THE LOGIN PROCESS The first step in using the Viking Distributor Extranet is the initial login. The site address is http://extranet.vikingrange.com and the login screen is shown below. At this screen enter the username and password as assigned by Viking. If your username and/or password has been lost, contact the Viking IT Helpdesk at (662)-455-1200 Ext. 4357.

After entering a valid username and password, the main menu screen will load as shown on the page 5.

TO CHANGE PASSWORD/MANAGE PROFILE

When you first login, please click on Manage Profile, then Address Book and fill out the information on this screen. You will then click Apply. Make sure you check one Preferred Billing and Shipping address for the main address that you will use for these. You may add as many addresses to the Address Book as you like. This information can be used later in your ordering process in case you need to change your ship to address. To change your password, click the change password link under User Information.

PRODUCT ORDER INFORMATION

This is the main menu page, also considered the home page for the Viking Distributor Extranet. There are two ways to order products: Quick Order or by Browsing the Product Catalog. Both ways to order are described on the following pages.

QUICK ORDER

Click on Quick Order in the blue navigation bar at the top of the page. The screen on the next page will appear. From here there are two primary methods of ordering: 1. Uploading a product order file. 2. Manually entering a product order

UPLOADING ORDERS FROM A SAVED FILE You can create an order file and save to your hard drive. This saved file can then be uploaded to the extranet, but must meet the requirements below. To enter an order manually, skip to page 8. Order File Format for Upload 1. The file must be a standard ASCII text file. Commas, spaces, or forward slashes

“/” are all accepted as delimiters. 2. The file must contain the two required fields which are MODEL # and ORDER

QUANTITY. A requested delivery date may be included, but is not required.

Several examples of valid order formats are shown below.

Comma delimited, no quotes: T36TIISS,10 Comma delimited, with quotes: “T36TIISS”,10 Space delimited, no quotes: T36TIISS 10 Slash delimited, with quotes: “T36TIISS”/10 To include a requested delivery date, it must be a full 6-digit date in standard MMDDYY (month month, day day, year year) format. The dates can be entered with or without delimiters between the mm dd and yy portions. Examples of June 6, 2000 as a requested delivery date is as follows: No date delimiter: T36TIISS,10,060600 Slash date delimiter: T36TIISS,10,06/06/00 Hyphen date delimiter: T36TIISS,10,06-06-00 Period date delimiter: T36TIISS,10,06.06.00 WHEN SHOULD THE REQUESTED DELIVERY DATE BE USED? The requested delivery dates are NOT required. The only required fields are the model number and order quantity. The requested delivery date is useful if a desired receipt date for an entire order needs to be specified. Most Viking distributors choose not to use the requested delivery date option, but please do so if it is useful.

3. The model number specified in the first field of the uploaded file must match the Viking SKU number exactly. Any deviation will cause the order to be rejected. For instance, VEDO270SS is correct, but VEDO270-SS, VEDO-270SS, VEDO270 SS, and VEDO 270SS would all be rejected. No dashes should be used in any model numbers. Once an ASCII purchase order has been created, it is ready to upload. The picture below is a portion of the main ordering screen shown on page six of this document. You may either enter the filename into the box or you may click on the Browse button to locate the file.

Once the file is specified, click on the Upload button. Let’s quickly review the manual entry method.

MANUALLY ENTERING YOUR ORDER

The manual entry form is shown below. This picture is from the Quick Order screen as shown on page 5 of this document. Model numbers and quantity may also be entered by cutting and pasting from another program, but the proper format must be used. To enter your order manually, simply type it into the empty box in the following format: MODEL NUMBER/QUANTITY. The forward slash “/” is required between the two fields. Optionally, the requested delivery date can be included here, which we discuss in great detail on page 6 of this document. See the example screen on the next page, which shows the look of a manually entered order.

Once the order has been entered, click the “Next” button. To start over, click the “Clear Order Lines” button and the contents of the entry box will be cleared. The screen shot below shows what appears after the order is entered and the “Next” button is clicked. Regardless of whether the order is uploaded or manually entered, the next screen will be identical.

On this screen, you enter your purchase order number in the field. If you wish to add additional items to the cart, click continue shopping. If you are ready to complete the order, click checkout.

Once the “Check out” button is clicked, the last screen in the ordering process appears. If you would like to add any special shipping instructions about this order or change the ship to address, click on Change under Shipping Information.

It will bring you to the screen below. To change the ship to address, click on the change button next to the address. A list will pull from your Manage Profile for you to choose the new address. Just choose the correct address, and click Select. Now choose continue checkout.

In this screen you can also note any special shipping or packing instructions.

ORDER ACKNOWLEDGEMENT The screen below is the last screen in the ordering process. It recaps all the information about the order in one screen. If desired, this screen may be printed for record keeping purposes. This screen may also be downloaded as text by clicking on the link at the bottom of the screen.

BROWSE PRODUCT CATALOG TO ORDER

We have discussed two ways to Quick Order. One, uploading an order file, and two, manually entering an order in Quick Order. The third way to order is to browse the Product Catalog to Order. To do this click on the link Products and choose the appropriate sub category for the product you wish to order. In this example, we will order a 30” Duel Fuel Range.

REPORTS There are several reports that can be obtained from the Viking Distributor Extranet: Order Status, Percent Shipments, Account Status, and Current Inventory. ORDER STATUS To check the status of an outstanding order, click the “Check Order Status” link under the Product Order Information heading on the left-hand side of the page as shown below.

There are three ways to check the status of an order: by purchase order, by customer order number, or by item number.

CHECKING SHIPPING INFORMATION

To check shipping information, click the “Recent Shipments” link under the Reports link on the left-hand side of the page as shown below. There are three ways to check your shipping information: by days, serial number, or shipment number. To check your shipping information by day, simply click on the number of days desired on the screen shown on the previous page. Below is an example of what is seen at that point.

