrity. Engineering has a direct and vital impact on the quality of life for all people. Accordingly, the services provided by engineers require honesty, impartiality, fairness, and equity, and must be dedicated to the protection of the public health, safety, and welfare. Engineers must perform under a standard of professional behavior that requires adherence to the highest principles of ethical conduct.” The Fundamental Canons regarding ethics as developed by NSPE are the following:
1. Hold paramount the safety, health, and welfare of the public. 2. Perform services only in areas of their competence. 3. Issue public statements only in an objective and truthful manner. 4. Act for each employer or client as faithful agents or trustees. 5. Avoid deceptive acts. 6. Conduct themselves honorably, responsibility, ethically, and lawfully so as to enhance the honor, reputation, and usefulness of the profession.
In addition to codes put forth by various professional and technical societies and associations, every jurisdiction has regulations on misconduct or unethical practice. Engineers should familiarize themselves with those regulations in each jurisdiction where they are licensed and will do work. Lasting consequences may be experienced if professional ethics are compromised. These consequences may range from suspension of licensure, public humiliation, loss of a client or customer, legal repercussions, and potentially a catastrophic event.

Public Safety, Health, and Welfare An engineer’s number one responsibility is to protect the safety and health of the public. Protecting the public supersedes any and all other aspects of the profession, in particular company profit or individual professional gain. Areas of Service Engineers should only practice within their areas of competency. Disregarding this important fundamental canon will expose the public or client to needless risks that would be avoided by a more qualified professional. At a bare minimum, the client or customer will likely not receive the quality of product that would be otherwise received. Public Statements Statements should be carefully considered prior to being released to the public. Untrue or distorted statements will likely be uncovered and expose the engineer and the employer to a number of ramifications. Faithful Agent An engineer is hired by a private company, government entity, client, or customer to provide professional services in a professional manner. You are acting as a representative of your employer on a daily basis and as a representative of your client or customer in your professional communications. Reminding yourself and remembering this basic fact will oftentimes allow you to avoid potentially unethical conduct. Honesty The easiest way to avoid an ethical dilemma is to be honest. Professional Conduct Engineers should adhere to the utmost professional conduct in all of their professional endeavors. Compromising your professional responsibilities for personal or company gain is unacceptable. You should adhere to all laws and regulations pertaining to your business or project. Guidelines and requirements for professional conduct are contained in the Fundamental Canons, Rules of

6.0 DIVERSITY Introduction Diversity is an inescapable element of society. Throughout the span of one’s engineering career, there is a certainty that you will encounter different cultures, age groups, ethnicities, physical abilities, religious beliefs, genders and backgrounds in the workplace. As a reflection of our society, the very nature of the engineering profession has evolved as well. The once introverted engineer, solving problems on a drafting board, has now been forced into creating solutions alongside diverse members of a project team. Key Points The following is a list of vital topics for diversity:
Avoid making assumptions Diversity may not necessarily be what you think. Although the book definition of diversity is “a point or respect in which things differ,” diversity is as much about building on our similarities with people as much as drawing strength from our differences. REMEMBER: One person’s shortcoming is another person’s strong suit. That’s the pure beauty of diversity. You probably have more in common with your peers than you may realize. While some differences might include ethnic or generational, there are many attributes other than physical characteristics in which to seek out similarities. Maybe you own a home in the same part of town, both come from a large family, or even followed the same career path. In any case, avoid prejudging the physical aspects of your fellow co-workers. Get to know them. In time, you will find common bonds through open and honest communication. Acceptance vs. Tolerance Tolerance and acceptance have one distinct difference: attitude. Tolerance tends to have a more negative connotation. Tolerance is easy. It does not require you to take a firm stance. It allows you to disagree or be indifferent with a situation, position, or opinion, but still live with it. Acceptance is hard work. Acceptance demands that you not only acknowledge a reality, but also embrace it. Embracing change in any realm is difficult. Acceptance can only be achieved through a fundamental awareness. Awareness can only come from a strong self-desire to attain knowledge and to understand.

