Who should deposit their thesis electronically?

Any postgraduate research student who registered on or after the 1st August 2008 MUST deposit an electronic copy of their thesis

Students who registered before 1st August 2008 MUST deposit a printed bound copy of their thesis.

Q. What happens if I don’t deposit my thesis?

A. You graduation will be delayed.

Preparing your thesis for deposit• The major issues you need to think about are

– Copyright– File formats– File naming

Copyright• Have you included any third party copyright

material in your thesis?• Has any part of your thesis been published

before or has it been accepted for publication?• What copyright license do you want to apply to

your thesis?

If you have included 3rd party material in your thesis ......• Do you have permission to include this material?• If not is it possible to get permission from the

rights holders to include it?• If you don’t have permission you will need to

submit two versions of your thesis:– The full version including 3rtd part material (this will NOT be

made publicly available)– An edited version with the third party material taken out and

replaced with a text description (this version will be available)

If any part of your thesis been published previously or has been accepted for publication you should contact us

Your thesis is made available under a Creative Commons License - you choose which one

File format• Your thesis must be deposited in PDF format

– You may also deposit a version of your thesis in other formats such as html, postcript, word or open office but at least one version must be in PDF format

• It may also be possible to deposit supplementary files in other formats but please contact us to discuss this before you deposit your thesis

The filename given to your thesis• Use your surname, the first three letters of your

forename the month and year on the title page of your thesis and the Research Archive Item ID number, to name the file of your thesis e.g.

– Student name: Peter Phillips = PhillipsPet– Year and date on title page of your thesis: October 2008 = Oct

2008– Research Archive Item ID number 795 = 795

– The filename derived from this example is PhilipsPet_Oct2008_795

Complete the Thesis Access declaration form

Deadline for depositing your thesis

• The latest time the final thesis can be submitted in order for you to be able to graduate in July is midday, 20 June 2011.

• The version of your thesis that you need to deposit is the final accepted version after you have had your VIVA and after any amendments that were required by examiners have been made.
