Setting Up a Record Keeping SystemWhenyousetupahomefilingsystem,keepinmindhowyouoperate.Areyougoodatkeepingupwith

yourfilingeachmonthordoyouneedaboxtoholdmaterialsneedingtobefiledbecauseyouprefertodothefilingonlyeverythirdmonth?Thebestsystemforyouisonethatfitsyourstyleof operationandonewhereyoucanfindimportantdocumentsquicklyandeasily.

Mosthomefilingsystemshavesomecharacteristicsincommon.

• Typicallyfileswillbeinalphabeticalorder.Itisthereforeimportanttothinkaboutyourheadingsaheadof time.

• Allowforflexibilityandexpansion.

• Keepyouractivefiles(thosethatyouneedtoconsultonaregularbasis)separatefromthosethatyouseldomconsultbutkeep“justincase”orfornostalgicreasons.

• Filesandrecordsyourefertoonaregularbasisshouldbekeptinthe“prime”storageareasuchasyourhomeofficeorbusinessarea.Filesyourarelyuse,your“inactivefiles,”canbestoredinyourbasementorattic.

• Listthecontentsontheoutsideof thebox.“Inactivefiles”mightincludetaxrecordsoverthreeyearsoldorthepaperworkonthelasthomeyouowned.Theinactivefileareamightalsobetheappropriateplaceforoldletters,reportcardsordrawingsdonebyyourchildren.

Belowisasuggestedhomefilingguide.Changeittofityourneeds.Thisisgivenonlyasastartingplace.Last,butnotleast,allfilingsystemsshouldhaveafileindexatthefrontthattellswhereinformationcanbefound,listingheadingsandthekindof informationtobefiledunderthatheading.