Growth Diversity is the result of an individual’s personal growth. The more life experiences we have, the more knowledge we gain from those experiences and, thus, grow as human beings. Unfortunately, as people grow older, there is a tendency to get set in our ways, which can decrease our level of tolerance. While this is a generalization, the level of tolerance depends on the subject. Professionally speaking, senior engineers are the last line of defense. They review a graduate engineer’s design and use their past experiences to make appropriate corrections and revisions before they seal the drawings. To promote their young protégé’s personal growth, an experienced engineer will not only apply their knowledge to the project, but they will also educate the younger engineer to learn from their mistakes. In that instance, design failure is not acceptable. However, the senior engineer tolerates or accepts the graduate engineer’s lack of experience for what it is, a reality. Improving the corporate working environment A corporation must establish a positive environment for diversity. Such an atmosphere will not only benefit internal employee relations, but also the company’s bottom line. Diverse companies have more potential to appeal to a wider client base as well as adapt to a client’s ever-changing needs. A diverse corporation is able to survive changes in economic trends as well as shifts caused by supply and demand. Employees who are different from one another must be able to draw from their strengths and learn from the talents of others. Even minor differences can positively affect the successful completion of projects or how a problem is resolved and mastered on subsequent occurrences. Career planning and the young engineer It is important to recognize and value diversity. Creating a level of awareness between peers can maximize the potential of everyone in an organization. Maintaining an inclusive teamwork mentality breeds increased productivity and morale within a group. It is important for young engineering leaders to understand diversity in order to preserve a positive environment through consistent management. In addition, a diverse workforce can enhance an organization’s responsiveness to an increasingly diverse and demanding world of customers, improved relations with the surrounding community, increase the organization’s ability to change, and expand the creativity of the organization.

Variety Diversity speaks to many aspects of life. Within any topic or situation, there will be differing opinions and points of view depending on an individual’s personal experience. In finding solutions to problems, it is necessary to draw out numerous scenarios and conclusions from a multitude of experiences and knowledge bases in order to arrive at the best decision possible. These fresh, creative approaches arise from those diverse viewpoints. Cultivating Relationships Diversity speaks to the importance of building relationships and cooperation among various groups. It means that all groups – regardless of their ethnicity, culture, gender, religion, and physical condition – are valued, appreciated, and included. By valuing and managing our diversity well, each corporation and its employees can help to ensure that all employees have opportunities to advance to the fullest extent of their skills and abilities

7.0 MARKETING Introduction Marketing is often a difficult area for the typical engineer. Many engineers coming out of school do not see past the calculations and problem solving. Marketing is not something that is often taught in the current engineering school curriculums. Young engineers are naive to the fact that they will have to go out and get the work they are currently doing. Marketing often becomes a learn-as-you-go process. More seasoned engineers do not always know how to explain the art of marketing, given that they do not always know how to do it well. It becomes important for the young engineers to go and seek out the information necessary to become a good marketer and to avoid unnecessary pitfalls. This section provides resources to help in this epic quest to master the skills of a good professional services marketer. Key Points The following is a list of vital topics for marketing:
Realization of Market One important step is realization of the market in which you are trying to solicit business. This step requires consideration of the type of work you are seeking, economic climate and current labor market in your area. Examples of this would be going after municipal work in a state currently experiencing budgeting problems. This may not be the best use of your time and resources. Another example would be going after work that you are not staffed to handle in a dry labor market. You may get the job, but you may also not be able to hire staff to complete the work in the promised time or without losing money. New Services A good marketing program will include an eye toward new services that might be developed in response to external changes. Changes in laws, regulations, materials, technologies, or globalization and international collaboration may provide opportunities to extend or develop new services, which can be provided to existing clients or may introduce a new market of clients. Target Clients It is also important to target your clients. Clients should be targeted and selected based on your professional area of expertise. For example, if your area of expertise was commercial building work, you probably would not want to pursue the new waste water treatment plant that is to be constructed. Beware of high-risk

clients who demand you take on extra liability or who may not have the capital to back the work you will be doing for them. Other types of work that can be equally risky are project scopes not clearly defined or clients that have a tendency to expect more work than defined in the contract (scope creep). General information on clients can be obtained in a variety of ways including discussions with your current professional network. This cannot only save you and your company from losing money, but can also save you from possible litigation. Competition Be aware of your competition. You may not want to market in an area that is already saturated with firms providing the same services as you. It makes it more difficult and expensive to win proposals. Time and money may be more effectively spent chasing work in areas where maybe only a small number of firms even submit proposals. Making the Sale Another typical pitfall of the engineer/marketer is not knowing how to make the sale. It is not always enough to submit the proposal. Often it is necessary to make phone calls and set up appointments and interviews. Clients need “face time” with you and need to think that they are your most important client. If you do not make the initial sale on the particular work you are seeking, a follow-up meeting or telephone call will show a future perspective client that you are not only interested in their short-term but also in their long-term goals. This additional client contact allows them to have a better understanding of your firm and qualifications for future use. Building/Maintaining Relationships The previous point also leads to the necessity of building and maintaining client relationships. This also includes being responsive to your client. It is also important to realize that marketing is not only what you do to get the job, but it’s also what you do to keep the clients you already have. As engineers we are obligated to provide an unbiased opinion on the required solution to the issue. The solution or solutions are based on sound engineering principals and experience. Helping the client evaluate and select the best solution for their situation becomes an integral part of the professional service. Two-Minute Pitch (to client/boss/politician) Finally, it is important to know enough about your topic to give an effective two-minute pitch. There are often times when you may only have two minutes, or less, to sell your client, boss, or politician on your abilities or an important topic.