Viewing Account Status To examine the account status, simply click the Account Status link under the Reports link on the left hand Navigation. A screen like the one below appears. From this screen the account may be viewed in full by clicking on the “detailed” description link or a quick overview may be viewed by clicking on the “summarized” link.

An invoice may also be viewed by entering the invoice number in the blank box and clicking search.

VIEWING STAGED INVENTORY Staged inventory built and ready to be shipped to your distributorship can be viewed in this area. Under the current inventory tab enter the model number of any Viking appliance product that has been previously ordered to see if that item has been built and is staged for shipment to your distributorship. The amount and value of that item is then listed on the screen.

Ordering Sales Support Materials Online

Sales support materials should be ordered the same way as appliance products. However, separate orders with separate PO #’s should be placed for each category of sales support items. Sales Support Items should not be combined with orders for appliances. Please place separate Pos for each of the following categories of sales support.

1. Specialty items 2. Literature and Pop 3. Displays

Sales Support Orders can also be placed through Quick Order or by Browsing the Sales Support Catalog.

Below is an example of how to browse the Sales Support Catalog to order a product. 28

Click on Installation Instructions, add to cart and continue with order completion as described in the quick order section of this manual.

Ordering Advertising Material To order Advertising Material from the pull down box shown below, click the desired advertisement. Upon making a selection, a screen like the one below will appear. To order the ad, click the link to email Tracey Williamson (twilliamson@tra.net) with the request.

Remember that you can hit Ctrl + F to locate the item that you are looking for.

Downloading and Printing Cost Schedules

1) This subsection of the Sales Support area allows distributors to download, insert

customized pricing information, and print blank cost schedules for business use.

Once selection of a cost schedule is made, there are two options. View it online by left clicking on the appropriate link (shown in the screen below) or download the blank cost schedule by using the RIGHT mouse button and clicking on the same link. If using Internet Explorer choose “Save Target As”, and if using Netscape choose “Save Link As”.

With the full version of Adobe Acrobat, distributors can input personal cost information into the cost schedule sheets before printing. Instructions for doing so can be found on the following page. Adding Pricing to Cost Schedules- No Price Open the file in Adobe Acrobat. A screen like the one below will appear. Click the ‘T/Pointer’ selection. This is the last selection on the vertical menu on the left side of the page. Click the small arrow in the lower right corner of the box. Make sure ‘T’ is selected. Left double-click the text to be changed or to the empty text box under pricing. Highlight the text with the cursor and type in the new information. click anywhere outside the text box and move on to the next change.

Viewing Sales Plans

In this area, distributors can view the Distributor Sales Plan and other related sales programs and forms.

Viewing Co-op Dollars To access the balance of the distributor co-op account, click the co-op dollars sub-category under the Reports Heading. The following information is displayed:

Viewing Latest News

You can see the latest News by clicking on Front Burner. Also under News are Archived News, Media Highlights, and Viking Views.

Under Archived News you will find Archived Front Burners, Archived Media Highlights, and Archived Viking Views.

This screen shows the available archived Front Burner Bulletins. You can view the Front Burner by either clicking on the Front Burner of choice or right clicking on the chosen link and saving it to your hard drive.

Viking Training

The Viking Extranet training has two categories:

1) View Product Training Manuals 2) View Typical Viking Agenda

Viewing the Typical Viking Agenda For those interested in additional face-to-face training, Viking offers a four-day training session held at Viking headquarters. To view a typical training agenda, which includes the dates and times of each event planned in a typical training session, click the “View Typical Agenda” button.

Product Training The product training section page below shows the different product training areas that Viking offers. Product-training information as both PowerPoint slides and Word files is offered, as listed beside each choice.

Once a selection is made, a screen like the one below appears. At this screen the training can be viewed online by clicking on the link, or saved to the computer (as a download) by right clicking the link and selecting “Save Target As” or “Save Link As”.

Competitive Comparisons In the Competitive Comparisons Area there are a number of options. Either view the product comparisons online, or order hard copies of the product. The front page of this section is seen below with the “View Competitive Comparisons Here” box selected.

Once the comparison category is selected, the next screen (below) prompts the viewing of the comparison online, or allows copies to be ordered. The ordering process is the same as other ordering areas of the site (see page 5). If the wrong category is selected, reselection is offered at the bottom of the screen. Remember that you can hit Ctrl + F to locate that items that you are looking for.

Updating Distributor Personnel and Dealer Information

It is the responsibility of the distributorship to keep all dealer and personal information current on the Viking Distributor Extranet. The dealer information managed by the distributorship here displays to the consumer on the zip code dealer locator on www.vikingrange.com. The personal information managed by the distributorship here controls who can access the extranet. Distributors can define who receives communication from Viking.

To add a dealer click on Create New Dealer and this screen appears. Fill out all fields and click submit to add the new dealer information.

This screen shows all personnel listed for your distributorship.

To add a new person to the extranet click Add Personnel, fill in the fields, and submit. The user will be e-mailed their user name and password to gain access to the site.

Contact Viking

The Contact Viking section of the Extranet provides a list of names under two headings – Viking Regional Sales Manager, and Viking Email List. To send an email, click the box next to the person’s name. By clicking on the profile link to the right, the name, department, phone, fax, and email address (there is even a small photograph of most individuals) of Viking employees can be seen.

Input and Suggestions The input and suggestions area allows for comments, ideas, input and suggestions. Click the “Inputs and Suggestions” button under the Contact Viking section. At this point the screen shown below appears.

Once this screen appears enter the name, email address, message and click “send”. The “cancel” button is available if there is a mistake.
