SR/PNP Process Overview ê Student Registration/

Personal Needs Profile (SR/PNP) ê Includes special test forms and selected accommodations ê URL: mcas.pearsonaccessnext.com

ê SR/PNP window for gr. 3–8: Jan. 23 – Feb. 10 ê The Department has already imported the SR/PNP for

grades 3–8 ELA, Mathematics, and STE into PAN. ê SR/PNP for ELA and Mathematics includes prior

(2016) accommodations data (MCAS or PARCC). ê SR/PNP for STE includes prior (2016) Math

accommodations data (except calculation device).

Two Ways to Update SR/PNP Option 1 (schools with high student mobility): best for adding/removing a large number of students Download .CSV file of students required to test from MassEdu Gateway. ê  One row for each student test

(ELA, Math, STE) ê  Prepare and save a file of students

who will not participate (to be deleted from PAN).

ê  Prepare & save a separate file of new students who will participate; enter selected accommodations (to be added to PAN).

ê  Import file(s) into PAN.

Option 2 (for most schools): best for adding/removing a small number of students Within the PAN Interface: « Add new students who arrived

after Oct. 1. « Add or update accommodations for

students (add accommodations for grade 3 students).

« Remove students who have transferred out since Oct. 1.

« Note that the Department preloaded gr. 3–8 student information based on October SIMS and prior (2016) MCAS/PARCC accommodations.

PAN user accounts were added the week ending January 20 for gr. 3–8 superintendents, gr. 3–8 principals, gr. 3–8 school and district test coordinators, and district technology coordinators.

Option 1: File Import update large number of student records in high

mobility schools

ê Go to MassEdu Gateway in DropBox Central in the MCAS 2017 folder. ê https://gateway.edu.state.ma.us/

ê Download the .CSV file of students in grades 3–8 who are required to test.

--OR-- ê Export the SR/PNP file from PAN

ê See Guide to the SR/PNP Process for grades 3–8.

� Get the SR/PNP student file

� Prepare the .CSV file: Add or remove students, and enter selected accommodations. ê Students who will not participate (transferred out after

October 1): ê  Save a .CSV file of student records to be deleted.

ê New students who will participate (i.e., students who enrolled after October 1) ê  Save a separate .CSV file of student records to be added.

ê All new or existing students: enter and/or update selected accessibility features and accommodations ê Enter all accessibility features and accommodations for grade 3

students. ê Save one or both of the above .CSV files to your computer.

� To add students, import “Student Registration” .CSV File into PAN

Ensure that you are viewing the correct administration in PAN before importing.

ê Setup>Import/Export ê Select Tasks: Import/Export

Data ê Select Student Registration

Import. ê Select CSV as your File Layout

Type. ê Browse to find the

.CSV file you saved. ê Click Process.

� To delete students, import “Student Registration Delete” .CSV File into PAN Ensure that you are viewing the correct administration in PAN before importing.

ê Setup>Import/Export ê Select Tasks: Import/Export

Delete. ê Browse to find the

.CSV file you saved. ê Click Process.

� Confirm Successful SR/PNP Import ê Refresh file import details. ê Check for any file import errors,

and resolve them.

� Add a small number of students: Setup>Students ê Task: Create/Edit Students (add new student) ê Task: Registration (assign test and accessibility

features/accommodations)

ê The Field Definitions describes each accommodation. ê The Field Notes describe eligibility to receive the

accommodation and/or proper completion of screen.

ê The Expected Values indicate options for selecting the accommodation for a student.

� Remove Student Registrations ê Use the PAN interface to remove students who will

not participate. ê Find and select students.

� Remove Student Registrations (cont’d) ê Note: It is not necessary to unenroll, remove ELA/

Math/STE tests, or delete students from your organization.

�Edit Enrollment Counts (confirming a successful test registration)

ê Principals must complete the SR/PNP process regardless of whether students are participating.

ê Log into PearsonAccess Next at mcas.pearsonaccessnext.com. ê  Select each test administration name from the administration dropdown in the

top right corner. ê  (For district users only) From the Setup dropdown menu, select Organizations. ê  (For district users only) Search for the school that you would like to update. Click

the checkbox next to the school name. ê  From the Select Tasks dropdown, select Edit Enrollment Counts. Click Start. ê  Click the blue + icon to confirm the order for test materials for your school is

correct.

You will need to click a “+” to expand it to show this screen, and the “+” will change to a “-” after you click it.

Troubleshooting ê What if a student doesn’t have a SASID?

ê Call district’s SIMS contact (go to profiles.doe.mass.edu/search/search.aspx?leftNavID=11239, select SIMS Contact from the Function menu, and click Get Results.

ê What if I lose my password? ê Click “Forgot Password” on the PAN login screen.

ê What if I need to create more users for PAN? ê Refer to resources posted at