Preparation is often a good solution when faced with a meeting of any type because unexpected things happen to everyone and you may only have a short time to relay your message, even though you were scheduled for more.

8.0 LEADERSHIP/PERSONAL MANAGEMENT Introduction In order to be a leader, a person needs to have followers. What makes a person want to follow a leader? One definition of leadership is influencing a group of people toward a common goal. You may know who the best leader is in any given meeting or situation; they are usually the one who the most people make eye contact with and listen to when a decision must be made. Having a higher position does not necessarily mean you are a good leader. Simply put, people respect true leaders and have a desire to follow their vision and direction. Your leadership ability directly defines the level to which you will be effective in your day-to-day business life and your career. Leadership characteristics and skills can be learned. The following skills are some essential needs that a potential leader should work towards and you are encouraged to take courses, read books, and learn from those around you. Key Points The following is a list of vital topics for leadership and personal management:
Vision Vision can be defined as the picture of where an organization is headed. If you cannot see where you are going, how do you know how to get there? How do you know when you have arrived? To learn processes for developing the ability to create vision, see “Strategic Planning” below. Strategic Planning Strategic planning is the process of setting short, medium and long term goals based on the vision and mission of an organization. While strategic planning is a group process, it takes those with leadership skills to help steer and navigate the development of goals. Based on a strategic plan, an organization is able to measure its level of success or failure to accomplish the vision and mission. Motivation A good leadership foundation will include understanding the motivational values system of others as well as yourself. This knowledge will allow for increased motivating skills and the understanding of yourself and your affect on the development of others.

Performance Evaluation / Feedback Most people do not look forward to engaging in a process where someone is evaluating their performance and being critical of what and how they do their job. However, the process of performance evaluations is a valuable tool for you and your company. Even if you are not yet in a managerial position, it is important to know and understand the process. The feedback you give to your manager/employer can often make you noticed, stand-out from the crowd, and help your managers to see your leadership and management potential. If you are in a management position, this is an effective way of empowering your employees and helping them to see where additional growth is needed. Delegation One person cannot do it all. It takes a team to make a project successful. In order to be successful at delegation, you must be an effective communicator. The clearer the direction, the better and faster the result. Part of delegating assignments to a team of people includes recognizing the abilities of individuals within the group and using their abilities affectively toward a common goal. Decision Making Decision making is a process. To the delight and joy of most engineers, it can even be broken down into a set of specific metrics that are combined into a set of numerical results, the highest (or lowest, depending on how it is setup) of which is the best decision. Balancing the concerns of all those involved, against cost, quality, safety, time, and final product can be a complex and daunting task. The decision making process of evaluating the best solution, direction, or choice can and should be learned. It is important to remember that this is also a skill that will continue to develop and grow over time and with experience. Organizational Skills Keeping your workspace and files organized is a key towards effectively managing your time and stress levels at work. An effective filing/organization system can help portray a professional attitude to supervisors and clients, which can in turn lead to career advancement opportunities. Time Management In order to meet deadlines, both personal and professional, managing time effectively can be quite the challenge. The day-to-day activities at work can lead to added pressures in trying to meet deadlines, or even prioritize employees and

clients. To manage your time effectively, efforts need to be taken to stay organized and to prioritize problems/events as they occur, rather than procrastinating. Time management also includes learning to identify the length of time necessary to complete certain tasks and to schedule that time appropriately. Identifying ‘time wasters,’ such as junk e-mail, is also an important step toward efficiently managing your time. Stress Management The balancing act between work and personal lives is not an easy thing to master and takes a lot of time and effort. Time management is one of several tools that can be used in managing stress. It is important to recognize that stress management does not just include dealing with clients, schedules, deadlines, bosses, and employees; it also includes finding a healthy balance between work commitments and a personal/family life. The ability to recognize the level of importance of a day’s occurrences and the overall affect of those events can help to identify causes of stress and eventually help to reduce the stress effect. Empowerment Another word for empowerment is to enable. Leaders that empower or enable provide others around them with the means or opportunity to achieve their goals or objectives. The means of achieving goals is often realized by tailoring education and training in the specific direction of the objectives. By giving those around you the opportunities to achieve their objectives, three results usually occur: the individuals become more effective, the projects they work on have higher quality, and the overall productivity of the company, organization or agency is increased significantly. Empowerment is a win-win situation.

While not an exhaustive list, it is fairly comprehensive and should provide ample opportunity to further enhance these skills and traits.
