Getting Started

Set up your company profile . Chat with attendees . Troubleshoot.

Set up your company profile.

Log In

Click on the link below to log into your booth record:

You can find your login details in your confirmation email.

Profile Overview

When attendees vis it your company’s profile , they will s ee the following:

We’ll take a look at each s ection of your profile and walk through the s etup proces s in the following s lides .

Note: Profile s ections may vary bas ed on the event s etup.

1. Company InfoThe top s ection of your profile includes your company’s :

1. Spons or level (if applicable). This is only s et up for premium exhibitors for the CAI event.

2. Logo3. Name

Note: Your profile may not include a s pons or level if s pons or levels are not in us e for this event or if you have not purchas ed a s pons ors hip.

1. Company Info

Upload your logo:

1. Navigate to the Content tab of your booth record.

2. Drag and drop your logo into the Upload File box or click “Upload File” and s elect the file from your computer.

3. Click Save Changes .

2. Connect

The connect s ection appears directly below your company name. This s ection includes :

1. Chat button: launches your public company chat room

2. View Website button : opens your webs ite

3. View Booth # on Map button: navigates to the floor map and highlights your booth

4. Social media icons: links to your s ocial media profiles

Add social media and website links:

1. Navigate to the Content tab of your booth.

2. Scroll down to the link fields . 3. Type or pas te in the URLs for

your webs ite and your s ocial media profiles .

4. Then, s croll to the top of the page and click Save Changes .

3. Categories

Categories typically include keywords relating to the products / s ervices your company offers .

All categories are defined by the event planner. As an exhibitor, you can view a lis t of the categories and s elect thos e that apply to your organization. However, you are not able to add your own categories .

If you feel a category is mis s ing from the lis t, pleas e contact [INSERT YOUR EMAIL HERE].

Set your categories:

1. Navigate to the Booth Info tab of your booth record and s croll to the bottom of the page.

2. Select all categories that apply to your products / s ervices then click Save.

4. About

Us e this s ection to introduce your company to the attendees vis iting your booth.

The about s ection can contain a:

1. Welcome video2. Welcome mes s age

You can provide either one by its elf or both!

Welcome video ideas:

● Introduce your company and s taff● Give an overview of products / s ervices● Launch your lates t product/ s ervice● Show a tour of your facility● Ans wer frequently as ked ques tions● Us e footage you already have; add a quick intro

to the beginning of the video to make it s pecific to the event

● Highlight your involvement in the event– mention s es s ions you’re hos ting, hours you’re available to chat, items you’ve s pons ored, etc.

Add a welcome video:

1. If you have not done s o already, upload your video to a hos ting platform s uch as Vimeo, YouTube, or Dailymotion.

2. Copy the URL of your video, then navigate to the Content tab of your booth record.

3. Scroll down to the Welcome Video field and pas te in the URL.

4. Then, s croll to the top of the page to click Save Changes .

Welcome message ideas:

● Add your tagline and mis s ion s tatement.● Lis t your products / s ervices .● Note any live availability– s es s ions , chat hours ,

video conferencing. Make updates daily to highlight that day’s activities .

Know your audience:

● Approximately 70% of attendees will be community as s ociation managers

● Approximately 30% of attendees will be elected leaders in condo, cooperative and homeowner as s ociations .

Add a welcome message:

1. Go to the Content tab of your booth record and s croll down to the Welcome Mes s age editor.

2. Type or pas te in your content, then us e the toolbar to adjus t formatting.

3. Once you have finis hed editing your mes s age, s croll to the top of the page and click Save Changes .

5. Res ources

The res ources s ection contains all of the materials you would like to offer to your booth vis itors . You may add as many res ources as you would like.

This digital content replaces the materials you would have dis played on tables in your phys ical booth location.

However, in your virtual booth, you’re not limited to jus t brochures and flyers – link to videos , news letter s ign-up forms , demos and more!

Resource ideas:

● Videos● E-books /magazines● News letters● Whitepapers● Cas e s tudies● Demos● Photos● Flyers /brochures / catalogs

Tips:

● Us e attention-grabbing thumbnails . Thes e s ites make it eas y to generate high-quality graphics :○ Canva (graphic design editor)○ Freepik (images)○ Stories (illustrations)○ Uns plas h (royalty-free photos )

● Keep thumbnails uniform. We recommend a s ize of 300px wide by 200px high.

● Cons ider your audience– include the materials mos t relevant to the event’s s ubject matter.

Add a resource:

1. Go to the Content tab, then s croll down to Res ources .

2. Click “Add Res ource.” 3. A new window will open where

you can provide:a. Res ource Nameb. Brief Des criptionc. Res ource File (link or

upload)d. Thumbnail (link or

upload)4. Enter all of the details , s croll

down, and click Save.

Edit a resource:

1. Navigate to the Content tab of your booth record, then s croll down to the Res ources s ection.

2. Click “Edit Res ource” under the res ource you’d like to update.

3. A new window will open where you can edit the res ource name, brief des cription, res ource file , and thumbnail.

4. Make the changes needed then s croll to the bottom of the window and click Save.

5. Res ources

Delete a resource:

1. If you no longer want to offer a res ource, go to the Content tab of your booth record and s croll down to the Res ources s ection.

2. Click Delete under the res ource.

6. Staff

The s taff s ection contains the name and photo of each s taff pers on regis tered in your booth.

Preview profile

You may preview your company profile at any time:

1. Go to the Content tab of your booth record

2. Click Preview at the top.

The preview of your profile will open in a new window. This is what attendees will s ee when they click on your booth in the floor map or on your company in the exhibitor/ s pons or lis t.

Chat with attendees .

Acces s the virtual event platform

Exhibit s taff will receive an email with a link to acces s the virtual event platform.Each s taff pers on will receive their own unique link.

If you are unable to locate your link, pleas e reach out to Mike Shaw at mike@cai-padelval.org for as s is tance.

CAI will be emailing loging links to all regis tered exhbitor s taff on September 1.

Open the company chat room

Exhibit s taff can open the company chat room by going to the exhibitor/ s pons or lis t and clicking on your company, then click “Chat”

Your chat room will only be open:

● During chat hours s pecified by the event organizer

● If at leas t one exhibit s taff pers on is pres ent

● CAI has enabled exhibit chat hours from 7:00 AM to 5:00 PM on September 9 and 10, 2020.

Start a direct chat with an attendee

When an attendee vis its your company chat room, they will s how up in the “Vis itors ” s ection next to the chat window.

Click the envelope icon next to their name to open a direct chat channel with that attendee.

In the direct chat channel, you can s peak with that attendee privately.

Export the chat log

To export the chat log from your company chat room, you can either:

1. Open that chat room and click “Download”

2. Log back into your booth record. Navigate to the Res ources tab. Click on “Download public chat log.”

To export the chat log from a direct chat channel, click on the attendee’s name in the chat window and s elect “Download.”

1. I’m unable to load the virtual event platform in Internet Explorer.The virtual event platform is not compatible with Internet Explorer. We recommend us ing Google Chrome, Firefox, or Microsoft Edge ins tead.
