RosterPro® Registration SystemAn Inside Look At Demosphere’s Online Registration System

Access every aspect of your organization’s registration from one convenient dashboard - whether it involves Program Setup, Household Management,

Finances & Banking, Uploaded Files, or Registration Settings!

Experience what your registration settings will look like from the public’s point-of-view before opening the public registration process.

To access the registration process, users must first create an account in the RosterPro® Registration System.

Users can log into the system using User ID, Facebook or Google credentials.

Public Registration Preview

The first step in the registration process collects the Household’s basic information. This information will pre-populate for returning members.

Households will then identify the member they are registering. They can select from a list of members previously stored within the

database, or create a new member.

A list of available programs will appear for the registrant to choose from, based on the eligibility settings you choose (age, gender, etc).

Customized welcome messages for each program will appear during this step of the process to offer program-specific details and instructions.

Collect parent information, emergency contact and/or medical insurance details during the registration process.

Households can select an existing parental member whose data has already been stored in the system or create a new one.

Customize registration forms to collect all of the program-specific information you need to have a successful season.

Questions can be required, conditional, and have fees associated with them!

Drag-and-drop questions around the form to create your ideal layout.

Households registering more than one member during a single session are able to do so before completing the order and making a payment.

Collect volunteer registrations during this step while parents are in the process of registering a participant. Volunteer settings can be

customized to fit your organization’s needs.

Collect donations for your organization during the registration process. Donations made are automatically recorded and tracked within the system.

All fees and discounts charged to the account are broken down into a clear list so the registrant can see how the total was reached.

Collect payments by credit card or offline check/cash based on your requirements. Payments can be made in full, paid in installments, or

registrants can apply for Financial Aid.

My Profile InformationAll Household information is stored within the My Account Information tab.

Household Administrators can access their Profile and Household Information, make updates, and add members at any time.

Registration and order history records are accessible in the My Household Information section.

Household Administrators can log back into the system to make payments and/or update their payment information.

Registration SettingsManage multiple programs and seasons from one simple dashboard.

Seasonal Registration SetupCustomize each season in the Season Settings page. Write customized

welcome and confirmation messages, collect emergency medical information, set season limitations, and more!

Write custom Welcome and Confirmation messages to registrants. Format text the same way you would in an email.

Determine when your season will be starting and ending - down to the exact minute!

Want to collect Parent, Emergency, or Medical Insurance Information? Switch the toggle from Off to On. It’s that simple!

Accept all of your payments at once or have the flexibility to spread the installments out over multiple payments.

Administrators can set custom due dates for each installment.

Only open a program’s registration to a specific gender, age group, or custom data field (region, school grade, etc.) with Season Eligibility Settings.

Create tryout (invitee-only) programs by inviting an exclusive group of players to register.

Once a registrant applies for financial aid during the checkout process the Administrator can then choose to either accept or deny requests.

Accept and track applications for financial aid directly through the system.

Ask for registrants to upload important documents like birth certificates, physical signatures, and doctor’s notes directly into the

system during the registration process.

Create unlimited program and/or season fees and discounts in the Fees & Discounts tab.

Fees can be automatic, installable and/or discountable. Discounts can be automatic, or can be tied to registration forms with several

options in between.

Edit the volunteer roles you’ll be accepting throughout the season. Create volunteer forms, institute an “opt-out” fee, and send a

personalized message.

After collecting player and volunteer registrations, create teams and rosters all from one page.

Filter on the group of individuals you’ll be working with, drag and drop them onto the roster, customize your rosters and email them out to Team Staff.

Once rosters have been formed, sync the newly created teams with Demosphere’s TeamNet team communication platform.

Customize your registration forms with program-specific questions and collect only the information you want - none of what you don’t!

The drag-and-drop functionality of the form allows Administrators to create not only custom questions, but also unique form layouts.

Form Builder

Utilize pre-populating forms within the system.

The RosterPro® System will fill out imported forms with the necessary information already available within the system so you don’t have to!

Financial & BankingView financial payments and settings all within the Financial and

Banking tab. Choose from a selection of pre-made financial reports to run within your system.

Select which method(s) of payment your organization will be

accepting each season.

If your organization chooses to accept Cash/Check payments,

adjust player status in the program until the payment is received.

Accept donations directly online and have the money recorded and organized within the registration system.

Data ReportingAnalyze your data to the fullest with the various reporting

features inside RosterPro®.

Filter data by dates, seasons, programs, or registration status.

Print and/or export your results as PDF, Excel, or CSV documents.

Create a custom report by dragging and dropping the column names into the Column Headers area.

Communicate with your organization through email or text messaging.

Filter your recipients, set future send dates, and edit content the same way you would in a Word document, including images, links and any

other desired HTML.

View and search email history and re-send past messages.

User AdministrationDo you have multiple organization officials responsible for setting up the

registration process?

Grant permission-based access to multiple administrators.

Customize the access that each Administrator receives. Create roles within your organization and delegate responsibilities specifically tailored to each.

Data SecurityDemosphere stores customer data securely and does not provide or sell it to
