Use ScoutNET user name and password. Put netbsa\ before your user name.

After login, your home page populates, and will direct you to the constituents functional area.

You will perform maintenance to clean up duplicates.

The system provides two search methods.

The incremental method searches for duplicates since the last running; thus, cutting down on those that need to be reviewed.

You will run the full constituent search since the database contains only 400 or so constituents. First you will edit to select setting.

Clicking “Save” redirected you back to the search screen. Now run the process. It identified 6 records. You are ready for the report.

To run the report, select the type of search used and then click “View report.”

To merge constituents, you need to return to the maintenance area.

There are two processes that could be employed. You will explore each one.

This method allows you to set up a merging process and then run the process on all of the found duplicates without needing to review each one as you merge. Select “Kuehn” and then “Edit.”

Review the Merge Configurations.

“Addresses” is highlighted. The task tells what takes place as a constituent merger happens.

Now you will actually merge two constituents. Click the processing area above.

You will need to select the constituents to merge by doing a constituent search. Pick those from the duplicate report viewed earlier.

You will merge Connecticut Rivers. Pick the one with the full address and comma.

You have done the search twice to get the source and target constituents. Select the default merge settings and click “Merge.”

When the process is complete, it brings you to the merged constituent page. The name has the comma and you can see the previous addresses.

You can see that the constituent has been merged on the Duplicate Constituent Report. You will now go to the Administration area.

You will visit one last location under Administration.

These are the settings that drive the duplicate checker as you make new entries into the system.

First‐Time Webinar Attendees• Within 48 hours, you will receive an email detailing how to access the CRM Design Site.

• Login using ScoutNET user name and password.

• User name may need netbsa\ placed before it.

Site Security• Database will hold a single individual/single organization record for the whole company.

• Councils will be able to view theirconstituents’ records and history. 

• Constituent searches will span the entire database.– Councils will be able to see that someone has a record in another council but not why. 

Timeline• 2012―System configura on, business rules, and conversion and integration discussions

• First and Second Quarters 2013―Revenue configuration, Email 

• Third and Fourth Quarters 2013―Mapping and conversion testing

What to Do Now• Single person/organization―person/ organization merge.

• Clean up campaign organization―remove workers with no prospects.

• Delete unused giving categories.
